All domestic and international trips with an overnight stay or airfare are processed in My ASU TRIP with a request submitted before travel and an expense report submitted within 30 days after a trip ends.
Accounts payable processes trips without an overnight stay, airfare and ASU travel card transactions on the mileage — parking reimbursement form (process EXP in Workday).
To ensure smooth travel arrangements, all requests for travel authorization requests must be submitted through My ASU Trip Access/Concur and approved by an authorizing travel official (ATO) and, if required, by ASU Travel and Risk Management before booking any travel.
Travelers are responsible for:
- Obtaining necessary authorizations before initiating travel or incurring any expenses.
- Completing The College Supplemental Travel Form for high-risk international travel (excluding ASU students) to expedite Risk Management review.
- Adhering to the ASU Travel Policy .
- Organizing travel arrangements and obtaining any required passports, visas, immunizations and additional international medical insurance.
- Reviewing travel requirements high-risk destinations, if applicable. In addition to Concur, the traveler/department can use the Travel.State.Gov site to look up travel advisories.
- Submitting a comprehensive expense report with receipts and proofs of payment within 30 days of the trip end date. Delayed reports may incur issue payroll deductions for outstanding travel card expenses beyond 120 days.
- Notifying the Travel Service Center promptly about trip cancellations and allocating corresponding ASU Travel Card expenses.

UPDATE: 10/17/23 Travel Guidance
Two notable changes have been introduced to the Travel Guidance:
- Removal of the Travel Dean/VP approval for International Travel from the approval workflow for new international travel requests . (Travel Dean/VP approval is necessary for any trips greater than $5,000, to a High Risk area and for any exception to ASU Travel Policy.) * Use The College Supplemental Travel Form for all travel to high-risk level requests for destinations rated at levels 4 and 5 in Concur. Please review the ASU Travel Policy Standard 3 : Safety and Compliance, for more information on how a country or region is designated as high risk.
- The traveler or delegate must manually enter the flight and hotel itinerary for international travel in Concur immediately after booking the airfare or hotel so the university may fulfill its duty of care responsibility to ASU travelers. - The traveler, delegate and department financial administrators are responsible for tracking and using unused airline tickets/credits for ASU business purpose.
- Anthony Travel can only assist the traveler with flight changes or cancelations if the airfare was booked in My ASU Trip or directly with Anthony Travel. The traveler must work directly with the airlines or travel agency where the airfare was booked

General information for The College
Paying for travel expenses - students, faculty, and staff.
To purchase airfare, the easiest and most convenient method is to book your airfare through My ASU Trip/Concur with Anthony Travel using the university-wide airfare card. Other options for airfare are a Department P-card, the ASU Travel Card, or personal funds.
Please note: the only travel expenses that can be paid directly by Department P-Cards for students, faculty, and staff are airfare and conference registration. All other expenses must be paid directly by the traveler and reimbursed when the travel is completed via the My ASU Trip/Concur Travel system. The P-Card should not be used to guarantee hotel rooms, even if the intent is to use another card for payment upon checkout.
Please be sure that all travel are signed by the appropriate authorized travel official (ATO) for your unit. All department chair or director travels must be signed by the Dean's Office.
If the hotel rate is over the maximum allowed rate, please provide documentation if it is a conference-designated hotel. If it was not conference designated, please provide a justification for requesting a higher rate and send through VP for approval. There are exceptions; ATOs can approve hotel rates at the federal per diem amount. You must state that it is an approved federal rate on the travel documentation.
Financial Services offers a training session every other month on the ASU Travel Policy and My ASU TRIP (Approver) . This training is intended primarily for approvers and delegates that act on behalf of users. The training will cover ASU travel policy, use of the ASU travel card, My ASU TRIP, best practices and resources . Please read ASU travel policy prior to attendance.
Please create your trip request in My ASU Trip/Concur prior to booking your flight or hotel arrangements. All travel is documented electronically through ASU's travel system, My ASU Trip . Dean-level Approvals
- Travel Authorizations greater than $5,000 will require dean approval. The requests over $5,000 will be automatically routed to The College Dean's Office business operations manager (BOM) for approval. Your BOM will review, obtain dean approval and then submit to Risk Management.
International Travel requests to high risk international destinations require approvals and documentation per ASU Travel Guidance . For international travel that does not include ASU students , the ASU traveler should complete and attach the fully approved College Supplemental Travel Form for international travel with risk to expedite review by Risk Management.
- Student International Travel - Arizona State University now provides a secure system for students traveling outside the United States and its territories to record ASU-related international travel plans. This service, provided by the Global Education Office, supports emergency communications and gives registered travelers access to valuable international health, safety and security resources.
- Travel for chairs/directors will require dean approval as the ATO. Please submit all Travel Authorization forms for your chair/director to The College Dean's Office BOM. Your BOM will review, sign as the ATO or obtain dean-level ATO approval, and then return to the unit. If you are using the online travel system via MyASU Travel, please route your authorization to The College Dean's Office BOM as the ATO. Your BOM will approve as ATO after reviewing with the dean. The following are the ASURITE User IDs for division BOMs for routing:

