Learn how to use UB's Travel and Expense Reimbursement System (Concur) to book business travel, and submit business travel and non-travel expenses for reimbursements.

University faculty and staff must get preapproval from their supervisor before traveling overnight. A new electronic preapproval request system through Concur replaces the old paper form, making the process more efficient for both travelers and units.

Getting Started in the Travel and Expense System

Follow these steps to get started using the travel and expense reimbursement system.

Getting Started Steps

1. review system eligibility.

Authorized Users:

UB faculty, staff and students with active, paid employment appointments are authorized to use the system. 

  • Your profile is set up with your UBITName and password.

Unauthorized Users:

  • Guests and non-employees of UB are not authorized to use the system
  • Continue to submit paper reimbursements for guests and non-employees as you currently do.
  • Terminated employees will remain active and able to log into the system for 4 weeks after their appointment end date.
  • After 4 weeks, terminated employees become inactive and unable to log into the system and have to submit paper reimbursements as non-employees.

2. Follow Getting Started Guide

To get started using the system, follow the getting started guide for your role for detailed instructions to:

Learn About System Modules

There are three modules in the travel and expense system that you will use to complete your work:

Expense Module

Use   the Expense module to submit your business travel and non-travel expenses for reimbursement.

  • An expense report is used to process reimbursements and will result in reimbursement.
  • Create an expense report to submit your actual expenses for reimbursement.
  • All individuals are required to use this module to submit expense reports.

Request Module

Use   the Request module to request preapproval for your estimated business travel expenses before you make your travel reservations.

  • A request is used for budgetary and travel preapproval purposes only and will not result in reimbursement.
  • Travel reservations requested in this module are monitored by Duty of Care, the system’s travel risk management program. 

Travel Module

Use the optional Travel module   to book your business travel reservations.

  • Booking travel reservations in this module is optional, but highly recommended.
  • The travel booking tool is contracted through The Travel Team Inc. and there are no service fees charged for bookings.
  • Travel reservations booked in this module are monitored by Duty of Care, the system’s travel risk management program. 

Roles in the Travel and Expense System

Travel and expense system workflow process by role.

The travel and expense system workflow process by role:

  • The traveler or non-traveler creates and submits an expense report for reimbursement.
  • The supervisor reviews and approves the expense report.
  • The cost approver allocates expenses on the report to the correct account.
  • If the expenses on the report are being charged to a sponsored Research Foundation (RF) grant, the Sponsored Projects Services (SPS) approver reviews and approves the report.
  • The processor in the Travel office reviews and approves the report for reimbursement.

Travel Preparer in the Travel and Expense System

Travel Preparers are individuals who are authorized to complete work on another user's behalf in the travel and expense system. However, first be sure to confirm with your department that this is allowed. Refer to the following detailed instructions for how to use delegates in the system:

  • 8/11/22 Assign a Delegate
  • 8/12/22 Create Expense Reports as a Delegate
  • 8/12/22 Review Expense Reports as a Preview Delegate

Travelers are individuals who travel on behalf of UB. Travelers can request, book and submit their business travel expenses for reimbursement in the system.

1. Log in to Concur

Click the login button and sign in with your UBITName and password.

2. Preapproval is Required, Submit a Request for Travel

Use the Request module to submit a request for approval of your estimated expenses before you incur them.

3. Book Your Trip

Book your business travel reservations using the Travel module in the travel and expense system. This is optional. You do not have to use the system to make travel reservations.

4. Go on Your Trip

During your trip, use the optional mobile apps to record your expenses and access your travel itinerary. 

5. Expense Your Trip

When you return from your trip, use the Expense module to create an expense report to submit your business travel and non-travel expenses for reimbursement. Be sure to attach required receipts and supporting documentation to your report. 

6. Submit Expense Report

When your expense report is complete, click  Submit Report  to send it to your supervisor for review and approval.

Faqs about the new user interface (ui).

Concur, the travel and expense reimbursement system used by faculty and staff travelers, has introduced enhancements that will impact university travelers.

Is a pre-approval request needed for things like mileage for day trips?

No. Preapproval in the Request module is only needed if the trip involves lodging.

Will the expense report look different?

Screens will look a bit different, but all required fields and information will remain the same.

Can travel pre-approval for several trips be entered into Request at the same time?

