It was GREAT! Wonderful views and hikes with an incredible group of people. The tour leader (Chad) shared information on possible hikes in the parks we visited that fit our level of fitness. We did several hikes as a group and he made sure we were all safe and happy. Quite a feat! Definitely a 5 star review and a trip that just makes me want to travel again!

It was the best vaycay ever! So very zen with having to focus in the moment on footing, surroundings, other hikers in the vicinity. Amazing group of people with similar ages and abilities. Steve was a perfect guide. He is definitely doing what he was born to do, and doing it very well. Some of the hotels could have been better (breakfast wise) but that wasn't a big deal (not why I went) as we were not there for very long. Courtyard Marriott in SLC was the worst of the lot but otherwise....awesome!!!! So EXCELLENT

What people love about Fully Guided Tours in USA

the best way to explore the vastness and glory of the Utah desert is by camping and hiking in small groups. I enjoyed this trip immensely, it was challenging enough but not too much. Our guide was a brave and resourceful powerful woman. I am planning my next trip with you already!
We did the 7 day Southwest National Parks Grand Canyon Camping Tour with Adriann as our guide and it was outstanding! We drove through beautiful landscapes, had the opportunity to hike in all the national parks and were able to take great photos. Adriann is very accommodating, knows a lot about the individual places and manages to make the trip an unforgettable experience for everyone. We chose the camping option and didn't regret it. The sunrise over the Moment Valley was particularly unique! We can highly recommend Bindlestiff and especially Adriann Narciso :)
Excellent trip. There was a lot of driving but it was worth it. We had excellent guides with information that wasn't listed on the website. There was a lot of driving but many stops to break that up. I have been on a number of tours in America and Europe and found the hotels on this tour to much nicer than in the past. The tours of Monument Valley and Antelope Canyon were nothing less than SPECTACULAR. The guides on the bus and at the sites were more than knowledgeable. The bus was top of the line. I have already spread the name of this company to friends and family. Next year I will be looking for my next trip with this company. Judy Lockie, Ontario, Canada.

How to Road Trip Across the United States on a Budget

how to travel across the united states

The Great American Road Trip is a rite of passage in the United States . We Americans have a unique fascination with the open road. It’s built into our cultural DNA. In Jazz Age America, the car was a symbol of freedom — a chance to escape your small town and the watchful eyes of parents.

As the highway system was developed in the 1950s, a wave of kids set out on the road to explore the country, giving new life to America’s car and road trip culture. Today, many still dream of getting in a car and driving into wide open spaces for months on end.

I’ve had the privilege of taking several multi-week and multi-month road trips around the country over the years. From traveling the Deep South to criss-crossing the country coast to coast , I’ve visited almost every state, exploring the myriad nooks and crannies of Uncle Sam’s backyard.

One thing is for certain, in diversity and scale, the United States is virtually unrivaled.

But this isn’t a post about fawning over America and its landscapes ( this post is ). This article is about how you can travel around the US on a budget.

Because, as it turns out, this country is surprisingly easy to travel on the cheap.

While rising gas prices and rental car price gouging post-COVID put a damper on things, it’s still easier than you think to have a budget-friendly road trip adventure around the USA.

In this post, I’ll explain how much I spent on one of my trips, how much you should expect to spend, and how you can save money on your next road trip.

Table of Contents

How Much Did My Cross-Country Road Trip Cost?

How to save money on your road trip, how to save on accommodation, how to save on food, how to save on sightseeing, how to save on transportation.

yellowstone national park

After 116 days traveling around the United States on this trip, I spent $6,262.67 USD, or $53.98 USD per day. While that is slightly higher than $50 USD a day, there were many parts of my budget I splurged on (see breakdown below) which skewed the number up. I definitely could have visited the country even cheaper if I didn’t have an addiction to Starbucks and sushi.

Here is how the numbers from my road trip break down:

  • Accommodations: $1,036.36
  • Food: $3,258.23
  • Drinks: $438.94
  • Gas: $696.98
  • Parking: $253.00
  • Starbucks: $75.26
  • Miscellaneous (movies, toiletries, etc.): $170.00
  • Attractions: $269.40
  • Taxis: $41.00
  • Bus: $17.50
  • Subway: $6.00
  • TOTAL : $6,262.67

Let’s break this down. First, my Starbucks addiction was unnecessary and added to my costs. Second, as a lover of sushi, trying various restaurants throughout my road trip drastically raised my food costs. Sushi, after all, is not cheap.

Moreover, I ate as if I wasn’t on a budget and rarely cooked, which is why my food expenses were so high relative to everything else. I would have definitely gone below $50 USD per day if I followed my own advice and cooked more often.

But, while I splurged in some places, three other things really helped me to keep expenses down: First, gas prices were low, averaging around $2.35 USD a gallon over the duration of my trip. (We’re going to discuss how to still do a road trip on a budget with high gas prices in the next section.)

Second, once you leave the big cities, prices for everything drop by nearly half so I spent a lot of time out of cities.

Third, I used Couchsurfing and cashed in hotel points to keep accommodation costs down. That helped a lot.

Overall, I didn’t do too bad and am happy with how much I spent. But is this how much you’ll spend, especially in the face of inflation and high gas prices? Let’s discuss that below.

hanging out in redwood national park

It’s no secret travel costs a lot lately and inflation and high gas prices have really made super cheap road trips hard if you’re not staying places for free but that doesn’t mean the road trip has to be super expensive.

With that in mind, here’s how to cut your accommodation, sightseeing, food, and transportation costs — all without cutting into your experience!

A charming lighthouse on the coast of Maine on a bright summer day

1. Couchsurf — Couchsurfing is a service that allows you to stay with locals for free. Using this website (or similar ones) is the best way to lower accommodation costs, as you can’t get cheaper than free!

More than that, it’s a wonderful way to meet locals, get insider tips, and find off-the-beaten-track stuff to do in the area you’re visiting. While you’re generally expected to reciprocate your host’s kindness (cooking them a meal, taking them out for drinks or coffee, etc.), it’s still far cheaper than paying for a hotel or motel.

While the app has seen its community shrink in recent years, there are still plenty of hosts across the United States so you’ll rarely find problems finding someone to put you up.

Additionally, if you don’t feel comfortable staying with a stranger, you can use the app to meet people for drinks, coffee, activities, or anything else you want to do. That way, you can still meet a local and get their insider tips without having to stay with them. The app has all kinds of meet-ups and events too so be sure to check it out.

2. Airbnb — I only recommend using Airbnb in rural, out of the way places where hotels are limited. Avoid them as much as possible in other circumstances. Here is why we don’t really recommend them.

3. Budget hotels — There are a plethora of cheap roadside hotels such as Motel 6 and Super 8 that will help you stay cheap. Rooms start around $50 USD per night and are super basic and always look well worn. You’ll get a bed, bathroom, TV, tiny closet, and maybe a desk. They are nothing to write home about, but for a quiet place to sleep for a night, they do the trick.

And if you’re traveling with someone you should always say the room is for one person as these hotels charge you more for two people.

Also, make sure you sign up for Booking.com and Hotels.com loyalty programs. Hotels.com gives you a free room after 10 bookings, and Booking.com offers members 10% off bookings, as well as free upgrades and perks if you book multiple times after signing up. They definitely helped a lot.

Pro tip : Book through websites like Mr.Rebates or Rakuten . By using their links before going to Hotels.com or Booking, you’ll get 2-4% cash back in addition to the loyalty program deals.

4. Hotel points — Be sure to sign up for hotel credit cards before you go and use those points when you travel. You can get upwards of 70,000 points as a sign-up bonus, which can translate into a week’s worth of accommodations.

The points came in handy in places where I couldn’t find an Airbnb, hostel, or Couchsurfing host. This saved my butt in big cities around the country. I was glad I had accrued so many hotel points before my trip.

5. Hostels — There aren’t many hostels in the United States, and most of them are overpriced. A dorm room typically costs around $30 a night, which means you can obtain a similar private room on Airbnb at the same price. If you are traveling with others, it’s often more economical to get a budget hotel than a bunch of dorm beds.

However, if you are traveling solo and want to meet others, the social benefits may outweigh the lack of value. There were just some times I didn’t want to be alone – I wanted to be around other travelers.

Some of the hostels I loved are:

  • Samesun Venice Beach (LA)
  • South Beach Hostel (Miami)
  • India House (New Orleans)
  • Jazz Hostels (NYC)
  • ITH Adventure Hostel (San Diego)
  • The Green Tortoise (San Francisco and Seattle).

For more hostel suggestions, here’s a list of my favorite hostels in the USA.

6. Camping — Dotted around the country — including around all the national parks — are inexpensive campsites. If you have a tent and camping gear, this is by far the cheapest way to travel. Campsites cost between $10-30 USD per night, which makes seeing the country incredibly affordable. Most campsites have basic amenities like running water, bathrooms, and the ability to upgrade to get electricity.

In addition to your standard campgrounds, check out the sharing economy website Campspace . It lets you pitch a tent on private properties all around the country for a small fee. Much like Airbnb, some plots are super basic and barebones while others are more luxurious, so be sure to poke around for a cheap place to stay as there are plots available all around the country.

It’s also legal to wild camp in national forests and on BLM land unless otherwise marked.

7. Sleep in your car — I know this isn’t glamorous but sleeping in your vehicle brings your accommodation costs down to zero. I know lots of travelers who did this to make their trip more affordable, some sleeping in their car just occasionally and others doing it every night. Chances are you won’t sleep well but you will save money, and that’s a fair trade to some people!

For those traveling in an RV, there are tons of free places to park and camp all around the country. Use iOverlander to find the best spots.

To help you keep your food costs in check, here are a few quick tips:

1. Cook your own meals as often as possible – If you can bring a cooler in your vehicle, you can pack groceries instead of eating out all the time. And if you bring some containers, you can store leftovers in the car too, allowing you to cook larger meals at dinner that you can eat the next day for lunch.

2. Stay in accommodation with a kitchen – If you want to cook, you’ll need a kitchen. Prioritize accommodation like Couchsurfing, Airbnb, and hostels as those will typically provide kitchen access so you can cook your meals.

3. Shop cheap – Avoid the pricier grocery stores like Whole Foods when it comes to getting groceries and stick to budget places like Walmart. It’s not glamorous, but it will be cheap!

4. Find cheap restaurants – When you want to eat out but don’t want to break the bank, use Yelp, ask people on websites like Couchsurfing, or inquire at the desks at hostels for suggestions. Locals have the best tips and insights when it comes to where to eat so they can point you in the right direction. Simply cook, limit your eating out, and be happy!

The famous Horseshoe Bend as seen by Nomadic Matt while on a roadtrip

1. Get a National Parks pass — For $80, you can purchase an annual National Parks and Federal Lands ‘America the Beautiful’ pass that provides access to all 63 national parks (as well as any other recreation areas administered by the National Park Service). In total, you can visit more than 2,000 federal recreation sites with the same pass. At $20-35 USD per visit, seeing five during your trip makes the pass a money saver. When you visit your first park, simply buy the pass and you’re good to go. There’s no need to order it in advance.

The U.S. national park system is amazing and really highlights the diversity of landscapes in the country. You can’t travel across the country without stopping at many of the national parks, especially as you get out west.

2. City tourism cards — City tourism cards allow you to see a large number of attractions (and often include free public transportation) for one price, usually $75-100 USD. They provide free access to museums, reduced access to attractions, and restaurant discounts. Be sure to look into them if you plan on doing a lot of sightseeing, as they generally will save you money. They can be purchased at tourism information centers or online before you go.

3. Free museums and events — Inquire at tourism centers, use Google, or ask hotel or hostel staff for information about free events and museums. Many museums offer occasional free or discounted admission throughout the week. There are always tons of free activities in any city in the United States.

4. Free walking tours and city greeter programs — Many cities in the US have free walking tours or city greeter programs that pair you with a local guide who can give you a brief tour. Whenever I visit a new city, I start my trip off with one of these tours. They show you the lay of the land, introduce you to the main sights, and give you access to an expert local guide that can answer all your questions.

Check in with the local tourism office when you arrive to see what programs and tours are available.

For greeter programs, you’ll need to sign-up in advance before your visit. It’s good to give about 2 weeks’ notice as they have to find someone to take you around. Google “(city name) greeter program” to find them as some are run independently of the city tourism board so might not be listed on their website.

A lone road in Wyoming near Grand Teton National Park and its snow-capped mountains

Here are your options when it comes to traveling across the country:

1. Hitchhike — This isn’t something I did on my trip, as I had a car, but it’s very doable (and relatively safe). Here’s a post by my friend Matt who hitchhiked across the United States explaining how to do so and come out alive (don’t worry, it’s safer than you think)..

For more hitchhiking tips, use Hitchwiki .

2. Rideshare — Taking on riders can be a way to lower your costs. On my first trip across the U.S., I offered rides to people I met in hostels. On this trip, I had friends and readers join me along the way. You can post ads on Craigslist and Gumtree and at hostels to find riders. This not only makes the trip more enjoyable but lowers your gas costs. Or if you are a rider, you can use the same services to find rides to get you places.

3. Buy a car — If you don’t have a car or don’t want to rent one, you can buy cheap used cars from car dealers or owners on Craigslist. There are lots of listings, and you can resell the car at the end of your trip to recoup some of your initial purchase cost. While this is easy in other countries, it’s hard to do in the United States, so remember a couple of key points:

  • You’ll need a US address for registration documents to get sent to. I would use a hostel or hotel address and then set up a forwarding address with the Post Office.
  • You’ll have to buy car insurance, which can greatly add to the costs of your trip.

Another option is to use a car relocation service. This is when you take someone’s car and drive it across the country. You are usually paid, and gas is covered. The downside is you don’t often have a lot of leeway on timing, so you might not have much time to stop and sightsee along the way. Car relocation options are also usually limited. Two companies worth checking out are Transfercar and Hit the Road .

If you just want to rent a car, use Discover Cars .

4. Use gas apps & membership programs – Install GasBuddy , an app that finds the cheapest gas prices near you. It is a must. If you’re going on a longer road trip, sign up for the monthly program; it costs $9.99 but will save you up to 40 cents a gallon.

Also, sign up for every gas loyalty program you can, so as to maximize points and discounts. Moreover, if you get a brand’s credit card, your first 50 gallons usually come with 30 cents off per gallon.

You should also consider getting a Costco membership for cheap gas. They have around 574 stores around the US so you’ll be able to earn the cost of a membership back by saving money on both gas and food.

5. Download parking apps – Parking costs add up — especially in cities. Use apps like BestParking and Parker to find spots and compare prices.

6. Take the bus – If driving is entirely out of the question, you can find bus tickets for as little as $1 USD from Megabus. Greyhound and Flixbus also have cheap rides all around the US. Rides under five hours are usually around $20 USD if you book early, and overnight rides usually cost $50-100. You can save big if you book in advance (often upwards of 75%!).

