What to Expect on a Virtual Venue Tour

Are you venue shopping from a distance or finding yourself too busy with work to visit venues in person? If you're eager to secure your wedding venue and start planning but feel short on time for in-person tours, a virtual venue tour can be a fantastic solution!

Our team at Wedgewood Weddings has thoughtfully curated virtual tours that allow couples to explore potential venues from the comfort of their homes. These tours provide the same experience and personalized attention as our in-person consultations, ensuring you have all the information needed to make this important decision.

What should you expect with a virtual tour.

First, head over to our venue pages here and select the location that interests you most. Our contact center is available seven days a week to help you arrange a convenient time for your virtual tour. Once a time is set in place with a venue (or venues!), you will receive a confirmation email. We recommend checking out our all-inclusive packages in advance, too!

A few days before your virtual venue consultation, you'll receive an email with a link to your personal conference. Our venues use Zoom, Teams, or Google Hangouts to meet with you - let them know if you have questions or need any help getting set up, 

At the time of the scheduled tour, grab a glass of wine or a mug of coffee, find a comfy spot to set up with your partner, and log into the platform using the unique link provided to you. Your wedding expert will give you a rundown of the consultation itinerary so you know what to expect. At the start of your call, our wedding experts will get to know you, go through a bit more detail on how Wedgewood Weddings works, and then tell you about their venue - this is where you get a personal tour! Finally, you'll go over our wedding packages, and your wedding expert will put together a custom pricing proposal for you!  

All our venues have beautiful presentations showcasing their venue spaces. Some have also put together video tours or have videos of real weddings that you can review in your own time. We want to provide a full picture of what your ceremony and reception space will look like, so you can truly envision your wedding.

How to prepare before your venue tour, write out a rough draft of your guest list.

While you don't need to commit to an exact number, keep in mind that a quote for 50 guests versus 150 guests will have significantly different costs. Consider asking for a couple of price quotes based on different head counts to better understand your budget. You can also create an A-List and a B-List, depending on the venue's capacity and your budget. Although you won't need to lock in your final guest count until ten days before your wedding, having an accurate range will give you a clearer idea of costs and help you plan accordingly.

DECIDE ON A BUDGET

Budgets don't have to be scary! During your venue consultation, your coordinator will ask you about your wedding budget, but there's no need to stress. Their job is to create a pricing quote that's right for you. If you're not sure where to start with creating a budget, The Knot has helpful info on average wedding costs. The number of guests, time of year, and the package you choose are the three largest factors in determining how much your wedding will cost.

THINK ABOUT THE TIME OF YEAR

After getting engaged, the most common question you'll likely hear is "When's the date?" However, we recommend focusing on the season you'd like to get married in rather than a specific date. Venues can book up 12-18 months in advance, so it's best to be flexible. Consider selecting the time of year you prefer for your wedding and see what dates are available at your chosen venue. You can also ask to compare pricing for different seasons, such as on-season versus off-season, to   help make your decision .

You can ask the wedding venue questions below over the phone or in an inquiry email . Just ensure you sort out your wedding details ahead of time so that when the venue staff responds, your answers aren't vague.

1. When is the venue available?

If you have your heart set on a specific wedding date and aren't flexible about moving it, you definitely need to ask this question. Hopefully, the venue is available for your desired date––otherwise, you'll have to keep looking. If you don't have a particular date in mind, ask the venue about what dates are open for your preferred season and year.

2. How far in advance can I reserve the venue?

For couples who've had their hearts set on a particular wedding venue, we suggest asking how far out you can reserve it. This question is especially important for popular locations. Some venues require a year in advance, while others are more flexible.

3. What is the venue's rental fee?

Remember that your venue's rental fee and catering will likely take up about half of your total wedding budget . If the entire venue cost (not just the food and beverage minimum) doesn't fit within your budget, you may have to move on unless you're open to cutting something else.

4. What is the style of the venue?

This will likely be the most obvious yes or no decision about your venue. Are you envisioning a romantic rustic atmosphere, but the venue staff describes the place as a sleek and modern loft? Then you'll probably need to cross the space off your list immediately.

6. How many people does the space accommodate?

A venue's capacity directly relates to your guest list and budget. If you love the space but it only comfortably fits 75 people and your guest list is close to 200 (not including your pros), you have to decide if having the venue or your guest count is more important to you.

7. Is there an area to have the cocktail hour?

Who doesn't love a fun cocktail hour with tasty drinks and food? But before you create the menu, you have to talk about logistics. Ask if the venue has a place for guests to mingle after the ceremony.

8. What's the walking/driving distance from the ceremony location?

If you're hosting your wedding ceremony and reception in different locations, you'll need to know how long it'll take to get from one site to the other. Also, ask what the traffic is like around your wedding time to ensure you and your guests don't get stuck on the road.

9. Is the venue near hotels, and can you recommend any?

Don't know what to ask a wedding venue? Try this inquiry since it could impact whether you book. If guests have to drive a long way to get from their hotel to the venue and back, we think it's best to avoid that venue––especially if you're not providing wedding transportation . Usually, anything over 30 minutes is a big ask.

10. Is the venue near public transportation?

You'll want to know if the venue's close to any public transportation, cab or ride-share services in the area for guests to use. After all, nobody should be driving a car after consuming alcohol.

11. What aesthetic features does the venue have?

You should ensure any of the venue's standout features blend in with your decor vision. For example, is there a rooftop or pool? Is the venue on a waterfront? Are there any breathtaking views, incredible interiors or nature areas?

12. What services does the venue offer?

For your budget's sake, you'll want to know what things are included in the venue fee. This could be rentals, assistance from a venue coordinator or an in-house wedding baker. It's always best to ask rather than assume.

This is one of the most vital questions to ask when looking at wedding venues. So if you want an outdoor soiree, ensure there's enough room to comfortably fit guests, pros, rentals, the cocktail hour area and reception.