- Certain travel exceptions that are denied by ASU Travel until further review may require dean approval. If ASU Travel denies an expense after the travel reimbursement has been submitted and they request further approvals from the dean and VP/provost, please email The College Dean's Office BOM with the request for approval. The email should include a justification and backup for the expense in question. Your BOM will obtain dean-level and provost approval and forward approval back to the unit, who in turn may then work with ASU Travel to process the reimbursement.

The ISSC wishes to provide support during this uncertain time, and answer questions related to traveling as ASU responds to COVID-19. We understand the uncertainty of the situation and respect the unease it may cause, and we aim to give as much advice as we can based on the available information. Due to the rapidly changing nature of this situation, please continue to:

You can travel inside or outside of the U.S. while you are studying or working. However, you need to ensure that you follow certain regulations to travel safely, and plan ahead to avoid any delays.
Travel within the U.S. for current students
When you travel within the U.S. to any of the 50 states (including Alaska and Hawaii) or to the U.S. territories (Puerto Rico, Virgin Islands, Northern Mariana Islands, American Samoa), be prepared to take the following documents with you:
- Valid I-20 or DS-2019
- Valid electronic I-94 record
Passport - Your passport must be valid for at least six months beyond your period of stay in the United States (unless exempt by country-specific agreements )
Travel outside the U.S. for current students
As you prepare to arrive at the U.S. Port of Entry, please be prepared to present the following documents to the Port of Entry Officer.
- Required documents:
- Valid F-1 or J-1 visa.
- Current I-20 or DS-2019 with valid travel signature.

* As of May 12, 2023 , international travelers will no longer have to show proof of COVID-19 vaccination to enter the U.S.
You should also be prepared to answer the following questions to the Port of Entry Officer:
- Demonstrate your ties to your home country by sharing your plans to return home after you complete your degree.
- You may be asked to share all of your social media platforms you have used within the last five years. As such you will be required to provide the following:
- Username, screen name, handle or other identifier for each platform you use or have used.
- Your current email address and phone number.
- Any email addresses and phone numbers you have used in the past five years.
Note: You will not be required to provide any of your passwords.
- Answer any and all questions honestly and calmly.
Travel While on Post-Completion OPT or STEM-OPT Extension
If you are completing Post-OPT or STEM-OPT Extension, your travel signature is only valid for six months from the date of the last signature or until the end date on your EAD card, whichever comes first.
*The ISSC does not recommend traveling while an OPT application is pending with USCIS.*
When planning to travel outside of the U.S., on Post-OPT or STEM-OPT, be prepared to take the following documents with you:
- Valid F-1 visa. Please see Visa Renewal for instructions on how to renew your visa.
- OPT authorized I-20 with a valid travel signature endorsed within the last six months.
- Valid Employment Authorization Document (EAD card)
- Job offer letter (if available)
- If you will be traveling for more than 30 days, we recommend you obtain a letter from your employer explaining your employment status and the nature of any employment activities while you are outside the U.S. Travels may not exceed 5 months.
Things to consider before traveling:
- Is your travel essential and worth the risk of issues with travel and reentry to the U.S.?
- Is there a travel restriction for you to return to the U.S. from the country you will be visiting? Travelers Prohibited from Entry to the United States
- Is there a quarantine requirement when you get to that country that you must fulfill? Quarantine is no longer required when you return to the U.S. but still recommended .
- Does the country you are visiting require COVID testing upon arrival? Health and travel history? Smart-phone based tracking of travel around the country?
- Do you need a visa for the country you will be visiting?
- Do you need to renew your visa to return to the US? Is the embassy open in the country you will be visiting and accepting F-1 or J-1 student visa appointments?
- Will you have a layover in a country that has a travel restriction for the US? Are you able to have a layover in a different country?
- If you are unable to return to the US due to travel restrictions or embassy closures, can you continue your degree program from your home country or must you return to the US to continue?
- If you are graduating and considering pursuing Post-OPT, will you be back in the US in time to apply?
Travel to Country Other Than Your Own
If you plan to travel to a country other than your own, you should contact the consulate of that country to find out if you need a visa to enter that country.
Travel to Canada, Mexico, and/or Adjacent Islands
The automatic visa revalidation process re-validates that you are eligible to enter the U.S. for a single trip. It is not considered a new admission to the U.S. nor a renewal of a visa.
If you plan to travel to Mexico, Canada, and neighboring islands/U.S. territories with an expired F or J visa, you may be allowed to enter the U.S. using the automatic visa revalidation process under the following conditions if you(r):
- Visit outside of U.S. is not more than 30 days and the purpose is pleasure or vacation only.
- Have maintained full-time F or J status at all times.
- Have an unexpired passport and last I-94 indicates a status of “Duration of Stay.”
- Have an I-20/DS-2019 with a valid travel signature
- Have not applied for a visa during the travel.
- Are not from North Korea, Iran, Sudan, or Syria, which are countries identified as State Sponsors of Terrorism by the Department of State.

