How to Write an Itinerary - a Step by Step Guide

After travelling to 50 countries, we must say that one of the most fun things in travel is planning an itinerary! We show you how to travel plan including transport, things to do, and places to stay - and of course finding the best travel itinerary.

Disclaimer: We are currently taking you with us on our South East Asia travel planning journey, testing our tips, and sharing our insights in our Bucketlist 2 Life Letter .

You are new to travel or you simply have unlearned travelling over the course of the pandemic? Worry not, because our step by step guide teaches you how to create an itinerary.

We have been to 50 countries and have learned by doing how to plan an itinerary. Feel free to profit from our knowledge 😉

1. Choose a Destination

  • Should it be a beach holiday, a road trip, or a city break?
  • Depending on your time, you can just travel to a neighbouring city or country or change continents. It depends on you!
  • Do you want to enjoy summer in Europe, have a winter holiday in the mountains or escape winter by travelling to a warm place like South East Asia or Central America?
  • Make sure to check the climate table of your dream destination to avoid unpleasant weather surprises.

There are 195 countries in the world so the options are endless.

This point got increasingly important after 2020. As Covid restrictions ease around the world you should still check whether you need a visa or not. If you need a visa, you should check whether you can get in on arrival, online or if you have to go to the embassy. The duration of your visa is also the first indication of your timeframe.

Other entry requirements you should keep in mind are travel insurances or mandatory vaccines (e.g. yellow fever for some countries). Your Ministry of Foreign Affairs should be a good resource for this kind of information.

How many days do you have? Is it just days or is it weeks or even months?

Even if you have a lot of time, you might not have the budget to fund a lengthy trip. Depending on your travel style and your destination, you can expect to pay between 20$ and 80$ per day. Check online for budget tables to see how much other travellers have spent in your dream destination.

Keep in mind that the four major costs of a trip are:

  • Accommodation

You know your timeframe and your budget but maybe buses, trains, or planes don’t go from where you live to where you want to go every day. Make sure to check your transportation options before you set your plans in stone.

If you’re on a budget, it’s best to be as flexible as possible with your flights. We like to use Skyscanner to compare flight prices for whole months.

The first websites we check out when travelling to a new place are Wikivoyage and Wikitravel . These websites give you a great overview of different areas in the city or country and how to reach them.

After we get a first overview of the main sights, we read blogs to find local recommendations and hidden gems in a new area. We mostly look on Google, but try to use Pinterest more.

We turn to YouTube to find personal opinions and get a better feeling for the place. For us, the medium of film works better than the written word in this regard.

We like to distinguish between must-see items and nice to have items. Of course, the time you “need” at your destination strongly depends on this!

Mapping out all the things you want to do and see helps you to get a geographic idea. Maybe you can make out clusters? Does it make sense to group some of your mapped items together? Also, you can make a more educated estimate now about how many days you need.

This can also help you to find out whether you can stay in one place - and maybe do day trips - or if you should move to see and experience everything you want to.

In case you have a heavy outlier, you need to consider if it’s worth going the literal extra mile to go there.

Let’s say you want to see Lithuania , Latvia , and Estonia and you have 9 days (one work week + plus two weekends). Realistically, that leaves three days per country. And don’t forget to take into account the travel times! If you don’t need a lot of rest time, you can definitely see the three capitals in this time frame and maybe go on a day trip.

If you want to dive deeper into these countries, you have to budget more time per country which means skipping another. It’s on you to decide what you want because you will rarely have the time to do it all.

First of all, things don’t always go as planned. Second, you might want some free time to relax, maybe just sit somewhere and rest your feet.

Third, you will most definitely get more information once you’re there. Maybe the receptionist has some tips or you meet other travellers with recommendations - leave some room for your bucketlist getting longer rather than shorter .

If you want to squeeze in as much as you can in a short time, it’s a good idea to use the transfers.

You can either opt for a night bus or night train combining a transfer with a night of accommodation, saving you time and money. Beware that depending on the transport and yourself you might not wake up entirely rested. We have taken many night buses to see a lot of Mexico in three weeks and can highly recommend it.