14. Does the venue have a tent or backup plan if I want an outdoor ceremony?

It doesn't matter which season you want your wedding in; you should always have a plan b for outdoor weddings . Ask the venue staff if they have tents or an indoor area for you and your guests to move to if there's inclement weather or other issues.

15. How many hours does the rental cover?

Besides the ceremony and reception, you'll want to know the exact time frame you have to set up, celebrate and clean up your wedding. You don't want to be charged extra if the venue has to keep the lights on for 30 more minutes.

16. How many weddings does the venue allow within a day?

If you're having an evening wedding, you don't want your guests arriving to see the afternoon wedding's rentals being packed up. It's normal for venues to host more than one wedding in a day (especially at a hotel), but make sure there won't be any visible crossover.

17. What are your electricity capabilities?

This question is twofold: You want to know if the venue has enough outlets and power for every pro requiring electricity, and you also want to get an idea of the lighting. Is it extremely fluorescent or dim? Can the venue project the uplighting hue you want onto the dance floor? These are all crucial things to know—especially for evening receptions.

18. Is the venue ADA-compliant?

Your wedding should be as disability-friendly as possible. That includes but isn't limited to a leveled or ramped primary entrance, accessible doors, bathrooms and parking, working elevators and inclusive seating.

19. Is there parking for guests on-site? If so, is there a fee?

For traveling guests, you'll need to have a place for them to park their vehicles. Ask the wedding venue staff if there's an area for cars, how many parking spaces there are and if there's a fee. Consider paying for the guest parking fee if your wedding budget allows.

20. How many restrooms does the venue have?

You don't want to have long restroom lines at your wedding. Talk to the venue staff about how many bathrooms are on the property. If you feel like there are too few, but you love the venue, consider renting portable bathrooms––there are some really luxurious ones nowadays.

21. Where can we safely store wedding gifts?

This might not be something you have considered, but wedding gift theft is a real thing. Find out if there is a room with a lock where you can place your gifts so there are no issues.

22. Does the venue have a dance floor?

If getting down on the dance floor is a top priority for you and your guests, ask the wedding venue employees if there is one. If the venue doesn't have one, ensure there's enough space in the reception area for you to add a rented one.

23. Are there rooms for the couple and wedding party to get ready in before the wedding?

For those who've selected a venue that works for their ceremony and reception, you'll need a dressing room to start the getting ready process. Check if the venue has suites for you, your partner and your attendants so everyone can prepare for the big day together. This will also help decrease your chance of running late since you'll already be on the property.

If you and your partner are happy with all the above, you're ready to move on to the next step. Here are key financial questions to ask your wedding venue.

24. What's the deposit, cancellation and refund policy?

Before accepting a new job, you'd want to look at your benefits and official offer letter before you sign on the dotted line––the same goes for your venue. Ask if you can see a sample contract or have their deposit, cancellation and refund policy outlined on paper. Things happen, and it's better to know you can recover losses before you book your venue.

25. Are there any additional fees we should be aware of?

Hidden wedding fees can add up, making a sizable dent in your budget. Be sure to ask about taxes, gratuities, service charges and more to ensure you're clear on your venue's total cost.

26. Do you have liability insurance?

If a wedding venue doesn't have liability insurance , you'll have to purchase your own. This is important in case someone gets injured, your venue is damaged or some other mishap occurs on the big day.

27. Does the venue offer flexible payment plans?

To serve couples of different financial backgrounds, some wedding venues offer payment plans. The venue is only one of many things you'll be putting your money towards, so don't be afraid to ask if they have this option if it will help take some of the financial burden off your shoulders.

28. What payment methods does the venue accept?

Don't assume your preferred payment method works for the venue. There might be a possibility the venue takes only checks or certain credit cards.

Questions to Ask a Wedding Venue Regarding Food and Beverages

Wedding catering is one of the most significant parts of the celebration because it fills the belly and warms the heart. Here are food and drink-related questions to ask a wedding venue before booking.

29. Does the venue have an in-house caterer?

Some venues want you to use their services from beginning to end, which is why in-house caterers are provided. If they do have one, ask them about their menu offerings, if they can accommodate dietary restrictions and when you can schedule a menu tasting.

30. Is there a kitchen on-site?

You've probably already guessed it, but if the venue doesn't have its own caterer, you'll have to hire one yourself. That isn't a big deal in itself, but you do need to ensure the venue has a full kitchen for your desired catering team to work.

31. Am I allowed to bring our own alcohol?

Bringing alcohol is one way to cut corners on costs, but some venues, especially hotels, don't allow you to bring outside alcohol. Some wedding venues may not permit alcohol at all on the premises. So, ask if there are any alcohol restrictions and if the venue has a liquor license, which means you can only have wine and beer.

32. Is there a corkage fee?

If your wedding venue permits you to bring your own alcohol, they most likely will charge you a corkage fee. This is the same setup restaurants have if you bring your own bottle of wine. This fee sometimes includes the venue waitstaff helping open and serve the wedding wine .

33. Does the venue have an in-house baker?

There are a few venues that require you to use their in-house cake baker, while others allow you to select an outside baker. If you must use the venue's baker, look at photos of their work to ensure you're comfortable moving forward.

34. Is there a cake-cutting fee?

Also known as the cakeage fee, the wedding cake-cutting fee is a rate venues charge for cakes made at other bakeries. The wedding cake-cutting fee pushes the couples to use the in-house baker, but it also gives the venue waitstaff fair compensation for cutting, plating and serving the cake, which is usually a service included in the price.

Questions to Ask a Wedding Venue Regarding Vendors

35. Can the venue accommodate a DJ or live band?

Before you book DJ Pauly D or ask your uncle's blues band to perform at your wedding, you'll need to know how much space the venue has for your acts. Some venues have limited space that could prevent you from hosting a DJ or live musicians .

