If you’re a Marketing Cloud Engagement user, you’ve probably scheduled an email or SMS send. When scheduled, your message automatically sends the right information at the right moment—improving the customer experience and saving you time. And customer journeys take automation even further, allowing you to plot out entire interactions with your customers based on behavior and artificial intelligence. 

These interactions are powered by a vast amount of data. But did you know that your data activities can be automated, too? That’s right. Your data can be send-ready using the power of Automation Studio. In fact, you can automate many of your routine activities in Marketing Cloud Engagement. Automation Studio lets you execute multiple Marketing Cloud Engagement activities in one preplanned, multistep automation. These activities can be scheduled or based on real-time triggers.

Automation in Action

Let’s consider this example. Outdoor gear and apparel retailer Northern Trail Outfitters wants to launch a campaign. The campaign targets customers from the southeastern United States who opened an NTO email in the past 3 months and clicked a link or made a purchase. Automation Studio can use a Structured Query Language (SQL) Query activity to get the initial batch of subscribers who fit this criteria. 

From there, the NTO team can schedule this activity to run every 3 months to get an updated batch of subscribers. The team can also add in a few activities to filter subscribers for more specific communications and extract tracking information. And just like that—the NTO team has a full-fledged marketing campaign running automatically! In this module, we show you how to use Automation Studio to automate your own marketing tasks.

Automation Studio lets you chain together multiple activities to create tasks ranging from simple to complex. The building block of any task is the activity. Automation Studio offers several different activity options to help you send messages and move data around.

Let's cover the main automation activities.

Automation Studio can trigger sends from many different channels, including email, SMS, push, or GroupConnect. You can even send an email from a Sales or Service Cloud account. Drag a Send Email activity , a Send Push activity , or a Send SMS activity  into Automation Studio, then select the message you want to send and when. Automation Studio takes care of the rest!

One of Automation Studio’s most powerful features is how it can move data around in your Marketing Cloud Engagement account. Import information into your data extensions, extract data from data extensions, or transfer files from Marketing Cloud Engagement to FTP locations using the Import File and File Transfer activities .

Automation Studio allows you to use SQL or Server-side JavaScript (SSJS) to manipulate Marketing Cloud Engagement data. Want to delve deep into a data extension to find out which subscribers bought a product in the last week of May 2017, in a specific region, while standing on their head? Activities like the SQL Query activity can get you there. (Although we don’t know how you’d capture the standing-on-head data. We’ll leave that to you).

Automation Studio can even pause your process for a certain amount of time using a Wait activity. While a break may not seem necessary for software, this pause is valuable to ensure that messages send at the correct time and that the system has enough time to import and process new subscriber data. A wait activity gives every process a chance to catch up, grab the latest data or content, and go forward with confidence.

Similarly, a refresh activity ensures that data is up to date and ready to go. You can refresh email groups and mobile lists for accurate sends.

Any standard or custom report can also be run as an automation activity. That means you can have accurate tracking data at your fingertips when you’re ready to review.

Journey Builder has a couple specific activities you can use in Automation Studio. The Fire Event activity allows you to fire an event that signals new contacts are ready to enter a journey. The Journey Entry Audience activity allows you to update an audience for journeys that use that entity as an entry source.

Automation Studio allows for an immediate run of activities or a scheduled approach. For example, Automation Studio can execute an automation whenever a file matching a naming convention is dropped into a specified location. The file is transferred to another location and imported into a data extension. After 12 hours, an email is triggered. Here’s how that automation is configured.

Automations can run on a set schedule, run once immediately, or run after receiving a trigger from an API event or a file drop (placing a .zip file in a specified folder location). Once you determine the signal, Automation Studio is off to the races.

Let’s walk through the typical steps to create an automation in Automation Studio.

  • In Marketing Cloud Engagement, navigate to Automation Studio.
  • Click New Automation .
  • Enter a name for the automation, then choose whether to run the automation from a schedule or a file drop. You can choose either option if you plan to run the automation immediately or via an API trigger.
  • Drag your activities to the step sequence in the order you want them to occur. You can include multiple activities per step.
  • Configure the activities in each step. For example, you need to choose an email definition for send email activities, and select the amount of time to wait.
  • Save the automation when you finish. You’re ready to go!

Remember that activities that query or write data to a data extension need to be placed after SQL queries that actually generate the data for the data extension. Don’t put them in the same step, or you’ll get no results.

