What documents are included in my Schengen visa application?

Do I need to submit a photo ID with my application for a Schengen visa?

The travel document you submit with your application (either a passport or an official/valid equivalent) will contain your photo. In addition, you must also submit two passport sized photos. For photo requirements, click here .

When should I apply for a Schengen visa?

You should apply for a Schengen Visa at least 15 days prior to the day you intend to travel, and no earlier than 6 months before you leave.

How long is a Schengen visa valid for?

Schengen visas are valid for up to 90 days within a 180-day period. This means that you can stay in the Schengen area for a total of 90 days with a Schengen visa. However, validity is different from duration of stay. Schengen visas are generally valid for a period longer than duration of stay (i.e. 90; the number of days you are legally allowed to stay in the Schengen area). For example, say you receive a visa that is valid from January 1st 2021 until December 31st, 2021. This means that your Schengen visa is valid for entry to the Schengen area any time throughout that almost 1-year period. However, once you enter the Schengen area, your stay is limited to 90 days.

How long does it take to get a Schengen visa? What is the processing time?

The general processing time for a Schengen visa ranges from 15-30 days. Some people receive a visa in under two weeks; in rare cases, the consulate can take up to 60 days.

I am travelling to several Schengen countries, which country should I apply through?

You should apply via the Schengen country where you intend to spend the most time on your trip. If you are spending an equal amount of time in two different countries, you should apply through the country you plan on visiting first.

What do I do if my visa was rejected?

If your application for a Schengen visa is rejected you have the right to an appeal. The appeal process is different for every country, but generally involves submitting a letter to the consulate/embassy where you originally applied within 3 weeks of receiving a negative decision.

My passport is expiring two weeks after I want to travel. Can I still apply for a Schengen visa?

Your passport must be valid for the entire length of your Schengen visa period. If it is set to expire at anytime during your stay in the Schengen area, you will not be approved for a Schengen visa. In this case it is advisable that you renew your passport before you apply for a Schengen visa.

What is a Schengen visa sticker?

A Schengen visa sticker is what you will receive if you are approved for a Schengen visa. Essentially your Schengen visa, its pasted onto one of the free pages of your passport, providing you access to enter the Schengen area.

What is ETIAS and do I need to get one?

The travel authorization known as ETIAS (European Travel Information and Authorization System) is expected to be launched in 2024, so you do not yet need to get one yet. ETIAS is an IT system meant to identify unique threats posed by visa-exempt travelers to the Schengen area and is only valid for those from visa-exempt countries to the Schengen area.

Applying for a Schengen visa

What is a Schengen visa?

A Schengen visa is an entry permit for a short, temporary visit of up to 90 days in any 180-day period. A Schengen visa can be obtained in the form of a single-entry visa , allowing the holder to enter the Schengen area once, or a multiple-entry visa , which is granted for several visits to the Schengen area for as long as it is valid.

An airport transit visa allows its holder to connect through the international transit area of an airport in the Schengen area during a stopover or a change of flights. This visa does not allow its holder to leave the international transit area of an airport.

Who needs to apply for a Schengen visa?

Certain non-EU citizens must hold a short stay visa when traveling to the Schengen area. The EU has a common list of countries whose citizens are required to issue a visa when crossing its external borders. There are national derogations from the visa requirements for certain travellers.

Some third-country nationals must also hold an airport transit visa when connecting through the international transit areas of airports located in any of the Schengen States . For citizens of certain additional countries, an airport transit visa is required when connecting through the international transit areas of airports located in some of the Schengen States . There are some categories of persons who are exempt from the requirement to hold an airport transit visa (see Article 3(5) of the Visa Code ).

Where to apply?

You must lodge the application for a Schengen visa at the Consulate of the country you intend to visit . If you intend to visit more than one Schengen States, you should apply at the Consulate of the country where you will spend the longest period of time.

If you intend to visit several Schengen States and the stays will be of equal length, you must apply at the Consulate of the first country you will visit.

As a general rule, you must apply for a Schengen visa at the Consulate with territorial competence for the country in which you legally reside.

When to apply.

The application must be submitted to the Consulate  at least 15 days before the intended journey and cannot be lodged earlier than six months prior to the start of the intended journey. You may have to book an appointment before lodging the application.

