Site Visit or Plant Tour: How to Maximize Its Effectiveness

We’ve talked about why and how you should do a site visit before. Even though you know a site visit is of great importance in assuring you the quality and the consistency of your future products, you may still find it hard to put it to effective use. This is all the more true if you or your team have limited experience in conducting site visits or plant tours.

For some, especially those who are looking for overseas suppliers, site visits are both time and money consuming. Especially when you don’t have a local team to help you with that.

So what can you do to ensure an effective site visit? How can you maximize the effectiveness of the plant tours?

We’ve broken the whole site visit into the following 3 parts, so you’ll have a better idea of what to do in each phase of the site visit so as to make it effective as you hope.

Before the visit

Before going straight forward to the supplier, there are things that you can do to save time for the both parties. Such preparations are of utmost important in that they set the tone for the rest of the tasks that follow.

Prioritize your goals for the site visit

First, you need to know for sure why you want to do the site visit, what accomplishments you want to achieve, who do you think you should talk to if you want to get the problem solved.

Without knowing where to focus the time and effort, it’s almost unlikely that you will see a promising outcome for the site visit.

The last thing you want to do is to make the site visit just a day tour to the factory, only to discover that the site visit is but a tiring and non-effective waste of time.

Gather the right resources

Once you’ve set the goals for your site visit, it shouldn’t be hard for you to gather the right resources to actually going to the site.

For example, you should include a quality engineer in your site visit team if one of your priorities is product quality. And you should definitely include a sourcing professional if you want to make sure the product price is not off the chart.

It is, of course, very natural for you to include as many people who have site visiting experience as you can. Because the more site visits one has done, the easier for them to maximize the effectiveness of the tours. However, with the clear goals and structure set, it’s easy for even the young, in-experienced engineers to get the most out of site visits.

Do a joint preparation

When you have the goals and team set, the next thing you do is to start preparing for the visit. And we suggest doing a joint preparation, i.e. a joint meeting between you and the potential supplier.

In this way, you won’t have to explain to your supplier what exactly are you looking for at the site and waste the precious visiting time. And your supplier can prepare the required information such as data, numbers, figures when you ask for it at the site.

In addition, you can settle down on the detail schedule for the visit and propose changes to items that are of little importance to your visit goals.

After the visit

When the visit ends, it’s crucial that you summarize the visit into a form of report and then send feedback to your potential supplier.

On the one hand, the site visit report is a good way to tell how well you and your team have achieved the goals you set before the visit. In addition, the report provides an objective insight of whether the visited supplier is a good fit for your product.

On the other hand, your potential supplier could use the feedback to improve their expertise and capabilities. Even though the supplier won’t be your choice at the end, it’s still good for your business to maintain a nice, friendly relationship with more potential suppliers.

If site visits are almost impossible…

There are many cases where site visits are almost impossible to be done. For example, when your potential suppliers are located somewhere across the world; when you don’t have the right resources to assess the potential suppliers at site; when the suppliers refuse any chance of site visiting from you…

By adopting a systematic approach to plant tours, visitors can uncover and communicate a wealth of strategic and operating information.

In recent years, managers have recognized how manufacturing capabilities contribute to a company’s overall strategic strength. The ability to respond quickly to customers’ orders, to customize products to match customers’ exact requirements, or to ramp up production rapidly can be a powerful and difficult-to-imitate competitive weapon. But many corporate managers identify their plants’ capabilities only by accident—as a result of chance conversations with plant managers or operations specialists. Consequently, many managers do not have the information necessary to cultivate, shape, and exploit their company’s manufacturing capabilities. As plants develop, however, they need guidance to build capabilities that meet current and future needs. Plant tours can be a powerful way of providing factories with that kind of direction.

Almost everyone who leads, works for, or interacts with a manufacturing company can benefit from seeing a factory firsthand, David Upton and Stephen Macadam advise. For example, plant visits allow senior executives to understand a site's performance potential, to assess a competitor, or to rally the frontline workforce. Shop floor operators can assess another plant's operations and apply what they've learned in their own factories. But even people who know that plant tours are valuable can find putting them to effective use difficult. First, unclear objectives often turn touring into tourism. Second, many people lack an organizing framework with which to structure observations and accelerate learning. What Is It?

A thank you letter is a written acknowledgment of appreciation for the company’s and its representatives’ meeting with you and giving you information or a tour of their facilities.

When Should I Send It?

It is a good idea to send a thank you letter after a company visit in the following instances:

  • Job Interview: To express your continued interest in the position and leave a positive first impression after, it is essential to write a thank you note.
  • Informational Interview: Sending a thank you letter would be a wonderful option if you had an informational interview with a company representative to express your gratitude for their time and insights.

  • Meeting or Presentation: As a sign of appreciation for the time and knowledge offered during the meeting, writing a thank you note is a good idea.

Writing Guidelines

There are crucial details that should be included in thank you notes. You should cover the following crucial details in your thank you letter.

