Graduate Student Travel Awards

SEFS is committed to providing support for academic travel to all graduate students who have been invited to showcase their research at notable national and international academic conferences, seminars, and professional meetings. There are two sources of travel support: support from the Graduate School (awards limited to one per fiscal year, with SEFS nominating students for funding to the Graduate School and the Graduate School making the award decision) as well as the SEFS Director’s Office funding (awards limited to once every two years, with a limit of 3 awards overall as a SEFS Graduate Student; SEFS makes the award decision).

Graduate Student Conference Travel Awards from the Graduate School

Students can be nominated for  Graduate School funding which exists to assist graduate students to present a paper/poster or serve as an invited speaker at conferences or other professional meetings. These funds may be used only for transportation (airfare, mileage, taxis, etc.) and conference registration fees; funds may not be used for hotels, food or other expenses. Individual awards are limited to one per fiscal year, and priority will be given to students who have not received Graduate School travel funding in the past as well as to those who do not have other sources of travel support. Maximum award amounts are $300 domestic and $500 international. The student must have the following criteria:

  • Be confirmed as a presenter.
  • Currently in good standing in the SEFS graduate program.
  • Be presenting work developed at the UW (not a prior institution).
  • Be enrolled in UW courses at the time of the conference (or enrolled in the spring and registered for autumn if conference is in the summer).

Director’s Office Funding

The School of Environmental and Forest Sciences Director’s Office is also able to partially support graduate student travel to notable national and international academic conferences, seminars, and professional meetings. Every SEFS graduate student may receive this supplemental award once within a two-year period, and a maximum of three times as a SEFS graduate student, provided they meet the qualifications described below. The following conditions must be met by the graduate student in order to receive this award:

  • Presenting a paper or poster, delivering an invited lecture, or receiving an award, at a notable academic conference, meeting or workshop.
  • Currently enrolled and in good standing in the SEFS graduate program.
  • Have not received a travel funds award from the Director’s Office funding within the last two years.  Your application can be submitted prior to the two-year period being complete if you have travel upcoming that you are trying to fund as you are requesting your next reward. But you can only receive funds once every two years  Please also be sure to indicate on the request form the dates of any previous Director’s Office travel funding awards.

Students receiving director’s travel support agree to submit a short report for the SEFS newsletter about the event, make available event proceedings (if any), make available to the school a copy of posters presented (if any), and represent the school by taking and distributing SEFS program materials, or other activities identified as appropriate.

The amount of Director’s Office Funding is:

  • $500 of expenses for domestic conferences, seminars and meetings.
  • $700 of expenses for international conferences, seminars and meetings.

Application Deadline and Procedure

For each of these awards, the Graduate Student Travel Award Form must be submitted a minimum of 2 months prior to your first travel date. We encourage students to submit an application as soon as they learn of their involvement in a conference (usually, acceptance of their work for presentation at a conference).

The requests are evaluated for meeting the conditions above by the Advising Office and the Associate Director for Academic Programs. Students will be notified of funding decisions within one month of submitting a request.

SEFS aims to provide a response within two weeks when possible. If you have not heard back within two weeks, please contact  [email protected] .

Other Travel Support for Graduate Students

College of the environment student travel & meeting fund.

The College of the Environment supports undergraduate, graduate and Ph.D. students in furthering their careers, and in particular in connecting students to networking opportunities afforded by the presentation of their original work in meeting venues. CoEnv supports two types of student attendance at meetings: Individual student travel to meetings and funding for student organized meetings. Funding proposals, whether individual or from a student organization are reviewed on a quarterly basis. Submissions should be planned such that travel can be accomplished within 6 months of the date of the award, otherwise the award may be retracted. Awards will not be granted retroactively for travel that has already been completed – please plan accordingly and apply for funding by the submission deadline prior to your conference or meeting. Graduate & Professional Student Senate Travel Grants

In an effort to help improve graduate and professional student life at the University of Washington, the  GPSS Travel Grants Program  contributes funds to qualifying individuals’ travel expenses for active conference participation in the US and abroad. This is done in an effort to facilitate and promote the intellectual and professional development of graduate and professional students at the University of Washington, but also to encourage mutually beneficial interaction among students and GPSS senators. GPSS Travel Grants further contribute to the strengthening of the University and its increased prominence in the greater scholarly community through the broadening of students’ personal and academic development through exposure to the work of others elsewhere.