36. Do you have a sound system and microphones?

Whether it's for your ceremony prayers, a live band or the reception wedding speeches, you'll need a sound system and microphones. Some vendors provide these items themselves, but it doesn't hurt to ask the venue employees what equipment they have.

37. Are there any noise restrictions?

Check to see if there's a noise restriction after certain times. Many venues don't allow you to play loud music past 10:30 p.m. or so, which won't work if you want to dance until midnight.

38. What time can my vendors start setting up?

This is one of the most important logistic questions to ask at a wedding venue––especially if your potential venue hosts numerous events in one day. Knowing when your vendors can arrive will help you plan your event and determine if there's enough time for them to set up before the ceremony.

39. Can I hire outside vendors?

This is a prime question to ask wedding venues because some have strict rules around which outside services they allow on their property. The wedding venue might even have a preferred vendors list you can choose from, while others could require lengthy contracts for outside vendors due to liability issues.

40. Do you require all vendors to provide a COI (certificate of insurance)?

Lots of great things can happen on your wedding day, but there can be some accidents. The champagne tower assembled by the bar team could topple over, or sparklers set up by the lighting staff can catch a curtain on fire. You want to be covered for every possibility, and so does your venue.

41. What are the logistics for pros and rentals?

Some rental companies charge extra if they have to walk up and down stairs, so you need to know if there are stairs, a service elevator, a loading dock or a separate entrance for them. You should also ask if there are additional charges for any weekday/weekend drop-offs or pickups if they want to start delivering rentals ahead of time or pick something up a day later and what their time windows are.

Some venues provide their own decorating and lighting services. If your potential venue offers this, we suggest asking them to show photos and videos of their previous work so you can decide if their look is right for you.

47. Does the venue offer set up and break down services?

Setting up and breaking down the wedding might be a courtesy in the contract or an add-on to the final bill. Either way, you need to ask this wedding venue question to compare fares with other vendors.

51. Can we visit the venue a few days early with our vendors so they can see the layout?

This is one of the best questions to ask during the final wedding venue walk-through. Vendors like your photographer, videographer, caterer and more might want to walk around your venue to get a better look at the layout. This helps them better visualize setups and make their jobs easier. Ask the venue staff if doing this two to three days before the wedding is possible. We also advise coordinating all necessary vendors to be there on one day so the walkthrough is done in one fell swoop.

In March 2020, during the COVID-19 outbreak, the Google search term virtual tour reached the max popularity a search term can have. And although that popularity has dipped since, current virtual tour searches are almost three times more popular now than ever before.

But virtual tours aren’t just important for virus outbreaks . They are also perfect alternatives for inclement weather when a planner can’t visit, out-of-town planners who don’t want to travel for a 30-minute in-person tour, and online shoppers who want to browse before they buy. No matter your budget or your venue, there are ways for you to provide virtual tours for potential customers.

1. Panoramic & 3D Images

Perfect for: low-budget placeholders.

Panoramic and 3D images are a quick, simple, and inexpensive way to capture your venue experience. Panoramic-style photography isn’t new, but it is a great way to feature your dining hall, private rooms, and scenic view. Most smartphone cameras have the ability to take high-resolution panoramic shots—so you probably already have what you need! Be sure to test different angles before choosing the perfect photo . For example, does your beachfront view look better from the front steps or the veranda?

You can also use the Facebook app to take 3D pictures of special venue features. Like, for example, your built-in bar or rustic, exposed beams. While these images aren’t the preferred virtual tour method, they will work on short notice. No matter which method you choose, add at least ten different images to give your planner a real 360-degree view.

2. Live Video Calls

Perfect for: customers about to book.

Who says your virtual tour can’t be in real time! If you have a customer who wants to book, but can’t visit your venue, use any video chat platform for a hand-held tour. While you would typically walk around the grounds with a customer in person, you can still do that using video. If your company uses Skype or Zoom, send the customer a link to join the online meeting. Then, simply turn on your device camera and show them the world! Or, at least your venue. You can also use your business’s Facebook Messenger to video chat.

Bonus Tip: If a customer is uncomfortable turning their camera on at home, that’s OK! They can still see everything you show them.

For a good video experience, we recommend a few important tips. First, invest in a camera stabilizer, so there isn’t extra movement as you walk around. Second, use a smaller device, if you can. For example, a smartphone or tablet will be easier than a laptop to walk around with. And finally, ask a coworker to handle the device. That way, you are free to be on screen and point out specific features.

3. Partner With a Videographer

Perfect for: local hot spots.

If you don’t have the equipment, time, or skill set to create a video tour—that’s OK! It just means you can partner with a local videographer to create the resource. That’s exactly what DC videographer Tom Bowen did . He worked with nearby venues to create stunning video tours of the space. And because he’s been in the area for a while, he was able to add footage from past events in those venues—so the videos include “both a blank canvas and executed event.”

Start by reaching out to local videographers who have worked your venue before. If you don’t have a list handy, contact event planners that you’ve worked with in the past, or put the call out on social media. However you find your videographer, be sure to give them lots of credit!

4. 360-Degree Tour

Perfect for: scenic venues.

A 360-degree view of your venue is the ultimate virtual tour. It allows planners to see every inch of your venue—from the ceiling to the floors, and everything in between. Planners can access the video on their computer at any time, too, giving them more than a sneak peek at everything you have to offer. That way, you know the leads you receive are serious inquiries—the planner has already seen the space online!

Creating your own 360-degree tour might be a big challenge to tackle alone, and it will definitely affect your budget. But if it’s something you’re interested in, plan ahead to create one for your venue. Hiring an agency to create your video can cost anywhere from a few hundred dollars to a few thousand. It all depends on how large your venue is, how much of the venue you want to include, and the specific agency you work with. If you’re interested in your own 360-degree tour, start planning and researching now so you can budget accordingly.

5. 3D Floorplans

Perfect for: booked customers looking to continue planning.

Even if a planner has booked your venue, they still might want to view the inside a few more times. This is especially true as they try to arrange seating and plan decorations. But you might not have the availability to offer multiple tours. That’s where platforms like AllSeated and Socials Tables come in.