  • Begin The Letter By Greeting The Host

Start the letter by greeting the host. Make use of proper salutations. You can use “Respected” followed by “Sir/Madam.” You can also address the host using words like “Mr/Ms/Mrs” followed by their name.

  • Express Your Gratitude To The Host

Start the body of the letter by thanking the host. When thanking the host, mention the reason for the gratitude. In the email, please add the thank-you message in the subject line. This will let the host know the purpose of your email.

  • Add Some Details

Mentioning specific details will let the host know what you enjoyed the most in your visit

  • Reiterate Your Gratitude Once Again

When you end the letter, make sure to thank the host once again. Restating the reason and saying thank you once again tells that you truly appreciate the visit to the company. 

  • End The Letter By Including The Closing Greetings

Use words like “Yours sincerely” or “Yours truly” along with your name and contact details to end the letter. 

  • Make The Letter Short

Keep the letter short and to the point. The letter should contain at most two paragraphs, and also make sure that these paragraphs are brief.

  • Keep The Letter Error Free

After writing your letter:

  • See that your letter is error-free.
  • Check for spelling and grammar mistakes, if any.
  • Keep an eye on the spelling of the host’s name.
  • Avoid Writing A Generic Thank-You Letter

Try to add specific instances that took place when you visited the company. Adding instances like these will give a unique touch to the letter.

TOTALLY BOTANICAL

Coastal Maine Botanical Gardens in Boothbay is open for the season, daily from 9 a.m. to 5 p.m. Maine Days are May 31 to June 2, when anyone with a Maine driver’s license or state ID gets in for free. Ditto for dads/father figures on Father’s Day (June 16). Advance registration is required. With more than 300 acres of gardens and natural spaces, including a waterfall, there will be plenty to see, smell and bask in the scenery.

Viles Arboretum is a botanical garden in Augusta with 6 miles of trails and more than 20 botanical collections. It’s open daily from sunrise to sunset, and admission is free. There are 224 acres with all sorts of flora and fauna to discover. Leashed dogs are welcome, and the visitor center is open from 10:30 a.m. to 4:30 p.m. Wednesday through Saturday.

Viles Arboretum offers medicinal plant walks, and although the May 18 session is full, you can still register for the June 15 and Sept. 14 events, lead by herbalist, homeopath and flower essence practitioner Debra Bluth. Tickets are $25. Advertisement

The Mount Desert Land & Garden Preserve has four areas to explore on its property in Northeast Harbor: the Asticou Azelea Garden (dawn to dusk daily), the Abby Aldrich Rockefeller Garden (noon to 4 p.m. Tuesday through Sunday from July 9 to Sept. 8, reservations required), Thuya Garden (dawn to dusk daily, June 15 to Oct. 14) and Little Long Pond Natural Lands (hiking trails and carriage roads open dawn to dusk daily). On June 26, at the Wildflowers of Little Long Pond event, participants can wander around the garden’s fields and forest, spotting wildflowers along the way while practicing how to identify them.

2nd Annual Tree Hugging 11 a.m. to 1 p.m. Saturday. Deering Oaks Park, Portland. portlandmaine.gov The tree hugging is a family-friendly community gathering to celebrate Portland’s many trees. Park ranger Liz Collado will lead a sensory awakening and forest bathing session. Along with tree hugging, there will be a storytime, and you can touch a forestry truck and meet naturalist Noah Querido and Portland city arborist Mark Reiland. Just down the road, you’ll find Fessenden Park, on the corner of Brighton and Deering Avenues. The tulips have arrived, and it’s worth a visit to see them.

McLaughlin Garden Lilac Festival 10 a.m. to 4 p.m. May 24. McLaughlin Garden and Homestead, 97 Main St., South Paris, $5. mclaughlingardens.org You’ll find more than 125 varieties of lilacs at the McLaughlin Garden Lilac Festival. Explore on your own or take a guided tour led by a horticulturist. There will also be family-friendly activities, and you can shop for native and unusual plants.

4th annual Woodfords Community Garden Tour 1-4 p.m. June 8. Woodfords Corner Community in Back Cove, Deering Highlands, Oakdale and Deering Center, $20 suggested donation. woodfordscorner.org Presented by Friends of Woodfords Corner, this self-guided tour features at least 10 gardens. As you make your way down the list, you’ll find yourself pleasantly surprised by all of the hidden havens bursting with flowers, plants and impressive yardscaping elements.

Shocking details released in Hereford House food contamination case

LEAWOOD, Kan. (KCTV) - A former restaurant employee charged after allegedly contaminating food at a Leawood restaurant admitted he did it nearly two dozen times in less than a month, according to court records.

Jace C. Hanson , 21, is charged with criminal threats after customers who ate at Hereford House in Leawood became sick.

According to a newly-released affidavit, someone reported Hanson to the FBI after he allegedly posted videos online. The tipster said the video showed Hanson spitting in food, touching food with his feet, and worse, while working at the restaurant.

The FBI used IP addresses from the videos to track a cell phone later found in Hanson’s car. The court document shows the car was parked outside the restaurant. Detectives showed up and spoke to a manager at the restaurant. The head chef at the Hereford House location identified Hanson.