After your automation is running, you can come back to the screen to pause, stop, skip, or review activity for the automation.

Automation in Marketing Cloud can be accomplished in two different tools: Automation Studio (clever name) and Journey Builder .

So, what are they? And how do they differ? Why have two automation tools at all – isn’t that redundant?

What is Automation Studio?

Automation Studio is the original automation tool for Salesforce Marketing Cloud.  It allows for a variety of actions to be scheduled, not just sending emails – including import actions, SQL queries, audience filters, file exports, and of course, sending that email. 

Automation studio can hold more than one action and runs each column simultaneously before moving to the next column.  You can keep it simple – just run an audience filter and then send the newest notice to the fresh list on a Saturday morning – or build a listening automation that fires when a file is dropped to the SFMC-sFTP, then runs 2 queries to update DEs, sends an email, waits 3 hours, sends a second email, and then exports the opens and clicks! 

What is Journey Builder?

Journey Builder is the premier decision-making campaign sending and lifecycle management program for Marketing Cloud.  While Automation Studio executes linearly step-by-step, Journey Builder can tackle changes to data in-flight and respond to actions, behavior, and engagement to receive the best possible message at the best possible time.  Journey Builder can tackle SMS and email, in-app messaging, make data-driven decisions, and with Einstein Tools, target the best time and best saturation.

It really is a dynamic automation tool that epitomizes the old maxim of “right message to the right people at the right time.”  It can be as simple as a single send, an API-pushed transactional receipt, or a multi-week data-driven campaign that attempts to re-engage and offer multiple avenues of contact depending on user preferences and responsiveness!  

So, Which Should I Use?

Both tools have a lot of overlap in the email sending department, but other than that simple bit, they are worlds different.

Automation Studio is best suited for repetitive actions that execute the same on a known cadence.  An import every morning.  Five filters that refresh every 2 hours.  A monthly send to expired ticket holders with the audience built by queries.  Things like that.

Journey Builder is best for long campaigns that take some finesse or for triggered sends via API or direct integration with Salesforce CRM.  A welcome campaign that fires shortly after account creation or a send that automatically resends after 5 days to people who did not click the CTA, or maybe a heavily data-driven inquiry response that sends different creative based on what was picked from a radio-button list!

The aim of Salesforce Journey Builder is to bring simplicity into this process by giving you a single platform from which to organize the user interactions that will occur along the customer’s journey across different platforms. You can set aims that will be achieved with every action a contact takes along the way. Journey Builder lets you see and control how these behaviors and your responses ultimately lead to achievement of your marketing goals. 

Why Does Your Business Need The Salesforce Journey Builder?

One of the most important things in business is the ability to respond to customer needs in time. Journey Builder gives you the ability to quickly pick up what moments are crucial in the customer experience and take the appropriate action to satisfy their needs. You can automatically respond to events triggered when your client takes a certain action. This could be by clicking a call to action on a landing page, completing a purchase, downloading a brochure or after an encounter with your service personnel. 

Salesforce Journey builder will also better equip you to make your communication with your clientele feel more personal for them. You can use the information you have to address them more directly and use past events, browsing habits, and other data to tailor your messaging more to their taste and build a stronger relationship.

Also, by having the ability to respond to real-time events, you can automatically modify the responses of your system to adapt to changes in your clients’ preferences. This ensures that your actions are always aligned with the customer’s needs and not just rigidly set according to the path taken by the majority of your clients.

The Difference Between Journey Builder and Automation Studio

In a nutshell, Automation Studio in Salesforce Marketing Cloud is meant to provide users with the ability to perform repetitive tasks automatically. Journey Builder is meant to help you tailor your messaging and actions to individuals at different stages of the buyer’s journey, and thus personalize your interaction. 

Automation Studio enables you to do things like receive data from a source, perform certain operations that you can specify on it, and load it into another process, all without your intervention. In this way, you can take an entire workflow – sending emails, importing or exporting data, and so on – and have it run on its own based on certain triggers. 

Journey Builder will map out a series of actions starting with an initial event, with time intervals between triggers and responses, and based on the client’s feedback, further actions. The process continues until the client completes the journey. 

Journey Builder Main Features: What Builds a Journey

Entry source.