Their platforms let venue owners collaborate with event planners and customers—all at the same time! You can try out different seating arrangements, or even show why a certain arrangement won’t work. Everything in your virtual room can be moved and rearranged to accommodate different set-ups and number of guests. Of course, it won’t be your actual venue, but the planner has already booked, so they already saw the inside. (Maybe on a video tour!)

Everything You Need to Know About Wedding Venue Site Visits

Your wedding venue site visit can be one of the most exciting—and important—tasks you'll complete during the last few months before your big day, as this is likely one of the first opportunities you'll have to see your vision for the celebration come to life. This time spent at your venue allows you to make final decisions about layout and details, choose your favorite backgrounds for photos, and ask critical questions that can influence your budget and remaining to-do list.

Making the most of a site visit means understanding who should attend, what you should see, and the must-ask questions that can make the rest of your planning go more smoothly. Florida-based event planner Kelly McWilliams breaks down this important pre-wedding appointment. 

What is a wedding venue site visit and how does it differ from a tour?

A wedding site visit is a planning appointment that takes place after you've booked booked the venue , and it's an opportunity for you and any key vendors (like your wedding planner and/or designer and florist) to begin fine-tuning the details of the day. This is different from a venue tour, which happens early on in the planning process. “A venue tour is what you do before you are under contract,” says McWilliams. “When you’re touring, this time is meant to show you the potential sites for your wedding events."

There's some overlap between these two appointments, as you'll likely view the spaces you’ll use during your ceremony and reception during both, but the site visit is when you'll really get down to brass tacks and make decisions about your décor, setup, and start mapping out the order of your day.

Why should you book a wedding venue site visit?

Once you’ve committed to a venue and started designing the aesthetic of your event, you should plan at least one more site visit to confirm the details of your ceremony and reception— from the places where you’ll pose for photos to whether your dream escort card display will fit. “It’s an opportunity to ‘walk through the day’ to see how the flow works and work out any timing,” says McWilliams. “You’ll see all of the event spaces—hopefully at the same time of day that your wedding will take place—so that you can decide on things like which way your ceremony will face, where your aisle will be, and where the wedding party will walk in from.”

A site visit also lets you confirm lighting setups, sound needs, and transportation time between locations (should that be a factor at play).

Which wedding vendors should attend a site visit?

It’s critical that the venue’s manager or event coordinator attends the site visit—they’re the on-site experts who can answer questions and confirm the feasibility of your design ideas and layout suggestions—along with your wedding planner . “Having a planner by your side means that you have an expert pointing out not just potential problems, but also opportunities,” says McWilliams. “An expert knows what you don’t know and can give you perspective. Having your planner or coordinator with you also means that you can know for sure that you are on the same page.”

Other important invitees will vary depending on your wedding setup. “If you are having your wedding where you will be having a tent, request that a representative from your rental company attend,” says McWilliams. If you have a specific vision for your portraits, you can invite your photographer; if you’re debating round tables versus farmhouse style, invite a contact from your rental company (though an experienced planner should be able to communicate your vision for these elements to vendors who can’t attend the site visit). “Essentially, the people in charge of making sure that your entire day runs smoothly, from getting ready to the guest departure, need to be in attendance to make sure that every segment of your day is properly executed,” says McWilliams.

Should you have a venue site visit for a destination wedding?

If you’re planning a destination wedding , McWilliams recommends two site visits, which gives you time to meet with vendors and seek out the best travel tips for your guests (plus experience the hotel where you booked your room block). “You can eat at a few restaurants and see how great the pool is, or what fun activities and excursions might be good for your guests, like hiking, watersports, or sightseeing tours,” she says. “On one of your visits you can also plan to do tastings or preview your floral and décor with an in-person mock up. Additionally you can plan a hair and makeup trial, and maybe your engagement session with your photographer.”

What questions should you ask during your wedding site visit?

Prepare for your site visit by coming up with a comprehensive list of questions for your wedding planner, venue manager, and other vendors. McWillliams recommends breaking your big-day agenda into segments and then considering what the wedding party, family, guests, and vendors need during each segment. “You’ll need to define, at this time what is included, not included, and what you need to provide as it pertains to the venue,” she says. Ask if lunch is provided in the bridal suite, if you need to rent chairs for the ceremony, if the bar service includes speciality glassware , if there’s a plan for bad weather.

“The most important questions to ask your venue’s event manager are, ‘What do I need to know about using this site? What am I responsible for and what are you responsible for? Is there anything I haven’t asked about that often comes up later?’” says McWilliams. “Ask about what is included and available, or if not included, what additional costs there are.”

3 Essential Details to Pay Attention to During a Wedding Site Visit

Even the most detail-oriented couple can forget to ask about factors that might have a big impact on your big day. McWilliams recommends paying attention to these key elements during your visit.

The Landscape

“Try to visit at the same time of year as your wedding and at the time of your wedding so that you can see what lighting and temperatures may be like,” she says. The same goes for seeing whether your ceremony garden will be blooming in June and whether that majestic oak tree will be dropping its leaves yet in September.

Backup Spaces

“If you are having an outdoor wedding, ask about what inclement weather rules are in place and what typically happens in case of inclement weather on the grounds—like rain causing large puddles or standing water,” says McWilliams. Even if it’s not raining during your ceremony, you may need to switch locations at the last minute if walkways are washed out or your aisle is flooding. It's important to tour all possible backup spaces and make a decision about which you'll use should the weather necessitate a change.

Local Attractions and Events

Especially if you’re opting for a destination wedding in a popular area, you should ask about seasonal events and annual tourist draws. “It’s important to ask about what the traffic is like or if there are any big events in town, like a huge golf tournament or festival during that time of year,” says McWilliams. This also goes for graduations in college towns, home football games in major NFL cities, and big-name concerts. And while you’re at it, make sure you’re clear on guest and vendor parking rules for venues in crowded urban areas.