WHAT DO I DO IF I GET CALLED INTO SECONDARY INSPECTION AT THE AIRPORT?
There is no cause for alarm if you are asked to step into a side room for a secondary inspection. They may need to ask you some questions or verify some information. You are allowed to ask the officer what the issue is, but we recommend you do so respectfully. We recommend you review this website for more information.

CAN I ENTER THE U.S. AFTER THE SEMESTER START DATE?
Initial Students: Initials students can only enter the US within 30 days prior to the start date listed on their I-20. If you plan on arriving in the U.S. after your program start date, you will need to have your I-20 deferred to the next academic session. Please contact admissions to have your I-20 deferred.
Continuing Students: Continuing students should arrive back to campus by the first day of classes. If you plan to arrive after the semester start date, be prepared to answer questions at the Port of Entry regarding your late arrival. If you plan on applying for Post-OPT, please note that you must be in the U.S. in order to apply.
WHAT SHOULD I DO WHEN I ARRIVE IN THE U.S.?
What to do when you arrive in the U.S.:
When the plane lands in the U.S., proceed to the immigration and customs checkpoint.
Have all necessary information ready to present to the officer.
Complete all immigration and customs checkpoints.

WHAT CAN I EXPECT AT THE US AIRPORT?
At your Port of Entry, U.S. Customs and Border Protection will check your documents. This is where you will present your passport, visa and I-20 to the Customs and Border Protection officer.
While a CBP officer inspects your immigration documents, you may be asked some general questions. We encourage you to remain calm as questions are a normal, routine procedure. Always answer questions clearly, honestly and politely. If there is a problem, suggest that they contact the International Students and Scholars Center during normal business hours at +1 480-727-4776 or ASU's 24/7 support line outside normal business hours at +1 855-278-5080.

You must have the following documents to return to the U.S. in F-1 status:
A Form I-20, endorsed for travel and signed by your DSO within the last 6 months
Valid F-1 visa
Current EAD card
Financial information showing proof of necessary funds to cover tuition and living expenses
Job offer letter (if available, but not required)
Bring a letter from your employer explaining the nature of the employment activities outside of the U.S. if you will be traveling for more than 30 days. Travels may not exceed 5 months.
HOW CAN I GET A TRAVEL SIGNATURE?
Before submitting a Replacement and Travel I-20 Request eForm, make sure your employment and local address are updated.
Travel signatures for current students are valid for twelve (12) months. However, while on Post-OPT are valid for six (6) months. Processing time is up to 10 days due to a caseload. Therefore, plan your travels accordingly.
To request a travel signature:
Submit a Replacement and Travel I-20 eForm through the ISSC’s ISSC eForm Portal and follow the step-by-step instructions. Once you click the "submit" button, you will see a screen indicating that you successfully submitted your request. Processing time is up to 10 days due to case load, and therefore are processed first-come, first-served. Plan your travels accordingly as it may take up to 10 days to process your requests.
- If you are unable to print your Form I-20, please visit our website for additional printing and mailing options . Please note that you do not need to send the ISSC a copy of your signed I-20.
CAN I TRAVEL WHILE ON POST-OPT?
Yes, traveling while on approved Post-OPT is allowed. Once your Post-OPT is approved, you will be expected to have your EAD card in hand to re-enter the United States.
Travel signatures while on Post-OPT are only valid for six months.