Another idea is to use sightseeing transfers. You can either book a sightseeing transfer tour or diy it like we did when we backpacked Cyprus .

Do you want to stay in one place or do you want to move around? Especially on short trips, we like to book our accommodations in advance but we definitely recommend you book your first accommodation if you intend to move around.

A good rule of thumb when booking accommodation is to mark all the places you want to see on a map and choose an accommodation nearby.

We prefer to book our accommodations online because we do like the security of knowing that we have a place to stay. Also quite frankly, we cannot be bothered to run around with our luggage to find accommodation. Maybe you save a few bucks but you’ll lose more time in our opinion.

Booking.com , Hostelworld , and Airbnb are our favourite resources to find and compare accommodations.

By the way: Don’t be afraid of hostels. In many hostels, you can opt to sleep in a private room giving you all the advantages of a hostel like meeting like-minded travellers without having to share a dorm.

How long do the transfers take? You can check Rome2rio to see all the options to get from one place to another and how long it takes. Budget enough time to get from A to B. Depending on your destination, whole days can be travel days.

This is also something you have to be aware of when you read travel itineraries online! Many of them don’t account for travel times.

Do you need to book a transfer? Check out what the public transport situation at your destination is like. In some places like Athens , it’s super cheap and easy to take public transport from the airport into town. In other places like Panama , it’s easiest to book an Uber to the airport. Then again, there are places where pre-booked transfers are the cheapest and most convenient option to get to your hotel. Inform yourself before you go. The worst thing you can do is to stand at the airport or station tired and without a clue because taxis are rarely the cheapest option and in many countries, taxi drivers will take advantage of you.

The same applies to transfers within the country. Is public transport present, safe, and reliable? For example in Guatemala , there are public transport options but oftentimes you have to change buses a lot and you hear a lot about petty theft on buses. Tourist transfers on the other hand are pretty cheap and super reliable so definitely the more convenient option.

We like to start city trips with a free walking tour. They give you a great overview of the place and its history and are generally of good quality as they are tip-based.

If you have certain places in mind that you want to visit, find out if you need a tour to go there or if you can use public transport. Sometimes booking a tour can be advantageous even if there is public transport because you might want a guide. And sometimes you even pay less than using public transport and it’s less of a hassle.

Oftentimes it’s cheaper to book your tours on-site. There are certain advantages of booking your tours online from companies like  Viator though. Firstly, you don’t lose precious holiday time looking for and comparing operators and secondly, you know what you get because you can read the reviews.

We love eating local foods when travelling !

Our travel food master is Mark Wiens . We have already visited many places he recommended and tried many of the foods and he never disappointed. In fact, all of the amazing food we ate in Amman, Jordan was inspired by him.

When travelling, we normally conduct extensive research about the local food. Oftentimes, We consult Wikipedia for a list of traditional dishes. Afterwards, we research restaurants which serve these dishes.

If you don’t want any bad surprises eating out, do your research before you go. When you chose a place place on-site, make sure that there are people (preferably locals) inside. If you have an internet connection, maybe even double-check the Google reviews. Trust us, we have already made too many mistakes not following these tips.

How to Make a Travel Itinerary In 10 Easy Steps

It can often feel intimidating to plan a visit to a foreign country you’ve never been to before. Where to stay, which flights to book, and moreover where to start? We feel you, and to help you plan your travel seamlessly we’ve created a simple ten-step process for creating an itinerary .

We walk with you through the process by sharing examples at each stage for a better understanding. This process enables you to create an itinerary with all the necessary details, in the simplest order. What’s more, you don’t need to use Microsoft Excel or any fancy technology. Simply put pen to paper or open the Notes App on your phone and get started!

Here are the ten steps to creating a travel itinerary:

We now look at each step in more detail, along with points to remember and pitfalls to avoid.