What documents are needed to apply?

  • A valid passport. The passport’s expiry date should be at least 3 months after the date of your departure from the Schengen area. In the case of multiple-entry visa, the passport’s expiry date should be at least 3 months after your departure from the last country visited.
  • A visa application form .
  • A photo in compliance with ICAO standards .
  • Medical insurance covering emergency medical, hospitalisation and repatriation (including in case of death).
  • Supporting documents relating to the purpose of your stay, evidence of financial means during your stay, your accommodation and your will to return to your home country after your stay.
  • Your fingerprints will be collected when you submit your application (exemptions exist for specific categories of applicants).
  • Additional documents can be requested by the Consulates.

How much does a visa cost?

  • 80€ for adults;
  • 40€ for children aged 6-12;
  • 35€ for applicants from Armenia, Azerbaijan, and Belarus;
  • 60€ for applicants from Cabo Verde.

An additional fee may apply if you go through visa service centres , which collect applications on behalf of Consulates in some cases.

The visa fee can be waived for specific categories of applicants.

Processing time of the application

The normal processing time of a visa application is 15 days. This period may be extended to up to 45 days, if a more detailed examination of the application and/or additional documents are required.

Under certain conditions, family members of EU or EEA citizens falling under the Free Movement Directive are eligible for a free and accelerated visa procedure.

Refusal of a visa application

The decision to refuse a Schengen visa and the reasons for the refusal are transmitted to the applicant using a standard form. The decision to refuse the issuance of a visa includes the reasons on which the refusal was based, and the procedures and deadlines for submitting an appeal.

Types of Schengen visa

What is a Schengen Visa?

A Schengen Visa is a permit that allows nationals of eligible countries to travel in the Schengen Area for a short period. It can be used for both tourism and business purposes.

The Schengen Area is currently the most extensive free travel territory in the world. The area covers 26 countries and there are no border controls within these member countries. Schengen Visas are the most common visa for accessing Europe and a valid Schengen visa lets you travel freely to and within its area. To be eligible, you must meet specific visa requirements, based on your travelling intents.

The Schengen Visa is a short-stay visa that is only valid for up to 90 days, you cannot use your Europe  tourist visa  to live,  study  or  work  in the Schengen Area. Instead, you need to apply for a  national visa  for that European country that you intend to stay in.

Who needs a visa to enter Europe?

Schengen visas are for all nationals of third countries that do not have a visa waiver agreement with the Schengen member states. You will need to apply for a Schengen visa if you plan on visiting a Schengen country and are a citizen from one of the following countries:

Not all the European Union countries are also members of the Schengen Area and not every Schengen country is a member of the EU. For example, Iceland, Switzerland, Lichtenstein, and Norway are not part of the EU. On the other hand, the UK, Romania, Ireland, Romania, Bulgaria, Croatia, and Cyprus are EU countries but are outside the Schengen zone.

Similarly, Monaco, San Marino, and the Vatican City allow visitors from the Schengen Area but are not associated with this region. The Azores, Madeira and the Canary Islands are special members of the EU, and they are part of the external borders of the Schengen area as well.

How to apply for a Schengen Visa?

You must submit your Schengen visa application to the Embassy, Consulate, or. visa application centre of the country that you wish to visit. Note that some Schengen countries only accept visa applications from residents of the country the application is made, which means only legal UK residents can apply from the UK for some countries.

You can visit more than one member state using this visa. If you are going to visit several Schengen member countries, you should submit your application to your first destination or the country where you are staying for a longer time.

The first step in the Schengen visa application process is to book an appointment at your local Embassy or Consulate of your chosen Schengen member country, this can usually be done online. You will then need to complete the Schengen Visa application form that you can  download online  and must also gather all of the required documents.

You will need to attend your visa interview and submit your application form and supporting documents to the consular officer. During the interview, you will be asked questions about your trip such as where you intend to visit and why. Finally, you will need to pay the visa application fee.

You must submit your application at least 15 days before your intended journey. However, you are not allowed to apply earlier than three months before the date you intend to enter the Schengen Area.

It usually takes 15 days to receive a decision. If the Consulate requires further supporting documents, this period may extend up to 60 days.

What are the documents required for a Schengen Visa?

