For those truly epic, once-in-a-lifetime destinations, you want to leave your itinerary to the experts. Whether your dream is to see the Big Five on an African Safari, trek tall mountains, explore European cities, or something even wilder, a group tour is the easiest way to do it.

However, picking the wrong group tour company is the quickest way to ruin your trip. Make sure you choose a tour company that aligns with your goals and travel styles. Do you want an intimate group tour or do you prefer to make lots of new friends in a big group? Does the price line up with what you like (luxury vs. budget)? Is the itinerary going to all the places you want to see?

We’ve done the research and found the very best group travel tour companies for 2024 for every type of traveler.

This award-winning group travel company boasts thousands of repeat customers who sign up for trips year after year (97% of past participants would recommend Exodus Adventure Travels to a friend).

These small group tours operate with only around 8-16 people and always feature experienced local leaders who can give you a unique insight into your destination. Exodus Adventure Travels caters to any type of travel style, including trips broken down by type of activity (think walking, cycling, multi-adventure, winter, or cultural) as well as type of traveler (family, age group, etc.). There are curated collections (coastal, “away from it all”, European wilderness, and trips of a lifetime) to inspire you, as well as self-guided options for when you want all the benefits of a group tour planner without the actual group. Looking for that special safari? Exodus Aventure Travels just partners with the African Wildlife Foundation to create carefully curated luxury adventures that go above and beyond the standard safari.

Exodus Adventure Travels tours work for almost any budget, with options that range from affordable to premium.

Best Adventure Group Travel: World Expeditions

World Expeditions aims to leave communities and places where they operate tours better than they found them. Trips are created using the company’s Thoughtful Travel Charter as a guideline, which emphasizes respect for the environment, sustainability, having a positive impact on local communities, protecting wildlife, and more.

World Expeditions’ trips are capped at just 16 people to provide a good experience for participants, and there are no single supplements for solo travelers willing to share a room with someone of the same gender.

G Adventures is one of the best tour companies for solo travelers as well, as most trips don’t have a single-supplement. You can choose to share a room with another G Adventures solo traveler, or pay extra to have your own space.

G Adventures keeps costs down by opting for cheaper hotels and local meals, and making certain activities optional (for an additional cost). Pick your travel style—options range from “basic” to more luxe tours run in partnership with National Geographic. Family tours, local living tours (featuring homestays), and wellness-focused tours are also available.

Top Trip: G Adventures’ China Express trip is a great way to see the highlights of China if you’re short on both time and budget.

General Group Contract Terms and Conditions:

These details supplement, and are hereby incorporated into, your Group Contract with Delta Air Lines.  Delta reserves the right to change these terms at any time without notice; however, the terms in effect on the date you execute your Group Contract will apply.

  • These Group Contract Terms and Conditions detail standard policies for group reservations; however, terms are subject to additional restrictions during peak travel periods as designated by Delta Air Lines, Inc.
  • A group consists of 10 or more passengers traveling together on at least one common flight segment. In the event your group does not meet the minimum of 10 passengers, this booking will be cancelled, any deposit will be forfeited, and passengers may contact Delta about creating a new booking as individual travelers, which will be for the fare available at that time.
  • Any changes requested to the Group Contract will require a renegotiation of fare and terms. Additions to your group may be at a different fare from the main group.  Individual deviations from the group itinerary may be available with additional fees and payment of any additional airfare.  A nonrefundable booking fee may also apply as specified in your Group Contract.
  • You are also responsible for compliance with any applicable laws or regulations in the discussion of these fares with your customers.
  • The information regarding this group is confidential between the travel agent or group leader and Delta’s Group and Specialty Sales Center.  Therefore, no information will be given to, nor changes made on behalf of, individual group members.
  • Group tickets are not eligible for SkyMiles upgrades, and mileage accrual will be according to the SkyMiles program accrual policy for unpublished or opaque fares.
  • All travel pursuant to this reservation shall be subject to Delta's applicable contract of carriage (and general rules tariff) and all applicable fare rules and restrictions.
  • All necessary travel documentation to comply with governmental travel requirements (e.g., passports and visas) are the responsibility of the passenger. DL is not liable for any travel issues resulting from lack of proper documentation.
  • Delta reserves the right to change equipment or schedules without notice.

Deviation Policies:

A deviation is defined as a change to the date, time or routing.  Any deviations may be at a different fare from the main group. Notwithstanding the foregoing, the main group must maintain group minimum requirements .  Your group may book deviations from the original group as follows:

  • Prior to the group's utilization date an unlimited number of passengers may deviate from the group itinerary on either the outbound or the return at the applicable fare with no deviation fee.
  • After the utilization date a maximum of 30% of the group may deviate on the outbound or return for a US$25.00 per person domestically and US$50.00 per person internationally nonrefundable deviation fee plus the applicable fare difference.
  • The percentage of passengers who may deviate is based on the total number of seats held by the group at utilization date.
  • Feeders (passengers wishing to travel from a different city connecting to the main group travel segment(s)) are not included in this limitation and may be done at any time prior to ticketing at the applicable fare for the new itinerary.
  • A credit card is the only acceptable form of payment for deviations and is required at the time the deviation is booked.
  • Passengers may make changes after ticketing at the applicable fare upon payment of the applicable ticket change or reissue fee plus any difference in fare.
  • Once travel has commenced routing changes are not permitted.  Changes to the return travel date or time only will be permitted at the applicable fare with the appropriate ticket reissue fee and any difference in fare.

Utilization Policy:

In consideration for Delta's agreement to hold this seat inventory for your group, you agree to pay Delta a cancellation fee listed on your contract per seat, assessed from the deposit, if you fail to comply with the ticketing deadlines and/or if you fail to use at least the utilization percentage of the seats that we have reserved for you, as specified in your contract.

