How to craft a brilliant tour itinerary that your guests will rave about

Carla Vianna

The best tour itineraries go beyond basic logistics and give guests a true sense of what to expect from their experience.

If you’re unsure what this might look like, we’re here to help.

In this guide, you’ll find a step-by-step breakdown of how to create an excellent tour itinerary, as well as real-world examples of tour operators who nailed the assignment.

What is a tour itinerary?

A well-crafted tour itinerary provides your guests with clear expectations, ensuring that they make the most of their time during the tour.

At its simplest, it is a detailed plan outlining the events, activities, and locations included in a tour. It serves as a roadmap for the entire trip, providing a step-by-step guide for visitors.

Tour itineraries typically include information such as:

  • Dates and times
  • Destinations/stops
  • Activities and events
  • Accommodations and transportation (if included)

8 steps to create a tour itinerary

Whether your tour features historical landmarks, culinary experiences, or adventure activities, these are the steps to craft an itinerary that your guests rave about .

1. Define the tour objectives and theme

The first step in creating a tour itinerary is to outline the purpose of the experience.

Are you educating your guests or entertaining them?

Is your tour an outdoor adventure meant to thrill visitors, or a cultural immersion meant to inspire?

Next, you’ll want to conduct market research to answer the following questions:

  • Who are your competitors?
  • Who is your target audience?
  • What are the unique selling points of my tour?

The theme of your tour will guide the entire itinerary. It’ll ensure the experience remains coherent and is tailored to your specific audience. For example, if you’re running a historical walking tour in London, objectives might include providing in-depth insights into key historical periods and attracting history enthusiasts.

2. Research and select the destinations/stops of your tour

Identify and choose the specific locations and/or attractions to be included in the tour. Of course, this will depend on the nature of your tour. A multi-day tour operator will need to research multiple destinations, while someone who runs a walking tour will focus on specific sites within a particular city.

Don’t forget to consider factors like accessibility, popularity, and the overall flow of the itinerary. The destinations/stops on your tour should align with the overall theme defined in step one.

In our historical tour example, stops might include London’s most famous sites like the Tower of London and Buckingham Palace.

3. Determine the tour duration and dates

Now it’s time to decide the length of the tour and the specific dates it will take place.

Consider the time needed to cover selected destinations/stops and the preferences of your target audience. You’ll also want to think about seasonal factors that might affect the tour, including weather and peak visitor months.

When you present guests with an itinerary, one of the first things they’ll look for is the tour duration and dates that it takes place. This allows them to plan ahead and commit to the experience.

Let’s say the historical walking tour in London lasts three hours and happens every Thursday through Sunday from 10 a.m. to 1 p.m. in the summer, taking advantage of the warm weather and daylight.

4. Plan a daily itinerary

Next, we’ll get to the nitty-gritty details of the tour. Every itinerary should include a day-by-day or hour-by-hour breakdown of activities, sightseeing, meals, and free time.

As you’re planning, make sure to allocate specific time slots for each activity and factor in travel time between destinations/stops. It’s always nice to add in some leisure time for guests to explore a destination/stop on their own.

A detailed itinerary keeps the tour organized and sets the right expectations for your guests.

For example, the London itinerary might look like:

  • 10 a.m.: Meeting point at X spot.
  • 10:10 a.m.: Walking tour starts
  • 11 a.m.: Tower of London
  • 11:30 a.m.: Coffee break
  • Noon: Buckingham Palace
  • 1 p.m. End of tour

5. Arrange accommodations for multi-day tours

If you’re running a multi-day tour, you’ll also need to select suitable accommodations for overnight stays. It’s a good idea to not only research hotels in each destination, but visit them ahead of time to ensure they meet expectations.

Always consider factors like comfort, proximity to attractions, and budget. For a historically-themed trip around the U.K., for instance, you’d want to book centrally located hotels with historical significance, offering a blend of comfort and cultural immersion.

6. Plan transportation

Determine how the group will travel between each destination/stop. Choose the transportation method that makes the most sense for your tour, considering factors like weather, tour duration, and comfort.

Efficient transportation ensures a smooth and timely flow of the tour. When your transportation is teed up beforehand, it will minimize disruptions during the tour.

For a multi-day tour across the U.K., you’d likely use a combination of high-speed trains and comfortable coaches. A walking tour, on the other hand, would get around by foot. However, if there’s a portion of the tour that requires taking public transportation, make sure to specify that in your itinerary.

7. Explain the meals and dining experiences included

Specify where and what participants will eat throughout the tour. Plan meals, considering local cuisines and popular eateries.

Sharing a meal not only makes a tour more fun but also gives the group space to connect. For tours that involve exploring a new destination, giving guests a taste of the local cuisine will make the experience even more memorable.

The walking tour in London, for example, might make a pit stop at one of the oldest cafes in the city to enhance the tour’s narrative.