• Do you provide tables and chairs? What do they look like?
• If we bring in additional decorations, what access will we have to the venue before the wedding?
• Is there anyone from the venue who can help us put up our decorations?
• Can we move existing furniture to suit our floorplan?
• What lighting options do you provide? Is there any additional lighting couples typically bring in through a hire company?
• Do you have any restrictions around what we can bring in for decor?
• Do you provide a sound system for both the ceremony and reception?

Reception Details

• Do you have enough space for a live band? Stage?
• If I hire a DJ, will you provide any sound equipment, or will they have to bring theirs?
• Do you provide a dancefloor? If so, how many guests can it accommodate?
• For outdoor receptions: What are our options in the case of inclement weather?
• Do you have a curfew for outdoor music?
• Are fireworks allowed? Sparklers? Candles? Confetti? Balloons? Smoke bombs?
• Is there a smoking area available?
• What time is last call and when are all guests expected to be out?
• What’s the lighting like at night, both indoors and out?
• Do you require and/or provide security during the wedding?
• Are there enough bathroom facilities available on-site for our guest list?

While these questions might seem like a lot, most venues will readily answer them before you even have a chance to ask. This checklist is designed to assure you that you haven’t forgotten any major details during your wedding venue tour.

Let’s clear up some of your most burning questions about wedding venues, wedding venue checklists, and other key factors. 

1. What should a wedding venue include?

No matter what size wedding or wedding budget you’re working with, you can expect your wedding venue to include: an area for the ceremony, an audience space, and two separate lounge spaces for both sides of the wedding party to get ready in. Ideally your venue would also include convenient valet service, catering, and even reception options. 

2. How long does it take to tour a wedding venue?

Most wedding venue tours last about 45 minutes to an hour for a standard visit and consultation with the guide. If your venue is being held on an extensive property (think estates, farms, and university campuses), you should budget an additional hour or two.

3. How far in advance can you book a wedding venue?

A good rule of thumb for a wedding venue in high demand, during wedding season (late spring to early fall), and/or in a highly populated area is that it will likely book out approximately 9 to 12 months ahead of time. Which means you’ll want to tour venues about 15 months ahead of time. If more than one of these factors affect your wedding, you should start booking tours as much as 18 to 24 months out. 

4. How much do wedding planners cost?

Wedding venue checklist part 2: when and how to schedule a tour

Another great tip for your wedding venue checklist is to visit your prospective venues around the same season and time that you’d like to host your wedding. Dreaming of a fresh spring wedding with a morning ceremony? Schedule your site visit on an early spring morning to get an accurate look at the place. Venues take on new character depending on the time of year, and even the time of day, that you’re getting married.

To schedule the site visit tour, all you have to do is follow the instructions on the venue website. The process will vary location to location, but for the most part their page should list the best way to contact them and what materials they’ll ask you to bring. Some experts even recommend booking the tour visit before you officially decide on a wedding date. That way your options will still be open and you can pick the wedding venue that you love, then schedule the rest of your plans around it.

Wedding venue checklist part 3: preparation

The last big step before we actually get to the site itself is to answer these important questions for yourself to focus your search and eliminate some of your current options. 

1. Get an accurate quote

Rather than going off the venue’s minimum cost, get an accurate quote that factors in the venue’s full breakdown of costs. These quotes consider a multitude of factors, including things like your target guest count, the time of the year you’re hosting the event, and more. A detailed quote helps you better understand how a venue fits into your budget (and how much bang you’d be getting for your buck). Spot Estimates can be a great way to ballpark the cost of a venue before you even set foot on site!

2. Determine the venue’s true capacity

If the venue has only given you a general capacity number, find out whether that number is based on sitting or standing room. Most venues provide a seemingly straightforward headcount, but sometimes the number of guests a venue can accommodate varies depending on if you hope to host a standing cocktail-style affair or a seated soiree. 

Also, they might have a minimum and maximum headcount needed to officially book a date after you’ve put down the deposit. If they do, ask them when they need to know and what documentation they’ll accept as proof.

3. Explore your ceremony options

Hope to have your ceremony and reception on the same site? Find out if the venue can accommodate this. If they have a ceremony site available, determine if you’d need to pay an additional fee for the site, how close the site is to the reception space, the site’s capacity, and other important details that will give you an idea of how the two spaces could work together and fit into your greater vision of the big day.

4. Talk details around alcohol and catering

Identify any restrictions prospective venues have around alcohol and catering. Does the venue have a liquor license or do they only offer beer and wine? Is the venue BYOB or do they offer robust bar packages? You’ll want to pinpoint any constraints around catering as well. Does the venue require you to work with a specific vendor ? If the venue provides their own catering services, what menu options do you have? Understanding these rules and restrictions can help you create a menu that works best for you and your guests.

5. Ask about coordination services

Find out if coordination services are included in the venue cost. Having a wedding planner or coordinator built into the cost of your venue can be a huge plus for couples who want to kick back and enjoy their big day without worrying about the little details. On the other hand, if you like playing host and want to keep costs to a minimum, searching for a simple venue that doesn’t include coordination services can be a great way to save money.

Wedding venue checklist part 4: 7 things you must do during your tour

1. Get a peek behind the scenes

While it’s easy to be dazzled by a venue’s beautiful locations, site visits present the perfect opportunity to see what the back-of-house facilities are like. Is there extra storage for anything that needs to be put away during the event? Are the bathrooms clean? Is the parking convenient? Can the venue’s kitchen accommodate your catering needs? These questions are important because, after all, the back-of-house facilities and the people in them are what make your wedding day run smoothly.

2. Talk about lighting options

The venue manager should go over this category with you along with what options they have available that are either included in the rental or can be added on. In addition to those considerations, make sure to ask about things like: are flame candles allowed or are you limited to battery-powered ones? How many outlets will you have access to inside and outside, and where are they located? How many extension cords can they offer you, if any? Is there a venue electrician you can collaborate with or is there anyone you’re supposed to run your lighting plans by ahead of the big day?