The entry source refers to the initial event that triggers subsequent steps as the contact traverses the journey. For example, a contact may enter the journey by signing up for a webinar and providing an email address might trigger a response email. Based on their response to that email, further action will be programmed to take place. So that webinar would conceptually be the entry source.

Activities let you perform the action you want to take place in the context of a journey. These are the next steps after the entry event. You can link these actions to your own systems. For example, you can check if the customer has entered a coupon code and send them down a different path on the journey, or to see if the client is a Gold Member and perform certain actions based on that status. You can create your own custom activities or use the ones provided out of the box. 

Flow Control

This provides the direction and timing of the actions and events the contact encounters along their journey. One way to think of it is that it is a set of conditions that determine what happens next. Have 24 hours passed since an email was sent to a contact? Have they opened it? Have they responded? Different answers to these questions will trigger different steps down various paths along the journey. There is plenty of flexibility around what these conditions can be, and what paths the journey can branch into. 

Salesforce Journey Builder Best Practices

Here are a few tips to help you design an effective Journey.

To start with, a journey can get quite long and complicated. Break it down into logical units of steps. These modules will be easier to understand, tweak, and improve later on, and will also make life easier when testing. 

Think about processing overheads

Having clean and well-prepared data will take some load off your resources. You can find exact matches if naming is done properly for example. Or you can run searches on smaller categories if your data is well-segmented and you regularly purge irrelevant data – like inactive contacts. Seemingly small considerations like this will help improve the efficiency and performance of your computing resources. 

Keep improving

Keep analyzing the performance of your journeys to see what could be done better. Run A/B tests to check the effectiveness of different types of content on different audiences. The better the quality of your interactions are, the more successful at converting leads your Journeys will be. 

Pay attention to your audiences

Journey Builder is a useful tool that makes it easier for you to reach your clients. However, keep in mind that the purpose is not just to automate this communication, but to make it more meaningful and personal. Constantly review the content you are showing to ensure it is relevant to the audiences at your entry source. Vary the journeys, content, and activities to match those groups. For instance, are you paying attention to working hours in different time zones when sending emails?

Keep testing your Journeys

Regular testing will give you the confidence that once deployed, your Journeys will actually deliver the results you expect and intend. Looking at the schemas of your Journeys, everything might seem watertight. But run some contacts through some journeys and make sure you haven’t overlooked any steps and that all your links work. Use different types of contacts as well to make sure that the subtle differences are being picked up and the messaging is being varied to make it a more personal experience.

As your business grows, it becomes more and more challenging to deliver the kind of attention to each individual lead that will help ensure they stay on board for the entire journey. Your efforts are likely to become fragmented as you try to maintain a foothold on various different platforms – email, social media, ads, and so on. With Journey Builder, you can focus on the big picture, improving your content, and bringing your business closer to your clients, all while ensuring that your interactions with each client are focused, relevant, and personal.

How to Optimize Journey Builder Performance

The Journey Builder processing rate varies based on your data model, filters, configuration, activities, and content complexity. Journeys share processing resources, so stagger the start time for each journey to reduce the demand and increase the processing speed of individual journeys. Use the System Optimization Dashboard to identify and prioritize optimizations that could increase your overall throughput.

As a general baseline, you can process up to two million email sends per hour per tenant in Journey Builder. However, you could achieve higher throughput—by two times or more—using the High-Throughput Sending (HTS) for Email option in Journey settings.

Single-tenant deployments on dedicated databases produce a faster and more predictable processing speed than multitenant deployment on shared databases. To improve processing speeds after implementing these recommendations in a multitenant account, contact your account executive about single-tenancy and dedicated database deployment.

Groom Data Before Creating a Journey

How you store and prepare data affects how quickly Journey Builder processes records. Here are some ways to maximize processing.

  • Create a pre-filtered, sendable copy of the data extension for each journey instead of using the same data extension for multiple journeys. This step also prevents journeys from competing with other database activities such as imports, send-logging, reports, or extracts.
  • Use an ETL tool such as Automation Studio for large-scale segmentation before admitting contacts into Journey Builder instead of filtering contacts within the entry source.
  • Don’t use a filter in the entry source to filter more than 50% of your contacts when there are more than 500,000 total contacts. Doing this wastes critical computing resources and can lead to the system stopping your journey due to excessive resource usage. Instead, use an ETL tool such as Automation Studio to segment your data before using the data in Journey Builder.
  • When data extensions are linked through a one-to-many or many-to-many relationship, a matching attribute value can appear in the journey entry source filters, wait activities, or decision splits multiple times.
  • Include all data that you plan to use for decision splits in your entry source data extension. Use journey data for decision splits rather than contact data whenever possible.
  • Only use the Update Contact activity to update any contact data except the Contact Key value.
  • When you use the Update Contact activity to add a contact to a data extension, include all required field values or the contact isn’t added.
  • Limit the number of rows per contact to 1000 or less.