8. Communicate clearly

Communicate the tour itinerary clearly to participants before and during the tour. Promote the itinerary on your social channels to reel participants in, and send them the itinerary via email once they sign up. Clear communication will help minimize confusion and enhance guests’ sense of security.

For example, sending a detailed map of your walking tour and the stops you’ll make will give guests a concrete idea of what to expect.

5 examples of exceptional tour itineraries

Let’s take a look at how operators put these practices to work.

1. London walking tour

london tour

This real-life London walking tour gives guests a comprehensive view of the full experience. The highlights are listed at the top of the page, ensuring guests learn about the best aspects of the tour first. Then the operator lists every single site that will be visited. Under the section “Tour Includes,” guests learn that the tour includes a “skip the line ticket” for the Tower of London and Westminster Abbey.

The operator then goes into full detail about the tour in paragraph form. Guests who read through the itinerary will know exactly what to expect — from gaining first entry into Westminster Abbey to a visit to the Crown Jewels.

2. Kayak, Bike & Brew

kayak bike and brew tour

Kayak, Bike & Brew offers a fun four-hour tour in Traverse City, Michigan. During the tour, guests will pedal and paddle to three breweries, all within walking distance of the river. A tour guide also takes guests through downtown Traverse City before finalizing the experience at a lounge for refreshments and games.

In the itinerary above, the operator breaks down the tour by hour. Guests are given a 30-minute timeframe to check in, which tells them when to show up for the tour. Then they’re given a solid idea of the time it’ll take to reach each brewery and how long they’ll have there.

Since this tour involves biking and kayaking, guests can get a sense of how long they’ll be doing each activity by looking at the itinerary. They can then decide whether the tour seems too strenuous for them.

The more detailed the itinerary, the better you’ll be able to attract the right guests for your experience.

3. Wynwood Graffiti Golf Cart Tour

graffiti tour example

This Miami tour operator sets itself apart from competitors by including a map with the tour itinerary. The tour involves taking guests around the artistic Wynwood neighborhood and introducing them to the famous street murals.

The itinerary itself explains where the tour starts; specific points of interest included in the journey; and how much time will be spent in each. The map, however, brings an additional layer of information to the itinerary. It gives guests a clear idea of the route they’ll be taking, allowing them to visualize the tour before booking. This additional information can give guests extra confidence to finalize a booking.

4. G Adventures Antarctica Tour

Antarctica example

G Adventures runs multi-day group tours around the world. Here is a great example of a multi-day tour itinerary, which involves more detailed descriptions than the other examples on this list.

The itinerary for this Antarctica trip lays out all the logistics that guests would be interested in knowing before booking:

  • Destinations

Transportation

  • Accommodation

The operator breaks down each day of the 11-day experience, ensuring guests know exactly what to expect before booking. Again, the map provides a wonderful visual representation of the journey guests will embark on if they book.

5. Full-Day Tour in Rio de Janeiro

rip tour itinerary example 5

If you look at the itinerary for this full-day tour in Rio de Janeiro, you might find that it’s just as detailed as the multi-day tour to Antarctica. That’s because the operator does an excellent job setting the stage for the experience. The itinerary explains each stop in detail, as well as specific points of interest that will be included on the way.

The itinerary also explains what is and isn’t included; for example, the admission ticket for the Maracanã soccer stadium is something guests will need to purchase on their own.

Another key point to note is that the operator informs guests exactly how much time will be spent at each stop. This gives guests an idea of how the tour will play out in real time.

An example tour itinerary template

Creating a tour itinerary from scratch can feel like a daunting task, especially if you’ve never created one before. Starting with a template can make the process a whole lot easier.

A well-designed template can serve as a foundational guide, providing the structure needed for you to organize all the tour details.

You can find several design-forward templates on Canva, or head over to JotForm for even simpler templates . You can tailor the template to suit the specific needs and theme of your tour.

Here’s an example of a template for a multi-day tour:

10 Itinerary planning best practices

Consider the following tips when creating your tour itinerary.

  • Understand your audience: Tailor your itinerary to the interests and preferences of your target audience. A personalized itinerary makes the experience more memorable, leading to better reviews and repeat business.
  • Balance the activities: Mix sightseeing, cultural experiences, and leisure time for a well-rounded itinerary. Of course, this will depend on the type of tour you’re providing. However, diversifying the stops on your walking tour is just as important as the variety of activities in a multi-day tour.
  • Consider travel time: Factor in travel durations between destinations/activities and communicate that to your guests. Realistic travel times ensure a relaxed and enjoyable pace.
  • Build in flexibility: Allow for free time and optional activities. This can lead to spontaneous discoveries and give participants some autonomy over the experience.
  • Engaging with locals: Interacting with local communities and businesses can make the tour feel more authentic. Plus, it gives you and your guests a chance to contribute positively to the places you visit.
  • Prioritize the highlights: Identify the must-see attractions/activities and allocate ample time for each of them. Your itinerary should mention the highlights that guests are expected to come across to add a layer of excitement before they get there.
  • Seamless transitions: Plan smooth transitions between activities and locations to keep the tour flowing smoothly.
  • Communication is key: Make your guests aware of the itinerary before and during your tour. Every time you reach a stop, let them know how long you’ll be there and what the next stop will be.
  • Be prepared for the weather: Consider seasonal weather and pack accordingly. If it’s going to be a very sunny day, remind guests to wear light clothing and wear sunscreen for a more comfortable tour experience.
  • Collect feedback: Gather feedback about the itinerary after the tour. Ask your guests what were their favorite stops, whether or not they felt rushed, and any recommendations they have to improve the experience.