3. Bring up permits and licenses

This includes alcohol, noise, and anything else you think might affect the property or neighbors (like confetti cannons, hot air balloon rentals, sparklers, etc.). Who is responsible for acquiring those? If the facility is in the process of obtaining one, when do they expect to receive it? If it’s within 3 months of your wedding, make sure the contract states how the issue will be taken care of if the permit or license is late. 

4. Discuss guest transportation options in detail 

Convenience, ease of access, and travel time between venues and parking lots will all play a large role in your wedding day schedule. You might have other questions related to transportation on your mind, depending on how you envision your ceremony, but these questions should give you a head start and spark some other ideas as well. So make sure you ask about the following, in whatever way it applies to your specific situation: 

Does the wedding venue offer valet services? 

Is there convenient public transportation available? 

If the parking lot is separate from the facility, does the venue offer shuttle service? 

What transportation options are available between the wedding venue and any main hotels your out-of-town guests will be staying at? 

Is traffic an important consideration for those driving? What about weather for this particular time of year? 

Are there any major events (such as football games, local music festivals, major business conferences, etc.) happening at the same time as your wedding that may affect the availability of taxis, ride shares, or rental cars? 

What is the max capacity for venue parking lots? 

If it will be dark when the guests arrive or leave, will there be enough lighting for them to safely get from the venue to the parking lot and vice versa?

5. Talk about financial logistics

Now is the time to discuss deposits, payment plans, and refund policies. Are there late fees? What forms of payment do they accept? What kinds of post event issues do they routinely inspect for and what responsibilities will your party have for cleaning fees, damages, etc.? What about other contract details that didn’t quite make sense on paper? 

Then there’s the package. What kind of equipment or services is included? Do they bundle vendors in too? If not, can you choose your own caterers, bar tenders, staff, etc.? What about local hotels, travel agencies, and entertainment - do they have strategic partnerships in place that could benefit your budget? 

6. Get details about space access and day of scheduling

There might be mezzanine, gazebo, and even kitchen spaces that you’re interested in. Or you may want to get in the space early for a rehearsal or just to spend extra time getting ready. Plus, there are vendors, caterers, and coordinators to consider. 

Does the venue have any flexibility around these types of issues if there is a conflict? Also, make sure you ask about how early you can load in decorations (the week or day before or the morning of?) and how late you can finish cleaning up (does it have to be within an hour of the ceremony ending or can it wait until the next day?). What about competing events - if another one is scheduled on the same day, will there be a representative on site to coordinate the switch? 

7. Figure out all the bad weather options

For example, you might hold the ceremony inside but host the reception outside. If it rains, does the venue have any tents, waterproof outdoor lighting fixtures, and last minute Plan B indoor space to accommodate your entire party? Or, if your wedding takes place during the colder months, do they have an area set up for coat check? 

Also, be sure to check in about handicap accessibility inside and outside the building. Are they set up to help your guests during bad weather conditions with things like awnings, non-slip ramps, and extra rugs?

The first Siberian city was founded in 1586. Tyumen has been unofficially titled the oil and gas capital of Russia. The city’s population is 707 000 people, which continues to increase. According to RBC Holding, Tyumen is one of ten the most quick-growing towns in Russia. 1. Tyumen’s Holy Trinity Monastery

Tyumen’s Holy Trinity Monastery is located in the historical center of Tyumen. It is just a few minutes walk from the Tura Embankment. The monastery was founded on the picturesque bank of the Tura River in 1616. Almost a century later, in 1708, the old wooden monastery was rebuilt with stone. Shortly after, the monastery was named Holy Trinity. The building process was conducted under the leadership of metropolitan Philophey Leschinsky. Later, he took monastic vows and lived in seclusion for the rest of his life. After he died in 1727, he was buried at the monastery’s entrance.

During the Soviet period, the monastery was used as a dormitory for a military platoon and the headquarters of the city’s water control system. The monastery was returned to the Tyumen diocese in 1995, but the first service was not held there until 2003. In 2005 the relic of prelate Philophey was uncovered and is now kept in the Peter and Paul Cathedral monastery. In 2007 a square was dedicated to Philophey near the monastery. Today Holy Trinity Monastery is open for everyone to see and tour while it continues to hold regular liturgical services.

2. Znamensky Cathedral

The history of Znamensky Cathedral found its roots in the first half of the 17th century, when a small wooden chapel was first erected at the site of the current Cathedral. The old wooden chapel was replaced with the construction of a stone church which began on September 1st, 1768. The church’s previous name was given in honor of Mary, the Mother of God, and her icon within the church. The building was dedicated only 33 years later, in 1801. The church’s first stone building was painted white and consisted of the main chapel, a bell tower, a refectory, and a porch.

After the Revolution of 1917, the Cathedral was used as a transit prison. Still, between 1933 and 1941, the church was returned to the diocese. With the beginning of World War II, however, it was again taken over and used to house dislocated army forces. Finally, the Cathedral was returned to the eparchy. On June 19th, 1994, the clergy held a liturgical service for the first time. Today Znamensky Cathedral is a functioning church and one of the most beautiful symbols of Tyumen.

3. Tyumen Bolshoi Drama Theater

In 2008, The Tyumen Bolshoi Drama Theater got a new building built in record time for one year and eight months. With a 158-year history, the theater is the most prominent Drama Theater in Russia. The history of the Tyumen theater began even before the first building. It is known that in 1858 the St. Petersburg guest expressed his admiration for Amateur performances.

This fact was recorded, and the city’s theatrical history was reckoned from it. History tells us that in 1890, the first Guild merchant, an honorary citizen of the municipality Tekut’ev Andrei Ivanovich, founded a permanent theatre, which entered the town history called Tekut’evsky. Andrei Ivanovich, in love with the spectacle of dramatic scenes, supported theatre for 26 years.