Don’t let the United States fool you! A road trip across the United States is a fun way to see a lot of diverse landscapes, experience different cultures, and meet interesting people. Traveling America isn’t very expensive once you are outside the big cities and you can easily travel the country on a budget by using the advice in this article.

Book Your Trip to the USA: Logistical Tips and Tricks

Book Your Flight Use Skyscanner to find a cheap flight. They are my favorite search engine because they search websites and airlines around the globe so you always know no stone is left unturned!

Book Your Accommodation You can book your hostel with Hostelworld as they have the biggest inventory and best deals. If you want to stay somewhere other than a hostel, use Booking.com as they consistently return the cheapest rates for guesthouses and cheap hotels.

Don’t Forget Travel Insurance Travel insurance will protect you against illness, injury, theft, and cancellations. It’s comprehensive protection in case anything goes wrong. I never go on a trip without it as I’ve had to use it many times in the past. My favorite companies that offer the best service and value are:

  • Safety Wing (for everyone below 70)
  • Insure My Trip (for those over 70)
  • Medjet (for additional evacuation coverage)

Why You Need A Travel Budget

One side tropical beach with text so you can enjoy this. The other side is a stressed out couple over money with the words without this.

Listen, I am all for spending a little extra to do things our family doesn’t get to do at home.

But there is nothing more anxiety-inducing than running out of money on a trip, or having to pay off huge credit card bills at 28%  interest because you didn’t plan ahead.

This is where a vacation budget can really help.

It doesn’t mean you can’t have fun or spend money.

Creating a budget will actually help you be able to afford your dreams. Plus be able to relax & have fun on your vacation knowing you won’t be in debt when you get back home.

The trip budget calculator will make financial planning fun, and easy.

How To Set Your Travel Budget & Determine Expenses

1. determine your overall travel budget.

First things first. Decide on your overall vacation budget or the money you are willing to spend on this trip.

When determining your overall vacation budget, you’ll want to consider a few things:

  • How much money are you willing to spend on this trip?
  • How much have you already saved?
  • How long do you plan to go for? (more or less time can impact your budget)
  • How many people will be travelling? (some places like Europe limit 4 people to a hotel room, this can significantly impact cost)
  • When do you want to travel and how much time do you have to add to your vacation fund?
  • How much extra can you afford to put away every week / month on top of your regular bills & household expenses?
  • Is there any way you can decrease household expenses, or increase your income to add to your vacation fund faster?

Just make sure it’s a realistic budget. It doesn’t do anybody any good to use too low or too high numbers as a starting point.

2. Do Your Research

The type of trip you want to take, the length and the type of activities you want to do, will really impact your budget.

For example a week long trip to Thailand will be much different than a week in Japan, or a trip to Disneyworld.

Do some intial research to give you an idea of what your basic travel expenses will costs, so you can have ballpark figures to enter in the travel cost calculator.

You can always google average costs of living / travelling at your destination.

Careful planning is an important part of any travel budget.

3. Find Ways to Cut Costs

Unless you have a rich benefactor, or suddenly won the lottery, it’s a good idea to consider ways you can cut costs, save money and use your travel budget wisely.

Besides using our holiday budget calculator, our favourite ways to save money on travel expenses.

General Money Saving Tips

  • Avoid popular destinations:  The most popular touristy destinations  often cost a lot of money, compared to smaller, lesser known destinations.
  • Consider using travel agents: Sometimes a travel agent can find you a great deal, with much less work on your part.
  • Adjust your travel style: Luxury resorts may be out of your price range. Road trips, camping trips can be just as memorable for for a family vacation.

Plan for the Big Expenses

Account for the little costs of traveling, redeem rewards and bonuses, make a travel budget savings plan.

The Balance

Whether you’re planning an international vacation or a long-weekend road trip, the idea of escaping your daily life for the promise of relaxation and adventure is intoxicating. But while planning a big trip can be exciting, it can also be overwhelming—especially when you’re trying to figure out how much it’s going to cost.

We’ve created a simple Google spreadsheet to help you plan and budget for your next trip. The Balance’s Travel Budget Worksheet includes common expenses (large and small), plus space to enter credit card or other loyalty program rewards that defray some of the cash costs. It’s free to download and use (but you will need a Google account).

The last thing you want is to arrive at your destination and realize you’re out of money. That’s why it’s important to make a travel budget that includes everything from rental car costs to seat selection fees. As part of “ Our Money’s on Travel ”—our series on getting back to travel—we’re taking a look at how to budget for a trip, whether it’s the big costs or the small, plus a few travel hacks to help you save money along the way.

Most trips involve significant expenses such as transportation and lodging. How significant they are depends on your plans—transportation could include plane tickets or gas for your car, and lodging could mean a five-star hotel or a cabin in the woods. Websites such as Budget Your Trip can help you plan for these costs, but don’t factor in any tips or tricks for saving money. So while this kind of budgeting site can be a good starting point, there’s a lot more that goes into planning your travel budget. Here are a few strategies for saving money on these major travel expenses.

  • If you have access to multiple airports, like New York City residents, check prices out of all of them: LaGuardia (LGA), John F. Kennedy (JFK), and Newark (EWR).
  • If you only have one local airport, consider booking a separate, cheaper ticket to a major hub, which may offer cheaper flights.
  • Be flexible with your dates and aim to travel during off-peak times.
  • In pre-Covid times, there was evidence that you could get the best fares by booking 20-115 days in advance and flying on Tuesdays or Wednesdays. But those bets are off because airlines’ pricing formulas are in transition as they cautiously ramp up for more travel. For now, you’ll just have to look for deals and grab them when you see them.
  • Follow airfare deal sites such as Scott’s Cheap Flights , Secret Flying , and Dan’s Deals to find out about cheap flights as soon as they’re available.
  • Check multiple sources before booking hotels to find the best rates and deals. For example, Hotels.com offers a free night for every 10 nights you book. Large hotel chains often advertise best rate guarantees and will give you up to 25% off your stay if you find a better rate elsewhere.
  • Consider shared lodging, such as a private room or dorm in a hostel or a private room in a local’s house on Airbnb, rather than renting an entire home.
  • Take advantage of any deals through membership programs such as AAA and AARP.

Transportation

  • If you’re planning to rent a car, use sites like Autoslash to compare rental car costs across a wide variety of programs and get a quote for the cheapest rates available.
  • Train passes, like the Eurail Pass , offer discounted or unlimited travel for a fixed price so you’ll never be surprised by last-minute ticket costs.
  • Electric scooter companies such as Bird and Lime allow you to purchase daily or monthly ride passes in certain cities.

Is Travel Insurance Worth It?

Travel insurance protects you in case of unexpected delays, cancellations, or medical costs in covered situations. But before you buy it from your airline or another carrier, check to see whether you’re covered by the credit card you’re using to book your trip.

In addition, many airlines have eliminated change fees for flights, while many hotels have begun allowing flexible cancellations on their bookings. If you won’t face financial consequences for changing those big-ticket bookings, travel insurance may not be worth the cost.

The big costs aren’t the only ones to consider beforehand. Your travel budget should also consider expenses like tipping, entertainment, souvenirs, food, and even cellphone fees.

Plan for as many of these costs in advance as possible so you aren’t surprised during your trip—or when you return home to larger-than-expected bills.

Watch out for these costs and minimize or eliminate them with these smart strategies:

  • Rental car additional driver fees : If you need a second driver on your booking, book through a service that includes them for free, such as Costco Travel .
  • Rental car insurance : If you already have car insurance, check to see whether it extends to rental cars. If you don’t own a car, look into a non-owner car insurance policy that will cover you when you drive a rental, which generally costs far less than traditional rental car insurance policies. Also, check whether the credit card you’re using offers its own rental car insurance.
  • Debit card holds : Hotels and rental car companies will put a hold on your card when you arrive. If you’re paying with a debit card, the money they put on hold will not be available to you until the hold drops, which could take some time. If possible, make your bookings with a credit card instead, or include the hold in your travel budget.
  • Cellphone coverage : If you’re with Google Fi or T-Mobile, you’re in luck, as most locations are covered for free by your cellphone plan. Otherwise, consider purchasing a local prepaid SIM card, which can cost significantly less than the international roaming fees charged by most cellphone companies. Or plan to leave your phone on airplane mode and only use it when connected to Wi-Fi.
  • Entertainment costs : Many major cities offer tourist cards, which bundle tickets to a number of attractions onto a card that’s valid for a set number of days. If you plan to hit all the highlights, these cards could save you a bundle over individually purchased tickets.

After diligently earning rewards on your travel credit cards, now’s the time to cash them in for free flights and hotel stays. You can choose to redeem points directly through your card’s travel portal, or transfer them over to hotel or airline chains to book awards.

We recommend crunching the numbers to find the best way to redeem credit card points . For example, hotel chains such as Hilton and Marriott offer the fifth night free on award bookings, so it may make sense to transfer your points to your hotel rewards account. This can also be a good strategy for buying expensive flights, as airlines will sometimes charge a set amount of miles for a ticket even if the cash price is high.

Now that you’ve got a handle on how to save money on travel expenses, it’s time to do the heavy lifting: actually saving money for your trip. Consider these ways to save up for your trip:

  • Set up an automatic transfer from your checking account into a dedicated “travel fund” account. This strategy keeps your travel budget separate, so you’re not tempted to spend it elsewhere before your trip.
  • If you receive a tax refund, put as much as you can straight into your travel fund.
  • If you have extra cash left over from the stimulus checks, move it into your travel fund.
  • Work bonuses or side hustles could offer unexpected ways to boost your travel account.
  • If your family exchanges gifts, consider letting them know that you’re saving up for a vacation. Cash is always an option, and gift cards for hotels, airlines, and restaurants can also make a significant contribution to your travel budget. They could even give you frequent flyer points if they’d like.

How to Budget for a Trip: The Easiest Travel Budgeting Method (+ Tips!)

Here’s a silly secret: I love budgeting travel… and I also think that most guides to creating a travel budget make it entirely too complicated.

I initially wrote this guide on how to budget for a trip almost 7 years ago, when we were prepping for what we were then calling a 6 month round the world trip (spoiler: depending on your definition of “trip”, it never actually ended).

50+ countries and the better part of a decade later, I’m still using the exact same, simple formula for calculating our budget while traveling–even if our definition of “on a budget” has changed over the years.

Planning to hit the road soon and wondering how much money you need for your trip?

Whether you’re headed off on a 2-week Europe trip or you’re planning to live out of a backpack for years like we did, our simple method for budgeting travel expenses has you covered.

Here’s the travel budget strategy that we swear by to this day!

Our Formula for Creating a Travel Budget

Why we like this travel budgeting system, example of how to budget for a trip, tips for travel budgeting, planning a trip.

Here’s our incredible simple calculation for travel expenses:

(Money Saved – Major Expenses) / Number of Days Traveling = D aily Budget

That’s it–simple, easy to remember, and allows you to easily translate your savings from a pile of money into an actual travel budget.

Some long term travelers prefer to divide by the number of weeks instead of the number of days, on the premise that some days you may blow a large amount, and then have cheaper days to make up for it.

While that is 100% true and Jeremy and I definitely balance expensive days with inexpensive ones, I still prefer to think in terms of days.

In my experience, smaller numbers tend to be more easily tracked, and are less overwhelming as a result.

How to Define Major Travel Expenses

“Major expenses” can be somewhat of an ambiguous term, but I tend to use this for pricey plane tickets, travel insurance, and large monthly bills that you’re still responsible for during your trip (say, a car payment or health insurance).

If you’re headed to any destinations that require a visa, be sure to include those costs as well!

For shorter trips, I also like to include lodging and certain cheaper transportation costs (night trains, budget airline flights, rental cars) here, but for long-term travel, that’s obviously not practical.

The point of the major expenses category is simply to remove the money that is allocated for specific expenses from play before determining how much you have to spend.

This is to avoid either a) running around feeling like you have more money than you do and overspending or b) anxiously fretting about the upcoming expense (like a plane ticket home) and saying no to things that you want to do because you’re needlessly stressed about not having enough money.

oia santorini as seen from above--travel budgeting is essential for making the most of greece

Personally, we’re much more likely to do the second.

Looking back on almost 7 years of travel, I can now definitively say that there have been more experiences than we’ve said no to when we should have jumped at the opportunity than times we splurged on an experience that wasn’t worth deducting from our calculated travel budget.

Luckily, thanks to this travel budgeting system, those experiences have been few and far between.

kate storm jeremy storm and ranger storm on a balcony overlooking matera on a southern italy itinerary

For us, this method of creating a travel budget works perfectly.

Thanks to careful tracking, we have never overspent on a trip, and we’ve also never worried much about money during our travels.

The worst that will happen is that we have a couple of pricey days in a row and follow it up with a day of inexpensive hiking or laying on the beach to make up for it (hardly a tragedy).

While I tend to track our daily expenses via mental estimates, I will write out cash expenses daily and credit card/more easily tracked expenses a couple of times a week–yes, even 7 years later.

It may seem like a drag, but 10 minutes of work can relieve a lot of stress and fear of the unknown that can come with just letting your money slip to the back of your mind.

(At least, it will be in the back of your mind until you start panicking over the thought of where your checking account balance might be when trying to fall asleep at night!).

Let’s say that a couple traveling is traveling to Paris from the USA for one week, and wants to calculate their travel budget.

In the interest of not searching too deeply for a pretend trip, I’ll say they buy the first flights they search for don’t stress about that too much. They’re also cautious and want travel insurance for their trip.

Our pretend couple has a $4000 travel budget, in total.

Major Travel Expenses for Our Mock Paris Trip

Round-Trip Flights to Paris: $2000

Travel Insurance : $150

Hotel Room, $130/night for 7 nights: $910

($4000 total budget – $3060 major expenses) / 7 days = $134.28/day to spend, or $67.14/per person, per day.

selfie of kate storm and jeremy storm after climb the arc de triomphe paris with eiffel tower in the background

I would round those down to $134 or $67, both for the ease of math and to build in a slightly conservative slant to the budget.

This would need to cover activities/tours, souvenirs/shopping, transportation while in Paris, and food/drinks.

That’s not only doable but completely comfortable in Paris, as long as our pretend couple is not hoping for luxury travel.

Know what’s worth it to you.

If you’re a major foodie, skimping on dining probably isn’t going to work for you–and if you’re a SCUBA lover, suggesting you limit dives on a beach trip may sound miserable.

Whatever your priorities are, focus on those and skimp on other areas, instead–even if other travelers consider the things you skip to be must-see sights.

Check in on your budget regularly.

Even if you don’t check in daily, be sure to track your budget at least every few days.

This will help keep you from blowing off course in either direction and also relieve any anxiety you have about not knowing the status of your budget.

Kate Storm looking toward San Marco Campanile from Scala Contarini del Bovolo, which is an excellent place to visit during 2 days in Venice

Remember that traveling on a budget doesn’t mean having less fun!