5 common mistakes in crafting tour itineraries

We know that building a tour itinerary isn’t always easy. We’ve looked into the top mistakes operators make when they’re building itineraries, with the idea of helping you avoid them as you’re working on yours.

Overpacking the schedule

An overpacked schedule leaves little room for flexibility. This can result in a rushed and stressful experience for visitors. Your itinerary should always have some breathing room for unexpected delays, spontaneous explorations, or simply enjoying the moment.

Carefully consider the time it takes to commute between one place and another. If you’re rushing, guests may feel stressed and might miss out on the essence of each destination/stop.

Ignoring audience preferences

There’s nothing worse than noticing that your guests are disconnected and disengaged from your tour. To avoid this, craft an itinerary that considers the interests and preferences of your target audience. Then pay close attention to guests during the tour. They may find certain activities uninteresting, which means you can move through those quicker than others.

This also involves listening to participant feedback. The continuous improvement of your tours relies on understanding the needs and preferences of your audience.

Underestimating physical demands

Failing to consider the physical demands of activities can strain your guests. If a guest signs up for a two-hour-long walking tour, and the tour ends up lasting twice as long, they’ll likely feel a bit thrown off. And tired! With this in mind, don’t forget to remind your guests about what to wear (i.e. comfortable walking shoes) or what to bring (i.e. sunscreen) to avoid discomfort.

Neglecting breaks and leisure time

A group of exhausted and unhappy customers won’t be able to enjoy the highlights of your tour — they’ll likely be focused on the next break or looking for a place to sit. Failing to include breaks and leisure time can lead to guest fatigue. Give your guests free time to relax, refresh, and appreciate their surroundings.

Omitting crucial details

Unclear communication about meeting points, schedules, or special requirements can leave your guests frustrated and confused. Your guests might miss out on key experiences due to misinformation.

In sum, these are some strategies and examples you can use to create tour itineraries that convert customers at first sight.

In recent years, technology has revolutionized the tour management industry, making it easier than ever to manage and organize tours efficiently. By embracing the right technological tools, tour managers can not only streamline their operations but also impress tech-savvy travelers who expect a seamless and immersive experience.

One essential tool for tour managers is online booking and reservation systems. These systems allow travelers to book their tours and make reservations conveniently and securely. By integrating such systems into their websites or platforms, tour managers can automate the booking process, saving time and reducing the risk of errors.

Mobile apps have also become indispensable tools for tour managers. These apps provide a convenient way to communicate with travelers and provide real-time updates. Whether it's notifying travelers about changes in the itinerary, sharing important information, or answering their questions, mobile apps facilitate seamless communication and enhance the overall travel experience.

Virtual tour platforms have gained popularity, especially in recent times when travel restrictions have limited physical travel. These platforms allow tour managers to offer remote experiences, where travelers can explore destinations virtually. By incorporating virtual tour platforms into their offerings, tour managers can cater to a wider audience and provide unique experiences that transcend physical boundaries.

Social media and online marketing tools are also essential for tour managers. These tools enable tour managers to promote their tours, engage with potential customers, and build a strong online presence. By leveraging social media platforms and online marketing tools, tour managers can reach a broader audience and create a buzz around their tours.

Communication and Organizational Tools

Effective communication and organization are vital for tour managers to ensure smooth operations and deliver exceptional tours. Here are some tools that can help tour managers in this aspect:

Project management software is a valuable tool for tour managers to manage tasks and timelines efficiently. With project management software, tour managers can create and assign tasks, set deadlines, and track progress. This tool helps ensure that all aspects of the tour are well-coordinated and executed seamlessly.

Communication platforms play a crucial role in facilitating collaboration among team members and travelers. These platforms allow tour managers to communicate with their team in real-time, share important updates, and address any concerns or issues that may arise during the tour. By having a centralized communication platform, tour managers can ensure that everyone is on the same page and can respond promptly to any changes or emergencies.

Travel planning apps are another valuable tool for tour managers. These apps provide features such as itinerary management, document storage, and travel logistics. By using travel planning apps, tour managers can keep track of the tour itinerary, store important documents such as travel permits and visas, and manage travel logistics efficiently. This tool helps tour managers stay organized and ensures that all necessary information is readily accessible.