Yes. You can bulk enter trips into the Request module for preapproval ahead of time. All that is needed are a few key pieces of information including, dates of trip, destination, and an estimated dollar amount.

Is account information required when booking travel?

No. Account information is not a required field. If the traveler/preparer doesn't have this information, they can leave it blank and the cost approver can enter it.

Can I still use the paper pre-approval form?

The paper preapproval form can be used during the transition period as we launch the new Request module, but after 11/1/22, all preapprovals will need to be completed within the Request module for reimbursement. 

Can the paper forms still be used for non-employee travel?

Yes, any non-employee (students and guests) will still need to complete the paper vouchers.

Will the Request screen look different?

Yes, the screen will look a bit different, but all required information will remain the same. It will also include the Climate Action Plan question and User Acceptance and Approver Electronic Agreement.

How can I select a travel preparer in Concur?

Travelers can go into settings and select from a pre-populated list who they would like as their preparer.

Is there a way to add another person to the review process before going to the cost approver?

Yes, the supervisor can add another individual as a viewer within the workflow process.

"The information requested in the ConcurGov is collected pursuant to Executive Order 9397 and Chapter 57, Title 5 United States Code. The purpose of the collection is to establish a comprehensive travel services system which enables travel service providers to authorize, issue, and account for travel and travel reimbursements provided to individuals on official Federal Government business. Categories of records in the system records may include: Full name matching the form of ID used for travel; Social Security Number; employee identification number; home, office, agency and emergency contact information; travel and hotel preferences; current passport and/or visa number(s); credit card numbers and related information; bank account information; frequent traveler account information (e.g., frequent flyer account numbers); date of birth; gender; DHS redress and known traveler numbers (numbers DHS assigns to promote resolution with previous watch list alerts and facilitate passenger clearance, respectively); trip information (e.g., destinations, reservation information); travel authorization information; travel claim information; monthly reports from travel agent(s) showing charges to individuals, balances, and other types of account analyses; and other official travel related information.

Routine uses which may be made of the collected information and other financial account information in the system(s) of record entitled "Contracted Travel Services Program GSA/GOVT-4" are: (a) To another Federal agency, Travel Management Center (TMC), online booking engine suppliers and the airlines that are required to support the DHS/TSA Secure Flight program. (b) To a Federal, State, local, or foreign agency responsible for investigating, prosecuting, enforcing, or carrying out a statute, rule, regulation, or order, where agencies become aware of a violation or potential violation of civil or criminal law or regulation; (c) To another Federal agency or a court when the Federal Government is party to a judicial proceeding; (d) To a Member of Congress or a congressional staff member in response to an inquiry from that congressional office made at the request of the individual who is the subject of the record; (e) To a Federal agency employee, expert, consultant, or contractor in performing a Federal duty for purposes of authorizing, arranging, and/or claiming reimbursement for official travel, including, but not limited to, traveler profile information; (f) To a credit card company for billing purposes, including collection of past due amounts; (g) To an expert, consultant, or contractor in the performance of a Federal duty to which the information is relevant; (h) To a Federal agency by the contractor in the form of itemized statements or invoices, and reports of all transactions, including refunds and adjustments to enable audits of charges to the Federal Government; (i) To a Federal agency in connection with the hiring or retention of an employee; the issuance of security clearance; the reporting of an investigation; the letting of a contract; or the issuance of a grant, license, or other benefit to the extent that the information is relevant and necessary to a decision; (j) To an authorized appeal or grievance examiner, formal complaints examiner, equal employment opportunity investigator, arbitrator, or other duly authorized official engaged in investigation or settlement of a grievance, complaint, or appeal filed by an employee to whom the information pertains; (k) To the Office of Personnel Management (OPM), the Office of Management and Budget (OMB), or the Government Accountability Office (GAO) when the information is required for program evaluation purposes; (l) To officials of labor organizations recognized under 5 U.S.C. Chapter 71 when relevant and necessary to their duties of exclusive representation concerning personnel policies, practices, and matters affecting working conditions; (m) To a travel services provider for billing and refund purposes; (n) To a carrier or an insurer for settlement of an employee claim for loss of or damage to personal property incident to service under 31 U.S.C. § 3721, or to a party involved in a tort claim against the Federal Government resulting from an accident involving a traveler; (o) To a credit reporting agency or credit bureau, as allowed and authorized by law, for the purpose of adding to a credit history file when it has been determined that an individual's account with a creditor with input to the system is delinquent; (p) summary or statistical data from the system with no reference to an identifiable individual may be released publicly; (q) to the National Archives and Records Administration (NARA) for records management purposes; (r) to appropriate agencies, entities, and persons when (1) The Agency suspects or has confirmed that the security or confidentiality of information in the system of records has been compromised; (2) the Agency has determined that as a result of the suspected or confirmed compromise there is a risk of harm to economic or property interests, identity theft or fraud, or harm to the security or integrity of this system or other systems or programs (whether maintained by GSA or another agency or entity) that rely upon the compromised information; and (3) the disclosure made to such agencies, entities, and persons is reasonably necessary to assist in connection with GSA's efforts to respond to the suspected or confirmed compromise and prevent, minimize, or remedy such harm. Information requested is voluntary, however, failure to provide the information may nullify the ability to book online travel reservations."