If there is no Deposit Due date, no deposit funds are due. The following policy applies only if a deposit is collected:

  • If your group does not meet the minimum of 10 or individual members do not travel with the group, (a) the deposit will be forfeited and (b) passengers will be considered individual travelers and must be ticketed at the applicable fare.

If the Utilization is listed as 100%, the deposit will be refunded for ticketed passengers only.

If you fail to use at least the utilization requirement percentage of the seats that we have reserved for you, the amount of the cancellation fee will be calculated as follows:

  • It is your responsibility to obtain a cancellation reference number from Delta for complete cancellations. Delta's business records will conclusively determine the time and date of any cancellation.
  • Partial cancellations do not require a cancellation reference number.
  • A new confirmation letter will be distributed at the time of any reductions, deviations, feeder additions or other itinerary changes.
  • Until the last day to cancel/reduce without penalty:  100% of the seats may be cancelled without a cancellation fee.
  • Except to the extent otherwise expressly specified in your contract, from the last day to cancel/reduce without penalty until 60 days before departure:  must maintain the minimum main group utilization requirement percentage of seats held for a full deposit refund.
  • If you use some, but less than utilization requirement percentage, of the seats held, you will be charged the cancellation fee specified in your Group Contract for each seat below the utilization requirement percentage minimum.
  • If  all  the seats on your reservation are cancelled after the utilization date specified in your contract, the entire deposit will be forfeited.
  • 60 days or less before departure: Deposits will be refunded for ticketed passengers only within 60 days of the commencement of travel.
  • Any applicable cancellation fee will be collected from the deposit on file.

Any and all matters arising out of or relating to the Group Contract and/or the subject matter hereof shall be governed by and enforced in accordance with the laws of the United States of America and, to the extent not preempted by Federal law, the laws of the State of Georgia without regard to conflict of law principles, regardless of the legal theory upon which such matter is asserted. The Group Contract, including the Ticket, Fare Rules, and Contract of Carriage as applicable, represents the entire agreement between the parties relating to transportation pursuant to this Agreement, and shall supersede all prior representations, understandings or agreements pertaining thereto, either oral or written. No other covenants, warranties, undertakings or understandings may be implied, in law or in equity.

Delta shall not be liable for any punitive, consequential or special damages arising out of or in connection with the Group Contract, carriage or other services performed by Delta, whether or not Delta had knowledge that such damage might be incurred.  Delta shall not be liable for any damage arising out of its compliance with any laws, government regulations, orders, rules, requirements or security directives or as a result of a passenger’s failure to comply with such laws, government regulations, orders, rules, requirements or security directives or as a result of a passenger’s reliance on advice provided by Delta regarding such laws, regulations, orders, rules, requirements or security directives.  Election or failure by Delta to enforce any provision of the Group Contract shall not constitute a waiver of its rights and remedies with regard to such provision or any other provision.   No agent, servant, or representative of Delta has authority to alter, modify, or waive any provisions of the Group Contract or these Terms and Conditions.

Group travel

Groups your way.

A vacation is supposed to relieve stress, not add to it. That’s why United Vacations ®  created the Groups Your Way program. It removes the headaches and hassle of coordinating groups — large or small — for travel. Plus, you’ll enjoy top benefits and exclusive deals all over the world. There’s nothing better for weddings, reunions, bachelor parties or corporate outings.

Call 844-904-0187 or email  [email protected].

Our team is available Monday-Friday between 9AM and 7PM EST.

Two Ways to Book Group Travel

Funjet Vacations offers two great ways to book group travel starting with just five (5) rooms. Check out both offerings and choose the one that's right for you.

For four (4) rooms or less – Please call us at 888-558-6654 to book individual reservations.

Option 1: Traditional Contracted Group (10-room minimum)

What is a contracted group.

It’s the ultimate personalized service and a perfect booking solution for groups who need flexible payment and cancellation policies for the entire group, plus contracted group benefits! This booking option allows your group to lock in both rates and inventory.

How does it work?

You’ll work with our experienced Sales Team to find the best destination and hotel for your group based on your needs! Once a hotel is selected, we’ll lock in the pricing for the life of the group with blocked inventory (air & hotel). Have peace of mind knowing your inventory is held while each traveler contacts us directly to book into the group block and makes individual payments to their own reservation within the group! The best part? Our dedicated Service Team is here for your group every step of the way for anything you may need.

  • Enjoy complimentary hotel stays, room upgrades, and other group amenities & inclusions.
  • Receive a customized guest booking website for guests to book into your block, while being able to still service their individual reservation.
  • Earn up to a $2,000 group credit with Funjet Vacations Anytime Group Air Credit when flying on our  Exclusive Nonstop Vacations Flights . Start earning air credits with just 15 passengers!
  • Low deposits – starting as low as $50 per person or just $500 when booking a social, leisure, or wedding group (hotel only) of 39 rooms or less at participating  Inclusive Collection, part of Hyatt Hotels & Resorts . *
  • Flexible payment and cancellation terms – submit a deposit and relax! Final payments are typically not required until 70-days prior to travel. **
  • Add our industry-leading  Travel Protection Plus  – protect your investment from the unexpected.
  • Exclusive VIP inclusions and experiences provided by  Amstar DMC .
  • Customized travel itineraries – besides the hotel, tell us what else you want to book. Air? Private nonstop transfers? In-destination activities & excursions? Not a problem!

(*) Excludes all Zoetry hotels and Meeting & Incentive Groups. In the event the group increases their room block above 40 rooms, higher deposits may be required and are set forth by Inclusive Collection resorts.