When applying for your visa you will need to submit a number of supporting documents. Use our handy Schengen Visa document checklist to make sure that you have everything you need.

Schengen Visa documents checklist:

  • A valid passport with at least two empty pages. Your travel document must have been issued within the last 10 years and be valid for at least three months after the date you leave the Schengen Area.
  • Your completed visa application form.
  • Evidence that you intend to return to your home country such as a return ticket or enough available funds to buy one.
  • Two recent photographs conform to ICAO standards.
  • Proof of paid application fees
  • Travel insurance  that covers any emergency medical and repatriation. The minimum cover should be of €30,000 and valid throughout your stay
  • Complete documentation of your trip. This includes details of your booked accommodation and means of transport to travel within the Schengen Area Evidence that you can support yourself financially during your trip.

When you reach a Schengen port of entry, you must present your passport and your visa. Border officials may ask for further information about your trip. Before letting you enter the Area, they will give you an entry stamp in your passport. Without it, you may be fined or detained when leaving the EU. The Visa Information System in use in certain countries also requires your fingerprints to be collected.

Even though you may not need to meet specific visa requirements to travel to Europe, you still need a valid passport to enter the Schengen Area.

Schengen Visa entry restrictions

Schengen visas allow overseas nationals to enter Schengen countries for up to 90 days in a 180 day period. However, there are different types of Schengen visas that come with varying restrictions that you must adhere to.

Most Schengen Visas come under the category of a Uniform Schengen Visa. Uniform visa holders are permitted to travel in any Schengen country. However, there are also subcategories of the Uniform Schengen visa and the entry restrictions vary for each category, they include the:

  • Single Entry Visa  – This permits the visa holder to only enter a Schengen country once within the visa’s validity, if they leave the Schengen area then their visa will no longer be valid.
  • Double Entry Visa  – This is similar to the single entry visa except that double-entry visa holders can enter the Schengen area once more when they have left it.
  • Multiple Entry Visa  – This allows holders to go in and out of the Schengen area as many times as they like providing they do not stay for more than 90 days in a 180 day period. Multiple Entry Schengen Visas are available for periods of 1 year, 3 years and 5 years.

Another category of Schengen visa is the Limited Territorial Validity Visas (LTV). LTV visas permit holders to only travel within the Schengen country or countries that they have obtained the visa from. This visa is not valid for travel to or transit through any other Schengen countries.

What is an Airport Transit Schengen Visa?

In 2010, the European Union introduced new visa requirements to transit through airports in the Schengen Area. An Airport Transit Schengen Visa is a subcategory of Uniform Schengen Visa that allows nationals of non-Schengen countries to change their flight in one of the airports of this zone.

However, unlike the other Uniform Visas, an Airport Transit Schengen Visa is not a Visa for Europe and cannot be used to leave the international transit area. This order also applies if you need to wait overnight or leave the airport to take your next flight. If you need to fly between more than one airport within the Schengen Area, you must apply for a regular Schengen visa.

In exceptional circumstances, individual Schengen members can impose different Airport Transit Visa requirements to accept visa applications. In addition, most members have added further countries to the list of those who need to apply for a Transit Visa.

Nationals of the following countries need to apply for an Airport Transit Schengen Visa:

  • Afghanistan
  • The Democratic Republic of the Congo

You may be exempt from the Transit Visa if you have a residence permit issued by a Schengen country, or are a family member of a Schengen/EU national.

The Schengen Visa is a short stay permit that covers a maximum of 90 days in any 180-day period. The actual length of validity of your stay is indicated on your Europe visa under the heading “Duration of visit”.

The number of entries allowed by your permit is indicated on your visa sticker as well. Depending on your purposes of stay, you can get a single-entry or a multiple-entry Schengen Visa. If your visa allows multiple entries, you may enter the Zone several times during your 180-days validity period.

In this guide, we look at the Schengen visa rules, providing practical guidance for those travelling from the UK to EU Schengen member states, including what activities this type of visa will allow and what countries are included, to how to submit a Schengen visa application.

What is a Schengen visa?

If you are a national of a country which has not yet reached a visa-liberalisation agreement with Schengen member states, you will need to obtain a visa before travelling to Europe from the UK. A Schengen visa is a short-stay visa that allows overseas nationals to travel to any country in the Schengen Area for a period of up to 90 days for permissible purposes, such as going on holiday, or visiting friends and family, or for business-related reasons.