Step #1: Finalize Destination and Time

The first step to building your travel itinerary is to freeze on a travel destination. With hordes of suggestions from others and a plethora of information available online, selecting a destination can get tricky. Ensure you are selecting a place that serves your vacation needs the best (relaxed/activity-driven).

It is also important to select a destination that would be good to travel to on your tentative travel dates. Refer to our curated list of the ten best travel destinations and select the one that fits your needs and travel time the best.

How to Make a Travel Itinerary - New Zealand

At this stage, you also want to finalize the number of days you are willing to spare for the trip. This coordination is important when you travel in a group, to ensure you arrive at a number that is comfortable for everyone to take out from their schedules.

Example: Vietnam, December, 10 days

Step #2: Determine Budget

The last thing you’d want to do is to go overboard on spending on your trip and later regret it. To avoid this, it is prudent to determine an amount you’d be comfortable spending without any hassles.

Flights and hotels make up the bulk of your travel expenditure. To arrive at a tentative amount you’d end up spending, check any travel website for airfare on your tentative travel dates. Do the same for hotel bookings. Add in a suitable amount for Visa, travel insurance, meals, activities, and shopping to arrive at an approximate total figure.

Example: $2500

Step #3: Finalize Dates and Places to See

Changing itineraries can get cumbersome if you realize taking time off during the trip may not be possible. Ensure you/your group has discussed the exact travel dates with their families and colleagues before proceeding to the next stage.

With the destination and exact dates fixed, you now need to select which places in a country you would like to visit. Research online on the country you’re visiting and make a list of the attractions you wish to see. You can also check our curated list of places to see in the destinations we’ve featured on our website .

Example: December 26th to January 4th; Hanoi, Ha Long Bay, Phong Nha, Phu Quoc, and Ho Chi Minh.

Step #4: Plan Order of Travel

Once the list of places to visit in the country has been finalized, use Google Maps and visually check the layout of the country. This lends a lot of clarity in planning the order of the places to visit.

Planning the order of travel would optimize your trip and save on both time and cost. We recommend you spend some time on this crucial step.

Example: Hanoi is in North Vietnam, Phong Nha is towards the center, and Ho Chi Minh is in the south. Thus, it would make sense to start the trip with Hanoi and move southwards, or even vice versa.

Step #5: Finalize Dates against Places

Now that you know which places to see and in what order, you need to plan how many days you’d like to spend in each town or city. While doing this, you may be tempted to cram many places in a limited amount of time. Who knows if you’d travel to the same country again anytime soon?

However, keep the itinerary loose so as to leave room for flexibility or any exigency you may encounter while traveling. Possible exigencies are lost/delayed arrival of luggage on international flights, health issues, or unfavorable weather.

Additionally, one of the great things about travel is losing yourself in a new world. You should allow yourself the flexibility to spend more time than apportioned in a place that touches your heart. Tight itineraries inhibit the joy that comes from the free flow of wandering.

  • Hanoi (3 days) 
  • Ha Long Bay (1 day)
  • Phong Nha (1 day)
  • Phu Quoc (2 days)
  • Ho Chi Minh (3 days)

Step #6: Book Flight Tickets

The crux of planning your itinerary is done! Now you can proceed to make your bookings swiftly as you have all the information you need confirmed with you.

Book your international flights first. If there are no direct flights available, select your connecting flights on the same airline (wherever possible). This transfers the accountability of any delays in flights and luggage to the airline. Also, ensure you have a layover of at least 2 hours between connecting flights to account for any delays.

Now you can book any domestic flights/trains within the country you’re traveling.

Step #7: Book Hotels

As simple as it sounds, proceed to book hotels in the places you’d be staying. Other than relaxed vacations, it is always a good choice to select a hotel in a favorable location/city center. This gives you more time to explore the city and saves money on local transportation. Staying in the heart of the city also makes you experience the place on a deeper level.

Match your flight/train arrival and departure times with the check-in and check-out hours of the corresponding hotels. Wherever required, reach out to the hotel in advance and request early check-in or extended check-out.