(**) Deposit, final payment, and group policies vary by hotel.

Who should book a Contracted Group?

Valid for all types of groups! We recommend our Contracted Group option for larger groups (10 rooms or more), but groups as small as five (5) rooms can still benefit at select hotels. A Contracted Group is best for any travelers that want a locked-in rate for the entire group, without having to worry about rates changing or rooms selling out!

Option 2: GroupEase® is as Easy as 1, 2, 3!

A vacation is supposed to relieve stress, not add to it. That is why the GroupEase® program with Apple Vacations is here to remove the headaches and hassle of coordinating vacations for your small groups. In an ever-changing world of travel, the GroupEase® program offers the flexibility of independent booking itineraries without a contract (no rates or space is locked in for the group!). With a group of at least 5 rooms , you’ll have the opportunity to qualify for added benefits, including a special promotional code discount, Exclusive Nonstop Vacation flight credits, and any other applicable group inclusions, exclusive to the GroupEase® program. Consider GroupEase® today for your wedding, family reunion, bachelor/bachelorette party, or other social/leisure events!

Should your party require 4 rooms or less, you may still utilize this website or contact our Reservations team to make your bookings outside of the GroupEase® program.

1. Choose a destination, dates, and a hotel. While the GroupEase® program can support groups for any hotel we offer worldwide, we encourage you to gain the most value by choosing one of our preferred bonus hotels in Mexico/Caribbean/Hawaii that offer premium group amenities, such as room upgrades, complimentary room nights, special group activities, and discounts! Interested in considering one of these preferred bonus hotels? Just email [email protected] with your preferred destination and we will be happy to guide you in the right direction. For specific property details and/or current day pricing/availability, we encourage you to utilize our booking engine on this website or contact our Reservations team at 800-243-8372 .

2. Request your GroupEase® code. Call our Group Sales team at 844-904-0186 or email us at [email protected] and be prepared with your group name, destination, dates of travel, and one specific hotel choice. You will receive an email from us with information for your code, how to book, the discount tiers (up to $225 off per booking), and any other applicable group benefits.

3. Happy Booking! Share your GroupEase® promo code with your fellow travelers. Although you will be the primary contact responsible for your group, all travelers will still book individually and apply the GroupEase® promotional code to their reservation in order to be associated with the group. If a reservation is made through our Call Center, be sure the GroupEase® code is mentioned to the Reservations agent so they may apply it on your behalf. We have two teams here to assist you along the way, each specialized in different components of your booking process:

  • Our GroupEase® team is available to assist with any modifications to your GroupEase® code itself, applying the promotional code to bookings, custom event pages, and reporting your group to the hotel for any applicable benefits. Email [email protected] for support in these areas.
  • Our Reservations Call Center team can help with your reservation-specific inquiries, including making/modifying bookings, deposits/payments, our industry-leading Travel Protection Plus (protect your investment from the unexpected!), booking policies, and more. Contact 800-243-8372 for these types of assistance.

While flying alone can be incredibly stress-inducing, traveling can be even more so for large groups. However, in an attempt to appeal to a larger market and offer travelers an anxiety-free experience, American Airlines, the largest airline in the world, makes group travel easier via the American Airlines Group Travel feature that facilitates every step of the way.

Over the years, American Airlines has stepped up its group travel policies for a better customer experience. But before we get into its policies, what constitutes group travel? According to the carrier , group travel includes ten or more passengers flying together on the same itinerary. With that settled, let's look at its group travel policies.

(Still) The World's Largest: The American Airlines Fleet In 2024

American Airlines won't be retiring any of its aircraft for the next six years. Much of what you see now is what you'll get through 2030.

Terms and conditions

Like with any special ticket, travelers must meet specific criteria and adhere to attain the benefits. Group travel is no different. For starters, group travel on American Airlines is only available to groups of ten or more passengers. According to the Dallas-based carrier, groups traveling on business can book a discounted flight ticket. Although groups flying for leisure also get discounted rates, they do not get the same discount. Although rare, as with any ticket, Americans clearly state that they have the right to cancel group bookings if the flight is unavailable or in the event of an emergency. Group travel can be booked in any cabin offered on American Airlines and to all destinations served by the airline or by its oneworld alliance partners.

The airline offers one free name change per ticket up to 48 hours before departure. This means that if a group member cannot make the flight, the organizer can switch their ticket for someone else as long as it is two days before departure. This gives group travel organizers lots of flexibility, as they can switch tickets instead of leaving the seat empty if the person cannot make the flight.

Other rules that must be followed include passengers that are traveling in groups must have at least one common flight segment; for any international outbound segment except from the United States to Canada or vice versa, the group will need to travel together, all groups members must begin their outbound travel on the same date, and each traveler needs to return within a week with the time difference between the first and last person returning can not exceed 168 hours apart. Lastly, groups can add members with the same or adjacent travel dates after booking the group ticket. It is important to note that if any of the requirements are not met, American can cancel their reservations, meaning unless travelers adhere to all the conditions, they will not be able to book a group flight.

Booking group travel

As with any trip, planning a group trip begins with the booking process, and there are multiple ways to book a group ticket. However, when booking for a large group, you must undergo a slightly different process than booking one or even five tickets for a future trip. The first way for groups to reserve tickets for more than ten passengers (as classified by American as group travel) is to book tickets under bunch travel on the American Airlines website. Group travel can be booked up to eleven months in advance and as late as 48 hours before the flight's scheduled departure. However, booking as much as possible in advance is suggested to ensure there are enough seats on the aircraft to accommodate the whole party.