CAN I TRAVEL WHILE MY POST-OPT APPLICATION IS PENDING?
Traveling while your application is pending should be undertaken with caution and avoided if possible.
Here are some possible travel scenarios:
Traveling before your completion date and while you have a pending OPT application. Returning to the US before your completion date is permitted because you are still a student even when your application is pending.
Traveling after your completion date and while your OPT application is pending. This is not recommended because once you complete your program you will be expected to have your EAD card in hand to re-enter the United States.
USCIS may send you an RFE (Request for Evidence) while you are away, so you would want to make sure you have provided the correct U.S. address both to your DSO/school and on the application and would be able to send in any requested documents.
Also, if USCIS approves your Post-OPT application, you will be expected to have your EAD card in hand to re-enter the United States. Like an RFE, USCIS can only send the EAD card to your U.S. address.

CAN I TRAVEL WHILE MY STEM OPT 24-MONTH EXTENSION IS PENDING?
Traveling after your Post-OPT EAD card has expired and while you have a pending 24-Month STEM OPT application. The SEVP Policy Guidance outlines that if the student’s employment authorization document expires and the 24-Month STEM OPT extension document is pending the student must wait to receive the new employment authorization document to travel.
Traveling before your Post-OPT EAD card has expired and while you have a pending 24-Month STEM OPT application. Returning to the US before your Post-OPT EAD card expires is permitted because you still have a valid EAD card to show at the port of entry even when your STEM extension application is pending.
Also, if USCIS approves your STEM OPT application, you will be expected to have your EAD card in hand to re-enter the United States. Like an RFE, USCIS can only send the EAD card to your U.S. address.
Travel signatures while on 24-Month STEM OPT are only valid for six months
Student International Travel
Arizona State University now provides a secure system for students traveling outside the United States and its territories to record ASU-related international travel plans. This service, provided by the Global Education Office, supports emergency communications and gives registered travelers access to valuable international health, safety and security resources.
Who is required to register travel?
Per the ASU Student International Travel Registration policy , all ASU students participating in ASU-related travel outside of the United States and its territories, as well as any ASU faculty/staff members engaged in ASU-related travel abroad with one or more ASU students, during which such faculty/staff have control, oversight or other supervisory responsibility over the accompanying ASU student(s). ASU-related international travel includes, but is not limited to, the following activities:
- Research, experiential learning (e.g., international internships, co-ops, volunteering, service-learning), independent study done abroad, or any other international travel that is part of an ASU class or for which the student receives ASU resident credit;
- International travel sponsored by or affiliated with ASU or an ASU student organization (this applies to both affiliated and independent student organizations registered with EOSS );
- Any other international travel by students for the purposes of officially representing ASU, such as participation in an academic or professional conference or athletic competition.