By incorporating these communication and organizational tools into their workflow, tour managers can enhance their efficiency, improve communication with their team and travelers, and ultimately deliver exceptional tours that leave a lasting impression.

Tour Management: Efficient Ways to Get Things Done

Are you looking for a complete guide on how to manage a tour? Look no further! In this article, we will provide you with all the information a tour manager needs to know in order to make your tour a success.

It doesn't matter if you are running a concert tour or a hop-on-hop-off city tour , taking care of day-to-day operations can quickly consume too much time without efficient management.

From planning and organizing to training tour guides and marketing and promoting, we will cover it all! So read on and get ready to take your tour business to the next level!

A Guide for Tour Operators

Running a successful tour requires effective management. Your tour needs to kick off without a hitch if you want it to be successful.

Aspects such as planning, organizing, marketing, and promoting the tour, as well as handling any issues that may arise, are all included in what a tour operator handles.

By managing your tour business effectively, you can ensure that your customers have a pleasant experience and that your business is profitable.

In this post, we will cover tour management:

What are the basics of tour business management?

  • How can a tour manager effectively plan and organize a tour?
  • What is the most effective way to market and promote a tour?

Let's begin with the basics.

Tours run smoothly when they are managed efficiently. Managing a tour involves a lot more than just herding people from one place to another.

Tour managers are responsible for both the administrative side, such as booking hotels and transportation, as well as the operational side, like keeping the tour on schedule.

But a tour manager also needs to be a people person, able to manage both tour guides and anyone working for your tour company. After all, it's the tour manager's job to make sure everyone has a great time.

Here are the areas of management that every tour manager and all touring professionals need to know:

Resource Management

To achieve a truly outstanding customer experience, you need to ensure that your tours and activities do not get overbooked so that you can deliver a fantastic guest experience.

A packed tour can make you feel like you are part of a cattle call, and you don't want your guests to feel that way!

What can you do to prevent overbooking?

Use a booking system with resource manager functionality. This way, you can limit your trips to available resources if one or more of your tours or activities rely on the same resources - like bikes, guides, or boats. You can also block off a resource for routine maintenance for a few days.

No overbooking means happy customers...and that's good for your tour company business!

Distribution Channel Management

A channel management tool can simplify your management if you're using online travel agencies and marketplaces, like Viator and Expedia.

Using channel management tools, you can connect all of your booking channels to one central system, making it easy to update your listings, availability, and pricing.

Not only will this save you time, but you'll also avoid double bookings and overbookings. Plus, you can make sure your customers see the most up-to-date info with real-time updates.

Managing Tour Guides and Staff

As a tour operator, you have a variety of responsibilities every day. The job description can be long, which includes juggling day-to-day operations, helping guests, hiring local guides and managing them. Your tour guides are one of the most helpful resources you'll have. You can tell a good tour guide by the quality of their service.

As your business grows, you'll need more staff or tour guides to handle the growth. More staff means more onboarding and tour guide training .

But don't just copy your current operations and management processes.

Consider simplifying and streamlining your systems instead.

Consider switching to a booking system that gives your tour guides rough idea to clear details about upcoming trips. By doing this, tour guides will always know how many guests to expect, the age group to host, and what special requirements they need to be aware of.

How do I plan and organize a tour?

Everything from managing your calendar to tracking bookings to connecting with guests to invoicing and payments requires management.

What can you do to make sure you're doing it right?

To begin with, know what each area of administration needs.

Booking Management

Is your tour and activity booking process efficient? You could be losing out on potential bookings if you use a contact form or email address for booking inquiries.

Consider using an online booking system instead.

Need help managing refunds and cancellations?: 5 Tips On How To Manage Tour Cancellation Policy In 2022

Booking systems make it easy for customers to see available times and dates, choose the one that fits their needs, and make a booking right away. You can automate key tasks like sending confirmation emails and reminders, so you can focus on providing a great experience.

We've got a magic link feature to help activity operators deal with guest booking changes. Guests can manage their bookings, change dates, or convert them into vouchers.

Receiving and managing payments.

When it comes to payments, you want to give your customers as many options as possible. That's why you need a payment gateway for your online bookings on your website, like Stripe, SumUp, Adyen, and PayPal- so you can accept online payments.

But you don't want to stop there.

You also want a Point-of-Sale solution for your business, so you can accept payments in person, too.

multiple payment gateways

With a payment gateway and Point-of-Sale solution, you'll be able to take down payments and deposits, so you can make sure that your business is always running smoothly. And the cool part is that your customers will have more options to pay , which means convenience for them.

Calendar Management

It's easy to overbook or make mistakes when you're keeping track and managing your calendar manually. Additionally, you might not utilize your capacity because you are concerned about overbooking guides or resources.

tour manager itinerary

Live inventory booking systems ensure that your bookings are updated across all channels.