Step #8: Apply for Visa & Travel Insurance

With your international flights and hotels booked, you should now apply for a Visa for the country you’d be visiting. Ensure your passport has the minimum required validity for the Visa to be granted. We recommend you apply for the Visa well before in time to avoid any unnecessary last-minute hassles.

We also recommend you get travel insurance before you proceed on your trip. This comes in handy for any unforeseen, untoward incidents when you travel.

Step #9: Book Excursions and Activities

It is best to book your excursions in advance so that you get your choice of the local travel provider and the experience. Save the booking confirmation and the contact details of the service provider on your phone. It would be prudent to speak to them to understand policies on any cancellations or changes in plans.

Remember to not overbook excursions and allow for some flexibility in your itinerary.

Step #10: Save Documents on your Phone and Print Hard Copies

Voila! You’ve now reached the end of planning your itinerary. One last thing before you put your feet up – save all documents – flight bookings, hotel, and excursion confirmations on your phone and keep it handy. We recommend you take a print of all documents as well; in case your phone runs out of battery at the very point of presenting the document.

Additionally, you should keep prints of your Visa and travel insurance with you and save a soft copy of your passport on your phone.

Claudia Sheinbaum projected to be Mexico's first woman president

Mexico’s President Andrés Manuel López Obrador said he will not influence newly elected president Claudia Sheinbaum in naming future officials for the country after Sunday’s landslide victory.

 “She (Sheinbaum) is the one empowered to make all the decisions. I am not going to influence anything,” López Obrador said during his morning presser on Monday.

“She is going to choose her team,” he added.

However, he suggested that changes would come with the new president because it was part of the “transformation” he started for the country when he took office nearly six years ago.

López Obrador also said he may discuss constitutional reforms with Sheinbaum during the transition period but made it clear that he didn’t “want to impose anything.”

Sheinbaum will take office on October 1. Her term will last six years.

López Obrador, who is Sheinbaum’s political mentor, congratulated her on the win.

“We already spoke yesterday (Sunday); I congratulated her. I am very happy because imagine what it means to hand over the presidency to a woman after 200 years of only men ruling Mexico,” the president said.

The president said that once he hands over the presidential band, he plans to retire from political life entirely and will do so with “a lot of satisfaction.”

“Let it be heard loud and clear: after I finish my term in office, I will retire, and I will never again participate in any public or political act,” he said. 

Biden congratulates Sheinbaum for her historic win

US President Joe Biden congratulated Claudia Sheinbaum on her historic presidential win as Mexico's first woman to lead the country's government.

"I look forward to working closely with President-elect Sheinbaum in the spirit of partnership and friendship that reflects the enduring bonds between our two countries," he said in a statement Monday. "I expressed our commitment to advancing the values and interests of both our nations to the benefit of our peoples."

Mexican peso falls against the US dollar

The Mexican peso slipped roughly 3% against the US dollar Monday morning.

It comes after Claudia Sheinbaum's projected landslide victory, which has raised concerns that the ruling Morena party will be able to pass more ambitious constitutional reforms, many of which had been sought by outgoing President Andrés Manuel López Obrador.

"Sheinbaum is perceived as more of a technocrat than AMLO, and she also has a background in climate science. Both offer potential shifts in Mexican policy," wrote Bespoke Investment Group researchers in a Monday note.

Latin American leaders are celebrating Claudia Sheinbaum's projected win as Mexico's president with leaders referencing a common theme — that her appointment would hopefully see strengthened relationships between countries on the continent.

Sheinbaum will face several challenges, including security, organized crime, energy and immigration, and would also set the tone for  the pivotal US-Mexico bilateral relationship . 