In 1916, before his death, he bequeathed the theatre to the city. The City Council accepted the gift, and newspaper announcements began to inform about the performances not in the Tekut’ev’s theater but in the city theatre named Tekut’ev. After the October revolution, the theatre received the name of V. I. Lenin.

Under the leadership of the Petrograd director Valmar, it was staged such performances as “Idiot”, “the Power of Darkness”, “the Living corpse”, and “the Day”. In subsequent years the core of the repertoire included Russian and foreign classics, the best works of modern drama.

4. Saint George Ascension church

Through the parishioners’ efforts, this church was erected on the Tura River’s left bank. The church began as a stone two-storied building with a bell tower and two thrones: one is on the first floor in honor of Saint George and the other in honor of the Ascension of God is on the second.

After the October Revolution in 1929, the church was closed, and a workshop of tanners and chemists used its building. In 1934-35 the church became a dormitory for driving school students and combined operators. Later the building was under the governance of Tuymen’s fur coat fabric company.

Only in 1996 was the building returned to the diocese of Tobolsk and Tyumen. Two years later, services were resumed there. Step by step, in 2005, the bell tower was restored. In 2006, the church participated in the government program entitled “Cultural memorials restoration.” Now it is a functioning church that adorns the historical center of Tyumen.

5. Church of the Saviour

The Church of the Saviour, also known as the Church of the Image of “The Saviour Not Made by Hands” or shorter Spasskaya Church, is a church in Tyumen, Tyumen Oblast, Russia, located at Lenin Street, 43, at a crossroad between the Chelyuskintsev Street. Built-in a late 18th-century Siberian Baroque and early 20th-century neorussian style, the building is one of Siberia’s oldest and most expressive churches, under monument protection.

It is believed that the early wooden church was raised in 1586 and reconstructed after several fires into a stable stone building in the late 17th century. The Church of the Saviour saw another two rebuildings in the late 19th century. However, after the 1917 October Revolution, the church was subject to confiscations of its property in 1922, and in 1930 was closed and became a momentary prison.

After the failed attempt to destroy the church two years later, it has been used as an archive and a library. The building storage material for the Tyumen Local Historical Museum is expected to be returned to the local eparchy in 2019.

6. Tura Embankment

The only thing in the Russian four-level structure of this kind and one of the favorite holiday destinations among residents and visitors alike. Here, close to each other is full of the city’s attractions: Lover’s Bridge, historical area, the museum “City Council” Architecture and Construction University, and Holy Trinity Monastery. Embankment and bridge of lovers – the city card is depicted on the magnets, postcards, and other souvenirs tourists bring from Tyumen.

Construction of the promenade continues today, and it planned its expansion on both sides of the river Tura. Throughout the embankment, scattered monuments of famous people, life, and activity were somehow linked to Tyumen. Summer, early Fall, and spring – are the best time for walking and spending time on the waterfront.

7. The Lovers’ Bridge

The Lovers’ Bridge is a cable-stayed bridge over the Tura River in the Central District of Tyumen. Still, in 2003 local DJs Maria Kondratovich and Timur Shkval arranged an unusual contest called “The most unusual kiss”.

After this event, the city mayor Stepan Kirichuk offered to rename the bridge the Lovers’ Bridge. Then, on July 26th, newly married couples, the director of the Red Army Radio Station V. Bogodelov, and the city’s mayor performed an official ribbon-cutting ceremony to commemorate the bridge.

8. Kolokolnikovs Estate Museum

The Kolokolnikovs Estate Museum is the only remaining classical merchant’s estate in Tyumen. The building’s facade combines classical and baroque architecture elements and traditional Siberian carving. The doors open to a luxurious, brightly lit hall with lofted ceilings and walls decorated with vivid paintings of the Kolokolnikovs family.

One painting depicts an old trade shop, representing the collective image of the city’s shops. Stepping through the doors of the Kolokolnikovs Estate transports one back to the unique atmosphere of the late 19th and early 20th centuries.

The permanent exhibit of the Kolokolnikovs Estate Museum is called “The History of the House”. It is dedicated to the history of the merchant families, such as the Ikonnikovs and the Kolokolnikovs. The exhibit will also explain the historical events in this house, one of which was the monumental meeting between the future Emperor Alexander II and the great Russian poet V. Zhukovsky in 1837. In 1919 the estate was used as the headquarters of Marshal V. Blyukher.

9. Gorodskaya Duma Museum

The building of the Tyumen regional Museum of Local Lore Gorodskaya Duma was built in the second half of the XIX century. It is a magnificent example of Russian provincial architecture. The high ladder and a stepped attic give the museum its slenderness, combined with a Corinthian portico and massive columns — the traditional buildings of public institutions and architectural elements.

The Window into the nature constant exhibition introduces the variety of Flora and Fauna of the Tyumen region and its ancient inhabitants. An integral part of the museum is a small paleontological Museum. The skeleton’s collection of mammoth, fossil bison, woolly rhinoceros, and cave bears is presented at the museum. In addition, visitors can get acquainted with the Botanical, Zoological, and entomological collections.

10. House Masharova Museum

The House Masharova Museum is an old house built in the neoclassical style and previously belonged to N. Masharov, a famous manufacturer and one of the founders of the iron industry in Tyumen. The museum is a monument to late 19th and early 20th-century Siberian architecture and is renowned for its luxurious décor.

Traditional musical events and temporary exhibitions are regularly organized in the House Masharova Museum. They take place in the chamber-like atmosphere of the welcoming hall of the merchant’s house.

The permanent exhibition called the Family Book tells the tale of the family’s life at the end of the 19th century. During a tour of the house built, you will see many authentic items of a past era and discover the etiquette of a traditional family from Tyumen.

11. Alexandrovsky Garden

The original name of the Alexandrovsky Garden is the Country Garden. The garden appeared on a vacant plot of land in 1851 when thousands of linden, birch, spruce, and pine trees were planted in the area of about 100 acres (40 000 m²) with the money of the merchant Ivan Ikonnikov.