Some of our favorite travel experiences cost little to nothing.

Browsing local markets, enjoying a beach day, going for a hike, wandering aimlessly through cities, sampling street food, and more all make for wonderful and incredibly memorable travel days.

Travel budgeting can be daunting when you get started, but once you get used to it, it enhances, rather than detracts from your experiences.

Not only are there wonderful travel experiences to be had at all budgets, but knowing where you are in your trip financially is much less stressful than constantly worrying that you’re over your travel budget… without having the concrete data to confirm either way.

Excellent post. I was checking continuously this blog and I am impressed!

Extremely useful information specifically the last part 🙂 I care for such info a lot. I was looking for this particular information for a long time. Thank you and good luck.

Thank you! Appreciate you stopping by! 🙂

bookmarked!!, I love your site!

Another small thing to consider would be to convert your daily budget amount to local currency.

Great point, thanks for stopping by! 🙂

This is by far the best travel blog I have come across. Thank you!!!

So happy to hear that, DeElla!

Great info!

Good info. Thanks we will be traveling Italy for 28 days. The last 7 we are staying with friends. We don’t want to rent a car but use trains between towns and subway/buses in the cities. How do I budget for that? Are there month long passes for each? Excluding airfare we have $7000 food/transportation/entrance fees. Does that sound doable? We are flying into Rome, then Florence and take day trips from there, then ending up in Ugento. Any recommendations?

Thanks, Brenda!

You can definitely get around Italy without a car, that’s not a problem at all. $7000 for for 28 days on the ground also sounds reasonable (I’m assuming you’re traveling as a couple).

Trenitalia does have a monthly pass of sorts for trains, similar to the Eurail pass but for Italy only. However, I wouldn’t necessarily recommend it without knowing your schedule. Most likely, booking each leg individually is fine.

For short distances in rural areas that you travel by bus, you won’t need online tickets or anything like that. Same for any “local” trains you take, like the slow train between Florence and Bologna. You can buy those tickets step by step as you go, as the prices are set.

Where the prices get higher and you’ll need to budget in advance is for the high-speed train routes around Italy, like from Florence to Lecce, for example. Those trains have dynamic pricing, so if you can book your tickets in advance, you’ll both spend less and be able to budget more easily.

How to Make a Travel Budget in 2023 [Free Template]

Can You Afford to Travel?

The 2 approaches to travel budgets, travel budget template worksheet, passport and visas, travel insurance, vaccinations, clothes, gear, and toiletries, accommodation, local transportation, attractions and activities, walk-around money, gifts and souvenirs, websites to help research travel costs, the best apps for travel budgets and expense tracking, saving for your vacation, final thoughts.

Creating a travel budget isn’t all about boring spreadsheets and searching for low budget bargains — a finely-crafted budget it is designed to maximize your total travel experience.

Let’s start out easy here. You may have dreams of globetrotting and living your best life in distant lands, but can you actually afford it?

The amount you have to spend on your trip will need to be proportionate to the place you are visiting. By that, we mean that some destinations can be done on the cheap, while others will be a bit more of an investment.

Where you want to stay, what you intend to do when you get there, and physically how far away you will be from home can all have a considerable bearing on how deep your pockets will need to be.

Before you book yourself silly, really break down the potential costs of your dream trip and tally it up with the amount of money you will realistically have to fund it.

Bottom Line: Sometimes, it may be better to put your plans on hold until you have saved up enough cash to really experience a place, rather than rushing to get there and missing out on some of the best bits.

Whether you are a plan-well-in-advance sort of traveler or more of a fly-by-the-seat-of-your-pants kind of person, there are different ways to approach setting out your budget based on what works best for you.

Plan Your Adventure Well in Advance

The most traditional way to book a vacation is to think of somewhere you want to go, plan your vacation dates, and decide how long you want to stay. This kind of advanced planning is the usual go-to for most travelers, as it allows you to book time off of work or plan trips around school semesters, and gives you the opportunity to firm up plans before you leave.

Knowing when and where you are going also has another key advantage — it gives you plenty of time to save up all the cash you will need to really enjoy your time there. Booking in advance also means you get your choice of cheaper accommodation at better rates.

Book months in advance and you can research your planned itinerary and potential expenditure, and maybe even save enough extra for upgrades of luxuries to make your adventure truly special. This kind of planning is a great incentive for saving hard.

Travel Based on Your Bank Balance

If, on the other hand, you want to take your cash and get the hell out of dodge, you can work backward to identify the most amount of fun you can have for your money. If you are feeling lucky, and you know how much you are willing to spend, the world really is your oyster.

The awesome power of the internet has made impulse traveling even easier, as you can simply hit up any number of booking sites to find an exciting destination, as well as suitable flights, accommodation, and excursions in just a few clicks.

Another great way to make your budget go further is to think outside the box. Visiting popular destinations out of season, taking shorter vacation times, or even looking at places away from the main tourist trail can all make your money go further.

A trip to the legendary Yosemite National Park during April or May, for example, is a great way to experience some of the most iconic open spaces in America before the schools let out, or hit the beaches of Miami or the Florida Keys during September and October when tourists shy away from the increased risk of stormy weather.

You can also look at alternatives to the more traditional resort destinations to get more bang for your buck. Consider a trip to Reno instead of Las Vegas, hit the slopes in Winter Park instead of the sky-high prices in Vail, or take in the history of Williamsburg and avoid the price tags of New York or Los Angeles on your next city break.

Travel Budget Considerations

When planning your travel budget, there are lots of different things to consider. Break down your budget into subsections to make it easier to plan and stick to:

One of the most essential elements of your travel plan will revolve around the legal and local requirements for travel to and from your destination. You must research any visa requirements and restrictions before you fly, and be sure to have all the documentation you need before you leave.

Most countries will have their own individual and very specific entry requirements, and there may be restrictions on how much local currency you can bring with you, as well as how long you can stay.

As a very rough guide, some examples of the requirements for U.S. citizens could include:

  • Travel to Europe — If you are traveling to or through any of the main 26 European countries, you must know the requirements of the Schengen Agreement, which eliminates borders and assumes that travelers will be able to enjoy up to 3-months of visa-free travel. This will change in January 2021 with the introduction of the ETIAS .
  • Travel to Australia — You must have a valid U.S. passport and an Electronic Travel Authority (ETA) to enjoy up to 90 days of travel in Australia.
  • Travel to Central America — You will not need a visa to visit most Central American countries, but you may need a tourist card for some destinations (~$10) to allow stays of up to 90 days visa-free.
  • Travel To South Africa — You must have a valid U.S. passport, but do not need a visa for stays of 30 days or less.

Check out our guide to tourist visa information on over 100 countries.

There are many great reasons why you should always buy travel insurance coverage for your trips overseas, and only 1 reason not to. Trust us. If the worst should happen while you are away, you will wish you hadn’t tried to save money by skipping on the insurance, so make sure you always make space for travel insurance in your travel budget .

The best travel insurance policy does not necessarily have to be the most expensive one you find, but it probably won’t be the cheapest either. With this in mind, shop around and speak to a variety of providers before committing to any 1 product.

There will be different levels of coverage available to suit the requirements of every type of traveler, from lone backpackers to family vacations, but at the very least you should try to include:

  • Emergency medical expenses
  • Repatriation expenses
  • Cancellation or curtailment coverage
  • Lost baggage coverage
  • Travel delay/missed departure coverage
  • Journey disruption coverage
  • Personal liability coverage
  • Legal expenses coverage
  • Electronics loss/theft and damage coverage

Depending on where you go, what you’ll be doing, and the nature of your trip, you may want to also consider dedicated financial protection that could include specific coverage for:

  • Winter sports coverage
  • Terrorism disruption coverage
  • Cruise coverage
  • Business coverage
  • Sports equipment coverage

It is important to remember that the domestic health insurance that you use at home will not necessarily cover you if you get into medical trouble overseas . Don’t leave it to chance — invest wisely in your travel insurance and never skimp on the coverage just to save yourself a few bucks before you go.

You should also look into insurance coverage for your prized electrical items and personal belongings, too . While we would recommend leaving the diamonds at home, unless you are going somewhere exceptionally glamorous, many of us will take expensive electronics with us everywhere we go.

Find coverage that offers repairs or replacement for damaged, broken, lost, or stolen items before you go.

Hot Tip: There are some credit cards with travel insurance , so you might already have some coverage without knowing it!

map of world syringe vaccination

Some parts of the world pose more of a risk to our health than others. By ensuring that you have all the travel vaccinations you need before you go, you can reduce the risk of developing serious diseases that your immune system may not be used to.

You can pretty much be vaccinated against all of the world’s most common communicable diseases at your local doctor’s office, health care center, or health department, and there will be medical professionals who will be able to provide you with useful information for your trip.

You will need to do your own research before you travel and speak to healthcare providers about the risks. But, as a rough guide to keep in mind when planning your travel budget, here are some of the most common travel vaccinations and their approximate costs:

  • Cholera — A single-dose oral vaccine costs around $45.
  • Hepatitis A — A single-dose vaccine costs around $115.
  • Japanese Encephalitis — 2 doses given 4 weeks apart costs around $290 per injection.
  • Meningococcal Disease — This single-dose vaccine is recommended from pre-teenage years and costs around $135.
  • Rabies — A series of 3 or 4 injections into the muscles over the course of 4 weeks costs around $3000 for the entire course.
  • Typhoid Fever — A single oral dose for anyone over 6 years old costs around $60.
  • Yellow Fever — This vaccine is not stocked everywhere, but if you can find a clinic that offers it, you will need a single shot costing as much as $350.
  • Malaria — There is no single vaccine, but antimalarial tablets can be taken to reduce the risk of contracting the disease by 90%. These may need to be taken as far as 3 months in advance and can cost anything from $20 a pack up to $260 per pack.

What you need to take with you will depend very much on where you headed. Whether you choose to travel light or max out your luggage allowance is up to you, but there are plenty of ways to help keep costs down when it comes to packing for your next adventure.

Compile a Capsule Wardrobe

Travel guides always bang on about the legendary “capsule wardrobe” — but it literally is a real thing. By taking 7 or 8 items of clothing with you that can be worn in a variety of ways you can dress for days at a time without worrying about overfilling your luggage or maxing out your travel budget.

Choose 2 pants, skirts or jeans, 3 tops, 1 sweater, 1 dress or a smart shirt and a coat or jacket, and you should be pretty much good to go. Throw in beachwear, sports gear, or thermals as-needed and some socks and underwear to see yourself sorted for the duration of your stay.

Another way to keep costs down is to avoid buying new stuff for every vacation . Your favorite bikini, flip flops, party dress, or even hoodie should be shown off time and time again, so never feel the need to replace your vacation clothing unless you really need to.

Here are some destination-specific packing lists:

  • Beach Vacation Packing List
  • Cruise Vacation Packing List
  • Disney Vacation Packing List

If you want to take your travel camera with you, your GoPro for awesome live video, your phone, tablet, laptop, headphones , or any other bits of kit — think carefully about whether or not you really need it.

Taking more expensive gear with you increases the risk of stuff getting lost, broken, or stolen, as well as weighing your luggage down and tying you to charging ports and electrical sockets.

Keeping Clean

Most people like to have their favorite toiletries with them, but save money and space in your luggage by not taking full-size products.

You needn’t even worry about wasting money on cute little travel size products either. Simply decant your full-size bottles and pots into smaller travel containers instead . This is super easy to do, meets with TSA regulations, and saves you a few dollars here and there.

Alternatively, buy what you need when you arrive. Most destinations and airports will have plenty of shops to choose from. One area where you shouldn’t cut costs, however, is sunscreen. Buy the best you can, ideally from a trusted brand, before you leave.

Finally, check if the airline you are using charges extra for checked baggage and if so, see if you can get away with just a carry-on case instead.

The amount you pay for your flights will vary widely depending on a wide number of variants, including:

  • Your destination
  • Who you choose to fly with
  • Whether you fly direct
  • Whether you fly return or one-way
  • The day of the week and time of day that you fly, and even the time of year
  • Where you fly from
  • When you book

There are many different ways to fly around the skies, but here are some ways to bag cheaper flights :

  • Use Points and Miles — If you aren’t accumulating points to fly, read this beginner’s guide to get started.
  • Book as Early as You Can — Flights often significantly increase in price within 3 weeks of the departure date.
  • Stay Flexible — Flights leaving on different days or at times of day can be cheaper than others.
  • Don’t Dismiss Discount Airlines — Short journeys, internal flights, and even some international journeys can be way cheaper on discount, no-frills airlines.
  • Sign Up and Shop Around — Sign up with airlines direct to be notified of discounts and flash sales, and be sure to check in on all airlines that fly to your preferred destination.
  • Use Aggregation Sites — Sometimes this is a winner, sometimes it isn’t — but don’t be afraid to try. Sites like Kayak or Skyscanner can be good, but don’t just accept the first price they give you.
  • Buy Connecting Flights — It can be cheaper to buy 2 separate connecting flights than a direct 1. Check your destination and see who stops where along the route.

Again, how much you spend on where you stay is entirely up to you. Keeping costs down can be harder in large cities or expensive beach resorts, but there are ways to rest your head without losing your mind over the cost of it all.

Whether you are going for an all-out 5-star luxury or a family-friendly motel room, there are always deals to be had. Book direct through the hotel, include weeknights or a Sunday night in your stay, and be flexible on location.

Hot Tip: A hotel just outside of town, for example, will offer more attractive nightly rates and free parking and will usually represent better value for money than a downtown hotel will.

Renting a private home or vacation apartment on a short term basis can be much more affordable than a hotel. You can also find some superb properties for rent, complete with everything you need to enjoy your stay.

Fully-equipped kitchens, parking, TVs, and even pools often come standard and depending on your destination, there are lots of great Airbnbs and other holiday rental websites available.

If you are heading to the coast, the backcountry, or just getting out into the great outdoors, camping can completely transform your experience. Many campsites come complete with showers and cooking facilities and even pools, sports facilities, and fitness centers. You can take your own tent or rent one.

Another great way to save money on accommodation is to look at hostels in the area. A far cry from old fashioned student accommodation, many modern hostels are clean, bright, and modern and offer a combination of dorm-style bedrooms and private double or family rooms with en-suite facilities.

Hot Tip: Hostels are a great way to stay right in the middle of some of the most expensive cities in the world.

Rent a Recreational Vehicle

Another great choice if you are heading out on the open road, RVs can save you a fortune as you literally take your accommodation with you. RV trips are fun, family-friendly, and provided you aren’t always in a gas station, a great way to save money on where you stay.

RVshare and Outdoorsy are 2 companies that rent out campers and RVs.

You can pretty much rent any kind of vehicle , anywhere in the world. Although if you are staying in a city, public transport is a much more useful and affordable proposition.

The same rules also apply to some intercontinental trips, as well. For example, it can be easier and cheaper to travel through Europe using trains and buses than worrying about having to take care of a car when you get there.