The court document shows detectives confronted him with the claims and Hanson admitted purposely contaminating food, some of which he said was served to customers.

Hanson told detectives he’d worked at the restaurant for about a month before his arrest.

The affidavit shows Hanson admitted men on apps such as Grinder requested him to make specific videos involving the food. Hanson then told investigators he contaminated restaurant food more than 20 times in less than three weeks.

Hanson remains in custody on a $100,000 bond. A Johnson County judge set a condition that if Hanson posts bond, he is not allowed to work at a place that serves food.

He is scheduled to be back in court in June.

Navajo woman-owned Antelope Canyon tours celebrates 10 years of business

PAGE, AZ (AZFamily) — Millions of people from all over visit the swirling red rocks of Antelope Canyon every year.

Several different tour companies are available. One of them, a Navajo woman-owned business, just celebrated 10 years of business.

Leilah Young’s mother, Dixie, received hiking permits from the Navajo Nation for Antelope Canyon in 2014.

With only the help of family, she opened Dixie’s Lower Antelope Canyon Tours .

“She had no idea how to operate a business, but she went in there and believed in herself,” Young said. “Literally, she put up one of those tents, canopies with a plastic table and a couple of chairs. That first day she only had 12 visitors.”

Now, they give tours to over 300,000 people from across the world every year and can take 1,500 people on a tour daily.

“It’s amazing to hear that they plan their vacations around specifically seeing lower Antelope Canyon and it’s impressive what we’ve built,” Young said.

More than 4 million people visit the area annually.

Young is now CEO and said all the tourism has helped the city of Page and surrounding communities grow.

“I think in the last 10 years there’s been like 20 hotels that have popped up and these hotels are going up because of this slot canyon,” she said.

The Antelope Canyon tours also provide much-needed job opportunities for people on the Navajo Nation.

“We have an employee that actually drives two hours every day just to get to work,” Young said. “I’m just like ‘oh my goodness’ and that’s how scarce jobs are out on the Navajo Nation. We here want to share a part of our culture. We want to share a part of the Navajo Nation and how beautiful the Navajo Nation can be.”

The 10 years were celebrated with a ribbon cutting and art unveiling.

Young said that for the next decade, they want to continue to give back to their community, create more business opportunities and grow as a family company.

“I’m very proud of how far we’ve come. I’m very proud of how far we’ve come as a family. I’m proud of the things that we’ve been able to accomplish,” Young said.

COLLEGE STATION, Texas (KBTX) - If you’ve ever wondered about riding a motorcycle, The Ranch Harley Davidson is hosting Test Ride Days to promote the 2024 line of Harley Motorcycles while also introducing more people to the cycling community.

To drive a motorcycle on the road participants must have a motorcycle endorsement.

Anyone without an endorsement can use The Ranch’s motorcycle simulator to get a feel for what it’s like to change gears and use the clutch on the bike.

Sales Manager Kevin Kaufman says driving a motorcycle is one of the most exciting things you can do.

“It still warms my soul watching people get their first motorcycle,” Kaufman said. “It’s freedom, it’s the wind in their face and it’s a lot of fun.”

The Ranch Harley Davidson also offers a new riders course that lasts two days.

After the course is completed participants will be able to obtain a motorcycle endorsement.

‘Little House on the Prairie’ cast members celebrate 50th anniversary of show’s debut with tour

PEPIN, Wis. (WKBT) - It’s been 50 years since “Little House on the Prairie” debuted on TV.

Some of the cast members were in Wisconsin, where the show was set, celebrating that anniversary.

When “Little House on the Prairie” debuted in 1974, starring the late Michael Landon and Melissa Gilbert, Wendy Lou Lee, who played Grace Ingalls, said she never imagined the show’s legacy would continue decades later.

“I don’t think anyone thought that would happen, but Michael Landon, he predicted it that this would be here way longer than all of us would be here,” Lee said.

Friday kicked off Part 2 of the show’s 50th anniversary tour, highlighting the place author Laura Ingalls Wilder once called home.

“It started here. The story starts here, so that’s the whole thing. We wanted to pay tribute to the place where she was born and the Little House in the Big Woods book was written all about her time here in Pepin,” tour member Jackson Bishop said.

Cast members Jennifer Donati and Lee say the best part of it is now.

“We get to travel together at least once or twice a month and it’s really incredible. We do get to see Melissa Gilbert once in a while, but not that often,” Lee said.

For Pamela Roylance, who played Sarah Reed Carter, being on the show was a full-circle moment.

“I read the books when I was about 9 years old, and I loved the books. And I always wanted to be on the show. When I got on the show, it was a dream come true,” she said.

The actresses were asked what they thought Landon and Laura Ingalls Wilder would say.

“I’m sure Laura would be floored. I don’t think she could have even imagined all of this,” Donati said.

“And I think Michael Landon is smiling from heaven saying, wow, the work we did, and I’m gonna get emotional,” Lee said.

The celebration continued all weekend as fans came and met the participants.