The garden was named after the crown prince Alexander, the future Tsar Alexander II, who visited Tyumen on May 31st, 1837, during his journey through Siberia. After the October Revolution of 1917, the garden was abandoned until 1948, when a small portion of it was restored through the employees’ efforts of a ship-building plant.

The landscape of the garden was adorned with a pond, a small bridge built traversing the ravine, a shooting range, and a restaurant with a terrace. In the 1960s, it was abandoned again, and by the 1970s, it fell into disrepair. Later a development effort began on the garden’s premises with the construction of houses, a kindergarten, and garages. A road to the Profsoyuzny Bridge was also built through the park.

However, the renewal of the garden did not begin until 2007. Although ten times smaller than the original garden, the grounds were restored, and the Alexandrovsky Garden became its official name. The fountain was rebuilt as well as sculptures of citizens styled after the 19th century. Some statues include the Hussar, Ladies on a Walk, A Girl at Rest, and the Boy.

12. Rasputin Museum

Grigory Rasputin was a friend of the last Russian emperor Nikolay II and his family. Rasputin is one of the most mysterious and exciting personalities of the end of the 19th and the beginning of the 20th centuries. There is an authentic platband from the famous home of Rasputin, and the only thing remained of the building.

The bourgeois charm of Siberia's oil capital

If you’re driving west across Russia from the Pacific Ocean, the first thing that you notice upon entering the city of Tyumen is the McDonalds. Tyumen has long been one of the only Siberian cities with a McDonalds restaurant. Although the fast-food giant has plans to open locations in nearby Novosibirsk and other regional cities, Siberia still contains one of the longest distances on earth outside of Africa where you can remain on a major highway and not see a McDonalds. Until you reach Tyumen, that is.

A stop in Tyumen provides an interesting glimpse into how modern Russia’s oil revenue has influenced Siberia’s oldest Russian city. Tyumen is a great stopover point on the Trans-Siberian Railroad and a short ride from Yekaterinburg (five hours) or Tobolsk (four hours).

In the 16th century, Russia started expanding eastward into parts of Central Asia ruled by the Tatars, an Islamic people who still live thoughout Russia. A band of Cossacks wrested control of Tyumen from the Tatars in 1580. Six years later, Russians established a fort in Tyumen on the Tura River.

For centuries, Tyumen vied with the nearby city of Tobolsk—once the official capital of Siberia—for the prestige of the region’s most important city. Tyumen won in the end, when the Trans-Siberian Railroad bypassed Tobolsk and was routed through this now oil-rich city.

Tyumen played an important role in Russian history during times of war. At the beginning of the Russian Civil War, the Bolshevik Red Army slowly pushed the White Army, commanded by Admiral Alexander Kolchak, into Siberia. Kolchak and his anti-Bolshevik forces holed up in Tyumen until the Red Army overtook them in January of 1918.

During the Second World War, many Russian industries were moved away from the front to Siberian cities. Tyumen had already become an industrial capital during the early Soviet era, and the city became an ideal spot to relocate Russia’s western factories. As Nazi forces approached Russia in 1941, the embalmed body of Vladimir Lenin was sent from the Lenin Mausoleum in Moscow’s Red Square by train to the Tyumen State Agricultural Academy for safekeeping. In 1945, Lenin’s body was shipped back to Moscow.

Some of the factories relocated to Tyumen during wartime remained in the city. The discovery of oil in the region catapulted Siberia’s oldest Russian settlement to further prosperity. Modern Tyumen is a vibrant city with a number of universities and a revamped center well-suited for exploration by foot.

Start your walking tour around central Tyumen on Ulitsa Respubliki. The city’s main drag has fine pedestrian walkways and leads wanderers past an impressive collection of tsarist-era buildings that recall Tyumen’s importance in the beginning of Russia’s colonization of Siberia.

From the southeastern end of Ul. Respubliki, head north toward the Tura River and take a brief side trip onto Ul. Ordzhonikidze to visit the Fine Arts Museum (47 Ul. Ordzhonikidze) which houses exhibits of classical Russian and Soviet art as well as traditional bone carving and works produced by the native people who live in the far north of Tyumen Oblast.

Back on Ul. Respubliki, you’ll soon see the city’s requisite Lenin statue by the local government buildings. A block away, opposite Lenin, is Tyumen’s city park, a delightful place to walk or hop on one of its amusement rides.

Most Siberian cities developed under the watchful eyes of the atheist Soviet regime and churches are usually not Siberia’s strongpoint. But this isn’t true in four-centuries-old Tyumen. Strolling up Ul. Respubliki, you’ll soon come to the Church of the Saviour (41 Ul. Lenina) and the Znamensky Cathedral (13 Ul. Semakova). Each of these stunning Baroque-influenced churches are located right off Ul. Respubliki and were built in the late 18th century.

Tyumen is also famous for its historic wooden houses. Heading further up Ul. Respubliki, stop to wander around some of the side streets and snap photos of these ornate wooden structures which provide a glimpse back in time. Near the Tura River, you’ll pass a civil war monument in remembrance of the Tyumen natives who died fighting the White Army and the Tyumen State Agricultural Academy (7 Ul. Respubliki) an impressive building in its own right where Lenin was stored during the Second World War.

Near the end of Ul. Respubliki, take a walk over the Tura River on the Lover’s Bridge, a suspension bridge open to foot traffic only that has become one of Tyumen’s iconic sights. The other side of the river is a great place to see more of Tyumen’s signature wooden houses as well as take in the churches scattered around the city center.

Save the best for last and visit the Trinity Monastery (10 Ul. Kommunisticheskaya) at the end of Ul. Respubliki. A white wall surrounds the monastery, giving it the appearance of a mini-kremlin, and the golden onion domes of the 18th century churches within should not be missed.