As such, the Schengen visa is the most common visa for European travel. This is because it enables the visa-holder to enter, and to freely travel within, and then leave the Schengen Area from any one of the Schengen member countries. There are no border controls within the Schengen Area, where this visa-free area now covers most European countries.

A list of those countries whose citizens need a Schengen visa to go to Europe, as well as who can travel visa-free, can be found online on the ‘Schengen visa info’ website. Although the UK is not a member of the Schengen Area, British citizens can travel visa-free across Europe for a maximum of 90 days. Further, as from 2014, all British Overseas Territories citizens, British Overseas citizens, British Protected Persons and British Subjects have also been allowed to travel visa-free to the Schengen Area for up to 90 days.

What does a Schengen visa allow?

Following the abolishment of internal border checks in a number of European countries under the Schengen Agreement back in 1985 — bringing an end to border control between member countries and with various other European countries signing up since — as a Schengen visa-holder, you will be able to travel across Europe under a uniform visa.

A Schengen visa will essentially allow you to visit any country within the Schengen Area, although it is only designed for short trips, usually no more than 90 days in any 180-day period. It is also only intended for limited purposes, including tourism and business trips.

As such, if you are planning to undertake paid employment or anything more than a short recreational course of study, you may need to apply for a national visa of the European country that you plan to work or study in. Equally, if you are planning to visit Europe for more than 90 days, you may again need to apply for an appropriate national visa.

Which are the Schengen countries?

The Schengen Area currently comprises 27 European countries, covering most EU countries, with the exception of Ireland, but with Romania, Bulgaria and Cyprus soon to become Schengen member states. Although not members of the European Union, countries like Iceland, Switzerland, Norway and Lichtenstein are also part of the Schengen Area.

In addition, there are countries that do not form part of the Schengen Area, but still allow citizens of non-Schengen countries to enter and stay in their territories by showing a valid double or multiple-entry Schengen visa. These include Monaco, San Marino and Vatican City. The Azores, Canary Islands and Madeira are also special members of the EU and part of the Schengen Area, even though these are located outside the European continent.

How do you get a Schengen visa from the UK?

Not every overseas national living or temporarily residing in the UK will be required to obtain a Schengen visa when travelling from the UK to a European country. Equally, not every UK resident is eligible to apply for a Schengen visa while living in the UK. However, for those thinking about travelling to any one or more of the Schengen member states, there is a useful online eligibility checker to determine if a Schengen visa will be needed. This can also be used to check if an application for a visa can be made from the UK.

For example, an American citizen living in the UK can usually travel to the Schengen Area for a maximum of 90 days within a 180-day period without obtaining a Schengen visa. In contrast, a US citizen who has previously been denied entry to the Schengen Area will be required to obtain a Schengen visa. However, they will only be able to apply from the UK if they have a UK residence permit that will be valid for at least 3 months on their return from the Schengen Area. If they are not residing in the UK or do not have a permit that will be valid for 3 months, they would need to apply for a Schengen visa from the USA.

In contrast, an Indian citizen living in the UK cannot travel to the Schengen Area without first obtaining a Schengen visa. This is because they are not from a country that has a visa liberalisation agreement with the EU. However, provided an Indian citizen holds a legal residency permit in the UK for a minimum of 3 months after returning from the Schengen Area, they will be eligible to apply for a Schengen visa from the UK to travel to Europe.

As with the example above, if the Indian citizen is not a legal resident in the UK or will not have sufficient time left on any residency permit on their return to the UK, they would need to leave the UK and apply for a Schengen visa from their home country.

Where do you make a Schengen visa application?

To apply for a Schengen visa from within the UK, you have to be a UK resident. Any nonresidents, such as tourists and travellers, cannot submit their visa application from the UK. Instead, they will need to apply for a Schengen visa at a Schengen embassy or consulate in their home country. Equally, for those living in the UK but whose residence permit will not be valid for at least 3 months beyond the date they plan to leave the Schengen Area, will again need to make an application from their home country, unless they are able to apply to extend their stay in the UK before applying for a Schengen visa.