Please be aware of these important dates and procedures related to travel and entertainment (T&E) reimbursements and expenses.

Important Dates

  • Travel & entertainment expenses, including company card transactions for direct-billed airfare and service fees for trips concluded prior to June 1 , must be received in the Concur Travel Accounting queue (reimbursements and direct billing) or the Travel Accounting office (vendor invoices) for processing by 5 p.m. Friday, June 7,  to be processed for Fiscal Year 2023 ‐ 24.
  • Travel & entertainment expenses, including company card transactions for direct-billed airfare and service fees for trips concluded between June 1 and June 14 , must be received in the Concur Travel Accounting queue (reimbursements and direct billing) or the Travel Accounting office (vendor invoices) for processing by 5 p.m. Friday, June 14,  to be processed for Fiscal Year 2023 ‐ 24.
  • Travel & entertainment expenses (reimbursements and vendor invoices) submitted after 5 p.m. on Friday, June 14, will be processed on a first-come, first-served basis after all submissions made before the deadline are completed. Submissions made after the deadline are NOT guaranteed and may be posted with an effective date in the new fiscal year.

Travel System Quick Reference

This guide will help get you started using the University of Arizona Travel System . Or refer to the Travel System Training in EDGE Learning for a complete walkthrough.

Important! Have the following information ready prior to starting:

  • Get initial approval from your manager
  • Know the fund account to charge the travel to
  • Decide if you need a Delegate/Arranger
  • Update/confirm your Travel Profile
  • Know your Business Purpose
  • Be prepared to provide estimates for travel expenses

Confirming Your Travel Profile

EDGE Learning : Getting Started with the Travel System

All University employees have a Travel Profile based on information in UAccess Employee. Non-Employees (students/DCCs) must request a profile . There are key pieces of information that must be provided before using the Travel Request and Booking Tool:

  • Confirm your Legal Name, including your middle name if you have one. Employees: contact Human Resources if you need to update your name on record.
  • Verify your Email address.
  • Enter your Mobile phone number (use for Home/Office phone as well).
  • Confirm your Gender and Date of Birth.

Travelers are welcome to fill out additional fields such as frequent flyer program information and travel preferences.

Assigning/Deleting Delegate(s)

The Travel Authorization Request is a self-service tool for travelers to make travel arrangements with their unit business office and assign a delegate to act on their behalf. It is recommended that all travelers assign a delegate. Delegates can expedite reimbursement by having access to the digital receipts provided by the traveler through the mobile app during travel.

Business Offices may request for a group of travelers to be assigned delegates in bulk (for 10 or more travelers). To request bulk delegate assignment:

  • Do not use this template for more than 100 travelers. Contact Accounts Payable for assistance.
  • Students on Group Travel do not require bulk delegate assignment. Do not use this for Group Travel with students.
  • Enter the Traveler Name, Traveler EMPLID, Delegate Name, and Delegate EMPLID for each row.
  • Email the completed document to [email protected] .
  • Delegates will receive a confirmation email. Please allow up to two business days for delegates to be assigned.

There is no bulk process to remove delegates. Delegates must be deleted individually. Please keep this in mind when requesting bulk delegate assignments. The responsibility for delegate maintenance in the Travel System will be on the business offices and/or individual travelers.

To delete a delegate:

  • From the Delegate screen, click the checkbox to the left of the delegate to be removed
  • Click Delete

Completing a Travel Authorization Request

NOTE : The traveler's name MUST match their official state issued identification utilized for traveling, such as a driver’s license, passport, state identification, Arizona Travel ID, etc.