Book travel
Submitting your international trip request.
Before you can book your travel, you must have an approved My ASU Trip request. You, or a delegate, should submit your trip request at least two weeks in advance of when you would like to book your travel as international trip requests often require additional approvals. For instructions on creating your trip request, see the My ASU Trip manual . No bookings should be made until your trip request is fully approved.
Complying with the Fly America Act
If you are paying for your travel with federal funds, you are generally required to travel on an air carrier that meets the U.S. government’s safety and economic standards. The list of approved air carriers includes not only major carriers, like American and Delta, but also smaller, more obscure carriers. In some cases, your travel may be eligible for an exception. Before booking travel, make sure you understand the Fly America Act .
Flying in developing countries
If you are flying in a developing country, research the safety record of the airline before booking a ticket. Confirm your ticket a day or so in advance by calling or visiting the airport office. More and more airlines are offering online check-in, but it is not always reliable. Consider arriving at least three hours in advance of your flight so that you have time to resolve any issues that may arise. If available, consider purchasing access to the VIP lounge in the airport so that you can wait for your flight in a more secure area.
Finding suitable lodging
When researching lodging options, take into consideration a range of criteria, including location, cost, safety and security, infrastructure, amenities, and services.
Determine the key criteria for your particular destination so that you can properly prepare. Keep in mind the Department of State foreign per diem rates when making your reservation. If you book an accommodation that cannot be booked in My ASU TRIP, forward the completed booking to [email protected] prior to travel.
Obtaining security services
If you are traveling to a location with a U.S. Department of State travel warning 3/4 or MyASUTrip level 4/5 alert, ASU Risk Management may direct you to obtain security services. If you require assistance with this process and you are with Research, contact [email protected] . For all other travelers, please contact [email protected] for more information.
Hiring a driver
If you are traveling to a location without safe and reliable public transportation or roads, consider hiring a driver. There are many benefits to hiring a driver, including knowledge of local roads, languages and norms. Fully vet your driver well in advance of your trip, including confirming that he/she has a safe and reliable vehicle. Agree on a rate upfront, and be prudent about when you provide payment to the driver. Ensure you have a picture of the driver before meeting them.
Renting a car
Renting a car outside the U.S. requires more preparation than renting a car in the U.S. You will likely need to be able to drive a manual transmission or specifically request an automatic transmission. You should familiarize yourself with relevant laws, including those for seat belts, speeding and accidents. Many countries have much harsher penalties for accidents than the U.S. Finally, you must obtain the proper licensing and insurance.
ASU employees, students and registered volunteers driving on university business must be an Authorized Driver .
Car insurance
ASU or state rental contracts are not available for international car rentals. Departments must confirm with the rental company that full coverage insurance is included in their rental rates.
- If insurance coverage is not included, the departments must purchase the full coverage insurance offered by the rental car company.
- If the country you are traveling to requires that you purchase local rental car insurance, then you must purchase the additional insurance.
- If the country you are traveling to does not require you to purchase additional coverage, and you are traveling on official ASU business, in the event the vehicle is damaged, the State provides contingent auto liability coverage that should respond if there is no local coverage in place. In the event of damage to the rental vehicle, departments must submit an auto insurance claim .
- Only allow individuals named on the insurance policy to drive the rental car.
Driver’s licenses
Many countries do not recognize U.S. driver’s licenses, but most recognize the International Driving Permit. If you need to obtain an International Driving Permit, you can do so through one of two U.S. organizations: the American Automobile Association (AAA) or the American Automobile Touring Alliance (AATA).
Driving in Mexico
If you are driving a university-owned/leased vehicle in Mexico on authorized university business, ASU’s property and liability insurance covers you. However, you must request proof of insurance from [email protected] and keep the insurance document in your car. You should also become familiar with the State of Arizona and ASU Risk Management information on accidents and accident reporting for Mexico. You must report all accidents while you are still in Mexico.

Arizona State University has been ranked in the top 1% of nearly 21,000 universities worldwide for education, employability, faculty and research, according to the 2024 edition of the Global 2000 list by the Center for World University Rankings.
The center uses objective indicators to rank 20,966 universities around the world. The rankings were released May 13.
Overall, ASU ranks 194th out of the total 20,966 institutions — in the top 1% — and 67th in the U.S.
For employability, ASU ranked 649th, or the top 5%.
Other rankings for ASU are:
•Regional rank (U.S. and Canada): 74th.
•Research rank: 150 th — in the top 1%.
•Faculty rank: 266th — in the top 2%.
•Education rank: 451st — in the top 3%.
ASU ranked higher than Georgetown University, University of Illinois – Chicago, and Florida State University.

The Center for World University Rankings publishes the largest academic rankings of global universities. The rankings do not rely on surveys, instead using objective data points.
The center uses seven objective and outcome-based indicators grouped into four areas to rank the universities:
•One-quarter of the ranking score is education — based on the academic success of a university’s alumni, measured relative to the university's size.
•Another one-quarter is employability, based on the professional success of alumni, measured relative to the university's size.
•Research is worth 40% of the score and is measured this way: output, measured by the total number of research articles, 10%; high-quality publications, which is the number of research articles appearing in top-tier journals, 10%; influence, or the number of research articles appearing in highly influential journals, 10%; and the number of highly cited research articles, 10%.
•The center also measures the number of faculty members who have received top academic distinctions, for 10% of the score.
The Center for World University Rankings is a consulting organization providing policy advice, strategic insights and consulting services to governments and universities to improve educational and research outcomes. The global university rankings are known for objectivity, transparency and consistency.