As such, similarly, when booking a flight on American Airlines, someone looking to purchase over ten tickets will head to American's website and select the "Group Travel" Option. Unlike booking a regular ticket, group organizers will have to request a group rate first before being able to book. After selecting the "Group Travel" Option, a series of prompts will pop up, all needing to be answered regarding essential details about the upcoming trip. After the data, which ranges from the flight details to the number of people on the group ticket, is inputted, the carrier will reach out with a quote (price) for the flights. After receiving the quote, there are two options: the first is to purchase all the tickets then, or the other is to lock in the quote; as the price often increases as the departure date gets closer, a person from the group will have to pay a small deposit to hold the tickets. Then, they will pay the total amount as the departure date approaches. For the second option, once a deposit is made, American will ensure seats on the flight will be allocated.

The Story Of American Airlines - How The Airline Is What It Is Today

American has a long history.

The other option for those who are not as tech-savvy is to book over the phone. American has a personalized group travel desk where customers can call a dedicated team that will assist in not only the booking process but also answer any questions a customer may have. Booking over the phone is similar to the online booking option, except in a faster manner.

Different fares and perks

For group bookings, there are two different types of fares: "Air Only" and "Zone Fare." For starters, "Air Only" fares are for ten or more people flying together from one or multiple origins to the same destination for any reason. For those who fit those criteria, Americans will offer a guaranteed fare. Some of the notable peaks of the "Air Only" fares include the ability to block space up to 330 days ahead of departure, automatic seat assignments, and return flight changes as long as it is within a six-day window, among others.

The other type of fare, known as "Zone Fare," is for groups of ten or more passengers from two or more countries traveling to the same destination. This ticket can be purchased for travel from the United States or Canada to any destination in Europe, the Pacific, North America, the Caribbean, or the Pacific. Some perks of the "Zone Fare" ticket include adding other names later, transparent pricing with set fares, flexible booking options and refundable tickets, and automatic seat assignments.

American Airlines not only makes it easy to purchase group travel but also makes it as appealing as possible. As previously stated, when booking group travel, each seat has discounted fares . Another perk is sitting together as a group. American ensures that as long as the ticket is booked in advance, they will try to seat group members together to stay connected.

Bottom line

American's newly established group travel platform makes traveling with friends and family easy and less expensive. However, to ensure a hassle-free experience, it's better to book as early as possible to tailor the trip to your liking.

The Best Practices for Booking Group Travel

Booking corporate group travel requires organization and precise planning. Generally, if 10 or more people are traveling to the same destination and booked on the same registration, it is considered group travel. In this business world, conferences, sales kick-off, all hands, and quarterly business reviews, and team offsites are just a few scenarios when group booking would apply.

>> Related: Business Travel Trends in 2023 <<

Group travel provides an avenue to save the company money and allow traveling employees to spend less time focused on their itinerary and more time concentrating on the reason for the trip.

Understanding the Benefits of Booking Group Travel

So why book as a group instead of letting each employee book on their own? For starters, cost savings. Many hotels will give discounts based on the number of rooms reserved together, also known as room blocks.

Once you know your budget for the event and the approximate number of employees attending, you can chat with hotels to negotiate group rates. Often, if you host the event itself (like a QBR or SKO) at the same hotel, you will receive a more significant discount and package price.

The cost savings also apply for events that aren’t sponsored by your organization.

Communicating with Your Travelers

A key component of booking and managing travel for colleagues is timely and clear communications. Face it, everyone is crazy-busy. They will likely need to coordinate family schedules, such as childcare or petcare, have time to refill medications, or ensure their workload is up-to-date so nothing falls through the cracks. It’s important to provide plenty of lead time regarding the trip dates, destination, and booking expectations.

As the trip approaches, you will also need to provide regular updates to the team. Confirm when rooms have been booked, advise as to the best time to book flights, ground transportation details, and inquire as to food allergies and other dietary restrictions. You should also advise on dress codes and provide insights on typical weather for the destination when you will be visiting.

Be clear on expected arrival and departure times, as well as required activities and after-hours events.

Booking for the Team

There are several approaches you can take when it comes to booking group travel for your colleagues. You can opt to book travel from start-to-finish, including flights, hotels, and ground transportation. Or, you can book pieces of the trip, like lodging, for the team, and provide them with clear communications on appropriate arrival and departure times and ask that they book their own flights. Regardless of what scenario works best for you, please know that utilizing managed travel will simplify the process.

>> Introducing:  TravelBank’s newest product and service is Group Travel <<

For example, if you elect to book airfare for your travelers, a corporate travel booking platform like TravelBank can simplify the process. We allow travel managers to book flights for up to seven travelers at once. Better yet, their traveler profiles, loyalty membership information, and even seating preferences will pull in.

TravelBank Makes it Easy to Book on Behalf of Another

Beyond airfare, we understand that travel managers and executive assistants often juggle travel itineraries for multiple people. This task can be incredibly difficult without the right tools. TravelBank makes it possible for travel managers and executive assistants to coordinate itineraries quickly and securely.

Through our desktop platform we make it easy for those managing travel to book on behalf of others–including flights, hotels, and rental cars. Using our Book on Behalf of Another feature, travel managers can simply select the option to “book for someone else” and the traveler profile information, including loyalty membership numbers, will populate.

“I book and manage several executives’ complex travel schedules on my own. One of our executives traveled to more than 20 cities alone last month,” said Maggie, a business associate at a fast-growing tech startup business. “Using TravelBank has simplified making last-minute changes, including late-night or early morning requests. Their travel concierge gives the support of a full team and the Book on Behalf of Another feature simplifies the process immensely.”

Group Travel Wrap-Up

Booking group travel is not for the faint of heart, or for the inexperienced travel manager. There’s a ton to consider and coordinate, especially since workforces today have become increasingly distributed. Fortunately, technology-enabled managed travel can help streamline the planning and booking process.

