Process Changes: Contact Egencia Customer Service

When you have questions about booking or managing travel in Egencia, their customer service center can assist via chat, email, and phone. These resources can be accessed in the Egencia Help Center. Be aware that engaging with an agent, whether by phone, mobile app, chat, or email and the interaction results in a transaction, you will incur an agent-assisted service charge.

To find the Help Center in the Egencia online booking tool, click the Help link at the top of Egencia’s home page. Scroll to the bottom of the sidebar on the righthand side and select Chat or Contact us .

On the Egencia dashboard, the Help button is highlighted and a customer service menu is open.

In this example, we selected Contact us . Three contact methods appear. Select the one you want to pursue (chat, call, or email) and contact information or prompts will appear.

Within the Customer Service menu, you can choose chat, call, or email.

On the Egencia mobile app, from the home screen, tap the question mark in the upper right-hand corner. Then, follow the prompts to select the type of service you want to receive.

On the Egencia mobile phone app, the help button is one of the first buttons along the top of the screen. Clicking this opens a link to the Help Center, a Chat button, or a space to request a call back at the number you provide.

Egencia is Northwestern's preferred online travel booking tool. Northwestern's partnership with Egencia streamlines your travel booking process and helps to manage travel costs and reduce transaction fees

Benefits and Fees

Egencia's Online Portal allows Northwestern faculty and staff to:

  • Book airfare, hotels, and/or rental cars and receive Northwestern's discounted rates when applicable
  • Directly bill airfare and some hotels to your unit/department chart string
  • Make an online reservation without incurring a booking fee to your unit/department (the exception is a small fee for booking a Southwest Airlines flight)
  • Input loyalty program numbers, TSA and passport information, and airline seating preferences to your profile

New to Egencia?

Some Tips and Resources for booking travel on Egencia are provided below.

User Registration

All full-time faculty and staff gain automatic access to Egencia and may Log In at any time using their NetID and password. (Note: it may take a couple of weeks after new hire orientation for new hires to gain access to the system. If you are a new hire and do not have access to Egencia after two weeks, please contact Travel Services at 847-491-7569).

Graduate students, whose travel is paid for by Northwestern, and part-time/temporary employees who are traveling on behalf of the University are also eligible to book University travel through Egencia but are not automatically provided access.

If you have graduate students or part-time/temporary employees who require access to Egencia, you can register them as a guest on Egencia's website. Simply select the "Tools" tab within the heading on the home page. Under "User Management", click on "Manage Users" and then "New Guest Account." Please call Travel Services at 847-491-7569 if you have any questions or send an email to [email protected] .

Just an FYI for travelers using this service. If you change even one part of your travel itinerary, it cancels the whole leg of your trip and customer service does not tell you! For example if you have a connecting flight and you change the time or day of one of those flights it cancels all flights and you are not informed. If I hadn't gone in to look for a seat, I would have been stranded in the airport. I think this is important information for a customer to know.

Waste of time!

Use the website instead. I tried booking a flight on here and it said it was not available or overbooked, but then actually double-booked me. My controller had to figure out which one to decline. I could only see one reservation in the app but then looked online next day and there it was. Beside this Egencia is a horrible service. They give 120 rate options for hotel. Many at top of the list don’t have loyalty points so you have to be careful if you are a frequent traveler. Several times I booked the “included loyalty points” option but then never received my points or status credit. I called both hotel and Egencia and they blamed it on me, that I chose the wrong rate (out of the 120 options provided). I’m not a member of AARP, why does the app give me those options?? The app overall has had 0 value to me. On top of taking away loyalty points they charge exorbitant rates and commissions for every reservation. Travel agencies are outdated. Why would I pay someone to do something I can easily do myself? Egencia/Expedia = making traveling miserable again

Out dated ways

In the early 80’s a travel agent / agency was great, the mid to late 80’s the internet was in its infancy stages, the 90’s came along and more internet options became available, now its 2018 and better options and prices can be found without a third party company. There are certainly lower priced options, why does someone think or can prove this to be a more cost effective means of business? Do I think a reply to this message is in order? Yes, should I expect one? Most likely not! I’ll be waiting for an explanation on why the current policy that is proven to NOT save money or time??? I’ll wait for the day to listen

Reward members beware

I have continuously used Corporate codes for better deals. And the fact that I have to search for specific rooms to achieve credit for my overnight stays and accumulation of points is a complete and utter disappointment and joke. The only one that benefits from this is you. Not a fan since I have been a rewards member of Marriott for several years. I can also take advantage of the hotels offerings such as concierge for a much lower price than what you provide for half the luxury at twice the price. Complete disappointment. Not pleased with your fares or your service.