Use Efficient Filtering Logic

Journeys share resources for processing. When a journey includes an entry filter, the speed at which contacts are admitted in the journey is lower. Follow these guidelines to maximize hourly processing.

  • If your filters use contact data, use the data model to determine the AttributeSets required to link the contact attribute to the contact. When any of these AttributeSets in the path contain a one-to-many relationship, processing speed slows proportionally to the amount of data associated with the contact. For example, if a decision split is based on LastOrderDate, the number of orders associated with the contact affects performance. Performance is slower for a contact with thousands of orders than for a contact with one order.
  • If you use an entry filter, avoid ends with and contains operators for best filter performance. In data processing, these operators are more expensive than using the equals operator.
  • Complicated entry source or decision split filters require more table joins to filter contacts, which slows performance.
  • Filter complexity and performance are based on the number of distinct attributes used and the number of links it takes to map to a contact.

Use Journey Activities Wisely

Journey Builder processes contacts in journey segments. A segment is the chain of activities from the journey’s start to the first wait, between two waits, or from a wait to the exit. The minimum processing speed of each activity in that segment determines the processing speed of contacts through a segment. Each activity type processes contacts at a different rate. Journey Builder processes contacts from multiple journeys and segments concurrently.

  • Use wait activities sparingly. Don’t add a wait activity as a journey’s first or last step, and avoid using wait activities that are less than 15 minutes.
  • To improve Journey Builder performance, a wait activity that is 1 minute or less at the end of a path is ignored. In most scenarios, these required wait activities at the end of a journey can be lowered to 1 minute without impacting the contact's journey. Lowering these final wait activities reduces unnecessary system load and improves the predictable performance of your journeys.
  • By default, one Wait by Duration activity is on the canvas and configured to a duration of 1 day.
  • Re-Entry Mode is Re-Entry Anytime OR No Re-Entry
  • AND the journey doesn’t have a Goal Activity
  • Though you can add as many journey activities as you want, limit the number of activities to 150-200 in a journey to prevent slow load times.
  • Avoid using more than 3 decision split activities at the start of the journey. Journey Builder processes contacts in batches, so using a series of Decision Split activities reduces the batch size. Build the decision split path that you expect the highest number of contacts to follow first.
  • Avoid back-to-back decision splits.
  • To ensure that custom activities don’t slow your journey, optimize the endpoints that custom activities use. Custom REST Activities hit external endpoints so their response time depends on each endpoint’s response time. For more information, see Custom Activity Configuration .
  • If you add retry logic to an API event, the activity takes longer to process. Increasing the retry count increases the response time of the REST service from Journey Builder’s perspective.

Example

Consider a single journey running in a single-tenant, dedicated database deployment. Within this journey, there’s one segment from the entry to the random split, the decision split, the update contact activity, email activity, and a 1-day wait.

If the processing speed of the random split activity is 10 million contacts per hour, 9 million per hour for the decision split and update contact activity, and 2 million per hour for the email activity, the maximum processing speed for this segment is 2 million contacts per hour. Most journey activities process faster than message activities and usually don’t impede messaging activities in the segment.

Consider the Impact of Content Personalization

Journey Builder lets you personalize your messages by using the power of AMPscript. Marketing Cloud Engagement application handles all AMPscript calls at the end of the message-send, which affects the number of messages sent per hour. We observed the following effects on our internal benchmarking, which was performed in a controlled environment on a dedicated database.

Highly personalized message content that has advanced complexity can reduce send throughput by up to 25%. Personalization is a powerful tool to achieve targeted communication with your audience, but make sure to note how it affects your journey’s send throughput.

  • Journey Builder Configuration Recommendations As part of journey validation functionality, Journey Builder makes recommendations about configurations that can impact system erformance. These recommendations don’t prevent you from activating your journey.