For many companies, especially those that have a largely distributed workforce, getting together requires coordinating significant amounts of employees from across the globe. Company All Hands, Sales Kick-Off, and QBRs are a few instances that require tons of planning, budget considerations, and the need to have a well thought out plan in place to guide employees through booking and travel itself.

Booking corporate group travel requires organization and precise planning. Fortunately, there is technology available that can streamline the process and make sure that whatever the reason for the trip, everything runs smoothly and comes in on budget.

Booking flights for groups

Booking Flights for Groups: What You Need to Know

Group flights have become an increasingly popular option for travelers looking to explore the world together with friends, family members, or colleagues. These flights are specifically designed for groups of 10 or more, offering unique benefits such as discounted airfare and more.

These are beneficial for large groups such as family reunions, student trips, business retreats, and even sports events. In addition, they can also provide an enhanced, stress-free travel experience to group members.

If you’re living in the United States, you’ll find several major airlines offer services on booking flights for groups, with a dedicated team ready to help with flight bookings, itinerary planning, and special requests. Delta Air Lines, JetBlue, United, and American Airlines are among the carriers that extend their group travel options to reduce the complexities involved in coordinating group trips. These airlines often provide exclusive amenities and tailored services to ensure a comfortable, enjoyable journey for all participants.

Here’s a guide on booking flights for groups for those looking to embark on a shared travel adventure!

Cost savings

Flexibility, easy planning, who are best suited for group flights, use a travel agency, book in advance, prepare the group’s information, united airlines, american airlines, delta airlines, southwest airlines, special pricing and discounts, fare rules and deposits, name changes and flexibility, fees and charges, group contract and policies, getting a quote, group booking for flights: pros and cons.

Booking flights for groups

Group flights refer to a travel arrangement in which a group of individuals fly together on the same flight with a common destination. Typically, airlines consider a group as 10 or more passengers traveling together. These groups can include families, friends, corporate teams, or even event attendees who require similar flight itineraries.

Here are the main benefits of group booking for flights:

One of the primary benefits of group flights is the possibility of special pricing and flexible payment options. Depending on the airline, groups of 10 or more might be eligible for discounted fares as well as other considerations such as priority boarding or reserved seating.

For instance, American Airlines guarantees fare rates for groups of 10 or more, allowing booking up to 11 months in advance and making name changes up to 48 hours before departure. Southwest is known for offering impressive amenities to group travelers, including special discounts and versatile payment options.

Group flights also tend to have more flexible terms and conditions, which can be particularly beneficial for large groups such as business retreats, family reunions, or student trips. For instance, some airlines may allow you to hold seats without specifying the travelers’ names immediately, providing added convenience and flexibility.

Another advantage of group flights comes from the convenience factor. Organizing group travel can often involve coordinating multiple, complicated logistics. This can be streamlined by working with travel agents or specialized platforms that cater to group travel booking. These professionals can handle all the arrangements and ensure that everyone in the group arrives at their destination safely and on time.

  • Higher individual costs : It’s important to note that getting a group deal from an airline is not always the cheapest option — the airfare per flight on a group booking deal can sometimes be higher. Therefore, it’s advisable to compare prices before making a decision.
  • Limited flight options : Group bookings may limit your flight options as airlines often have specific flights designated for group travel.
  • Inflexibility: Changes in group bookings can be challenging. For example, if one person in the group cancels, it might affect the entire group’s booking or rate.
  • Payment complexity: Coordinating payments among a large group can be complicated and time-consuming.

Group flight booking

Booking flights for groups is an excellent choice for various occasions and situations. They offer numerous benefits ranging from better coordination to specialized deals and pricing.

In this section, we’ll explore the advantages of group flights especially for certain passenger groups:

  • Group Trips : Group flights present the perfect solution for group trips, such as family reunions, friends’ vacations, or organized tours. By booking flights together, everyone in the group can be accommodated on the same flight, reducing the risk of individuals being split across different flights. Furthermore, group flights provide a sense of companionship and enhance the overall travel experience.
  • Meetings : Business meetings, conferences, and corporate events can benefit from group flights, as they allow for coordinated travel. This ensures that all attendees arrive at the destination simultaneously for better time management and organization. Additionally, airlines such as United Airlines offer tailored pricing and services for groups of ten or more, which can result in savings for businesses.
  • Sports Teams : Group flights prove to be a cost-effective and convenient choice for sports teams. The team members can travel together, ensuring everyone’s schedule aligns, and the camaraderie amongst the team is maintained. Moreover, specialized group-based deals or discounts may be available, further reducing the costs of travel for team events and competitions.

Group flights offer numerous benefits to those who choose them. They allow for better coordination, potential cost savings, and strengthen the sense of unity and camaraderie among group members, making them an optimal choice for sports teams, meetings, and group trips.

Tips when booking group flights

When booking group flights, the easiest way is to call an airline directly. Airlines often have a specialized department that handles group bookings. However, dealing with this can be cumbersome, in which case you may opt to book thru a travel agency instead.

A travel agency can help you save a lot of time and money especially for large groups.

When planning group travel, it’s essential to book flights well in advance. Airlines often allow you to reserve group tickets up to 11 months prior to your desired travel date. This ensures that your group has access to the best possible fares and seat availability.

Take note that during peak travel periods, such as major holidays and popular vacation seasons, group flight availability may be limited. To increase the chance of securing seats and favorable fares for all group members, book flights as early as possible during these busy times.

Before booking for a group flight, prepare the group members’ information and documents in advance so you’re not scrambling during the process.

Once all group details are finalized and deposits have been paid, the airline will issue electronic tickets for each group member. Be sure to verify all passenger information, flight details, and travel itinerary before the ticketing deadline to avoid any last-minute surprises.