If you want to explore out of the way destinations, hard to reach beaches, or just like the idea of being free to come and go as you please, car hire is readily available in most corners of the world.

Before you commit to it, think about the rental fees, fuel costs, and other potential expenditures and compare the costs of using public transport in your chosen destination.

Car Rental

Car hire here in the U.S. will vary depending on the type of car you choose and how long you intend to hire it. Small city cars are the most cost-effective, and big SUVs, 4x4s and luxury cars can also be hired if you have deep pockets.

When it comes to car rental, keep your costs down by:

  • Booking your vehicle in advance
  • Looking outside the airport as you may get a better deal in town
  • Choosing a practical vehicle to suit your needs, not your dream supercar
  • Being aware of mileage limits and one-way fees
  • Use a credit card with car rental insurance , so you can be ready to turn down unnecessary add-ons and cross-sells that you don’t need
  • Making sure the vehicle is checked for damage before you take the keys
  • Only hiring it for as long as you need it
  • Keeping your eyes out for deals on particular types of car, and better prices for longer-term rentals

Most tourist hotspots, big towns, cities, and even some iconic landmarks will offer a wide range of public transport options to get you around. There will be more choice and more frequent services in highly populated areas, while services may become more restricted further out in the countryside or suburbs.

If you are clever, you could save yourself a small fortune by grabbing good deals on public transport, leaving you with more cash to spend on the fun things in life.

Try these to tips for traveling around town on the cheap:

  • Buy daily, weekly or even monthly travel passes in advance
  • Bulk buy tickets online or via an app
  • Take advantage of student passes or discounted fares for families, seniors, or children
  • Avoid traveling during peak commuter times
  • Services like Greyhound offer cheaper fares for mid-week journeys
  • Sign up for early notification of flash sales and other promotional codes and discounts

Wherever you are headed, there will no doubt be plenty of things to do and places to see when you get there. The key to not missing a single thing is researching everything before you leave.

Have a plan in place of all the activities you want to take part in and the attractions you want to see and integrate the potential entrance costs, additional fees, and other expenses into your initial budget.

With a bit of luck, you will be able to find plenty of local discounts, city passes, and money-saving ways to see all of the very best attractions at rock bottom prices.

Pick up a copy of the local listings magazine or newspaper and check out free events , as well as using the coupons and discount codes they supply for all kinds of attractions. You can also subscribe to online discount sites like Groupon to find discounted ticket prices.

Historical landmarks, museums , art galleries, theme parks , sporting events, concerts, and many more attractions often offer reduced entrance prices at off-peak times or group discounts to entice visitors in. Some even have a free entrance day once a month.

Big cities often have lots of free entertainment on offer, too. Check out the artsy districts of major cities for street entertainers and free shows. If you are heading to the beach, research costs such as sunbed rental, locker rental, and even the menus at local restaurants to gauge an idea of how much a day on the beach could potentially cost you.

If you want to try your hand at surfing, sailing, or other kinds of water sports, you may want to get back on the internet and find reduced price lessons or discounts for group bookings.

Colosseum during daytime

While you may have budgeted every dollar down to the last cent, you should also keep a contingency plan for some pocket money . Days out in the town, lazy afternoons on the beach, or even a trip on a planned excursion can present you with lots of little unknown expenses.

Whether you need to buy an extra bottle of water, some sunscreen for your face, or entrance to additional attractions, keeping a little cash on you is a good way to be prepared.

Large amounts of cash should never be carried about your person while you are out exploring, but a couple of dollars stashed into your pocket or travel wallet and can be incredibly useful.

In order to keep your money safe, you should:

  • Never flash wads of cash
  • Keep your notes and loose change somewhere safe like your inside pocket or in a money belt
  • Carry small denomination notes and coins
  • Understand the local currency you are carrying, so you known how much to give over when paying

Walk-around money is simply a little buffer to keep you going, but set yourself a daily budget and stick to it.

These days, almost everyone travels at some point. This means that those unusual and unique products that we used to buy as souvenirs are no longer as sought after as they once were.

Nearly every tourist destination on earth will be able to sell you tacky bits and pieces for you to take home, but savvy travelers bypass these and look for more personalized and unique mementos to take home with them instead.

Bottom Line: A t-shirt here, a guide book there, and lots of little bits and pieces in between can soon add up. Spend wisely, and if you must buy gifts and souvenirs, choose ones that have a special meaning to you, that you can treasure forever.

To help make your research easier, some clever folks who have traveled before you have made websites that can help you to research and plan every single aspect of your next big adventure and what the costs involved may be.

Set a Savings Timeline

If you receive a regular wage, or you are able to forecast your earnings accurately, you can start to set a timeline on how long it will take you to save up for your vacation . If you put aside just $100 a month, for example, you will be able to have $1200 to play with in just a year. This amount may not pay for a new life abroad, but it could you buy a week by the ocean.

Bottom Line: Think of where you want to go to, find out how much it will cost, and then set a monthly savings goal and stick to it. Some months you may have to sacrifice on your social life or shopping habits, but it will all be worth it in the end.

Multiple Savings Accounts

Once you know how much you need to save each month, be sure to physically remove that money from your day to day bank account. Set up at least 1 separate savings account and electronically move it , or set up an automated payment to leave your regular account on payday.

Visualization

Re-train your brain to save instead of spend, and you will be able to tally up every cent you save with something amazing . Your first $150 saved, for example, could mean that you have those tickets for that boat party in Miami in the bag, or that you are on your way to paying for a 4-star hotel instead of a mid-range one.

Whether you are dreaming of trekking up the Himalayas, backpacking around Asia, Interailing through Europe , or a long-awaited family vacation, seeing what your savings can afford will super motivate you to save more.

Wherever you are planning on traveling to, being in control of your finances will make your experience even more amazing. Worrying about getting into debt on your credit cards or not having the cash in your pocket to really explore the region will ruin your adventures.

Save hard, spend well, and look for ways to save money across every aspect of your trip. Plan your spending before you go and keep track of your expenditure while you travel. There are deals to be had on flights, accommodation, food, attractions, and almost every area of your next vacation. Plan in advance and enjoy knowing that you are having the best time for less.

How to budget for your trip, build a travel budget before you hit the road..

October 19, 2022 | 3 min read

Planning a big trip can be stressful, especially when you’re trying to do it on a budget. But knowing what you can afford, what you’ll need to spend and how to avoid overspending can help maximize the fun and minimize the stress. Here are a few ideas for building a travel expenses budget so you can feel as good about your finances as you do about your itinerary.

Start at home

If you don’t stick to an overall spending budget, you may find it hard to build and keep a travel budget. So start by figuring out exactly how you spend at home, making sure you have enough left over each month to put away in a savings account . If you don’t, search your budget for places to save. If you’re spending too much on á la carte workout classes or a gym membership, try online workout classes or free forms of exercise like running, biking and hiking to help keep costs down. Or hunt your bank statement for subscriptions , digital or otherwise, that you never use and cancel them. Once you’ve started padding your savings account, you’ll feel more confident about planning a big trip and building a budget for it.

Analyze that spending

The simplest way to figure out what you’ll spend on a trip is to look hard at where your money went on a previous trip. Using the website or app for your bank and credit cards, find every expenditure related to the trip, from your airfare to your cab ride home from the airport. Include things you bought for your trip (like new walking shoes or sunscreen) and things you bought during your trip (like souvenirs or dinner). Then, build a spreadsheet that summarizes what you spent in each category. It’s not the most fun evening activity, but analyzing past spending will offer a glimpse into how much you spent on food, drinks, taxis and other categories, helping you plan for your next trip.

If you’ve never traveled or are traveling abroad for the first time, you can still plan your travel budget. Using the categories in the next section and a little online sleuthing, you can do your best to estimate your trip costs. On your next trip, consider getting receipts as emails whenever possible, and take photos of your paper receipts. It can help you analyze your spending the next time around.

What travel expenses to budget for

If you’re not an experienced traveler, you may not know exactly how to budget for travel. So, start with categories. Imagine your trip from start to finish, focusing on how you’ll spend money along the way. As you go, create a travel budget worksheet that puts your spending into buckets. Those buckets will depend on where you’re traveling and how you like to travel. Planning an all-inclusive beach vacation will require different categories than a trip to a national park. But generally, the categories in your trip budget should include:

  • Transportation. This includes how you get to and from your destination and how you get around when you get there. These days, many people are opting out of airplanes and trains in favor of more personal forms of travel, like rental cars. Make sure you’re taking these choices into consideration when you budget for things like gas, food pit stops, and prepping your car for a lot of road time. Then check out your options for how you’ll travel when you arrive—taxis, Lyfts, public transportation or just walking. It could be a good idea to add in some cushion in case your transportation needs shift once you get there.
  • Lodging, including taxes and fees. This could be a big chunk of change, but luckily, you should know exactly how much it is before you leave.
  • Food and drink. This depends on a lot of factors, including how you like to eat, where you’re traveling and how much you expect to tip. If you’re more comfortable grabbing take out or getting delivery, make sure you’re taking those extra fees into account.
  • Activities like museum tickets, tours, excursions, golf outings, etc.
  • Souvenirs—anything you might buy on your trip that you wouldn’t buy at home.

Look for places to save

Once you see how you spend, you may discover that traveling costs a lot more than you realize. If so, you may want to try traveling more cheaply.

Say your last trip included hundreds of dollars in spending on Lyft or taxis. Price out what it would cost to rent a car for the length of your trip, which is often the cheaper option.

Maybe your dinner bills regularly reached $100 on your last trip. Use local food blogs and magazines to seek out small, local eateries and street food vendors that will capture the local flavor while keeping your dinner tab manageable. Also consider staying near a farmers market or small grocery store, so you can try your hand at cooking meals with local ingredients.

Airfare often is the biggest expenditure on a trip budget, and right now, a lot of people just don’t feel comfortable with it. Instead, think about traveling by car. If you’re traveling with friends, make sure you’re keeping track of gas usage so you can split the cost later. Scope out the parking situation beforehand so you know where you can safely leave your car without racking up too high of a garage fee or getting an unexpected parking ticket.

Consider a staycation instead. If traveling away from home is something you don’t feel comfortable with right now or if it just isn’t in your current budget, planning a staycation could be a good alternative. You can still plan fun activities around the neighborhood, get your favorite take-out or go to your favorite local spot, or even set up a tent in the backyard. Finding some R&R with a staycation can give you the feeling of getting away, while being a lighter touch on your budget.

Adjust on the fly

Analyzing your spending after one trip might help you plan for the next. But it won’t keep you from sticking to your budget while you’re traveling. So, if money is tight, consider tracking your spending while you travel and comparing it daily against your trip budget planner.

One way to rein in your spending is to designate a daily budget for food, drinks and other costs. You may even set aside that amount in cash each day, so you know exactly how much you spend. Just be sure to bring along a debit card or credit card in case of an emergency.

Then, every afternoon, when you’re not wiped out but can use a short break, take a few minutes to see what you’ve spent. If you’ve overspent on food or drinks, consider something lighter for dinner. If you’ve already hit your target for activity spending, plan your next day around free sights. If you’re traveling somewhere that allows access to your favorite banking or budgeting app , use that. If not, bring a printout of your budget and just jot down what you spend in a notebook, then take a few minutes to compare.

If you stay on top of things, you might find it easier to stay on budget until your head hits the pillow the second you arrive home. You may even find that you have enough left over to start planning your next big adventure.

Travel expenses list: A guide to managing your travel budget

A travel expenses list is essential for mapping and managing your travel budget. It helps ensure you don’t overspend or underestimate the cost of your trip. You can keep track of planned and unplanned expenses, ensuring they fit within your overall budget.

Unfortunately, for most travelers, budgeting isn’t easy. The cost of airfare, accommodation, and meals vary greatly and can quickly add up. Without an organized strategy in place, it’s all too easy to blow your budget and end up with a mountain of debt.

Learn in this comprehensive guide the basics of creating a travel expenses list, including transportation, accommodations, food & beverage, and activities, and offer advice on saving money while traveling.

1. Transportation

Transportation costs refer to all your costs of moving from point A to point B. They account for the biggest chunk of most travel budgets and include:

Many travelers, especially those traveling for business purposes, prefer booking flights due to convenience, speed, and cost-effectiveness. Airfare is the amount you pay for the plane ticket and can vary greatly depending on the airline, route, and time of year. However, there are other additional airport expenses, such as luggage, taxes, and transfers you must factor into your budget.

Car rental and gas

You may need a rental car at the destination to help you get around, especially if you plan to explore the area and take side trips. Depending on where you’re going and for how long, renting a car might be more cost-effective than using public transportation, taxis, or rideshares — factor in the rental cost, insurance, and gas.

Other additional fees include parking fees, tolls, and pit stops on the road. If you’ll be driving a lot, look into getting a fuel-efficient car and research the average cost of gas in the area.

Public transit

Public transportation is typically the cheapest way to get around a city, especially if you plan on taking multiple trips. It includes subways, buses, ferries, and trains, each with its own rate. Buses, metro, and train tickets vary in price depending on the region.

Consider buying a day pass or multipass to save transport money if you plan on taking multiple trips. Most cities also offer rideshare services like Uber and Lyft, which can be more cost-effective than driving a personal vehicle. Research the public transit options available at your destination to see which fits your budget.

Parking fees and tolls

If you plan to drive a lot during your trip, you might have to pay parking fees and tolls. Parking fees vary depending on the city and are usually hourly or daily. Some cities have free street parking but most paid lots and garages charge a fee.

Tolls are charges for using certain roads and bridges. You can pay the tolls in advance or use a toll pass for the duration of your trip. Other expenses associated with car rentals include insurance, gas, and repairs.

2. Accommodations

Accommodation expenses are the costs of staying at a place during your trip. They include hotel stays, Airbnb rentals, hostels, and campsites. The prices vary depending on the accommodation type, amenities, and location — research various options to determine what works best for your budget.

Hotels and resorts

Hotels and resorts are the most common option for short-term stays. They can range from budget-friendly motels to luxurious five-star hotels and offer a range of amenities like swimming pools, spas, saunas, and fitness centers.

Their prices depend on the location, star rating, and amenities. You will incur additional fees for hotel room service, extra beds, laundry, and other services. Book in advance or use hotel rewards and loyalty programs to save money .

Bed and breakfast (B&B) expenses

Bed and breakfast establishments offer a more affordable and intimate experience than hotels. They can range from private rooms in someone’s home to luxurious properties with multiple bedrooms.

Prices usually include bed and breakfast, but you may be charged for extra amenities like housekeeping, dry cleaning, and Wi-Fi. Unlike hotels, you’ll be dealing directly with the owner, so it’s essential to read reviews and ask questions before booking.

Meal expenses also account for a considerable chunk of your travel budget, so it’s important to plan ahead and budget accordingly. How much money you spend on food depends on where you’re going, the type of food you like, and how often you plan to eat out.

