What is TravelDoc?

An airline that allows a poorly documented passenger to travel may be penalized by government authorities. This can seriously damage its reputation. It can also incur fines of up to tens of thousands of euros. To avoid these inconveniences, check that the passenger has the right documents for his or her intended destination, TravelDoc is proving to be a very useful tool. What exactly is TravelDoc? Here's everything you need to know.

TravelDoc is a computerized system for validating travel documents. Literally, the word comes from the English terms "Travel" and "Doc", meaning "Voyage" and "Document" respectively. The tool was designed by ICTS Europe Systems, headquartered in London, England. The designers' vision is to meet the needs of airlines in the 21st century. What makes TravelDoc so special is that it enables airlines to check quickly and easily whether a passenger has the right documents.

Thanks to this tool, aviation companies are protected from fines and possible sanctions. To date, the software has already been adopted by numerous airlines worldwide. It is also being integrated into Amadeus Altea and other DCS platforms. For your information, ICTS Europe Systems has already launched self-service kiosks with integrated TravelDoc in airports.

What are the advantages of TravelDoc?

With TravelDoc, airports can control the self-service process using modern kiosks. What's special about these kiosks is that they are not tied to a specific supplier or manufacturer. They also require no special certification or network fees. TravelDoc enables airlines to deploy their own self-service applications.

Above all, they can use the innovative TravelDoc Smart App directly on the kiosk. TravelDoc Smart App is a self-registration application. Integrated with TravelDoc, it provides an automatic document verification function. The self-check-in process takes just a few steps. This offers passengers a quick and easy travel experience.

What documents do I need to travel within the European Union?

To travel within the European Union, you need a passport (or identity card) and vaccination certificate.

Etymologically, the word "passport" comes from two other words, "passe" and "port". Originally, the word referred to the free movement of goods. It wasn't until 1964 that it began to apply to people. The passport is a document that can be used to prove the identity and nationality of a person planning to travel abroad. It is an alternative to an identity document.

In France, this document is generally issued by the town hall. This is where you should submit your passport application. However, some towns have counters equipped with a registration station. You can also go there to register your application.

Passport validity depends on the age of the holder. For adults, it is 10 years. For minors, however, it is 5 years. It takes between two and three weeks to obtain a passport. This period tends to increase as the vacations approach. This is because the number of files to be processed increases considerably at this time of year.

Vaccination booklet

Before setting off for your next destination, make sure your vaccination record is up to date. In fact, whatever country you're traveling to, you must have up-to-date vaccinations against :

  • whooping cough and tuberculosis (BCG);
  • Measles, mumps and rubella (MMR);
  • diphtheria, tetanus and poliomyelitis (DTP) ;
  • coronavirus (COVID-19).

If you're planning to travel to Africa, you can get vaccinated against hepatitis A and B, yellow fever and typhoid. If you're planning a trip to Asia, you should also be vaccinated against Japanese encephalitis and tick-borne encephalitis.

Visas: a compulsory document for travel outside the euro zone

The visa is another essential document for those who need to travel. Issued by the authorities of a nation, it is proof that the traveler has been authorized to enter the country for a specified period. This document is mandatory for entry into certain territories. Other countries, however, require only a valid passport.

French nationals visiting European Union countries are not required to have a visa. However, if you intend to live in one of these countries for more than three months, you must have a residence permit or register with the local authorities. In this case, you can contact the local authorities (immigration services).

If you are planning to settle in a country for a long time, or to carry on business there, you will need a long-stay visa. This document comes in different categories, depending on the purpose of your stay. To find out more, contact the consulate of the country where you intend to settle.

Travel insurance, an optional but necessary document

Before setting foot in certain countries, you need to take out an insurance policy. travel insurance . Russia, Cuba, China and Algeria come to mind.

If your destination country doesn't require you to do this, you may want to do so as a precaution. This will protect you from illness or accident. If you take out travel insurance, your insurer will be able to cover a large number of claims.

Now you know everything about the software TravelDoc . It's a tool designed primarily to help airlines check that passengers have the right documents. Documents required for travel include passport, health insurance, vaccination booklet and visa (if traveling outside the euro zone). However, the list is not exhaustive.

Prepare your trip and save time at the airport with Ready to Fly

With Ready to Fly, our team makes sure you have all the documents you need to travel.

How does it work?

Different travel documents may be required to issue your boarding pass, depending on your destination or situation. Ready to Fly allows you to send us your documents for validation before arriving at the airport. Keep your documents with you on your day of departure, as local authorities may request to view them anytime.

You'll receive the list of documents required for your trip.

We will get in touch with you should we need more information or additional documents.

If everything is approved, we will issue your boarding pass.

Does your destination or connection country have health requirements concerning yellow fever or Covid-19 (vaccination, tests, etc.)? To avoid wasting time with airport controls, you can send us your health documents, certificates or attestations as early as 48 hours before your trip.  Send my health documents Check if I need a vaccination or am subject to health formalities

Frequently asked questions

No, if you do not wish to submit your documents ahead of time, you can still do so at the airport.

We may need to check:

  • health documents: yellow fever or Covid-19,
  • regulatory paperwork: your passport with a visa (paper or digital), an electronic travel authorization (ESTA, eTA, etc.) or a residency card (green card, permit, etc.),
  • your discount pass number,
  • or any other document subject to verification at the airport.

All documents for which we require verification are mandatory for travel. If we request verification of travel documents such as a visa or electronic travel authorization, it's because the system of the authorities in your destination country does not recognize the information you have entered — this usually has to do with a typo.

Check the requirements for my destination

It is not necessary to send us any health documents other than those required for your trip unless we have sent you a specific request.

We delete your documents after verifying. If, for some reason, we are unable to process your documents, we will delete them before your flight's departure at the latest.

Learn more about our Privacy policy

Yes, you must keep all your documents with you during your trip, including the documents submitted to Ready to Fly. These documents will not be rechecked by our agents at the airport, but the authorities may check them at any time.