For international travels, each group member should individually ensure they meet the entry requirements for their destination, and it may be helpful to compile a list of necessary documents and vaccinations in advance to streamline the process for everyone.

The airline also prioritizes group accessibility to their many amenities, such as ample legroom and free in-flight entertainment, ensuring a comfortable and pleasant flight experience.

Additional considerations

Here are the things you should familiarize yourself with when doing group bookings for flights:

Airlines often offer special pricing and discounts for group bookings. Group pricing usually results in savings compared to individual ticket prices, allowing your group to travel more cost-effectively. Additionally, some airlines may provide additional perks, like upgrades or priority boarding, based on group size and travel needs.

When booking group flights, be sure to remain informed about the specific fare rules and deposit requirements. Each airline has its own policies and the minimum number of passengers required to qualify for group fares. In order to secure these fares, you may be asked to pay a deposit. This deposit can vary based on factors such as destination, group size, and other potential restrictions.

Group bookings often come with added flexibility in terms of name changes and cancellations. It’s not uncommon for airlines to offer at least one free name change per ticket, which can be particularly helpful in case any group members need to cancel or alter their travel plans. Be sure to familiarize yourself with the specific change fees and cancellation policies for the airline you’ve chosen.

It’s important to be aware of the fees and charges associated with booking group flights. These may include booking fees, taxes, or any additional charges for services like baggage, seat assignments, and in-flight amenities.

Make sure to review the terms and conditions while planning, and communicate any applicable charges to group members in advance, particularly if they are responsible for handling individual payments.

When booking group travel, a group contract may be provided by the airline, outlining specific terms and policies for your flights. This may include information on payment deadlines, reservation changes, or cancellation penalties. It’s crucial to carefully review the contract and its corresponding policies to ensure a seamless and trouble-free experience for the entire group.

To obtain an accurate quote for your group flight, consider utilizing the services of a dedicated travel agency like Golden Rule Travel that specializes in group airfare. Provide details such as travel dates, destinations, and desired number of tickets, and be sure to inquire about any potential group discounts or bulk rates.

Group flights have lots of benefits. We hope this article on group booking for flights helped you in deciding whether you should book individually or as a group for a trip.

booking group travel

When it comes to booking group flights, timing is everything. Airlines tend to offer discounted rates for groups, so booking early puts you in a prime position to benefit from these savings. Consequently, securing your flights sooner rather than later can bring significant cost advantages.

So, to make the most of these offers, book your flights around 3 to 6 months before your departure date. This increases your chances of securing lower fares and gives you a wider choice of flights and seating options.

2. Plan for Group Size

booking group travel

Before starting the booking process, it’s essential to understand your group’s size. Airlines have specific requirements for group bookings and often stipulate a minimum number of passengers. Knowing how many people will be travelling can help avoid delays and ensure a smoother booking experience.

In addition, you can confirm the number of passengers in your group before contacting airlines, which will help streamline the process and make it easier to find the best options available.

3. Consider Flexible Dates

booking group travel

Flexibility can be one of the best tips for booking group flights. Airlines often vary their pricing based on the day of the week and the time of year, so if you have some leeway with your travel dates, you could find significantly better rates.

A flexible date search tool can help you explore options and pinpoint the cheapest flying days. This approach helps reduce costs and ensures you get the most value.

4. Check for Group Discounts

booking group travel

Many airlines offer special discounts for groups, typically for bookings of 10 or more passengers. So, it’s worth contacting airlines directly to ask about group rates and any additional perks they might offer.

Airlines might provide accessible seats for group coordinators, extra baggage allowances, or complimentary upgrades. By enquiring about these discounts, you can often secure better rates and additional perks to make your group travel experience more affordable and comfortable.

5. Choose a Group Coordinator

booking group travel

Designating a group coordinator is also essential for booking group flights efficiently. Typically, a coordinator will act as the main point of contact with the airline, handle communications, collect payments from group members, and coordinate all the travel details.

Moreover, having a single individual responsible for these tasks helps avoid confusion and ensures that all arrangements are made smoothly. So, the group coordinator will also be the go-to person for any issues that arise, addressing problems and keeping everything on track.

6. Understand Payment Policies

booking group travel

Payment terms can be complex for group bookings. Airlines and travel agencies often have specific deadlines for deposits and final payments. Some might ask for an upfront deposit to lock in your reservation, with the remaining balance payable later.

Therefore, your group must know these terms to avoid any last-minute hiccups. Ensure you know the deadlines and amounts involved so no one is caught off guard.

7. Confirm Seat Assignments

booking group travel

One of the best tips for booking group flights for larger groups is to sort out seat assignments well in advance. While some airlines will automatically assign seats, others might let you choose them yourself.

If your group needs to sit together, request this when booking. It’s always a good idea to follow up and confirm that your seating arrangement is set as you want it.

8. Check Baggage Policies

booking group travel

Baggage policies can vary widely between airlines. So, ensure you’re clear on each passenger's baggage allowance and any extra fees that might apply for checked luggage. Knowing these details will help you avoid unexpected charges and ensure everyone is ready for their trip without any last-minute scrambles.

9. Prepare for Changes

booking group travel

Travel plans and flight schedules can sometimes change, so one tip for booking group flights is to be prepared for any possible alterations or delays. You can have a backup plan and keep the entire group updated on any changes to the itinerary to help you manage disruptions more smoothly.

10. Utilise Travel Insurance

booking group travel

Investing in travel insurance for your group is a smart move. It can cover unforeseen events, such as trip cancellations, medical emergencies, or lost luggage. So, ensure the insurance covers all group members to avoid problems and extra costs if something goes wrong.