However, for those overseas nationals living in the UK who are eligible to make a Schengen visa application from the UK, they will need to apply to the appropriate Schengen embassy or consulate. All of the Schengen states are represented in the UK by embassies and consulates where, depending on your purpose and proposed length of stay, there are certain specifications to help clarify at which embassy or consulate within the UK you should apply.

For example, if you are visiting only one Schengen country, you will need to apply to the embassy or consulate for the country of destination. However, if you are visiting more than one Schengen country, you should apply at the embassy or consulate for the country where you plan to stay the longest, ie; your main destination. In cases where you will be visiting more than one Schengen country for equal lengths of time, you must apply at the embassy or consulate representing the Schengen country that you will physically enter first.

How to apply for a Schengen visa

Before applying for a Schengen visa, you will first need to determine whether you need this type of visa, depending on the purpose of your travel and your nationality. Having established the need for a Schengen visa, before applying you will next need to decide on your travel plans, calculating the number of days you plan to be in the Schengen Area, the countries you are going to visit, if more than one, as well as the country or countries from which you will enter and exit. You can then begin the process of setting up an appointment at the right Schengen embassy or consulate, either in the UK or your country of residence.

In March 2023, EU Member States confirmed agreement to a new digital application process for the Schengen visa, with the aim of fully digitalising the EU visa procedure. The development of the platform is expected to start in 2024 and could potentially become operational in 2026, with all EU Member States using the platform by 2031. In the meantime, travellers are required to apply through the existing process.

To apply for a Schengen visa, you will need to book an in-person appointment at the embassy or consulate of your selected destination country. You will also need to pay the relevant fee and download a visa application form on which you must set out your reasons for visiting the Schengen Area and other details regarding your trip. You will need to submit your completed application form and supporting documents to the consular officer when you attend for your interview, where your application must be submitted at least 15 days before the start of your planned journey but cannot be lodged earlier than 6 months.

When making a Schengen visa application from the UK, you will need to provide various documents in support. This documentation must include a valid passport, a valid UK residence permit, a passport photo in the appropriate format, a cover letter explaining the purpose of your visit, proof of travel arrangements to and from the Schengen Area, proof of valid travel insurance, as well as proof of accommodation and financial means. You will also need evidence of employment, self-employment, retirement or studies in the UK.

How much does it cost to apply for a Schengen visa?

The cost of applying for a Schengen visa from the UK is £73 or €80 for an adult, and £36.50 or €40 for a child aged between 6 and 12 years. For children under 6, it is free.

How long does a Schengen visa last?

A Schengen visa will allow you to visit any of the Schengen countries during the same trip within the validity period of your visa. However, depending on the reason and frequency of your visits, you will be issued with either a single-entry, double or multiple-entry visa. The validity of any single-entry visa will depend on the number of days you wish to be in the Schengen Area as stated on your visa application form, although the decision as to the period of validity will rest with the issuing Schengen embassy or consulate.

When is ETIAS due to take effect for visa-free travel?

There are currently over 60 countries that are not in the European Union but whose citizens can enter the Schengen Area for the purposes of tourism or business for up to 90 days without needing a visa. However, with a view to making its borders more secure, citizens of countries entitled to enter the Schengen Area visa-free will soon need to obtain authorisation under the European Travel Information and Authorisation System (ETIAS) .

This is a new form of electronic travel authorisation to monitor all visitors from countries who do not need to obtain a visa to enter the Schengen Area. Once ETIAS becomes fully operational in November 2023, this system will be used to screen travellers, cross-checking various databases to ensure that these people do not pose a security threat. When ETIAS comes into effect, this will resemble the US Electronic System for Travel Authorization (ESTA) , which serves a similar security-related purpose for those travelling to the States.

The standard cost of a Schengen visa fee is approximately €80 per adults but may be lower depending on your age or nationality. Visa application centres charge additional fees ranging between £30 and £70 usually. Our standard service fee for Schengen applications is £100. Which country should you submit your application for a Schengen visa at?

You need to apply for a Schengen visa at the country where you plan to travel to. If you plan to visit more than one Schengen country, you need to apply at the country of your main destination - where you will spend most days. What do you need to prepare?