Local cuisine is usually the cheapest option, so find places that offer authentic dishes. Bringing snacks such as nuts, energy bars, and trail mix is always a good idea. You can save money by snacking instead of buying expensive meals. Ordinary meal expenses include:

Restaurants and dining out

Restaurant dining is the most common way to eat while on vacation or a business trip, but it can be costly. Prices vary depending on the type of restaurant, cuisine, and location. Fine dining establishments charge premium prices for their food and drinks, while casual eateries and fast food joints are more affordable. Check out local restaurants and read reviews before going out. Deals such as discounts for early birds or happy hours are creative ways to help you save on these expenses.

Street food and vendors

Street food is a popular option for travelers who want to indulge in the local culture and cuisine. Street vendors often serve traditional dishes at low prices. You can find food carts or stalls selling sandwiches, kebabs, tacos, and other dishes. However, be mindful of food safety and hygiene protocols to avoid getting sick. Research average prices for the area to make sure you’re not being overcharged.

Coffee and beverages

Coffee and beverages are usually the least expensive items on the menu. You can find coffee shops and cafes selling specialty drinks, like lattes, cappuccinos, and frappuccinos, at a fraction of the price of restaurants.

Most places also offer tea, smoothies, juices, and other non-alcoholic drinks. Local markets will usually have cheaper options for bottled water and other beverages. For alcoholic drinks, look for local breweries, pubs, and bars and take advantage of happy hours and specials to save money.

Tipping and service charges

Tipping is common in many countries and is expected for certain services, such as restaurant meals and hotel stays. The tip amount varies depending on the quality of service and local customs. It’s usually 15-20% for a meal, but you can check with the restaurant or your server if in doubt.

Service charges come with the bill and should be indicated on the menu. Allocate a portion of your travel budget to cover tips and service charges. Staff at hotels, restaurants, and other establishments rely on tips for their income, so be generous when you can.

4. Activities and entertainment

A vacation wouldn’t be complete without some fun and entertainment. You can find inexpensive or free activities to do depending on where you’re traveling. Museums, galleries, and other cultural attractions are usually free or have discounted admission for students and seniors. Typical expenses for activities and entertainment:

Sightseeing and attractions

Sightseeing is a big part of many people’s travel plans. Historical and cultural attractions, like monuments, churches, and museums, are usually the most popular sightseeing destinations. You can also visit theme parks, zoos, aquariums, and art galleries.

Prices vary depending on the type of attraction, and access passes are usually cheaper than buying tickets for individual attractions. You can pay a small fee to take historical tours from locals, while in certain cities, free walking tours are also available.

Organized tours and excursions

The best and most fun-filled way to see a new place is to join an organized tour or excursion. Most cities have tours that take you to the must-see sights and attractions but you can also book day trips to castles, vineyards, or nature reserves.

An organized tour covers entrance fees, transport, and sometimes meals. Compare rates and read customer reviews to find the best value for your money.

Outdoor activities

Outdoor activities like hiking, biking, and water sports are great ways to explore the local landscape. Many national parks and forests have trails for biking, horseback riding, and climbing.

Some parks offer guided tours with experienced instructors. The guided tours usually include equipment rentals and safety gear, but you may incur park entrance or permit fees for certain activities.

Shows and performances

If you’re looking for a bit of culture, shows, and performances are a great way to spend an evening. Theaters and opera houses often have discounted prices for matinee shows or special performances.

If you’re staying in a city, look out for street performers and enjoy free outdoor concerts. Cinemas are usually cheaper than live performances, so you can taste the local culture without breaking your budget.

Spa and wellness

Spa treatments are a great way to re-energize after a long flight or an intense sightseeing session. Some hotels offer complimentary spa treatments, while others have special deals for guests.

Try a local massage parlor or a yoga studio if you want something more affordable. You will pay from a few dollars to hundreds, depending on your chosen services. Spa services usually include massages, facials, saunas, and steam rooms.

5. Shopping and souvenirs

Bringing back souvenirs is a fun part of any trip, but it can be easy to overspend on gifts for yourself and your loved ones. The cost of souvenirs depends on where you’re traveling and the type of item you want to buy. It’s common to bargain or haggle for lower prices in some places. Research the local currency and market prices to avoid getting ripped off.

Travelers should also be aware of import laws and customs regulations. There may be restrictions on certain items such as food, alcohol, and tobacco.

6. Emergency and unprecedented expenses

Despite how well you plan your trip, there may be unexpected costs. Unforeseen events, such as a life-threatening medical emergency or natural disaster, can result in high expenses. Budget for emergency funds and purchase travel insurance to cover any medical costs or unexpected losses.

Carry enough cash for emergencies, and use a debit or credit card for international purchases. Also, double-check your documents to ensure you have all the necessary visas and permits before your trip.

7. Currency exchange rates

Exchange rates make a huge difference when transferring money or paying in foreign currency. Compare current rates with those from the booking time to ensure you get the best deal. Check with your local bank or credit card provider for their rates and fees.

You can also look up online currency converter tools to see how much you spend in your home currency. Be aware of hidden charges when exchanging money. Such hidden charges include ATM fees, commissions, and other administrative costs that can quickly add up.

Tips for managing travel expenses

Proper travel expense management is critical to a successful and enjoyable trip. Planning ahead and budgeting for each expense will help you manage your travel expenses.

Set daily spending limits and monitor your expenses

Estimate your total budget for the trip and then divide it into daily spending limits. This will help you stay on budget while still allowing you to enjoy the activities and attractions. Monitor your personal expenses throughout the trip to ensure you don’t exceed the budget.

Save money on product purchases with Accrue Savings

Saving money for travel expenses is a challenging feat. Juggling everyday expenses while saving for a trip can be overwhelming. Accrue Savings is a great way to save money for travel without having to scrimp and sacrifice everyday items.

This easy-to-use service allows you to save money for travel expenses by automatically putting aside a portion of your everyday purchases. You only need to create a free Accrue account, fund your wallet, and track your progress. And there is no set amount you must contribute — save as little as $1 weekly or $50 monthly, depending on your flexibility.

Book everything in advance

Book flights, accommodations, and activities in advance to get the best deals and save on travel costs. Check for airline discounts or hotel loyalty programs, and watch for last-minute discounts and deals on attractions and activities.

Traveling during the off-peak season

Flights and accommodation prices tend to be higher during the peak season. Consider traveling during the off-peak season when prices are lower. Hotels usually offer discounts or special packages during this time, saving you money on accommodations. You may have to sacrifice some activities due to fewer available options, but you’ll get more bang for your buck.

Keep an eye out for discounts

Take advantage of discounts and special deals to save on out-of-pocket expenses. Look for coupons, student or senior discounts, and loyalty club memberships that offer discounts on activities and attractions. You can also find discount codes for car rentals, restaurants, and other services online. Business travel expenses, for instance, may be tax-deductible depending on your situation.

Save intelligently on your purchases Accrue Savings

Estimating Travel Costs

As we have mentioned many times throughout this website, there are many factors that contribute to the cost of your trip. Every traveler and every trip is different. If you're on a longer trip, some people will tell you it's not possible to predict how much your trip will cost. This simply isn't true. While there are many variables that will affect how much you spend, budgeting a trip is like budgeting anything else in life. You have to account for your own personal variations and preferences. Having a budget is crucial to making sure your trip doesn't financially spin out of control. That being said, it can be hard to exactly predict a specific cost, but it is possible to get fairly close. Naturally, the shorter the trip, the easier this is, but this process is catered towards people that are planning longer trips.

How much should a trip cost?

There are too many factors that affect a travel budget , so there is no simple way give a rough estimate of cost, especially if your trip is more than just a few days or weeks. What type of hotels are you staying in? How will you get from place to place? Transportation and accommodation are two of the most expensive areas that travelers spend money on, but there are many more.

Factors that affect a travel budget:

Where you choose to visit will have the biggest impact on your budget. Europe and the U.S. are expensive, while India and Cambodia are very inexpensive. Naturally, spending a longer period of time in cheaper locations will allow you to stretch your budget and travel longer. There are some surprisingly expensive destinations that you should be aware of. Brazil and Argentina are much more expensive than some of their nearby South American neighbors. West Africa is also quite expensive due to limited hotel and restaurant options (those that are available are overpriced and of low quality). Eastern Europe remains cheaper than most of Western Europe, but prices continue to rise and Eastern Europe is no longer the extreme budget destination it once was. This is particularly true for places like Greece and Croatia, that have long been discovered by travelers and vacationers alike. Asia is a mixed bag, with more developed countries costing more, and many developing countries (particularly in Southeast Asia) being much cheaper.

Your travel style can have a significant effect on your budget. If you're on a truly tight budget then you will likely have to sacrifice some level of comfort and luxury during your trip. Using public transportation is cheaper than hiring taxis or renting cars, but often not as efficient or relaxing. Staying in hostels or budget hotels is probably the most effective way to save money. You'll need to figure out your priorities, though. Are you willing to share a bathroom, or even sleep in a shared room in order to travel for a longer time period? But with these sacrifices come some rewards. In many places, locals take public transportation so you'll have a chance to interact with the people of the community and you'll get to experience what daily life is really like. Although hostels offer less privacy, they also give you the chance to meet other travelers, many of whom are also on long term trips. These travelers are an excellent source of information and travel tips. It's also fun to have the company, particularly if you've been traveling by yourself for a while.

The time of year you travel to some places can also make a difference in cost. Traveling in the low season or shoulder season can often land you significant discounts. These discounts are not nearly as large as the savings you will get from staying in hostels or budget hotels, however. Also, be aware that some travel destinations essentially close down during the low season. This is particularly true in areas with extreme weather fluctuations. If most of the area's hotels and restaurants are closed, then those few that remain open will likely raise their price significantly. Also, if you're traveling somewhere specifically to experience the outdoor activities, then make sure you go during the best season. Places like Nepal or Patagonia are obvious trekking destinations. There are very specific seasons when it is best to travel there, and you are better off if you arrange your trip around these times, but the prices are also highest during these periods.

How quickly you travel from place to place will significantly affect your budget as well. Transportation is expensive, especially if you fly often. Taking local overland transportation tends to be the cheapest way to go, but it's not as cheap as just staying put for awhile. Besides, taking a longer time to get to know a place is when you open yourself up to the most interesting experiences. Another benefit to traveling slowly is that it gives you time to simply walk around a place. If you're only in town for a few days, then you'll likely try to visit all the museums and attractions that you can within those few days. This will dramatically increase your daily budget and, in turn, raise the total cost of your trip. Take your time and soak up the local atmosphere if you're on a tight budget. You never know what you might discover, as you will have time to get off of the beaten path.

Tours and guides are another expensive part of traveling. Often you can see the same places on your own and learn from a guide book instead of a person. While the quality of the information you might learn from a book versus a person is debatable, there's no arguing that some tours can be extremely expensive. Many tours also include transportation and meals, so it may be worthwhile to consider this before making a final decision. If you do decide to take a tour, ask other travelers who they would recommend. Personal recommendations mean a lot more than any suggestion in a guide book or on the internet.

Children will add considerable expenses to your budget. You'll probably want to travel with a little more comfort and stability if you have kids. That's understandable. Don't let that stop you though! Your entire family will benefit from the experience.

Working while you travel is always an interesting debate. Many people believe that they can work and travel at the same time so that they can offset their expenses. Some believe they can get jobs in certain countries, and while this is possible, it is not always practical or guaranteed. Also, the jobs avaialbe may or may not pay the amount that is needed to travel. Be realistic about your expectations!

Some people also believe they can be digital nomads and make money while blogging, being an influencer, or a freelancer. Make sure that you have already established yourself as such before you just take off, as many travelers attempt to do these things and are then sadly dissapointed in the financial results during their trip.

One very reliable way to make money abroad is to teach English as a second language. Many countries have frequent opportunities for native English speakers to teach at schools or companies. For more information, read this great article about the best places to teach English abroad .

Research is Key

If you want to create a detailed breakdown of how much your trip will cost, you'll need to gather some resources. Keep in mind that it is impossible to foresee every expense. Remember, long term travel is about staying flexible. If you plan out your expenses to the very last detail, then you're probably going to have to plan your actual trip to this detail, and that is definitely not "staying flexible". Instead, allow for conservative estimates. It's better to budget too much money for something than not enough. Then, if things do go as planned, you'll have a little extra cash for when you get home, or even to spend when you extend your trip.

It is possible and advisable to create a general plan. The most basic steps include:

Determine an average daily total for each country you plan to visit. Consider accommodation, food, entertainment and transportation expenses.

Reality check that total. Approximate the cost for a hotel, food, entrance fees (museums, shows, etc), and local transportation. Consult guidebooks, other travelers, and booking websites to ensure that your budget is realistic for your travel style.

Think about how many places you plan to visit. How much will each section of the trip cost? Price out as many plane and long distance train tickets as you can. Transportation costs can be a significant part of your budget, and it is relatively easy find a good estimate for these costs. Be realistic though. If you don't think you'll take night buses, then budget enough for the more comfortable and efficient option. Don't assume you'll find that once in a lifetime deal on a plane ticket. If you're traveling in peak season, expect to pay peak season prices.

Add in costs for visas, vaccinations, and new gear. Don't forget to consider health insurance and other forms of insurance. These expenses can quickly add up. If you're planning to book an around the world plane ticket then make sure you budget for any unexpected changes. Each change will likely incur a fee.

Add at least 10% to your total, probably more. This is your budget. Reality check it one more time and make sure you've leaned on the side of conservative.

Finding realistic costs for all of these items can be tricky. Sometimes you can rely on other travelers, but sometimes not. Every traveler has their own style and priorities and just because somebody else spent one amount, doesn't mean that you'll spend the same. Prices poste online are generally a good bet, but remember that prices can change and vary by date, supply & demand, and other factors. Online prices are can often vary by the website, too. Some guidebooks may be reliable, others less so. Prices rise quickly and many guidebooks are at least a few years old. Hotels that are listed in guidebooks are also known to raise their prices quickly. The recommendation of Lonely Planet or other books can put a hotel or hostel in high demand, so don't expect to pay the price that is listed in the book. With that disclaimer aside, we've outlined a few resources below to help you plan your daily travel budget.

Budget Your Trip's travel cost search allows you to find out what other travelers are spending. You can search by city, country, and budget type (more options are coming soon!).

Guidebooks and online travel guides often give you an idea of how much specific hotels, hostels, or food will cost in a city. It's important to remember that printed guidebooks are often slightly outdated. Expect to spend a little more than a price that's quoted in a book. Online prices also vary by season and demand. If you go ahead and book something, then you can lock in your price, but you still need to be prepared to pay a little extra for tips, fees, and other random costs that might creep in.

Travel forums such as Lonely Planet's Thorntree or Nomadic Matt's travel forum offer a great resource to discuss expected expenses in a area. Find a forum that stays active and you can usually expect prompt, although varied, responses.