Important information required before initiating a Travel Request:

  • Org Code: UAccess Financials organization code where the employee receives funding
  • Account Number: UAccess Financials account number where travel is primarily funded
  • Business Purpose for travel
  • Vehicle rental
  • Any other expenses

Please defer to your business office if any additional details should be included.

Travel Allowance

Completion of the Travel Allowance section provides the traveler with the estimated amount they will be reimbursed for meals while on travel status. The traveler must identify meals that are provided during conferences, retreats, workshops, etc., as these meals will not be reimbursed. Please remember the University does not reimburse dollar amounts for meals, but instead allows per diem for meals and incidentals based on rates established by the State of Arizona.

Approving a Travel Request

Supervisor Approval: Approval is required when the employee is to be away from their duty post. Supervisor role is determined by UAccess Employee based on the employee’s time approver.

  • The Supervisor should ensure that the timesheet reflects business days only, and that personal days are included correctly within UAccess Employee time reporting tool.
  • When disapproving/denying a travel request, it is recommended the approver return the request back to the employee for additional information or justification, or the approver should provide details on why the travel should be reconsidered or cancelled. Conversations with the traveler are encouraged and the traveler can cancel the Travel Authorization Request if needed.

Fiscal Officer: Officer is responsible for ensuring that funding is available for the designated trip regardless of if the trip is funded by another entity.

  • The Fiscal Officer should ensure that an encumbrance is documented if travel exceeds $5,000 and that the Travel Advance (if requested) is initiated within UAccess Employee.

Ad Hoc Routing: Business offices may require additional routing based on the department/unit requirements. Please see your business office.

  • Travelers and Delegates may ad hoc route to any UAccess Employee representative accordingly. Ad hoc routing cannot be to a Designated Campus Colleagues or Student unless a Travel Profile has been established and they are assigned as an approver.

Booking Travel

Using the Booking Tool, travelers and delegates can book airfare, hotel/lodging, and car rental services directly within the travel system. Users can also obtain Anthony Travel agent-assisted support. NOTE : You must have a valid Travel Authorization Request number in order to book travel within the travel system.

Tip: Be sure to review all of your selections before purchasing and confirm by clicking PURCHASE. Users will receive a ticketed itinerary via email once purchase is complete.

Using the Travel Mobile App

EDGE Learning: Using the Travel Mobile App

The SAP Concur Mobile App is available for iOS and Android devices. Users gain the ability to initiate a Travel Authorization Request, review and approve requests, and upload receipts for reimbursement from their mobile device. This app is not required for University business travel and is completely voluntary. Users are responsible for all data charges associated with its use.

NOTE: Users must verify their email address before they may begin using the mobile app.

While in travel status, or upon returning from travel, users can track their business expense receipts/statements by uploading them to the mobile app. Delegates with access can then download and attach them to the Disbursement Voucher in UAccess Financials to begin the reimbursement process. It is highly recommended that users delete their receipts from the app once they have been reimbursed.

This position is responsible for assisting in the planning and execution of all prospective student-athlete on-campus visits. Will additionally assist the coaching and football staff in all aspects of the recruiting process and the successful onboarding of student-athletes to the University of Michigan. Under the ultimate supervision of the Head Football Coach, this position will report to the Director of On-Campus Recruiting and must adhere to all NCAA rules and regulations.

Responsibilities*

  • Assist in the execution of all on-campus recruiting efforts to include prospective student-athlete official visits, unofficial visits and game day recruiting functions
  • Establish relationships with prospective student-athletes, their families and champions of their recruitment
  • Organize applicable recruiting information as determined by the Head Coach and other football staff members
  • Responsible for maintaining relationships with vendors, hotels, on-campus assets and University staff contacts
  • Assist the Football Operations staff with daily team logistics and travel
  • Work collaboratively with the Director of Football Administration & Student Services in the successful onboarding process of student-athletes
  • Assist camp director with the organization of all institutional summer football camps and the Youth Impact Program
  • Other duties as assigned

  • Bachelor degree required
  • Experience at the collegiate level
  • Knowledge of and commitment to NCAA Division I Rules and Regulations as well as Big Ten bylaws
  • Outstanding organizational skills and attention to detail

  • Demonstrated ability to prioritize and manage multiple tasks with competing deadlines and work effectively with frequent interruptions