Additionally, you can sync your Google Calendar. This allows you to easily see upcoming tours and activities and avoid overbooking . Moreover, its a key part to maximize your business capacity.

Keeping in touch with customers

customer relationship management

Pre- and post-trip notifications are an excellent way to streamline your business and improve customer satisfaction.

Your customers will receive email and SMS reminders to bring the things they need to complete a great tour experience. In addition, you can inform them of any changes to an upcoming trip.

By sending them an email after the trip, guests can also provide more feedback about their recent tour. With this system, you can save time and money while providing customers with a better experience.

How do you price a tour?

Tour operators' business plans depend heavily on pricing. Choosing the right price for your tour will influence the tone of your entire business and help you stand out from your competitors.

When planning a fee structure for tours, factor in your target market and the types of tours your business will offer.

Consider these questions when pricing your tour:

  • How are competitors targeting their tours?
  • Organizing a tour can be expensive, so how do you balance customer interest with costs?

You can price your tour business using two main strategies: raising the price and lowering it . As with any strategy, there are advantages and disadvantages.

The most common strategy for tour businesses is to mark up their prices. By setting your prices higher, you are able to generate a larger profit.

One drawback of this strategy is that it can sometimes make it difficult to attract customers as it prices your tours out of the market.

Marking-down

Instead of raising your prices, you'll lower them to generate a smaller profit by marking them down.

You can use this strategy if you're trying to attract a large customer base since lower prices are usually more attractive.

The downside is that you won't make as much profit per tour.

What is the best way to market and promote a tour?

Marketing and promoting a tour can be a tricky task. With a dash of creativity and effort, it can be a great way to boost sales . The most effective way to market a tour is through a combination of traditional methods and digital media.

Reaching Local Audiences with Traditional Marketing

Traditional marketing techniques, such as flyers and brochures, can be effective at reaching local audiences. Displaying marketing materials in high-traffic areas, such as airports or hotels, is a cost-effective way to reach potential customers.

Attracting International Guests with Digital Marketing

Digital marketing is also essential for reaching a wider audience, including international guests. Utilizing social media platforms, such as Facebook, Instagram, and Twitter is a great way to promote a tour.

Tour Reviews Matter

Additionally, leveraging customer reviews is an excellent way to generate word-of-mouth marketing. After every great tour, be sure to ask guests to leave reviews on your own website or on popular travel review sites , such as TripAdvisor , TrustPilot , or Google Reviews .

Start thinking by figuring out which platform people prefer. When you ask for reviews, add a little personal touch. It'll get you far in the long run. Popular tour operators can prove this tested method of marketing. You'll get more bookings with more positive reviews.

By using a combination of traditional and digital marketing techniques, you can effectively promote your tour and attract more guests. Spend time keeping tracking of your marketing strategy's growth, then tweak it if necessary.

How to master Tour Management

Managing a tour is an art form that demands a unique blend of logistical prowess, interpersonal skills, and quick-witted problem-solving. It’s not just about getting from point A to point B; tour management is the art of crafting unforgettable experiences while ensuring that every aspect of the tour runs like clockwork.

Introduction to Tour Management

At its core, tour management is about meticulous planning and flawless execution. Whether you are guiding a rock band through a multi-city concert series, leading a group on an exotic adventure, or conducting an educational field trip, your primary objective is to ensure everyone involved has a safe, enjoyable, and seamless experience.

This guide is designed to transform your approach to tour management. From planning to execution, you’ll learn how to navigate the challenges that come with managing people, time, and resources on the road.

1. Understanding the Fundamentals

Let’s start with understanding the role of a tour manager. This position involves acting as a point person for all matters concerning the tour. From budgeting and scheduling to conflict resolution and customer satisfaction, a tour manager wears many hats.

To master tour management, you must develop a varied skill set. This includes logistical planning, financial management, personnel management, negotiation skills, multitasking, and adaptability.

2. Pre-Tour Planning

Your tour’s success greatly depends on a well-planned itinerary. Research your destinations, define routes, book accommodations, and plan activities while considering time zones, travel times, and potential delays.

Imagine planning a music tour. You’d need to coordinate venue bookings, accommodation near the venues, and ensure travel time allows for rest and rehearsals.

A solid financial plan is critical. This includes preparing the budget, managing cash flow, and keeping detailed records. An understanding of foreign exchange rates and taxes can also be beneficial for international tours.

3. Logistical Coordination

Transportation is the lifeline of any tour. Ensure that you have reliable transportation arranged, whether it’s a tour bus, van, plane tickets, or car rentals. Be prepared for last-minute changes.

For an adventure tour group, having a Plan B in terms of transportation, like an additional van on standby, can save you from last-minute stress if there’s a breakdown or accident.

Quality rest is crucial. Secure accommodations that are comfortable, safe, and within the budget. Consider proximity to venues or attractions and look into options like hotels, motels, Airbnb, or even hostels for budget tours.