Students whose conference participation might otherwise be unfunded, have strong academic credentials and are making fair progress towards their respective degrees are encouraged to apply. Recipients will receive awards up to $300 for domestic conferences and $500 for international conferences. Active participation (presenting a paper or poster, chairing a session or panel, etc.) at an academic conference is required and proof of acceptance is required with this application. Applicants must have a cumulative GPA of at least 3.2 to be considered.

College of the Environment

Travel fund, college of the environment policy for contribution to student/postdoc meeting attendance.

The College of the Environment supports undergraduate students, graduate students and postdoctoral scholars in furthering their careers, and in making connections to networking opportunities afforded by the presentation of their original work in academic and/or professional meeting venues, by helping to support travel expenses to scholarly/professional meetings. Summer school attendance is generally not eligible for funding.

UW Environment supports individual student/postdoc travel, or virtual presentations, at academic meetings.

Submission process

Proposals during the 2023-2024 academic year are reviewed with the following submission deadlines.

Travel and conference attendance should be accomplished within six months of the date of the award. Awards will not be granted retroactively for travel and conferences that have already been completed, so please plan accordingly.

2023-24 submission deadlines

  • Autumn 2023: Friday, October 27
  • Winter 2024: Friday, January 26
  • Spring 2024: Friday, March 29
  • Summer 2024: Friday, June 28

>> INDIVIDUAL STUDENT/POSTDOC TRAVEL TO MEETINGS

The College realizes that presentation of original work at national or international meetings hosted by professional societies can truly accelerate the career of an early career scholar. We define professional meetings as those hosted by professional scholarly organizations operating at a regional, national or international level.  Examples include: the American Geophysical Union (AGU), the American Association for the Advancement of Science (AAAS), or the Ecological Society of America (ESA).  If you have a question about whether the meeting you would like to attend is eligible, please contact [email protected] in advance of your application.

Eligibility

Applicants may only receive a travel funding grant once per degree (students) or position (postdocs).  Note that applications for participation in virtual meetings (online meeting registration only) will be considered more than once.

Applicants must be matriculated students receiving their degree from the College of the Environment, or postdoctoral scholars employed on a UW College of the Environment budget and with a College of the Environment advisor/Principal Investigator .

Undergraduates pursuing a minor in the College, but not a major, are not eligible to apply. Graduates pursuing a Graduate Certificate in the College, but not a UW Environment graduate degree, are not eligible to apply.

Applicants must be giving oral presentations of their original work (including co-authored work where the applicant is the presenting author). In extraordinary circumstances, funding may be available for poster presentations; for instance, if the conference only features poster presentations. If you are applying for funding for a poster presentation, you will be asked to describe these extenuating circumstances preventing an oral presentation and should ask your faculty advisor to also do so in their letter of support. Without this explicit additional documentation, your application will not be considered.

For Postdocs Only:   It is the expectation of the College that postdoctoral scholars working on grant/contract funding supporting research/scholarship will also be supported on those funding sources to present their work to professional audiences.  Therefore, added weight will be given to applications that clearly demonstrate that the work being presented falls outside of this focused research.  Examples might include interdisciplinary work, work that has evolved out of interactions with other scientists or labs while at the UW, or work that is not directly aligned with the work of the PI/research project.

Funding (NOTE – new rates starting in 2024)

Travel to national meetings (including Canada) funding maximum is $1,000 .

Travel to an international meeting funding maximum is $1,500 .