Hotel and airline booking websites have up-to-date pricing that is usually reliable. Make sure you are confirming a price during the season you plan to travel as seasonal price variations can be significant.

Travel websites such as Seat61.com offer a fair estimate of costs for intercity public transportation. You can often check public transportation costs on a city's government transportation website (such as the NYC subway website, or Paris' Metro website).

How to Calculate Cost of Travel

Last Updated: September 27, 2023

Calculating your travel costs can help you plan and organize your trip, and though it may seem difficult or confusing, it’s actually pretty easy to do. Look into the cost of lodging, vehicle rentals, fuel costs, flight costs, and any other expenses you may incur. Gather all of your costs together and keep them organized so you can plan for expenses and calculate your costs. You can also use a formula to figure out your fuel costs if you’re driving to your destination.

Calculating Your Travel Budget

Step 1 Keep track of your costs so they’re organized.

  • Use a spreadsheet to organize costs, make plans, and keep a checklist of items.
  • Write down any expenses that you make or plan to make in the document.

Step 2 Research the total cost of round trip airline tickets if you’re flying.

  • You can also estimate your budget based on other round trip ticket prices. For example, if you’re in the US, you could calculate round trip tickets across the country at around $500.
  • Look for roundtrip ticket deals that bundle your flights together.
  • Compare rates of round trip flights online so you can find the most affordable option.

Step 3 Look up the price of vehicle rentals where you’re going.

  • For example, if a rental company charges $50 a day, and you need to rent a vehicle for 3 days, then you’ll need to budget at least $150 for rental costs.
  • If you’re traveling far, choose the vehicle with the best mileage so you can save on fuel costs.

Step 4 Incorporate additional transportation you’ll use into your costs.

  • Search online to determine the type of travel you’ll use.
  • Find out the costs of using the transportation, whether it’s a rental fee or a ticket price, and estimate how much you’ll need to budget for it. For example, if you plan to take a ferry to visit a remote island at least 4 times, and the ticket prices are $5 per trip, then you can budget $20 for ferry tickets.
  • If you’re unsure of how to arrange for transportation at your destination, contact a travel agency and ask them to assist you. You’ll have to pay them for their services, but they’ll be able to fully assist you!

Step 5 Find out the costs of any lodgings you plan to use.

  • For instance, if you plan to stay at a hotel that costs $100 a night, and you plan to stay for 5 days, then you’ll need to budget $500 to stay there for the duration.
  • Calculate your total lodging costs by adding together the total amounts of each place you plan to stay.
  • You can find rental rates for many hotels on their website.

Step 6 Include the costs of food for each traveler.

  • Check to see if there are any restaurants that you plan to visit so you can adjust your food costs based on the prices of the restaurant.
  • If you plan to eat on the airplane, contact the airline to find out the cost of meals.

Tip: A good rule of thumb is to figure about $20 of food costs per person for a full day of traveling.

Step 7 Add in the costs of any activities you plan to do.

  • Try to think of any miscellaneous costs that you may have such as toll roads or baggage fees.

Budgeting Fuel Costs

Step 1 Find out the total distance you will drive on your trip.

  • Put together all of the driving trips you plan to take to get a total traveling distance.

Step 2 Divide the distance by your vehicle’s mileage to find your fuel needs.

  • For example, if you’re going to Kansas, you plan to drive a total of about 200 miles (320 km), and your rental car gets about 20 miles (32 km) per gallon of fuel, then you’ll need to purchase a total of about 10 gallons (38 L) of fuel in order to get around.

Step 3 Multiply how much fuel you need by the cost of fuel where you’re traveling.

  • For instance, if you need about 10 gallons (38 L) of fuel to travel around and the cost of fuel is about $3.00 per gallon, then you’ll need to spend about $30.00 on fuel.

Tip: If you’re traveling for business or you plan to be reimbursed for your expenses, keep your receipts so you can be reimbursed and calculate your mileage for tax purposes.

Managing Tour Routing and Budgets

This chapter deals with some of the obstacles you’ll encounter when you’re routing a tour. It may seem a bit complicated at first, but with study and experience you’ll develop the skills you need to master this aspect of being a bandleader. To give you a head start, the last part of this chapter has a five-part step-by-step demonstration of how I put together an imaginary tour. This process illustrates all of the complications that can arise from routing and budgeting a tour – and gives you some of the most common solutions as well.

Tour routing and budgeting directly affect one another in a number of ways. You need to book a lot of gigs to make it worthwhile for you to go on the road. However, traveling from one gig to another costs a lot of money. So, once you decide to book a tour, you need to make sure that you book enough gigs to cover your travel expenses. You’ll want to avoid excessively difficult travel itineraries (because they can exhaust you and your band members and can affect your presentation), but at the same time you need to minimize your days off (because they can weigh down the profitability of your tour). Balancing the routing and budgeting aspects of a tour often seems like a juggling act. Once you have begun the booking process, you’ll find that your tour’s itinerary will take on a life of its own. Establishing total control over the routing process is impossible because too many touring elements are beyond your control.

Troubleshooting Touring Conflicts

Complications generally arise when you start arranging your transportation for your tour-in-progress. This happens because this is the first point where you see how your transportation costs affect your tour’s budget. When you have a reasonable idea of where you’re going to be and when you’re going to be there, you should begin to check into your transportation routing and expenses. I usually find that I am ready to do this approximately two-thirds of the way through the booking process. Sometimes you find that you just “can’t get there from here” or at least can’t get there in time. Sold-out flights, unworkable travel connections, high transportation costs, among other unpredictable factors, will add to your routing problems.

Routing problems occur on every tour. These problems may be caused by:

• disparities among commitment dates of various venues in your tour;

• a need to schedule unexpected last-minute gigs;

• conflicts between travel times and performance times, which are often not known until the tour schedule is relatively complete;

• excessive distances between gigs, which can raise transportation costs;

• too many open dates;

• the fact that other bands are often competing for the same dates, which means that certain venues may wait until the last minute before they commit to a gig.

You can solve routing problems in a number of ways. Which solution you choose will depend upon the individual circumstances of a gig, and perhaps the relationship that you have with your client. For instance, you can:

• change the date of a gig;

• fill in holes in your itinerary by asking your clients for recommendations and then scheduling additional gigs;

• consider alternative forms of transportation, which may have preferable schedules and fares, by contacting a travel agent    or by searching on the Internet;

• negotiate with clients so that they agree to pay for the band’s accommodations for extra days off;

• lower band members’ salaries slightly for a gig or two to bring the budget in line;

• solidify weak gigs that have yet to commit;

• take alternative gigs for a date that may have been canceled.

As you’re finessing the routing of your tour, you may find that you need to call back a few gigs that have confirmed to see if they have the flexibility to move dates around. Plan ahead for the fact that this may happen. When you first contact a venue and set a date, ask your client if the venue has one or two possible alternative dates. Don’t be afraid to ask about changing a date. Experienced clients understand routing problems and will accommodate your request if they can. And besides, you never know, sometimes changing a date at your request also solves a routing problem that the client is having. Clients deal with routing problems on their end as well, and they are often juggling dates. On occasion, a client may even call you to ask if you can change a date. Do your best to help your client out if you can. Cooperation will help you establish a positive reputation in the business and a solid working relationship with the client. When you’re considering swapping dates, keep in mind that gigs with signed contracts can’t be changed.

Some venues are locked into dates that can’t be changed. This is frequently the case with festivals. However, if the festival is a multiday event, the client may be able to juggle the day of your particular concert. Arts presenters, most nonprofits, and concert series that book a year in advance, will not be able to change their dates. Don’t bother to ask. Clubs, hotels, and small concert halls have the most flexibility. If you have a signed contract and the venue has started to advertise your appearance or if a festival or school concert hall has no other available dates and/or booking conflicts are too formidable, you most likely won’t be able to change the date. However, it is always worth a quick call to find out about the possibility of changing a date.

Nothing is more stressful than looking at your tour calendar and seeing too many open stretches of nonworking days in your itinerary. Open dates increase your expenses because you and your band members are forced either to fly home and back again in the middle of your tour or stay out on the road and pay hotels for days on end with no income. If you have no alternative gigs lined up for the dates that are not yet filled, do more venue research. Call your clients for the dates you’ve already booked and ask them to recommend other venues or new leads. Another option is to get in touch with local musicians or radio station disc jockeys in the area for new leads.

It is standard practice, when you’re in the preliminary process of booking a tour, to allocate 30 percent of your tour income toward accommodation and transportation expenses. However, once you start filling in your expense column with the actual accommodation and transportation costs, that allocation can quickly evaporate. In order to avoid this stressful scenario, assume that you are going to stay out on the road through any open dates and estimate $100 per person, per day, for hotels for each open date. Add these expenses to your budget, and then as other gigs confirm (and perhaps also agree to pay for your hotel and travel costs), you can adjust your budget accordingly.

If either you or your travel agent doesn’t have E-mail, print out your itinerary and fax it to your travel agent so the two of you can discuss where you’re going and how you plan to get there. Your agent may have solutions you have not considered. Alternatively, you can save your travel agent a lot of time and yourself a lot of worry about travel schedules and expenses by going on the Internet to do your own research. Almost every airline, railroad company, and car-rental service has a Web site. By checking a few sites you can get reasonable estimates of plane and train schedules and expenses for almost any part of the world. Having this information will make discussions with your travel agent much more efficient. Print out the plane and train schedules you think would work for the segments of the tour you have booked to date and fax them to your travel agent. He or she may be able to find lower prices and special offers that aren’t posted on the Internet.

Expect to have some open dates in your itinerary and plan ahead for them. Negotiate an extra day’s paid hotel, either before or after the gig date, with as many venues as you can. Assure the client that if another date confirms for the open date, you won’t need the extra day’s hotel. If you forget to ask for extra hotel days during negotiations, you’ll have to call your client back to see if he or she is willing and able to help. These kinds of situations may be awkward, but you never know until you ask.

After you’ve made all of the arrangements that you can to save money with your travel and accommodations, if your tour still looks as if it’s going to have a negative balance, try shaving a few dollars from your bandleader’s salary. Check to make sure you haven’t made a mistaken entry into your budget columns. As a last resort, see if taking $25 to $50 per person off a few gigs brings the tour back into the black. If other gigs commit later, you can readjust your salary entries.

Once you’ve completed your initial assessment of your routing consideration, you’ll have to go over your itinerary and assess the viability of each uncommitted gig. Take the weakest gigs off the calendar and budget, and see what the routing and expense picture looks like then. You may be surprised to suddenly see alternative routings you hadn’t previously considered. If this is the case and if you have some flexibility to make routing changes, you’ll have to call some of your committed gigs back to see if they can change their dates for you.

If you’re having trouble getting a confirmation from a client, tell him or her that you’re trying to keep your tour expenses down and that you need an answer by a certain date, or the cost of purchasing tickets for the tour will increase and you might not be able to afford to play the venue. I’ve found that this approach sometimes helps to gently prod my client into making a firm decision. The downside of this strategy is that the contact may say that he or she can’t confirm at that time, and suggest that you book an alternative gig if you can. This can leave you in a position from which you have little leverage to make a counterproposal. In both types of situations the client’s response is usually a good gauge of how solid his or her commitment to you is.

Occasionally you’ll encounter a client who just hates to say no and will keep you hanging. Oftentimes this is an indication that the client has another band in mind for that date and he or she simply hasn’t yet made a decision. The closer you get to the date of the gig the less likely this is to happen – because if your client hasn’t yet made arrangements for another group, he or she will be more anxious to fill the date and will be more willing to commit to you. If you find yourself in this kind of situation, you will have to make a judgment call as to how serious your client is, and how you want to proceed. Your decision may be based on whether or not you have an alternative gig. Ask the client what the odds are that the gig will be confirmed. If you get a positive response and you don’t have an alternative, hold the date. If you don’t get a positive response and you have a solid alternative gig (maybe for a smaller fee), take that one. It’s better to have a definite gig than to hold a date open for an engagement that’s looking shaky or will never happen. If you don’t get a positive response and you have no alternative gig, take the date off the calendar and leave it open. If they call, they call. If they don’t, you won’t have made any decisions based on the gig committing.

Creating Your Tour Calendars

Computer calendars are indispensable for routing tours, checking on open days, logging venue info such as fees, keeping track of event schedules, filing contact information, and readjusting tour dates. Calendars can also be used to note call-back dates, client call-back dates, and dates you expect mailings to be sent or arrive. Calendars are crucial when creating tour budgets and itineraries. When talking to a prospective client, have the calendar program up and running; this way you won’t be hesitant about your tour itinerary and routing.

Keep visual track of a tour’s constantly changing status by highlighting calendar dates using different colors or type, depending on the status of the gig. Enter dates that are definite in red. Enter the dates that you have contacted but are waiting to hear from in blue with a question mark. Dates that are yet to be contacted should be entered in black with a question mark. As soon as the status of a date changes, adjust the calendar and update the budget.

Try to allow no more than one six-hour driving day per week, unless it’s an off day, or after the trip. Three- to four-hour drives per day are reasonable, and not too exhausting. But sometimes you’ll have no choice but to accept some hard travel days.

Once, in the middle of an extensive U.S. tour, I accepted two days of concerts in two different Polish cities. The client made an offer I couldn’t refuse because we had four days open in that part of the tour. We finished a gig in Columbus, Ohio, drove to the airport, flew to Philadelphia, connected with a flight to Warsaw (with a change of planes in Munich), and then drove for three hours from Warsaw to the first gig. The total travel time was eighteen hours. We arrived at the first venue about three hours ahead of the performance time, which meant choosing between eating or catching a nap. I opted for the latter. Upon awakening, I hurriedly showered, shaved, and dressed, getting to the gig just in time to play. I was so tired I could barely lift my hands to the piano, but we made a good presentation anyway. Sometimes, when exhausted by hard traveling, a presentation is all you can do, but if your band has good musical rapport, that aspect alone can carry off a successful performance.

That night we got a decent night’s sleep, drove for three hours back to Warsaw, took a two-hour-long train ride to Krakow, and got to the next location with just enough time to eat and rest a little before the gig. The next day we took a train back to Warsaw, caught a plane to Louisville, Kentucky (by way of Munich and New York), and finished the last two weeks of our U.S. tour. Even though I had arranged a day off for the day after our return to the United States and had managed to book gigs for that next week that only required one to two hours of driving, it still took days for us to recover from that trip.

At the same time that you are booking your tour and drafting your tour calendar, you should also be developing your tour budget. Tour budgets help you to judge the financial status of your tour. For each tour you book, you’ll have to create a separate tour budget. Oftentimes you’ll need to create one or two alternative budgets to test out different ways a tour might look if you add or subtract gigs. Surprisingly, sometimes you will find that it is more profitable not take a certain gig because the salaries, transportation, and housing costs involved with that gig lower your tour’s net income.