4. Managing People

If you’re on a music tour, you’ll be managing the band, the tech crew, and possibly a support staff. Their needs vary from schedules to personal necessities. Excellent communication and organization skills are vital here.

You may also be responsible for the well-being of clients, such as a speaker or artist. This means catering to their needs, personal requests, and ensuring their comfort and readiness for performance.

5. During the Tour

As the tour unfolds, it’s your job to see the itinerary is followed closely. Keep all parties informed of schedules and any changes. Regularly check in with service providers to ensure all arrangements are in place.

When problems arise, staying calm and collected is essential. Develop a proactive approach to foreseeing potential issues and have contingency plans ready.

Perhaps a historical tour encounters an unexpected site closure. A tour manager with foresight might have a secondary list of sites to visit or activities that ensure the tour experience remains enriched and uninterrupted.

6. Enhancing the Experience

Being culturally aware can profoundly impact the tour’s success, especially when traveling to foreign countries. Research customs and educate your group to avoid offenses.

Going the extra mile could mean arranging special backstage passes for a group at a concert or ensuring there’s always bottled water available on a hot day. These touches can make a significant difference in client satisfaction.

7. Technology in Tour Management

Leverage technology to streamline tasks. Use apps for scheduling, accounting software for budget management, and social media for marketing and engagement.

8. Post-Tour Activities

After the tour, collect feedback from participants and staff. Reflect on what went well and areas for improvement.

A thorough financial review ensures you’re on top of expenses versus budget and helps with planning future tours more accurately.

9. Staying Ahead of the Curve

The tour industry evolves, and so should you. Stay updated with trends, attend workshops, and build a network with other professionals.

The demands of tour management can be taxing on your health. Managing stress and maintaining your well-being is just as much a part of mastering tour management as the logistical aspects.

Mastering tour management takes time, dedication, and real-world experience. It’s a balancing act of planning, people management, and adaptation. By following the comprehensive steps outlined above, you’ll be well on your way to becoming an artist in the realm of tour management, orchestrating experiences that resonate long after the journey’s end and ensuring a standing ovation for your meticulous behind-the-scenes symphony.

It’s your turn to lead the way, ensuring every tour is an ovation-worthy performance. With each successful tour, you don’t just travel from place to place; you craft unforgettable stories and experiences that resonate with every participant’s heart for years to come.

What is a Tour Manager in Music

Every successful artist knows that touring is essential to an artist’s career. In fact, some would even say that touring is a vital part of promoting your music as an artist. But touring is not just about showing up to a venue and performing for your fans.

It takes a lot of coordination, organization, and planning in order for everything to run smoothly. This is where tour managers come in.

Here, we’ll talk about who a tour manager is, the duties of a tour manager, and how you can select a tour manager to ensure the success of your tour.

What is a Tour Manager?

A tour manager is a person who is responsible for coordinating all aspects of an artist’s or band’s tour, from booking venues and arranging transportation to handling merchandise sales and managing the budget. They also serve as a point of contact for the artists and handle any unexpected issues that may arise during the tour.

In short, a tour manager ensures that a tour runs smoothly and successfully. Without them, it would be nearly impossible for an artist or band to successfully navigate the hectic world of touring .

What Does A Tour Manager Do?

The duties of a tour manager vary depending on the size and scale of the tour, but some common duties include:

Arrange Travel Plans

Tour managers handle everything related to travel for musicians so that the artists can focus on their performances. This includes tasks like booking flights, arranging transport and accommodation for the entire band, and managing background singers, guitarists, merchandise sellers, etc. Tour managers also ensure that everyone has the right visas and other required documentation before departure.

Coordinate Logistics

Tour managers handle the logistical tasks of a tour, such as booking venues, setting up sound and lighting equipment, negotiating contracts with venues, and coordinating catering for musicians and crew members. They also handle merchandise sales and make sure to budget accordingly for each show.

Handle Unexpected Issues

No matter how well-planned a tour may be, there will always be unexpected issues that arise. Tour managers serve as the main point of contact during a tour and are responsible for handling unexpected issues, such as canceled shows or sound problems at a venue. It’s their job to find solutions quickly in order to ensure the smooth running of the tour.

Manage The Tour Budget

Tour managers are also responsible for managing the tour’s budget and ensuring that all expenses, such as transportation and equipment rental, are accounted for. They also handle merchandise sales and distribute profits accordingly to the musicians and crew members.

Oversee Tour Staff

Tour managers oversee the tour staff, including roadies, sound engineers, and merchandise sellers. They may also hire additional staff if necessary and make sure everyone is doing their job effectively.

Serve as a Point of Contact

In addition to managing the tour staff, tour managers also serve as the main point of contact for the musicians, venues, and other parties involved in the tour. They handle communication between all parties and ensure everyone is on the same page.