  • Your passport. Check that your passport has at least 6 months’ validity after the expiry of the visa you are applying for and that you have at least 2 blank visa pages. Your passport will not be accepted for visa processing if is damaged.
  • Your UK visa/residence permit (for non-UK nationals). The validity of your UK residence permit must exceed that of the requested visa by more than 3 months.
  • Copies of all previous Schengen visas. If issued in an old passport, a copy of the old passport too.
  • Return flight booking confirmation (must show applicant’s name).
  • Accommodation booking confirmation (hotel, Airbnb, rental agreement, etc., must show applicant’s name and dates must correspond to the flight booking). Some consulates require proof of payment for your accommodation booking.
  • Travel insurance valid in the Schengen zone for the period of your stay.
  • Proof of employment – a letter from your employer confirming that you are employed in the UK with copies of the last three months’ payslips. If you are a student – a letter from your university. If you are self-employed – last year tax return.
  • Your bank statements for the last at least 3 months – originals plus copies.

For business visas additionally:

  • Copy of the invitation letter from the company you will visit in the Schengen zone, stating your passport details, the purpose of the trips, date of first trip, the number of entries for the visa required and the expected frequency of the proposed business trip(s).

Validity & Conditions of C Category Visa:

Depending on your reasons for visiting the Schengen countries and the frequency of your visits, the Schengen consulate can issue you a single-entry visa, double-entry visa, or a multiple-entry visa.

The validity of your single-entry visa depends on the number of days you stated you are going to be in the Schengen zone on your visa application form and the actual decision of the consulate that issues you the Schengen visa.

If you are a frequent traveller you may apply to obtain an EU visa valid for up to 5 years, but you have to keep in mind that you cannot stay within the Schengen Area for more than 90 days in a 180-day period of time even if you hold a multiple-entry visa for Europe valid for up to 5 years.

Lena, our guide in Moscow was excellent. She was very knowledgable and could answer any question we had for her. We liked that she could pick up on our interests and take us places we might not have thought of to go. When we realized that one of the places we had chosen to see would probably not be that interesting to us, she was able to arrange entry to the Diamond Fund and the Armoury for us. Riding the Metro with Lena was a real adventure and a lot of fun. In Saint Petersburg we found Anna well versed in the history of the Tsars and in the Hermitage collection. Arkady in Veliky Novgorod was a very good guide and answered all of our questions with ease. Novgorod was perhaps a long way to go for a day trip, but we did enjoy it. Vasily was a great driver to have and kept us safe with good humour and skill. We enjoyed ourselves so much, my daughter says she is already planning to return. We would both have no hesistation to recommend ExpresstoRussia to anyone we know.

Just wanted to let you know that My grandson Bruno and I couldn´t have been more pleased with our week in Moscow (6/15 - 6/21). We were absolutely enchanted with the whole experience, including getting lost a couple of times in the Metro during our free time. Although both our guides (both Eleanas) were excellent, I would particularly commend the first one (she took us to the Tatiakov, the KGB tour, and to that beautiful cemetery where so many great Russian artists, authors, composers, musicians, militarists, and politicians are buried). Her knowledge is encyclopedic; and her understanding of today´s Russia as a product of its past was, for us, truly enlightening. I will be taking another tour in Russia, with my wife, within the next two or three years. I will be in touch with you when the time comes. Meanwhile, I will refer you to other potential visitors to Russia as I meet them.

Do they speak English in Moscow?

As Russia’s capital city, tourists are well accommodated in Moscow. There should be English-speaking staff in restaurants, bars, hotels, shops and attractions in tourist hotspots, and there are also English-speaking tourist police. Transport services have English translations on their maps and English announcements via intercom; alternatively, order taxis from the Yandex Taxi app (Russian Uber), though it’s unlikely that your taxi driver will speak English. If you get stuck and cannot communicate, it’s fine to use Google Translate.

Is it safe to travel to Moscow?

It is no less safe to travel to Moscow than to any European city if you exercise common sense and look after your belongings. As with every city some regions can be more unsavoury than others, but no tourist attractions are located there. The traffic in Moscow is notorious, so exercise caution when crossing roads. Do not take unlicensed taxis; book in advance or take public transport, which is widespread and perfectly safe. If you encounter any problems, look for the special tourist police who can help you.