UW Environment Individual Student/Postdoc Travel Funds can be used to support:

  • conference registration fees
  • airfare, bus and other transportation costs
  • lodging and meals (NOT to include alcohol), up to  per diem  for the city of travel

UW Environment will not provide support for:

  • accommodation or food expenses above  per diem
  • stipend or salary payments
  • creation of presentation materials

To apply for online meeting registration costs only, please provide:

  • Applicant name, unit, name of faculty advisor/PI
  • For students only: degree sought
  • Name of Meeting; Professional Society or Organization hosting the meeting
  • Dates of meeting
  • Presentation title, author(s), and abstract, as submitted to the meeting organizers.
  • Brief statement (300 words max ) about how presenting your work at this meeting will advance your career.
  • Registration cost
  • If the amount requested is more than $300 , please submit a letter of support from your faculty advisor using the guidelines detailed below

To apply for funding for individual student/postdoc travel:

  • Detailed budget proposal, using the  Student/Postdoc Travel & Meeting Fund Budget Template
  • Budget guidelines
  • Use the template to provide detail about your total estimated budget and funding sources. Where applicable, use UW  meal  and  lodging per diem rates. To reduce costs, consider cost-saving measures such as sharing a room with a fellow student/colleague attending the conference or only requesting the amount necessary for meals or lodging (rather than the full per diem amount)
  • The strongest applications will show requested or approved support from several sources. If you are only requesting funding from the College, please state the reasons why you have not applied elsewhere
  • Upload your budget file using the format “LAST NAME, FIRST NAME Budget Proposal” when prompted
  • Obtain a one page letter of support from your faculty advisor

LETTER OF SUPPORT GUIDELINES

  • Please alert your faculty advisor of these required elements to ensure a strong letter of support:
  • How this particular conference is seminal in advancing the applicant’s career
  • Why this applicant in particular should be supported by the College.  If you have multiple students and/or postdocs applying for funding in the same quarter, please be careful to clearly distinguish among them
  • Why grant/contract support is not available to cover all of the travel expenses this student/postdoc requires.  Note that partial support of an applicant is viewed favorably by the committee
  • Have your faculty advisor save the letter of support as a PDF and name the document using the format “APPLICANT LAST NAME, APPLICANT FIRST NAME_ADVISOR LAST NAME_SupportLetter” and then upload document when prompted by the online application OR have your faculty advisor email the pdf directly to [email protected].

Your application is not complete until you have submitted all materials. Incomplete applications will not be considered.

Within one month of the meeting, awardees must submit a brief synopsis to [email protected] . Your synopsis should include the:

  • List of any awards/honorable mentions you received
  • Final title of your presentation
  • Session title, including whether the session is invited, or general session
  • Date and time of your presentation
  • Online attendance in your session/at your talk

Application review process

All complete applications will be reviewed by the College of the Environment Student Scholarship and Funding Committee, comprised of faculty and staff who are advisory to the Associate Dean of Academic Affairs. The Committee will submit recommendations, together with a brief explanation, to the Associate Dean of Academic Affairs, who will make the final funding decisions. Because of the continuing nature of this funding cycle, the Associate Dean reserves the right to sub-select from highly ranked applications in any single quarter, to balance out awards annually.

The Committee will score individual travel grant applications as follows:

  • Statement of how this specific meeting will help further career (50%)
  • Faculty advisor recommendation (20%)

Travel Grants

The Allen School has a small pot of funds for the year to support student conference presentations. Typical award amounts are up to $500 per individual request. Priority goes to students who have not used any Allen School Travel Grant funds in the current academic year. Students must be presenting work to receive a grant. Additionaly, part of the criteria to be considered for an Allen School Travel Grant is that the student is also seeking out other forms of funding, such as from:

  • Their research advisor
  • Conference scholarships (if any are available)
  • GPSS travel grants
  • Graduate Student Conference Presentation Award  (Graduate School) ($500 for international travel, $300 for domestic travel)

The  Allen School Travel Grant application  is available year-round. Use that application to request funds from the Allen School's Travel Grants program and/or from the UW Graduate Schools GSFEI program. Students are required to provide the following information in their request:

  • Title of poster/paper
  • Proof of participation (i.e. pdf email invitation, screenshot of agenda)
  • Other anticipated sources of funding
  • Conference registration fee
  • Approximate Flight/transportation cost
  • Hotel cost (shared preferred)

It is important to note that the Allen School Travel Grants cannot cover meals.

DEIA in Tech Travel Grants

The Allen School is excited to provide funding for specifically “DEIA tech related conferences” (e.g., Afrotech, ACCESS). Funding is awarded on a first come, first serve basis. This award is not for the presentation of research; however, this award is intended to offer students the opportunity to work with, engage, and professionally network with different communities of people.