4 dead as severe storms hit Houston area; hundreds of thousands lose power in Texas
Emergency crews in southeast Texas were clearing debris and assessing flooding on Friday after powerful storms tore through the state , killing at least four people and knocking out power to nearly 800,000 customers.
The winds — which reached 100 mph — were reminiscent of 2008's Hurricane Ike , one of the costliest natural disasters in American history, Houston Mayor John Whitmire said in a briefing Thursday. A widespread 3 to 6 inches of rain fell north of Houston, with one of the highest totals reaching around 6.9 inches in 24 hours near Romayor.
The storm also battered New Orleans overnight, with severe thunderstorms and flooding possible again through Saturday morning, according to the local branch of the National Weather Service .
In Texas, the destruction was evident even before sunrise, with high winds tearing out windows of high-rise buildings in downtown Houston and inundating the region with flooding. Streets were littered with glass, electrical lines and other detritus.
“I know that many people lived through, and are still living through, scary situations with the terrible strong winds that blew across our county tonight," Harris County Judge Lina Hidalgo said in a statement Friday morning.
"Damage assessments are ongoing, and we cannot know how long it will take to clear debris without those assessments completed, but from initial reports the debris looks very significant," Hidalgo said.
Classes were canceled for the 400,000 students in the Houston Independent School District.
Officials urged all but essential employees to work from home if possible, and the Houston Police Department told residents to avoid traveling downtown.
Two of the four people who died in Texas were killed by falling trees, while a third died when a crane blew over, Houston Fire Chief Samuel Peña said at a news briefing. No information was given about the fourth. Whitmire said a possible fifth death is being investigated, but it’s not yet clear if it was related to the weather.
Texas Gov. Greg Abbott thanked emergency personnel in a statement, saying work is ongoing to assist communities affected by the storms.
“Our hearts are with the families and loved ones of those who tragically lost their lives due to severe weather in Southeast Texas, and we remain in contact with local officials to do everything we can to protect Texans and help our communities recover,” Abbott said.
At one point, more than 900,000 customers were without power statewide; that remained true for around 670,000 as of 3 p.m. CT, according to poweroutage.us . Nearly all of those were in Houston’s Harris County.
Heat and humidity in the city will ramp up into the weekend, which could lead to health concerns if power is not restored quickly. Temperatures could be as high as 91 degrees with a heat index of 97.
Across Houston, photos and videos on social media showed intense flooding and downed trees, as well as toppled electrical towers and power lines .
In a video posted to Facebook , rain was seen leaking into Minute Maid Park, where the Houston Astros play. Another video showed baseball fans leaving the stadium amid the bad weather.
Strong winds appeared to have blown off roof panels at a Hyatt Regency Hotel in Houston, a video posted to X showed. Other footage shared on the platform showed blown out windows in a building in the city's Wells Fargo Plaza.
Whitmire described downtown Houston as a “mess” and warned that “many roads are impassible due to downed power lines, debris, and fallen trees.”
Firefighters were removing live wires from Route 290 and most city traffic lights were down, he added.
In Louisiana, the severe weather knocked out electricity for some 215,000 customers, many in and around New Orleans. Around 115,000 remained without power as of Friday morning.
A swath of the southeast coast, stretching from Louisiana, through Mississippi, Alabama and into the Florida Panhandle, was under a flood watch early Friday.
The National Weather Service said in an afternoon update that unsettled weather, including the possibility of excessive rainfall and severe thunderstorms, will persist across the Southeast through Saturday.
Around 7 million people along the central Gulf Coast remain under flood watches.
“A few tornadoes, scattered damaging winds, and hail all appear possible over the central/eastern Gulf Coast area,” according to the National Weather Service.
The agency also noted a risk of severe thunderstorms in portions of the northern Plains through Friday evening.

Group travel
ASU policy currently requires formal approval for all ASU-related student international travel. In order to secure that approval, students (or their ASU faculty/staff group leaders) should begin by registering in this Student International Travel Registration System at least two weeks in advance of planned departure. All such requests will be reviewed by the Global Education Office (GEO) and/or the ASU International Travel Advisory Committee (on behalf of the appropriate Dean/Vice President and Provost/Executive Vice President). Requests submitted less than two weeks prior to departure may not be reviewed before travel.
*Requests approved more than 60 days in advance of travel will be re-reviewed by GEO and/or ITAC approximately 30 days prior to departure.
Please note: Any student who needs to register their ASU-related international travel in My ASU TRIP (Concur) - or any ASU faculty or staff member traveling with ASU students - should complete this process before seeking approval for travel (and related expenses) in My ASU TRIP (Concur). For any such requests, the traveler can upload GEO’s approval notice to My ASU TRIP (Concur) to expedite approval of that request by ASU Travel and Risk Management. These requests will not be approved in My ASU TRIP (Concur) until they have been approved through this process.