11. Maintain Clear Communication

booking group travel

One of many tips for booking group flights is clear communication. Ensure that everyone is updated with all flight details, like departure times and airport information. Using a group chat or an email thread can be an effective way to keep everyone informed and address any questions or concerns that may arise.

12. Review Booking Details Carefully

booking group travel

Before finalising your booking, carefully examine all the details. Verify that names, travel dates, and other essential information are correct. Mistakes in these details can lead to complications and additional costs, so it’s important to double-check everything before confirming your booking.

Indeed, planning a trip with a bunch of mates or a big family can be daunting, especially when booking group flights. But don’t worry! 11 things first-timers get wrong on group tours, according to a travel expert

By Dilvin Yasa | 5 hours ago

Group tours aren't for everyone, but there's every chance that if you look hard enough you'll find what appears to be the ' perfect one'.

It very well could be - just don't book a thing until you iron out all the potential problem areas.

Because these common group tour mistakes can make or break your holiday .

Not budgeting adequately

It's all too easy to get carried away with a great price, but remember that group tours are rarely all-inclusive. In most cases, accommodation as well as some meals and entrance fees will be included, but you'll need to pay for plenty of lunches, dinners, attractions and additional excursions. Be sure to read the itinerary carefully before you book and add up all the exclusions until you arrive at your 'real figure'.

Assuming destinations are close to one another

Don't bet on a hop, skip and jump between cities; many tours can involve long drives - sometimes six to eight hours long. If the itinerary doesn't list distances or time between destinations, hit up Google Maps to get an idea of how long you're expected to be in transit during each leg of the tour.

Assuming you'll have plenty of free time

Just as there are group tours for cyclists, gourmands and families with teens, there are tours that are both activity-heavy, and those that are flexible with plenty of free time. Come across an itinerary you're interested in? Take a look to see if a competitor has something similar and check the amount of free time given to participants in each before deciding which one feels like a more natural fit for you.

Assuming you'll have your own room

If you're travelling solo, you'll often have the option of paying a single supplement to nab your own room. If you opt out, however, you'll be matched up with another group participant of the same gender and be forced to share a room for the duration of the tour.  Proceed with caution.

Not checking comfort levels

Some people are comfortable rolling out a swag or staying in a simple pension while others would sooner eat glass. Before you book a tour, ask yourself what your minimum comfort requirement is as tours are created - and priced - around these models. Intrepid Travel, for example, offers travel styles which range from Basix and Original,to Comfort and Premium.

Disregarding the weather

An email has come through from the tour operator indicating a massive drop in price. If the deal suddenly seems too good to be true,  check what's happening in that particular destination (smartraveller.gov.au is an excellent first step) and also what the weather will be like at that time of year. Tours which fall in the middle of monsoon season, for example, will be priced lower than those departing in perfect conditions.

Forgetting to check reviews

The copy sounds lovely and the photos look great, but what do past guests have to say about the tour? Although reviews are usually found on each operator's site, be sure to also check TripAdvisor and Google Reviews also. This is the best way to get a sense of what worked and what didn't.

View from rear of vehicle as young man stands at entrance to charter bus and shares travel details with vacationers.

Assuming you're on a small group tour with like-minded people

Fun fact: some tours will have an average of eight to 12 people, while others will have 24, 48 or more. Obviously the size of your group will impact your experience, but so too will the demographic of your fellow travellers. If you're unsure who the target audience of the tour company is, give them a call to ask and remember that many tour operators run specific tours tailored to particular age groups.

Arriving on the day the tour starts

Hey, it's not like you've got endless annual leave days up your sleeve, so why arrive earlier than you should? The last thing you want is to miss a connecting flight or hit any other sort of delay that could see you miss the first or two of the tour you've paid for. Aim to arrive the day before at the very latest and give yourself a little extra free time at the tail end as well - just in case.

Forgetting your hosts

You wouldn't dream of turning up to a friend's house for dinner without a bottle of wine or a box of chocolates, to say thank you, so why do it on holiday? If your particular tour includes an experience where you're having dinner in someone's home (for example), be sure to pack a small gift you can take along. Something with a unique Australian flavour, such as a packet of TimTams, is always received with gratitude.

Forgetting to get cash out

You do not want to be the person scrambling to collect change from everyone else on the bus every time you come across a street vendor with a solid range of souvenirs or snack foods. Make sure you have local currency on you at all times and you're good to go.

Newfoundland Adventure: Eastbound

8 days | uncover historic seaside villages and a glacier-carved fjord in newfoundland.

Cape Bonavista Lightstation, Newfoundland, Canada

It's time to explore North America’s most north-easterly point, where the dramatic coastline, mighty fjords and wonderful wildlife will take your breath away. With a knowledgeable leader to guide the way, on this eight-day adventure you’ll experience a landscape that has been shaped by the elements over thousands of years, meet with locals and stop into historic towns surrounded by the splendour of Newfoundland’s famous scenery. Watch huge icebergs bob past the town known as “The Iceberg Capital of the World” in the spring, go whale watching, and spot puffins at one of North America’s best viewing sites.