Awards will be assessed for the relevance of the conference and the professional networking opportunities to the student offered this type of award. Students are strongly encouraged to also apply for funding and scholarships directly from the targeted conference. Please fill out the  Allen School Travel Grant application  and mark "DEIA in Tech Travel Grants" when asked and then complete the remainder of the application.  It is important to note that the Allen School DEIA in Tech Travel Grants cannot cover meals.

  • To support our goal of raising the profile of the Clean Energy Institute, presentations facilitated by the travel award should include the UW CEI logo on their title and conclusion slides and all posters should include the CEI logo in the title bar. Presenters are asked to make a brief oral acknowledgement: “I’d thank the UW Clean Energy Institute for a travel grant to present this work.” All publications based on work supported by CEI should include the following acknowledgement: “This material is based in part upon work supported by the State of Washington through the University of Washington Clean Energy Institute.”
  • Individuals may receive a maximum of two awards per fiscal year (ending June 30). Awards are also limited to a maximum of 4 per research group per fiscal year. In the event of limits on funding, priority for travel fellowship funding will be given based on engagement with broader CEI education activities, and quality of the travel experience, as judged by the education director.
  • CEI researchers may “pre-apply” for a travel fellowship prior to acceptance of their abstract. To do so, the applicant should complete the form as usual, but include a copy of their abstract, and have their PI send an email to [email protected] confirming that if the applicant’s paper is accepted for a talk, that the PI will cover the required matching funds.
  • Awards are only available for current UW students at the time of travel.

Applications are accepted on a rolling basis. Applicants will be notified of the funding decision within 2 weeks.

Travel Grants

The ASM Travel Grant provides funds for Registered Student Organization (RSO) travel to conferences during the academic year that serve to further and enhance the mission of the RSO. Travel should educate traveling RSO members, allowing them to bring new information back to the UW campus.

Applications for the 2023-2024 Academic Year will open August 14, 2023 and close on March 29, 2024.

Grant Details

  • Overview of Grant Process
  • Travel Grant Policies & Procedures
  • Grant Workshops

RSOs who are interested must apply for the grant 42 full days (6 weeks) prior to the travel start date. After applying, groups attend a GAC hearing and, if approved, a workshop with an ASM financial staff member. No grant funding can be spent prior to the workshop with an ASM financial staff member, including funds for which you intend to be reimbursed.

Details on each step in the grant process are outlined in the following tabs.

The ASM Grant Allocation Committee (GAC) is responsible for awarding grants to registered student organizations (RSOs) for travel, events, and operations. Funding for these grants comes from segregated university fees. The GAC maintains its own policies and procedures which you can view below. Once the academic year begins, these will be followed consistently for all applicants, and any revisions will not take effect until the following year.

Please review the ASM Travel Grant Policies & Procedures for information on eligibility, and the application and hearing process.

If a grant is approved by the GAC, the grant contacts will need to attend a grant workshop with ASM staff. More information will be provided in the RSO award notice, following GAC hearing and approval.

Getting There: Most Washington IDs won’t fly in a year, state officials say, urging people to get their enhanced licenses for airplane travel

In one year, a standard driver’s license or state-issued ID card will no longer be adequate identification for Washington residents to board an airplane.

Instead, people 18 and older will need to bring an enhanced driver’s license or ID card, U.S. passport, tribal ID, military ID, green card or another approved identification document with them to the airport.

The change is the state’s response to the U.S. Department of Homeland Security’s move to “Real ID” compliance for domestic flights. Effective May 7, 2025, the new federal “Real ID” guidelines were born out of security legislation passed by Congress in 2005 in response to 9/11.

State Department of Licensing Director Marcus Glasper visited the Spokane International Airport earlier this month to discuss the upcoming change in federal law. Glasper urged people to take proactive steps to evaluate their identification card setups well before the May 7 deadline.

“Please don’t wait until next year,” Glasper said. “If you’re thinking of getting an enhanced driver license or ID card, I encourage you to do it as soon as possible. Lines at driver licensing offices will get longer as we get closer to the May 7, 2025, deadline.”