When I first started booking my tours, I created my tour budgets using a computer spreadsheet program with linked totals and subtotals that automatically changed as I updated the entries. A spreadsheet is only as good as the person creating it. Incorrect entries and cell links can be entered into any accounting program, no matter how sophisticated it is. It took me quite a few tours to hone my computer skills so that these spreadsheets were completely accurate. One wrong number or entry title can be disastrous, so check, double-check, and triple-check your data.

I recommend the inexpensive software program Quicken Basic by Intuit. You can find out more about this program at http://www.intuit.com. Although primarily used for home accounting, Quicken Basic has a checkbook feature that can be easily customized for use with tour budgets. I prefer this program rather than a spreadsheet program because budget entries can be more detailed and calculations are done automatically. Detailed entry titles keep track of various income sources and expenditures. Quicken Basic’s handy report feature also allows you to create an accurate picture of your tour’s financial status. This is helpful for checking the profitability of a tour at any point during the booking process.

Both expenses and income will come your way unexpectedly during every tour, so you’ll need to bring an accounting program with you on the road to update your budget. You can then adjust those entries in your Quicken Basic program when you return. I don’t carry a laptop with me when I’m on tour. Instead I use a digital diary with a spreadsheet program. Although a budget spreadsheet is time-consuming to create, it’s well worth the effort and it’s a good way to double-check your figures and entries.

Whether you use a spreadsheet at home and/or on the road, you can save time by creating a generic budget spreadsheet that has cell links for the income, salaries, and tour expenses and that tallies the totals for each of these categories automatically. This automatic-tally function is especially helpful, because when you add or change an entry, the program changes all of the corresponding figures. (See pages 161, 163, 165, 168, and 172 for examples of a sample tour budget spreadsheet.)

To keep track of how much you are over or under your budget, set up your spreadsheet so that it creates totals for each category as well as a subtotal for the tour balance after the salaries and expenses have been deducted. To get a long-term picture of how your band is doing, you can, at the end of each year, create another spreadsheet to analyze the band’s average daily income and expenses, the average income per type of venue, and your personal and band average yearly income.

This is the information you need to enter into your tour budget spreadsheet:

Dates and City Locations of Gigs:  When starting a new budget, key in your first and last dates of a tour, and all the other dates between – regardless of whether they are booked or not. If the tour becomes longer or shorter than originally estimated, it’s easy to adjust your spreadsheet later.

Income from Each Gig:  Enter these figures as each gig confirms. If a venue is paying your hotel and/or airfares as part of your total fee, enter the figure as income on the appropriate day and then enter a zero in the appropriate cell in the expenses column. For example, if you’re getting paid $3,000 for a two-day gig and the venue is paying your hotels and transportation, you’ll enter $3,000 in the income column and zeros in the hotel expense column in the cells that correspond with those two days and zeros in the dates of your round-trip airfares.

Grants:  Enter any income that the band will receive from support grants in the income column.

Individual Salaries:  Enter these figures as soon as each gig confirms. Pay particular attention to your pay schedule to ensure that each person is being paid the correct amount for each type of service (concert, clinic, rehearsal, radio broadcast, etc.). If you want to see how a tour looks if all the gigs you’ve contacted confirm, make a tentative budget by adding in the income and salaries of the unconfirmed gigs. These can be updated as new information comes in.

Total Income : This figure is the total amount of the tour income, plus grants.

Individual Salaries:  This figure is the total of each individual’s salary for that tour.

Total Salaries:  This figure is the total of all of the individuals’ salaries. This is the figure that is deducted from the total-income figure to get the travel margin.

Agents’ Fees:  To make sure you haven’t neglected to enter and deduct these fees from your budget, enter the agent’s name and fee as well as the date of each gig for which the fee is owed in the expense column. Add a final cell for total agents’ fees underneath that section of your expenses.

Advance Deposits:  As mentioned above, the full amount of the fee for each gig should be entered in the income column. However, if you accept an advance deposit, you will need to develop a system for notating that a portion of the income for a gig has already been received. This system should be very clear, otherwise, you may forget about the deposit and, while on tour, expect to receive the full fee as it is listed in the income column. One way to notate the receipt of an advance deposit is to deduct the advance deposit from your total income. This second total will reflect the total amount of income that you will receive when you are on the road. You can call this second total something like “road income” to distinguish it from total income. You may also want to highlight the fee for the gig (which will be in the expense column under the appropriate date) in bold – so that you have a visual reminder that this entry involved an advance deposit. Personally, I find the extra level of bookkeeping involved with advance deposits cumbersome and so I make a point of not accepting them.

Travel Margin:  This category is optional. This is the figure you get when you subtract the total salaries, and agents’ fees (if applicable) from the total income. This figure lets you know how much of a balance is available for transportation and hotel expenses. If your tour is in good financial shape, this figure will be between 20 and 30 percent of your total income.

Airfares:  These figures need to be entered in their own column within the expenses portion of your budget. When the band is traveling together, use city and state abbreviations to notate all flights. This system also works well when personnel that live in differing cities fly to and from the first and last gigs of a tour by themselves. To keep track of how your expenses are going, use any of the many Internet airfare services to get estimates on flight costs. Microsoft’s Expedia Travel Service at http://expedia.msn.com/ daily/home/default.hts and Preview Travel at http://www.previewtravel.com allow you to get figures for open-jaw tickets. Using these estimates eliminates the need to bother a busy travel agent for tickets you may or may not buy. Actual costs can be reentered at the time the tickets are purchased. Don’t forget – as with all of the expense subcategories – to add a total airfares cell underneath the airfares category.

Baggage Fees:  These figures should include the charges for the bass and drums as well as oversize or overweight luggage. Add these costs on the line after each airfare listing. These figures vary unpredictably, and cannot be determined in advance. Some airlines will charge you baggage fees and some will not. It’s always safer to estimate unknown expenses on the high end and enter the inflated fees in your tour budget. Then, while you’re on tour, you can change the figure on your personal organizer and, once you get home, you can reenter the correct figures into your computer spreadsheet program. Once you’ve done a few tours, you’ll have a pretty good idea of what your average baggage fees will be.

Van Rentals:  Enter the to and from dates as well as the abbreviations for the areas where you’ll be driving. You can get estimates from the Internet or by calling a rental-car agency’s 1-800 number.

Gas and Tolls:  Enter these costs below your van-rental costs column. Map software programs such as Route 66, Delorme, or AAA, which are available on CD-ROM and on the Maps On Us Web site at http://www.mapsonus.com, can give you reasonable estimates as to how much gas you might use on a driving tour. These resources can be especially handy to check if you’re within your mileage limit allowed by the car-rental agency and how much it could cost you if you go over it.

Trains:  These expenses, for the most part, will only occur in Europe. (For more information about European train schedules and Eurailpasses, see pages 208&endash;213.)

Ferries:  Call the ferry company to get an estimate of its fees.

Taxis:  There may be some situations (as in foreign countries) where the venue will supply most of your local, in-town transportation. In these cases, you’ll only need to use taxis for limited excursions – like getting from the airport to the hotel. Since these expenses are relatively limited, you can usually ballpark these estimates yourself. However, if the band will need to take a longish taxi ride from the airport to the gig, you might ask your gig contact to give you an estimate as to how much the ride might cost.

Transportation Total:  This figure is the total of airfares, baggage fees, and all other forms of tour transportation.

Hotels:  Add every date where you think you’ll have to pay for your own hotels. Use your collection of hotel rate books, check on the Internet, or call any of the hotel chain 1-800 numbers to estimate your hotel expenses. If you plan on staying in a hotel that is not part of a chain, call your client for the hotel info and then call the hotel to check on its cost. Be sure to include any room taxes in the figure.

Total Hotels:  This figure is the sum total of all of the individual hotel expenses. This will change as you work to lower this expense.

Miscellaneous Expenses:  You never know what expenses might arise during a tour. It is a good idea to plan for some unexpected expenses. For example, you might need to rent a drum set or bass amp or fix a dent in a rental van.

Tips:  These costs will include airport and train station baggage handlers and hotel bellhops. This category is optional and should appear after the miscellaneous expenses category on your spreadsheet.

Total Travel Expenses:  The figure is the sum of all your travel and hotel expenses.

Tour Balance:  This is the most important figure in a budget. It tells you whether your tour budget is in the red or in the black. If it is in the red, you’re going to have to go back over your figures to see where you can shave any tour expenses. For instance, as previously mentioned, you may find that you have to reduce your own salary, which may mean that you will make less than the other members in your band. As a last resort, you may find that you need to reduce the other band members’ salaries as well in order to bring the budget back into the black. Alternatively, if you’re in the black by a moderate amount, you’ll be able to take a leader’s fee. If this is the case, don’t forget that you have other expenses, such as those incurred running your office and booking your band (telephone bills, computer software purchases, press kits, etc.) that you’ll hope to defray somewhat from a tour that runs into the black.

March West Coast Tour/Budget #5

While booking a tour, you are probably going to make at least three tentative budgets – and maybe more if you have to refigure your tour because of cost overruns. If you know that you’re going to have to draft multiple budgets, when you start to enter your budget information, enter the hard or known figures first. For instance, the amounts for income and salaries generally don’t change, unless you need to lower the salaries on some gigs to bring your tour balance into the black. Use this partially drafted tour budget as the starting point for your various tentative budgets. Then, as time progresses, the softer, estimated expenses that you are experimenting with in these tentative budgets, will become harder or actual and you can make the necessary adjustments to your master budget. If a venue agrees to pay for some of your travel or hotel expenses, list those figures both in their proper expense categories as well as in the income category (next to the respective gig). Enter actual airfares as soon as you have the information. It’s the only way to keep track of a tour’s financial status.

Until you have your pay schedule memorized, keep it handy while entering your salary amounts into the tour budget. Pay attention to those days when you’re doing clinics and performances, because when done on the same day the rate is generally slightly less than if the two events were spread out over two days. With a quartet, an extra $50 per musician mistakenly overpaid could cost you $200. Occasionally, when you’re negotiating a college engagement, you may have to throw in a solo clinic to clinch a deal. It is up to you whether you want to pay yourself for these. You can always add the fees to the spreadsheet and, if a tour looks like it’s going into the red, knock a couple of them off to bring a tour’s balance into the black.

Figuring salaries for college residencies of two days or more is more complicated. The band could be working anywhere from two to eight hours a day, as in the case where you’re adjudicating a big-band festival. You’ll have to decide if you are going to pay your musicians for rehearsals with a college band. These situations will be handled on a case-by-case basis, depending on the status of the budget.

For gigs where you’ve negotiated a guarantee and a percentage of the admission fees, enter only the guarantee (in the income column) and the full salaries (in each individual band member’s income column). If you make some money on the percentage, you can add it into your portable spreadsheet later and watch your tour balance increase. However, you don’t want to assume that you’re going to make money and then be caught shortchanged if the gig doesn’t go as well as you had hoped it would.

Keep track of your days off by including each day off in your date and venue column. These should be visual reminders for you that you’ll be incurring accommodation expenses that won’t be paid for by a venue or be deflected by income from a gig. Eliminate them as the days fill in with confirmed gigs. Don’t forget to enter your days off into the hotel expense column, as well. Make separate checklists for the dates and destinations of all the flights to be booked, hotels to be reserved, and vans to be rented, including the driving days per rental segment and the drive time for each trip. Pay attention to those gigs that do and don’t pay for hotels, for gig days as well as for days off. Forgetting three of those days could make as much as a $1,000 difference in the tour balance. Hotels and airport car-rental agencies will add a tax and an airport surcharge to your bill. Ask about the additional charges before entering your transportation figures into the budget spreadsheet. You’d be surprised at how much they can add up at the end of a tour.

You’ll also want to keep tabs on some of the expenses that can vary between the time that you make your tour budget and the time that you actually go on tour. Unless you’ve reserved them in advance, airfares and van-rental rates can vary between the time of your original estimates and the purchase of the tickets or rentals. Hotel rates usually stay the same. The most variable expenses will be gas and other travel expenses – for instance, the extra charges for the bass case and drum set as well as oversize or overweight luggage – and miscellaneous expenses. You won’t have the actual costs for these miscellaneous expenses until you’re on the road. Enter those figures as you go along.

Even though you may have solidified, to the best of your ability, all of the details of a particular tour, once you’re on the road things rarely follow a planned itinerary or budget exactly. For the most part, trouble can be avoided by foreseeing potential problems before they occur. However, no matter how experienced you are, there are always variations in transportation, accommodations, and budgeting.

Don’t be fooled by a tour balance figure that suggests that you’re going to come home with $1,500 more than the other guys. All tour budgets, even the final one that you leave for the road with, are fantasies until the tour is over. Everything costs more than you think it will because stuff happens.

I learned this lesson the hard way. I had a tour balance of $1,500 and was looking forward to having the extra bread to offset my phone bills. We were on a tour of Europe and were doing a week in Italy (starting in Bologna), then on to Cologne, Germany, and London, England. To avoid taking the train around Europe with the damned bass case, our Italian agent sent it from Bologna to our hotel in Rome, the location of our last gig in Italy. Because our rooms were under the name of the club (it was paying for them), the hotel didn’t know the names of the band members and when the bass case arrived the hotel refused responsibility for it and had it sent back to Bologna.

We arrived at the hotel and the case wasn’t there. Also, the person who had refused to accept it was off for a couple of days. We had no idea what had happened to it. Even a trip to the train station gave us no information of its whereabouts. When it came time for us to leave for Cologne, our bassist couldn’t fly without his bass case. So we had to send our bassist, with his bass, by a brutal, twenty-hour train ride (thankfully we had a day off between gigs) in coach class (because it was too late to get any first-class seating), while the drummer and I flew to Cologne with his suitcase.

The agent went back to Bologna to find out what had happened to the case. While we were in Cologne, the agent called to say he found the case and was going to ship it to us by airfreight. However, the airline couldn’t guarantee that the case would get to Cologne in time for our departure to London. Because I was scheduled to do a solo clinic, I sent the bass player down to the airline ticket office and he managed to actually buy a seat on our flight to put his (unprotected) bass in the cabin. This is unheard of these days. Most airlines will not allow a bass in the cabin, but the flight was not full and they probably just wanted to fill another seat. We lucked out. Then I called the agent again. This time the agent told me that, for security reasons, the airline wouldn’t allow the case to go in baggage without someone traveling with it. The upshot of all this was that we had to fly the agent and bass case from Bologna to London.

After paying for shipping the case from Bologna to Rome and back, the bassist’s train ticket from Rome to Cologne, the extra ticket for the bass on the plane from Cologne, the agent’s plane ticket from Bologna to London, and the shipping charge for the case, an airport pickup fee in London for the agent and the case, and the agent’s hotel room in London, that $1,500 disappeared!