Handle Press and Media

Tour managers also communicate with press and media outlets during a tour, handling interviews and ensuring the artist or band has a positive public image. They may also handle social media promotion for the tour.

Ensure the Safety of Musicians and Crew Members

Lastly, tour managers have a duty to ensure the safety of all involved in the tour, including musicians and crew members. They may coordinate security at venues and handle any potential safety issues that arise during the tour.

Types of Music Tour Managers

Being a tour manager in the music industry is an exciting and crucial responsibility. Tour managers are responsible for overseeing all technical, financial, and logistical aspects of an artist’s tour, from booking flights to arranging interviews with local radio stations. It’s their job to ensure that every step runs smoothly, guaranteeing safety and success.

There are various types of managers who may specialize in specific areas, such as tour production managers, artist liaison professionals, travel coordinators, technical and lighting designers, among others. Each role requires a unique skillset, but there are common responsibilities shared across all positions, including budget management, event scheduling, and itinerary planning.

Benefits of Hiring a Professional Tour Manager

Hiring a professional tour manager can save you time, money, and valuable resources. They have the expertise to monitor your music touring budget and secure accommodations and transportation while on the road.

Tour managers facilitate communication among crew members, such as sound technicians or lighting teams, ensuring everyone collaborates effectively during gig days. With their understanding of media connections, production staff requirements, and other crucial aspects, they can anticipate and address challenges before they become tour disruptions.

In addition, a tour manager ensures a seamless experience at concert venues, even after a long day of performing. They maintain high energy levels for the artists, maximizing their performance output. The tour manager also handles customer relations before and after gigs, fostering fan loyalty and boosting ticket sales through positive brand recognition.

Scheduling and Planning on the Road with a Music Tour Manager

Organizing a tour stands as one of the most pivotal responsibilities for any music tour manager. Your role involves planning and coordinating all aspects of musical tours , encompassing travel arrangements, performance dates, venues, shift logistics, and meeting deadlines. You must ensure that every facet aligns with quality standards while achieving excellent commercial outcomes for the managed band or artist. Selecting cost-effective routes that maintain convenience is imperative.

You should also adeptly negotiate contracts with partners and efficiently manage budgets. When orchestrating journeys away from the home base, spanning multiple locations within tight timeframes and unfamiliar terrain, seamless coordination is vital.

Every premeditated move necessitates prior collaboration between yourself and the artist’s or band’s manager, rooted in reliable data drawn from personal experience or external sources, contingent on your familiarity with the destination. Tour managers constitute an indispensable component of the music industry.

They assist artists in organizing tours, overseeing budgets, and crafting itineraries. They also handle travel logistics and marketing campaigns , ensuring the flawless execution of tour days. Tour managers possess exceptional organizational skills and an in-depth understanding of the local environment in which they collaborate with artists or bands during tours.

How Do You Select a Tour Manager?

When selecting a tour manager, it’s crucial to find someone who is experienced and knowledgeable about the music industry . In addition, they should have a strong understanding of the logistics involved in planning a tour and also be able to handle unexpected issues effectively.

It’s also important to choose a tour manager who understands your vision for the tour and can work well with both musicians and crew members. Good communication skills and the ability to work under pressure are crucial traits for a successful tour manager.

Overall, selecting the right tour manager can make or break your tour. Finding someone with the necessary experience and expertise will ensure a smooth and successful touring experience for you and your band.

So before hiring a tour manager, be sure to thoroughly interview them and ask for references from past tours they have managed.

Types of itineraries.

tour manager itinerary

There are essentially two types of itineraries: 1. General Tour Itinerary: a general itinerary that is aimed at and marketed to a wide variety of clients. It is an open itinerary taking in to consideration a wide range of Interest. 2. Personalized Itinerary: a personalized itinerary that is specially drawn up for a specific client according to that client’s needs and interests. The tour operation industry practices highlights that there are two types of tourist itineraries- Ready-Made and Tailor Made. The ready-made itineraries are made in advance without knowing when and who will buy. It is similar to produce clothes, shoes and display in a shop. It is prepared to suit maximum number of potential travelers. It must be saleable and should be focused on the potential market segmentation. While preparing ready-made itinerary, a tour operator should consider its capacity, market, marketing strategy, competitor’s policy, future company policy, pricing policy etc. They are used for packaging tours, so these are also known as package tours. On the other hand Special or Tailor-Made itineraries are made on request to suit the individual travellers. In fact, a Tailor-Made itinerary is developed on the request or on demand of the particular traveller /customer. Thus, while preparing Special or Tailor-Made itineraries, two way communications is possible so that itinerary can be prepared as per the tourist requirements. Generally, in this type of itinerary, duration, places of visit, date, hotel plan, type of service required is known. Tour itinerary may be prepared on the basis of the following points: * Single or multiple destinations: To include only one destination or to include more than one destination in one itinerary. * Special interest package: For example adventure package, cultural package, holiday package, etc. * Tour package: An itinerary prepared for pleasure, relax. * Travel package: An itinerary especially for travel. * Outbound package: An itinerary prepared for domestic tourists to visit foreign countries. * Inbound package: An itinerary prepared for foreigners to visit our country. * Domestic tours: An itinerary prepared for local people to visit own country.