Roughly 22% of Washington residents with licenses or state-issued ID cards already have made the switch to an enhanced license, state Department of Licensing spokesperson Christine Anthony said.

Enhanced licenses cost more than standards ones. An enhanced license that expires in five years costs $116, compared to $81 .

Licensing officials aren’t sure exactly how many people will make the switch at their local licensing offices in the next 12 months, because they don’t have records of the number of people with other forms of ID that will work under the new federal law.

Licensing offices across the state recently instituted an online appointment system where people can reserve a time slot in advance to cut down on in-person wait times. Walk-ins still are accepted.

To figure out what documents to bring for an appointment to get an enhanced ID card, Anthony said the DOL manages a web page with instructions for residents.

Anthony wanted to remind the public that they might already have another form of ID that will work to get them on an airplane.

“It’s just about knowing what you have and knowing what you might need,” Anthony said. “We have a website that people can go to that will walk them through.”

The following ID formats will be accepted in lieu of an enhanced license or state-issued ID card:

  • U.S. or foreign passport.
  • U.S. passport card.
  • Military ID.
  • Department of Homeland Security trusted traveler cards (Global Entry, NEXUS, SENTRI, FAST).
  • Transportation Worker Identification Credential.

Called the Real ID Act, the federal law that will require additional identification to board airplanes was passed by Congress in 2005. Multiple times, the government has punted the date they say the law will take effect.

Biden announces $3.3 billion AI investment by Microsoft at scaled-back Foxconn site Trump once touted

President Joe Biden traveled Wednesday to Wisconsin to announce a $3.3 billion investment by Microsoft to build an artificial intelligence data center.

The data center will be built on the property of a planned $10 billion Foxconn facility that Donald Trump touted during his presidency as a major revival of tech manufacturing in the U.S.

But those plans never fully materialized. Foxconn, based in Taiwan, later drastically scaled back plans for the factory, which Trump once called “ the eighth wonder of the world ,” reducing the number of new jobs from 13,000 to the roughly 1,000 spots that are filled now, the Milwaukee Journal Sentinel reported .

In remarks Wednesday at Gateway Technical College in Sturtevant, in Racine County, Biden took aim at Trump multiple times for his "failed promises" about Foxconn, although he didn't mention his predecessor by name.

Biden said the failed Foxconn project during Trump's presidency left Wisconsin residents and workers behind, adding that it led to the bulldozing of 100 homes and farms and wasted hundreds of millions of taxpayer dollars.

“They dug a hole with those golden shovels, and then they fell into it," Biden said.

"Foxconn turned out to be just that — a con. Go figure," he added.

Joe Biden during a campaign event in Scranton, Pa.

Biden touted his administration’s "investing in America" agenda, which includes commitments to rebuild roads and bridges, developments in clean energy and creating $866 billion in private-sector investment nationwide as part of efforts to revitalize American manufacturing.

Biden hailed Microsoft’s investment in the AI data center as a “transformative” investment in infrastructure, especially for the people of Racine, who he said will have the opportunity to get training for new high-paying jobs that don’t require four-year college degrees.

“During the previous administration, my predecessor made promises which he broke more than kept, left a lot of people behind in communities like Racine,” he said. “On my watch, we make promises and we keep promises, and we leave no one behind.”

Microsoft’s investment in the AI data center is expected to employ 2,300 union construction workers and create 2,000 permanent jobs over time, the White House said , adding that nearly 4,000 jobs have been added in Racine, a third of them in manufacturing, and 177,000 in Wisconsin since Biden took office.

Microsoft also plans to partner with Gateway Technical College in Wisconsin to develop a training facility to prepare 1,000 residents for data center jobs and roles in science, technology, engineering and math by 2030, with the aim of employing up to 2,000 people in permanent roles at its Racine facility, the White House said. It will also invest in training 1,000 business leaders to adopt AI in their operations.

The Trump campaign didn’t immediately respond to a request for comment.

Trump has repeatedly claimed that the economy during Biden’s presidency has been worse compared with his time in office, often pointing to rising inflation and interest rates in recent months.

Biden and administration officials have recently traveled to key battleground states to highlight his economic record, such as legislation investing in infrastructure and clean energy, which Biden has said leads to the creation of more well-paid jobs based in the U.S.