  • Cuban President Miguel Diaz-Canel  said in a post on X: "We wish her success in her management, the first for a woman in that position."
  • Honduran President Xiomara Castro extended her "sincere congratulations" to Sheinbaum, "as the first female president of Honduras" on X . Castro said she spoke to Sheinbaum following her victory and agreed "to work together for the unity of Latin America and the Caribbean."
  • Venezuelan President Nicolas Maduro called her win a "great victory for the Great Homeland. I hug you! Long live Mexico!"
  • Bolivian President Luis Arce congratulated her on X and added that they "salute salute all the Mexican people for their democratic vocation and broad participation in the electoral process."
  • Colombian President Gustavo Petro described Sheinbaum's appointment as "a triumph for the Mexican people and for their democracy."
  • Costa Rica 's presidency referred to the two countries as "brother countries" and congratulated Sheinbaum on her appointment.

Millions turn out for largest election in Mexico's history

Sunday’s poll was the largest election in the country’s history. More than 98 million voters were registered to cast a ballot, and 1.4 million Mexicans were eligible to vote abroad.

In addition to the presidency, more than 20,000 positions were being contested by an estimated 70,000 candidates vying to become senators, mayors and governors.

But the elections were plagued by  immense violence . There have been more than 20 political killings since September, according to the Mexican government. By some estimates though, that number is even higher. According to Mexican consultancy firm Integralia, at least 34 candidates were murdered in the run-up to the vote.

Voting was suspended for several hours on Sunday in the southeastern Mexican town of Coyomeapan due to violence at the polling centers, according to state electoral authorities.

And while the murder rate fell in Mexico  between 2019 and 2022 , in absolute numbers the country is still reeling from historically high levels of around 30,000 homicides each year. The true number is likely higher, experts say.

The violence appeared to have been a top concern for voters as cartels extend their grip through Mexico.

Claudia Sheinbaum has been coy about her security proposals but has pointed to her record as Mexico City mayor, when, according to her team, she improved the police force’s working conditions and intelligence-gathering abilities.

Mexico's President Andres Manuel López Obrador has congratulated Claudia Sheinbaum on her expected win in Sunday's presidential election. 

"With all my affection and respect I congratulate Claudia Sheinbaum who came out victorious with an ample margin. She will be the first (female) President of Mexico... but also the President, possibly, with most votes obtained in all of the history of our country," he said in a video posted on X. 

López Obrador also congratulated the other presidential candidates and the Mexican people, saying he was proud of the large turnout.

Mexico's expected president Sheinbaum pledges to govern all Mexicans "without distinction"

Claudia Sheinbaum has responded to the announcement of her projected victory in Mexico's presidential election early Monday morning, saying her administration would govern all Mexicans “without distinction,” even though not everyone supports her policies.

“Our duty is and will always be to look after every single Mexican without distinction. So even though many Mexicans do not fully agree with our project, we will have to walk in peace and harmony to continue building a fair and more prosperous Mexico,” she told supporters in a speech.

She also spoke about the historical significance of becoming the first female president of the country.

Sheinbaum said her two rivals in the race, Xóchitl Gálvez and Jorge Álvarez Máynez, had called to congratulate her on her projected victory.

Sheinbaum, the candidate from the ruling party, received the most votes in Sunday's elections, according to preliminary results from the National Electoral Institute.

The Electoral Court must validate the presidential election, and if confirmed, Sheinbaum will start her presidency on October 1.

Sheinbaum's large margin shows power of Mexico's ruling party, CNN journalist says

Even though Claudia Sheinbaum was expected to win during campaign polls, her large margin in the votes came as a shock, CNN’s Gustavo Valdes reports from Mexico City.

Sheinbaum might get up to 60% of the vote, which is even higher than outgoing President Andrés Manuel López Obrador when he was elected six years ago, Valdes said.

Sheinbaum is the candidate for the ruling Morena party.

"That gives you an idea of the political power that López Obrador has amassed over the past six years," Valdes told CNN's Rosemary Church.

Valdes said voters told CNN that a woman president would help change Mexico's image of being a "macho" country, where patriarchal culture impedes women's advancements.

"Mexico has actually changed its laws to encourage and actually force the parties to have more female candidates. So so there's a very equal division of power between many woman in congress and the governorships," Valdes said.