Registered travelers will have access to 24/7 ASU emergency response services while abroad on University-related travel. Before departure, all registered travelers should be equipped with vital emergency information by reviewing ASU's Emergency Contacts and Procedures .
International Health Insurance
Before departure, the Global Education Office will enroll all registered travelers in an international medical/evacuation/repatriation insurance program . ASU's partner, CISI, provides registered travelers access to numerous resources to help manage medical needs before and during travel.

Other Considerations
High risk destinations.
All University-Related Travel to a country and/or area designated as a “High Risk Destination” requires advance review and approval by the Office of the University Provost or designee. ASU’s International Travel Advisory Committee (ITAC) reviews all planned student travel to High Risk Destinations and advises the Global Education Office and the Office of the University Provost whether the proposed travel should be approved.
A country and/or area is designated as a “High Risk Destination” if any of the following conditions apply:
- A current Travel Advisory (Level 3) has been issued by the U.S. Department of State *;
- A current Travel Health Warning (Level 3) has been issued by the U.S. Centers for Disease Control and Prevention *;
- A destination has a current Crisis24 Security Assessment rating of 4/5;**
- A destination has a current Riskline Security Rating of 4/5;**
- COVID-related restrictions in the destination are so restrictive as to significantly inhibit the student’s ability to achieve his/her objectives and access critical resources (e.g., border closures, required quarantine on arrival, severe restrictions on in-person activities, hospital capacity restrictions, etc.), or
- ASU travel to a country/area has been designated as restricted by the Office of the University Provost, based on recommendation from the ITAC.
The following conditions and restrictions apply to High Risk Destinations:
- In addition to all other required travel documents, students registering travel to a High Risk Destination must review supplemental information provided by the Global Education Office and acknowledge the risks related to such travel by digitally signing an Acknowledgment of Safety and Security Risk(s) within the online travel registration system.
- The Provost, the ITAC, or the Global Education Office may authorize or restrict ASU travel to specific regions within a High Risk Destination.
- No ASU student, faculty or staff will be required to travel to a High Risk Destination.
*ASU does not automatically consider a destination to be “High Risk” if the Level 3 or Level 4 designation is due only to COVID.
** Crisis24 and Riskline are third party travel intelligence service providers with which ASU has a contractual relationship for risk analysis and other travel risk management services. ASU will not approve student travel to any destination with a 5/5 rating from Crisis24 or Riskline.
ASU travel policy
In addition to consulting the Student International Travel Registration Policy , be sure to consult FIN 501 for details on ASU’s travel policy for faculty, staff and students traveling on authorized university business.
Ground transportation
- Per FIN 501 (Standard 6) , the use of 12- and 15-passenger vans is prohibited and will not be reimbursed.
- ASU faculty/staff who wish to drive students during any ASU-related international travel MUST complete ASU’s Authorized Driver Program . ASU students should NOT drive other ASU students while participating in ASU-related international travel. Any questions related to this should be directed to Risk Management Services .
- ASU employees renting a vehicle for ASU-related travel should consult https://cfo.asu.edu/purchasing-sunmart-car .
- Consult EHS 705-06 for information about insurance coverages in place for university international travel (including ASU’s Mexico auto insurance), as well as EHS 705-02 for guidelines and an overview of the method and process for filing a vehicle claim .

Local laws and regulations
All students/faculty/staff engaged in University-Related Travel must comply with all applicable laws and regulations imposed by, or applicable to, the country/area to be visited. ASU may have limited ability to intervene or assist in the event of arrest or imprisonment abroad.
Principal Investigators engaged in research abroad and utilizing students in the conduct of such research must obtain, in advance of such research activity on foreign soil, all special visas, permits, consents, etc. that may be required by local authorities. Principal Investigators are encouraged to contact the local embassy for assistance if any concerns arise.

Export controls and compliance
The ASU Office of Research Integrity and Assurance (ORIA) oversees ASU’s compliance with federal laws and regulations related to export controls and travel restrictions to sanctioned countries. The Executive Vice President of Knowledge Enterprise Development is authorized to prohibit or restrict ASU travel to any country or region that poses an unacceptable risk for purposes of compliance with such laws and regulations.