Taylor Swift Is Not Attending the 2024 Met Gala to Focus on European Tour Dates

Swift kicks off her Europe tour in Paris on May 9

Melody Chiu is an Executive Editor at PEOPLE overseeing music, events and emerging content. She has been with the brand since 2009, editing, writing and reporting across all entertainment verticals. She has written cover stories on Taylor Swift, Selena Gomez, Melissa McCarthy, Blake Shelton, Jordan Turpin and Sandra Oh. The Los Angeles native graduated from the University of Southern California and has appeared on Extra! , The Talk, Access Hollywood and Good Morning America .

Taylor Swift is skipping the 2024 Met Gala , PEOPLE can confirm.

Despite reports that she would be attending , the singer, who just dropped her Tortured Poets Department album on April 19, is sitting out fashion's biggest night. Instead, she'll be focusing on rehearsals and tour prep ahead of her Eras Tour dates picking back up on May 9 in Paris before traveling all over Europe during the spring and summer.

The Met Gala, which always takes place on the first Monday in May, will be held on May 6, which would have been a tight squeeze ahead of the tour for Swift, 34.

Emma McIntyre/TAS23/Getty

TMZ previously reported that Swift and her boyfriend, Kansas City Chiefs tight end Travis Kelce, would not be attending the Met Gala this year.

Swift has already attended the prestigious night six times (her most recent appearance was in 2016) while Kelce has yet to make his debut at the prestigious event.

The Grammy winner has had a huge couple of weeks, following the release of The Tortured Poets Department as she prepares to head back out on tour. She has taken over the Billboard chart (again!), has seen her album rack up 1 billion Spotify streams in a week and emotionally shared glowing reviews for her work .

No big deal, right?

John Shearer/Getty

While there’s going to be a blank space with Swift absent, the Met Gala is sure to bring out all the heavy hitters in fashion.

This year’s theme is centered on the “Sleeping Beauties: Reawakening Fashion” exhibit, which will feature approximately 250 items — including 15 significant pieces such as an 1877 Charles Frederick Worth silk satin ball gown — that span over 400 years of history. “It is very much an ode to nature and the emotional poetics of fashion,” said Andrew Bolton, Wendy Yu Curator in Charge of the Costume Institute.

Expectedly, the dress code is themed “The Garden of Time” and is inspired by J.G. Ballard’s 1962 short story of the same name. The story follows a count and countess living “in their utopia of leisure, art, and beauty,” as noted by Vogue , who predicts that stars will show up in ensembles paying homage to florals, music and time.

John Lamparski/Getty

Zendaya , Jennifer Lopez , Chris Hemsworth and Bad Bunny will lead the pack as the four co-chairs of the night. Despite the Met Gala being a few weeks away, some of them have yet to finalize their looks (who can blame them, it’s a lot of pressure).

The Challengers actress, an already five-time attendee (her insane Cinderella transformations on the famous steps is simply unforgettable) told Vanity Fair recently that she still doesn’t “really know” what she’s wearing, but she has “ideas.”

Meanwhile, the This is Me…Now singer is still ruminating over a few potentials. “I have a few different sketches. I’m still deciding,” Lopez told Vogue this week. “I’m also one of those people who chooses at the last minute. Like, I like choices, and then I go, ‘Okay, this is how I feel today,’ and then we try to kinda create some type of amazing look — ‘cause that is the night for looks!”

Kamala Harris Leads Push to Shore Up Democratic Support From Black Voters

Speaking in Atlanta, the vice president began a national tour to highlight how the Biden administration is trying to help Black Americans economically.

Vice President Kamala Harris made a new effort to energize Black voters in battleground states on Monday, visiting Atlanta for the kickoff of a national economic tour that will highlight how the Biden administration says its policies are helping a constituency that will be vital to Democrats’ success in November.

Speaking to a largely Black crowd of about 400 people, Ms. Harris laid out ways that she and President Biden have sought to improve Black Americans’ upward mobility and help them realize their business ambitions. A chief objective of the tour, she said, was to let Black business owners and entrepreneurs know about the resources available to them.

“I need the help of the leaders who are here to get the word out so people know what is available to them,” she said during a conversation at the Georgia International Convention Center with Rashad Bilal and Troy Millings of the financial literacy podcast “Earn Your Leisure,” which offers business advice to its more than two million listeners, a majority of whom are Black.

Explaining how government policies have widened the racial wealth gap over the years, Ms. Harris pointed to the Biden administration’s attempts to try to narrow it, including small-business grants and efforts to forgive student loans.

“We want to make sure people know about it — and then know where they can receive — the support to be ready to take on the work and then to grow their capacity,” she said.

Her remarks at the official White House-hosted event — drier and less political than her forceful campaign speeches on abortion recently — meandered at times.

“As much as anything, the spirit behind the push for access to capital, and in particular, on this tour, focusing on minority small businesses and Black-owned small businesses, and small businesses and entrepreneurs who are Black men, is to recognize the disparities that have existed around the access to the opportunity to achieve success,” she said at one point.

But at other moments Ms. Harris was more pointed, including when she defended diversity, equity and inclusion initiatives that conservative lawmakers have pushed to dismantle in state governments and at colleges and universities .

“In spite of those who in certain parts of our country want to attack D.E.I., we understand that you can’t truly invest in the strength of our nation if you don’t pay attention to diversity, equity and inclusion,” she said.

The vice president’s Atlanta visit, her 12th trip to Georgia since taking office, was the first stop in a tour of several battleground states in the coming weeks. Much of the tour will focus on Black small businesses and economic issues that are especially pressing for Black communities. She will visit Detroit next week, aides said.

Ms. Harris’s tour will also seek to engage Black men, whom Democrats are urgently courting as polls show them softening in their support for Mr. Biden. Much of the crowd at the vice president’s event consisted of Black male political and business leaders, as well as a contingent of students from Morehouse College, a historically Black men’s college in Atlanta where President Biden will deliver the commencement address next month.

Before her speech, Ms. Harris visited an entrepreneurship hub near downtown Atlanta where she spoke with Black small-business owners.

Flanked by Georgia’s Democratic senators, Raphael Warnock and Jon Ossoff, as well as Representative Nikema Williams, the state Democratic Party chair, Ms. Harris highlighted the Biden administration’s marquee legislation, like the CHIPS and Science Act, which offers funding for small-business research projects.

She also underlined the roughly $7 billion that the administration has poured into historically Black colleges and universities, the largest investment of any White House administration.

Atlanta is set to receive more than $150 million for a project called The Stitch that is meant to revitalize the city’s downtown areas and connect them to its growing midtown neighborhoods. Georgia is one of 40 states that will receive money from a White House program that aims to repair the decades-old societal damage from federal transportation projects that disproportionately displaced Black communities.

Our Coverage of the 2024 Election

Presidential Race

Protests and arrests on college campuses exploded into the forefront of the presidential race recently, opening up a new line of attack for Republicans  and forcing President Biden to directly address an issue that has divided the liberal wing of his party.

In a stop in Wilmington, N.C., a possible swing state in the fall election, the president announced $3 billion  in new spending to upgrade water systems around the country.

Biden has been under pressure to prove he can be tough at the border. But at a campaign reception, he also tried to voice his commitment  to America’s long history of immigration, calling Japan and India “xenophobic” in the process.

A Key to 2024:  As Democrats confront a presidential race against a resurgent and resilient Trump as well as a brutally challenging Senate map, they believe they have an increasingly powerful political weapon: ballot measures to protect  abortion rights.

Presidential Medal of Freedom:  With the election looming, Biden assembled a list of 19 people to honor that was heavy with major Democratic Party figures and others he has worked with  over the years.

The Ultimate D.C. Veteran:  In 30 years of Senate bids, Joe Biden was such a formidable incumbent  that he did not face a serious threat to his return to office. But his last re-election is shaping up to be a fight.

Awash in Federal Money:  Across Milwaukee, there is evidence of federal money from laws passed under the Biden administration. The president hopes voters will notice .

Release: house overwhelmingly passes gottheimer-led bipartisan legislation standing up to antisemitic hate on campuses, requires the department of education to use widely-supported ihra definition of antisemitism in title vi investigations. builds on gottheimer’s commitment to protect students and stand up to hate in all forms.

Above: Gottheimer on the House floor.

WASHINGTON, DC —  Today, Wednesday, May 1, 2024, U.S. Congressman Josh Gottheimer (NJ-5) and Mike Lawler’s (NY-17) bipartisan legislation — the  Antisemitism Awareness Act  — overwhelmingly passed in the U.S. House of Representatives. This legislation, which is supported by thirty of the country’s leading Jewish groups, requires the Department of Education to use the widely-supported International Holocaust Remembrance Alliance (IHRA) definition of antisemitism in Title VI discrimination investigations. The IHRA definition has been used by the U.S. State Department over the last three administrations. By codifying this definition into law, Jewish students will be more protected from antisemitic discrimination, harassment, and threats. This bill will give investigators at the Department of Education a clear framework and the proper tools for  identifying and evaluating antisemitism, helping resolve some of the 137 active Title VI investigations and hold harassers accountable. The bill passed the House by a vote of 320-91.

Video of Gottheimer’s remarks on the House floor can be found  here .

“We cannot stand idly by as protesters call for the death of Jews on college campuses and across the country,”  said Congressman Josh Gottheimer (NJ-5) . “When I spoke at Columbia last week, I told administrators that we need deeds, not words to protect Jewish students. This bill is a critical step to take the action we so desperately need to stand against hate.”

“What is happening at Columbia, at Yale, at UCLA, and so many other schools, is reprehensible and alarming,”  said Congressman Lawler (NY-17).  “When people engage in harassment or bullying of Jewish individuals where they justify the killing of Jews or use blood libel or hold Jews collectively responsible for the actions of the Israeli government – that is antisemitic. It’s unfortunate that needs to be clarified, but that’s why this bill is necessary.”

Gottheimer’s remarks as prepared for delivery:

Mr. Speaker, I rise today in support of my bipartisan bill, the Antisemitism Awareness Act, to ensure that we’re standing up to the Jew hate that’s spreading like wildfire on campuses across our country. I’m proud to lead this legislation with my fellow Problem Solvers Caucus member, Congressman Lawler.

As we are voting, in real time, our country’s universities are experiencing a tidal wave of antisemitism. Protesters have targeted Jewish students, haranguing them with awful Jew-hating insults and cheering on Hamas — a barbaric foreign terrorist organization that murdered Americans on October 7 and still holds five living Americans hostage, including my constituent, Edan Alexander.

I saw these protests up-close and personal at Columbia earlier this month. I’ve heard the sickening comments, comparing Zionists to Nazis, promising a redux of October 7 “a thousand times over,” and calling for resistance “by any means necessary” and “intifada revolution.” Intifada is used to call for violent uprising against Israel. These protests embolden Hamas, America’s enemy. In fact, they’ve put out a statement lauding protesters as “the leaders of the future.”

Let me clear up any confusion: this bill protects the First Amendment. It allows criticism of Israel. It doesn’t allow calls for the destruction or elimination of the Jewish state. Even more, our universities have a Title VI obligation to stamp out harassment on the basis of race, color, or national origin.

Colleagues, we cannot stand idly by as protesters call for the deaths of Jews on college campuses and across the country.

This bill will require the Department of Education to use the International Holocaust Remembrance Alliance or IHRA definition of antisemitism when carrying out Title VI investigations. IHRA’s antisemitism definition is the most widely recognized in the world, used by 36 states. It condemns traditional hatred and the ugly, modern antisemitism that we’re seeing on campuses.

There is no excuse to vote against this bill. When it was first introduced in 2018, 50 Democrats and Republicans co-sponsored it, including members still in this body.

Right now, the Department of Education has 137 active Title VI investigations, some of which have been open for years. The bill will give investigators a clear framework to evaluate antisemitism and finally hold harassers accountable.

Don’t just take my word for it. Thirty of our nation’s leading Jewish groups back this bill. Under the last three administrations, the State Department has used the IHRA definition to monitor antisemitism worldwide. This bill takes a commonsense step to formalize the IHRA definition for our education system.

When I spoke at Columbia last week, I told administrators that we need deeds, not words to protect Jewish students. Colleagues, I’m making the same ask of you. This bill is a critical step we can take to stand against hate. I hope my colleagues on both sides of the aisle will join me in supporting this legislation.

Thank you, Mr. Speaker. I yield back.

HOUSTON (AP) — Time marches on and all good things must come to an end. But don’t tell that to The Rolling Stones .

What many believe to be the greatest rock ’n’ roll band in the world showed no signs of slowing down anytime soon as they kicked off their latest tour Sunday night at Houston’s NRG Stadium.

The Stones have been touring for more than 60 years. Frontman Mick Jagger and lead guitarist Keith Richards are both 80, with guitarist Ronnie Wood not far behind at 76. Their tour is being sponsored in part by AARP.

But during a vibrant two-hour show, the Stones played with the energy of band that was on tour for the first time.

“It’s great to be back in the Lone Star State,” Jagger told the packed stadium, filled with longtime fans, many wearing faded concert shirts from previous tours.

Jagger often strutted up and down the stage with seemingly boundless energy while Richards and Wood played many familiar guitar riffs beloved by fans. Jagger often led the audience in sing-alongs.

“The energy level is up and it’s always up with them. The age doesn’t show,” Dale Skjerseth, the Stones’ production director, said Friday before the concert.

The Stones have hit the road to support the release of their latest album, “Hackney Diamonds,” the band’s first record of original music since 2005.

Houston was the first stop on the band’s 16-city tour across the U.S. and Canada. Other cities on the tour include New Orleans, Philadelphia and Vancouver, British Columbia. The tour ends on July 17 in Santa Clara, California.

During Sunday’s 18-song concert set list, the Stones played several tracks off the new record, including lead single “Angry.” They also played classics including “Sympathy for the Devil,” “Gimme Shelter,” Honky Tonk Women” and “Start Me Up.”

After playing “Beast of Burden,” Jagger said that concertgoers in Houston had voted to include it on the set list.

“You can’t go wrong with that,” one man in the audience could be heard screaming.

The Stones also played some unexpected choices, including “Rocks Off,” from their 1972 double album “Exile on Main St.” and “Out of Time,” a 1966 song that Jagger said during the concert had not ever been played by the band in the U.S.

With the 2021 death of drummer Charlie Watts , the Stones are now comprised of the core trio of Jagger, Richards and Wood. On Sunday, they were backed by various musicians including two keyboardists, a new drummer, backup singers and a brass section.

While the stage was surrounded by a large collection of video screens projecting images throughout the show, the main focus of the concert was the band and their songs

Before Sunday’s concert, Jagger spent time on Friday touring NASA’s Johnson Space Center in suburban Houston, posting photos on his Instagram account of him with astronauts inside Mission Control.

“I had an amazing trip to the space center,” Jagger said.

When asked if the band might be thinking about retiring, Skjerseth said he doubts that will happen.

“This is not the end. They’re very enthused,” he said.

This story has been updated to correct a song title to “Gimme Shelter,” not “Gimmer Shelter.”