Conference Presentation Award Payments

Frequently asked questions, when should i apply.

Applications for the Student Research Grants Competition funds are reviewed quarterly.

Will I receive funding to cover all my expenses?

Awards are granted in $600 or $1,500 amounts depending on the number of qualifying expenses listed in the application. These award levels cannot be adjusted and any expenditures above the award level will not be covered. Students should pursue funding from other sources before applying for a Student Research Travel Grant.

Does the UW–Madison travel policy apply to SRGC award recipients?

Yes. Applicants can find helpful information on travel policy at the Division of Business Services Travel Planning and Booking web page as well as more detailed policy descriptions at the UW System Travel policy web page.

May I apply for both Research Travel and Conference Presentation Awards?

Applicants can submit applications for both the Research Travel Awards and Conference Presentation Funds, however, each eligible student can only accept one SRGC award each fiscal year (July 1 – June 30).

May I apply for a Conference Presentation Award even though I don’t know if my proposal will be accepted to the conference?

No. Confirmation of conference acceptance is required at the time of application. You are encouraged to start your application as soon as you are able once you receive your acceptance.

What if the conference I will be presenting at is in a virtual format this year?

Presentations at virtual conferences are not currently being considered for Conference Presentation Awards.

Will I receive my award if I don’t have my receipts?

Students are not required to submit receipts to receive their award. However, please keep your itemized receipts and records of your travel expenses, as the Graduate School may audit awardees.

May I apply for transportation expenses if I am driving?

Yes. You may use the award to pay for mileage and parking expenses incurred during travel if you are driving a privately owned vehicle. You will need to include documentation indicating mileage as part of your application. The use of a rental vehicle is acceptable when it is the most cost-effective means of transportation available. Please visit the Division of Business Services website for more information on using a vehicle during travel to help choose the best vehicle option.

What documents do I need to submit after conducting my travel?

We require students to submit a post-travel report describing how attending this conference assisted your professional development. Failure to provide this report will affect your eligibility for future student travel competitions administered by the Graduate School.

What happens after I submit my application?

Applications are reviewed on a quarterly basis. Please see the applications dates and deadlines listed above. Not all eligible applications will be funded. Please email  [email protected]  if your travel plans change. Once notified of an award decision, you should follow the instructions in the award letter to officially accept the award.

May I still receive the award if my travel plans change?

This depends on the nature of the changes. Minor changes on travel dates and/or length of stay are normally acceptable. However, the award  may not  be used for traveling to research sites or conferences other than what was proposed in the application and approved unless an arrangement is made with the Graduate School. If there is a significant discrepancy between the estimated budget and the final budget, you must provide a statement or explanation with your finalized budget.

How long will it take for me to receive my funds?

Domestic students and international students with resident alien status for tax purposes will receive payment two to six weeks after accepting the award. International students with non-resident alien status for tax purposes will receive payment within three to eight weeks.

Note: Due to legal requirements, international students considered to be non-resident aliens for tax purposes may have taxes taken out of their award (see “Am I required to pay tax on the award?” below).

Is there a funding string associated with the award?

Awards are classified as “scholarships” and not “reimbursements.” As such there is no funding string associated with the award.

Can the Graduate School issue the check to my program instead of me?

No. Awards will only be issued in your name. You are responsible for making arrangements with your program staff or any other parties if they make travel arrangements on your behalf.

Am I required to pay tax on the award?

Domestic students and international students with resident alien status for tax purposes will receive the full amount of the award and are advised to consult with a tax expert for tax-related questions. International students with non-resident alien status for tax purposes may have tax deducted from their award, depending on the treaty between the U.S. and their home country. UW–Madison’s Accounting Services has additional information on federal and state tax reporting  and  payments to individuals  (especially see “Scholarships and Fellowships” under “Federal and State Withholding on Payments to Individuals”).

May I still receive the award if I graduate before I receive my funds?

You can still receive the award if you applied and the travel took place during the time when you were still enrolled at UW–Madison. However, if you graduate before receiving your funding, you will need to ensure your mailing address is up to date in your Student Center as funds may be sent by check. Note that students also may only receive awards during terms in which they are enrolled.

Who may I contact if I have more questions?