Trip overview

  • Meet locals on a historic walking tour of Trinity and hear about how Gander welcomed thousands of stranded travelers during 9/11.
  • Marvel at Western Brook Pond, the spectacular glacier-carved landlocked fjord in Gros Morne National Park during a scenic boat tour that gets you closer to nature.
  • Take a boat tour through pristine waters surrounding Twillingate, keeping an eye out for whales, seabirds and more.
  • Watch puffins at Elliston’s renowned viewing site which offers one of the closest land views of these birds in North America.
  • Admire spectacular coastal scenery and head out to historic lighthouses that mark the easternmost point of Canada.
  • Some of the best scenery in Newfoundland is found on hikes. So, while this trip doesn't require a high level of fitness, it’s essential to be at least moderately fit if you want to partake in all activities.
  • This itinerary also runs in reverse, from St. John's to Deer Lake: https://www.intrepidtravel.com/canada/newfoundland-adventure-144885

View the itinerary for departures between 01 January 2023 - 31 December 2024

Welcome to Newfoundland! Today is free for you to get settled into your surroundings before your adventure gets underway tomorrow. Depending on the weather you might like to go for a canoe or kayak on Deer Lake itself, fans of the creepy crawlies might like to visit the Newfoundland Insectarium or there are plenty of hiking trails around the town if you’d like to stretch your legs. For dinner, why not check out one of the town’s craft breweries?

  • Hotel (1 night)

There are no meals included on this day.

Your welcome meeting will take place at 8 am on the morning of Day 2 in the hotel lobby.

Officially kick off your adventure in Deer Lake with a welcome meeting at 8 am where you'll meet your local leader and fellow travellers. After the meeting, you’ll take a scenic drive to Gros Morne National Park to walk around the historic Lobster Cove Lighthouse and enjoy the view of the rolling waves and rocky beaches far below. While at the national park you’ll also get to do something pretty extraordinary – walk on the Earth’s mantle at the Tablelands. The orange landscape sits in stark contrast to the surrounding greens and blues, and there are plenty of unique plants in the area to make note of too. Arrive in Rocky Harbour in the afternoon, and then you might like to join your group for dinner.

  • Cabin (1 night)
  • Rocky Harbour - Lobster Cove Lighthouse visit
  • Gros Morne National Park-Tableland trail

It’s very important that you attend the welcome meeting as we will be collecting insurance details and next of kin information at this time. If you are going to be late please let your travel agent or hotel reception know. Ask reception or look for a note in the lobby for more information on where the meeting will take place.

Your travel time today will be approximately 1 hour.

After breakfast, start the day with stops at Norris Point and Green Point, then stroll along the Western Brook Pond Trail and take in the view as you enjoy a picnic lunch before boarding the Western Brook Pond Boat Tour. Don’t forget your camera as you’ll want to capture the dramatic waterfalls, towering cliffs and abundant wildlife that can be found in this glacier-carved land-locked fjord. This afternoon there is time to freshen up before the group comes together again for an optional dinner.

  • Gros Morne NP - Western Brook Pond Boat Tour

Your walking distance today will be approximately 5.4 kms (3.3 miles) with 35 metres (364 feet) of elevation. The boat tour can only be accessed via the hiking path.

An early start today will see you enjoying the scenic drive from Rocky Harbour to Twillingate, with a stop at Deer Lake along the way for those who want to buy lunch. After lunch, we’ll arrive and check into our hotel before a late afternoon boat tour where we will spot whales and seabirds. In the spring, you might get to see icebergs floating down the stretch of water known as Iceberg Alley. Afterward, head back to your hotel and take it easy or explore Twillingate which is known as “The Iceberg Capital of the World".

  • Inn (1 night)
  • Twillingate - Seabird & Whale watching boat tour

Your travel time today will be approximately 5 hours.

Due to the small number of rooms in Bed & Breakfast style accommodations, the group may be split and accommodated in two nearby Bed & Breakfasts.

Start the day with a visit to the Beothuk Interpretation Centre, which tells the history of the Beothuk people who used to live on Newfoundland. Then, head to the town of Gander. Here, you’ll meet with a local to learn about the role the unassuming town played in one of North America’s most significant events. Due to the closure of North American airspace on 9/11, around 6600 people were diverted to Gander – increasing the town’s population by 70% in a matter of hours. You’ll hear about what went into hosting those numbers, as well as the lasting impact it's had on the town. After lunch at a local restaurant, continue to Trinity where you’ll join a local guide for a walking tour. You then might like to hike up Gun Hill for a bird’s eye view of the town, or perhaps join your travel buddies for a dinner at a local restaurant.

  • Bed & Breakfast (1 night)
  • Trinity - Walking tour with a local guide
  • Gander - Chat with a local
  • Boyd's Cove - Beothuk Interpretation Centre

Your travel time today will be approximately 4.5 hours.

This morning it’s time to spot puffins at Elliston’s renowned viewing site which offers one of the closest land views of puffins in North America. See if you can also spot the Puffin King, a rock formation which looks like a puffin sitting on a throne. Savor a picnic lunch before driving 20 minutes north to visit the historic Cape Bonavista Lighthouse which is one of the most photographed places in Newfoundland. Climb the stairs to the top of the tower and see the seal oil-fuelled light that was used in the 1800s.

  • Bonavista - Lighthouse visit
  • Elliston - Puffin viewing

This morning, enjoy the scenic drive from Trinity to St John’s. Stop to take in the views at Cape Spear Lighthouse and perhaps make it to Canada's easternmost point, then continue to St John’s. There'll be time for lunch before you join back up with your group for a leader-led walking tour of the town, including the iconic colourful houses on ‘Jellybean Row’. After a free afternoon, there’ll be a farewell dinner to mark the end of your adventure. Sample Jigg’s dinner pie, a classic Newfoundland dish, then head to a local pub for a traditional “screech-in” ceremony that involves a shot of screech (rum) and kissing a cod. It’s more fun than you might think!

  • St. John’s – Leader led walking tour
  • St John’s – Cape Spear Lighthouse
  • St John’s – Local dinner

Your travel time today will be approximately 3 hours.

After breakfast, your Newfoundland adventure comes to an end. You might choose to do a little more exploring around St John’s before making your way to the airport.
