Get it right, and you’ll have a room full of happy faces. Get it wrong, and you could find yourself all alone.

What are invitation emails (and why do they matter?)

Invitation emails are, as you’d expect, used to encourage someone to do something. It could be an invite to an interview, an event, a meeting, a webinar, or a sales presentation.

In each case, the purpose of the message is to inspire action – generating attendees for your event, candidates for your interview, or meat in your meeting.

These aren’t sales emails (we’ve written about those before) but messages to someone you know (or who will know you). As such, you don’t have to go too hard on the sales and push the promo, but be clear about what you’re inviting the person to and why. 

The bottom line is to ensure every message has value to the person receiving it. 

Before we illustrate this with examples, let’s email the ideal invitation email format. 

Invitation email format

Invite emails are easy to write (if you follow this format). First, a strong, simple subject line spells out what you want.

That’s followed by a body copy that offers value and contains all the details people need (such as date, time, and location). Finally, you finish with more information on how people can sign-up and a positive sign-off. 

Let’s show you how that works… 

1. Invitation email subject line

Your subject line should get straight to the point. You’ll want to grab the reader’s attention and explain to them what the message is about (and why they should care). In the case of interviews or meetings with colleagues, the process is pretty straightforward:

  • Meeting Request – 2023 Strategy & Planning – 25 Jan @ 9:00 am 

Simple, clear, and straight to the point! That works for this type of invitation, where people will know who you are and what you’re asking. It gets a little more complicated when writing emails to people you don’t know (what marketers call cold emails ).

Crafting cold emails is a big challenge, with millions of words written about how to optimize them. But it boils down to finding words that grab someone’s attention and gets them to click.

Here are a couple of examples:

  • Do you want priority access to our latest event? Open your invitation here!
  • We’re looking for a legend. Could you be our latest guest speaker?
  • Want to play a part in our industry-leading podcast?

These examples (and millions more you can find online) attempt to hook you in with a tasty proposition.

2. Invitation email body

All email invitation body copy works similarly, with the same structure. It goes a little something like this:

  • Intro to you/your business
  • Explanation of why you’re emailing
  • Details of the invite
  • Dates, times, and attendance info

Following this format will ensure you have all the essential details in your invitation email. You don’t need to be boring; you can get creative if you want – but always include everything from the list above.

3. How to end an invitation email

You’re inviting someone to something, right? So you’ll want them to confirm their attendance. So spell it out in a clear CTA. Something like this can work well:

  • Please confirm that you can attend. You can email me at (insert address) or call me at (insert number). 

If you’re inviting someone for an interview, this will be enough. However, for an event, you may want to add an incentive or put a time limit on it.

  • Sign-up today, and you’ll receive a 25% discount!
  • Places are strictly limited, so sign-up today (or prepare to be disappointed).

You’ll also need to include contact details or links to an online form where people can sign-up for the event. Don’t forget to add your name, job title, and company information.

OK, we’ve come to the part where we stop telling and start showing!

Judge in Trump's hush money case raises questions about social media post claiming to preview jury verdict

The New York judge overseeing Donald Trump’s hush money trial has asked attorneys in the case about a social media post purporting to preview the former president's guilty verdict.

“Today, the Court became aware of a comment that was posted on the Unified Court System’s public Facebook page and which I now bring to your attention,” Judge Juan Merchan wrote in a letter dated Friday.

“My cousin is a juror and said Trump is getting convicted,” the post stated, according to Merchan’s letter. “Thank you folks for all your hard work!!!!”

Merchan said that the comment, which was attributed to a user identified as Michael Anderson, was “now labeled as one week old,” and was posted in response to a routine notice from the court posted on May 29 about oral arguments unrelated to proceedings in Trump’s case.

When a defendant who has been convicted by a jury but has not yet been sentenced learns of alleged jury misconduct, he can move to set aside the verdict under New York criminal procedure law. If a defendant can prove that jury misconduct “may have affected a substantial right of the defendant,” the remedy is a new trial.

NBC News has not verified the claims made in the comment or the identity of the user who published the post, which has since been deleted. NBC News also hasn’t independently confirmed the comment’s existence.

A Trump campaign official said “we’re investigating” when asked about Merchan’s letter.

Attorneys for Trump did not immediately respond to a request for comment on Friday afternoon, nor did a spokesperson for the Manhattan district attorney’s office.

Trump was convicted last month on 34 counts  of falsifying business records tied to reimbursing Michael Cohen for hush money paid to Stormy Daniels in the final days of the 2016 campaign. Trump had pleaded not guilty in the case and denied Daniels’ claims that she had a sexual encounter with him in 2006. Trump’s sentencing in the case is scheduled for July 11.

Prime Minister Benjamin Netanyahu of Israel will address a joint meeting of Congress on July 24, the top two congressional Republicans announced on Thursday night.

Speaker Mike Johnson of Louisiana and Senator Mitch McConnell, Republican of Kentucky and the minority leader, said in a statement that the speech would offer Mr. Netanyahu the opportunity to “share the Israeli government’s vision for defending their democracy, combating terror, and establishing just and lasting peace in the region.”

But in a separate statement that hinted at the deep political divides over Mr. Netanyahu and Israel’s war in Gaza, Senator Chuck Schumer, Democrat of New York and the majority leader, said he harbored “clear and profound disagreements with the prime minister, which I have voiced both privately and publicly and will continue to do so.” He said he nevertheless had joined the request for Mr. Netanyahu to address Congress because “America’s relationship with Israel is ironclad and transcends one person or prime minister.”

Earlier this year, Mr. Schumer called for Mr. Netanyahu to step down and for Israel to hold new elections.

The bipartisan invitation to Mr. Netanyahu, issued last month by the top four congressional leaders with no date attached, masked a fraught behind-the-scenes debate over receiving him. The need for separate statements from the leaders of the two parties explaining their different rationales for extending the invitation underscored those tensions.

Some progressives like Senator Bernie Sanders of Vermont have already promised to boycott the speech, calling Mr. Netanyahu a “war criminal” for his tactics in the war against Hamas, which has killed tens of thousands of people in Gaza and caused a humanitarian disaster.

Republicans, in contrast, are eager to hug Mr. Netanyahu close and unequivocally back his policies. Mr. Johnson has been the driving force behind the invitation.

“I am very moved to have the privilege of representing Israel before both houses of Congress and to present the truth about our just war against those who seek to destroy us to the representatives of the American people and the entire world,” Mr. Netanyahu said in a statement accepting the invitation.