There are essentially two types of itineraries:

  • Customer or Tailor Made Itinerary
  • General Itinerary or Readymade itinerary

A customer made Itinerary also called as tailor made or a Personalized Itinerary. This itinerary is specially drawn up for a specific client according to that client’s needs and interests and secondly a readymade itinerary or a General Itinerary that is aimed at and marketed to a wide variety of clients. It is an open itinerary taking in to consideration a wide range of Interest.

Meaning of Customer Made Itinerary

  • A Customer made Itinerary is also known as a Tailor-made itinerary means that an itinerary is designed especially for you as per your requirements and needs. It has been seen that the pre-designed tours cannot be fixed in Tailor-made tours.
  • A customer made tour is specially tailored to tourist’s heart desires and needs to gain a greater individual attention and the maximum flexibility and comfort.
  • Generally, to develop a Tailor-made tour tourists have to mail or send information about the destinations, services, facilitates, meal, accommodation, budget, number of PAX hotel requests, meal requirements, personal interests, or special travel activities and language service etc.
  • The more information is available the more suitable tour can be designed and developed. Alternatively, many travel companies have the Tailor Made Form to communicate their needs and requirements.
  • A tailor-made programme is an itinerary created just for specific tourists which includes everything specified or wished by the tourists during the tour.
  • A “tailor-made tour is defined as a package specifically created to cater the diversified desires, needs and requirements of a tourist or group. Thus, while developing such type of tour package there is lots of scope for addition and subtraction of any service or faculties as per the decision of the tourists. In fact, there is a wide scope for add or remove anything tourist wishes in order to make it suit individual requirements.

Interestingly, when tour planners develop or design a trip for the tailor the requirements of individual tourists they ask clarification about certain questions to help them really understand what tourists are hoping for from the holiday. This way tour planners can get as close as possible to tourists requirements both financially and as regards the whole holiday experience. Further, the joy of a tailor-made itinerary is that tourist holiday is designed around their requirements and these are not restricted to the set itinerary of a group departure. There is no set list of questions which a tour planner seeks while developing a tailor made tour.

However, the kinds of questions a tour planner ask are:

 Do you celebrating a special occasion – perhaps your honeymoon, a special birthday or an anniversary?  Why not enjoy each other’s company in privacy without being part of a larger group?  Do you going on holiday to relax rather than spend your time packing and unpacking, moving from one place to the next?  Do you travelling abroad to stay with friends or family and wishing to add-on a safari, a cruise, or even some self-drive exploration?  Do you like focus our suggested itineraries but would like to stay at alternative accommodation or include a few extra days and extend your holiday?  How long and roughly when do you what to travel?  How many people are travelling? Are there any children in the party?  Do you have a limited amount of time, group departure dates often don’t fit?  Is there anything specific you want to see or do?  Do you want to be away for a long weekend, or perhaps you have an extended amount of time to enjoy travelling and would like us to help with part of it?  Roughly what budget would you like us to try to keep to for you?  What type of accommodation do you like (eg from luxury hotels to camping)  Where might you want to go, or what kind of experience are you hoping for?  Do you want a private vehicle, or the very best naturalist the region has to offer?

Meaning of Readymade Itinerary

  • A pre-design itinerary consists of accommodation, transportation, local sightseeing & other services and is advertised and sold inclusive by a vendor known as a tour operator. Other services may be provided such a rental car, insurance, currency & activities during the holiday.
  • Thus, Package holiday is a form of tourism product bundling. Further, pre-designed itineraries are normally conducted by a tour operator who takes care of all services from the beginning to end of the tour. In fact, these itineraries include the flights, hotels, transportation, transfers to the airport / hotel, most meals and some sightseeing and other services- currency, insurance etc.
  • Most of tours have local sightseeing by motor coach and usually no more than three nights are spent in each location visited. They are usually fast-paced and prices include most of the every thing.

According to Morrison (1989) , “Pre-designed tour itinerary is a trip planned and paid for a single price in advance, which covers a broad range of items from commercial transportation and accommodation to meals and sightseeing, sometimes accompanied by an escort or a guide”.

Middleton (1994) “describes it as an inclusive form of travel, organized by intermediaries or middlemen; in whom the tour represents a bundle of tourism goods and services, marketed as one particular product or brand and sold at an inclusive price”.

According to Holloway (2000) :describe the pre-design itinerary as itineraries put together by a tour operator or other supplier, usually incorporating at least three elements, transportation, accommodation and transfers, although some packages may include additional services such as excursions” .
