How To Board A Cruise Ship?

How To Board A Cruise Ship

Boarding your cruise ship will be the most important step of your cruising holiday! Check out this article below to find out how.

On Arrival At The Cruise Terminal

The arrival and check-in process for a cruise ship can be chaotic, but it’s usually organized. Your cruise line will let you know when to arrive at the port, usually from late morning to mid- afternoon.

It’s possible to show up at any time. Usually the busiest time for boarding is between noon and 2 p.m., so we recommend arriving just before or after that window.

If the passengers from the previous cruise are still disembarking, you’ll have to wait around. You also shouldn’t cut it too close; understand that if you arrive after check-in has ended, even by just a few minutes, you likely will not be allowed to board.

You should be aware that if you arrive after check-in has ended, you won’t be allowed to board the ship.

When you arrive at the cruise terminal, the first thing to do is locate your boarding documents . If you don’t already have them with you, make sure they’re ready ahead of time.

Once you’ve located these items, head over to the embarkation desk where you’ll need to present yourself in person. The staff there will ask you some questions about who you are and what type of cabin you want on the ship. They may also take down information such as your passport number and contact details.

Once all of this paperwork is taken care of, you’ll receive an electronic ticket which allows you access to the ship. This means you no longer need to carry paper tickets.

Security Clearance Before You Board The Cruise Ship

Your final task is to go through security screening. Cruise ships use metal detectors to screen guests entering their premises. These devices look for weapons, explosives, drugs, and other contraband.

They scan each passenger individually, so everyone must pass through the machine. It takes only seconds to complete, but it does mean you might get delayed while waiting for others to clear customs.

After passing through security, you’ll be given instructions regarding where to meet your crew members. Crew members are responsible for helping you settle into your stateroom once onboard.

How Do I Get On The Cruise Ship

Once you have checked in and have your cruise card , you’ll be escorted off the pier onto the boat. Once aboard, you’ll be shown to your room by the onboard crew members, either using the elevators and staircases.

Most cruises offer several different types of cabins: inside, balcony, suite, mini-suite, and ocean view. Each one offers its own set of benefits and drawbacks. You would have selected the type of cabin when you booked the cruise with your cruise line or Travel Agent.

Inside cabins are typically smaller than suites, but they come equipped with more amenities like televisions, refrigerators, microwaves, and coffee makers.

Will I Have To Carry The Suitcases When I Board The Cruise Ship?

When you board the cruise ship you will not have to carry any luggage. Your bags will be delivered directly to your room upon arrival. However, you can choose to bring along personal belongings such as clothing, toiletries, etc., depending on how long you plan to stay onboard.

Will My Cabin Be Ready When I Board The Cruise Ship?

Your cabin may not be ready when you board In fact, most people find that their rooms aren’t fully furnished until around two hours before departure.

Wait For The Announcement For When Cabins Are Ready

Dropping off your stuff and putting valuables in a safe feels great. If you packed your swimsuit or gym clothing, you can go swim for rest of the afternoon. The cabin steward can introduce you to their services and give you a tour of your cabin. After you’ve boarded, your luggage will be on it’s way. You can either place it in your room or outside. It’s a good idea to unpack before the muster drill.

Frequently Asked Questions

What deck do you enter a cruise ship on.

You enter a cruise ship from the main deck level. Most cruise lines allow passengers to walk up and down stairs between decks during embarkation. Some cruise lines also provide special areas called “stairways” where passengers can wait for boarding without having to climb stairs. Stairs are usually located near the front entrance of the vessel.

The first time you step foot on a cruise ship, you’re going to feel overwhelmed at all the new things you see. Don’t worry! We’ve got some tips to help make sure everything goes smoothly.

Does It Get Crowded When You Embark On A Cruise Ship?

Yes, there is always a crowd waiting to get on board. This is normal and expected. There are many reasons why this happens. First, you need to remember that these ships were built specifically for cruising. They are designed to accommodate large numbers of guests comfortably. Second, most cruise lines require reservations for specific dates and times. Third, if you book early enough, you might even score an upgrade. Fourth, sometimes cruise lines add extra capacity to accommodate last minute cancellations. Fifth, some cruise lines hold back certain sailings so they don’t overcrowd their vessels. Finally, some cruise lines only sell tickets online because they want to avoid crowds.

Due to the recent pandemic, people will now be given dedicated times to board the cruise ship to stagger everyone boarding.

Do I Have To Show Identity When I Board The Cruise Ship?

Children ages 5-17 must present proof of parental consent. Passengers age 17 and older must produce valid photo identification.

Do I Need Travel Insurance To Board A Cruise Ship?

No, travel insurance isn’t required to board a cruise ship. However, we recommend purchasing trip cancellation/interruption coverage while booking your vacation package. Trip interruption coverage protects against unexpected events like illness, injury, natural disasters, terrorism, war, riots, civil unrest, strikes, weather conditions, acts of God, government restrictions, political instability, labor disputes, accidents, fires, theft, loss of property, quarantine, detention by immigration authorities, and other similar occurrences.

Trip cancellation coverage provides compensation for missed itineraries due to unforeseen circumstances beyond our control.

Edit: Due to the recent pandemic, travel insurance is now required for most cruise lines to cover repatriation costs if needed.

When Is The Best Time To Board A Cruise Ship?

The best time to board a cruise ship depends on what type of cruise line you choose. If you have booked a private cabin or suite with balcony, then it’s probably better to arrive when the ship docks in port rather than before. Otherwise, arriving as close to departure as possible may work out well. For example, if you plan to depart from Miami, Florida, USA, then you should try to arrive around noon to ensure you catch the ship right after lunch.

What Documents Do You Need To Board A Cruise Ship

You’ll need to bring along all documents listed below. These include passports, visa requirements, health certificates, immunization records, etc. Some cruises also ask passengers to provide additional documentation such as birth certificate, marriage license, divorce decree, court order, adoption papers, medical history, military discharge papers, police record, social security card, driver’s license, passport photos, etc.

Passport – Required for international travelers.

Visa – Required for foreign nationals traveling outside of North America.

Immunizations – Recommended but not mandatory for those who are healthy.

Health Certificate – Must be provided within 72 hours prior to sailing.

Medical History Form – This form can help determine whether someone has any pre-existing conditions that could affect his or her ability to safely participate in activities onboard the vessel. It includes questions about previous illnesses, surgeries, hospital stays, medications taken, allergies, pregnancy status, family members’ medical histories, current vaccinations, blood types, etc.

Marriage License – Only necessary if you’re getting married during the voyage.

Divorce Decree – Only necessary if you’ve been divorced recently.

Court Order – Only necessary if you were convicted of a crime.

Adoption Papers – Only necessary if you adopted a child recently.

Military Discharge Paper – Only necessary if you served in the armed forces.

Police Record – Only necessary if you had an arrest warrant issued against you.

Social Security Card – Only necessary if you don’t already have one.

Driver’s License – Only necessary if there was a reason why you didn’t receive a US Passport.

Birth Certificate – Only necessary if you haven’t received a new passport yet.

Photo ID – Bring photo identification showing name, date of birth, address, and signature.

Photocopy of your passport – Photocopies aren’t accepted by some ports so make sure you get copies made at home.

What Are The Requirements For Boarding A Cruise Ship?

If you want to travel aboard a luxury liner like Royal Caribbean International, Celebrity Cruises, Norwegian Cruise Line or Holland American Line, then you will likely find yourself having to meet certain criteria. In most cases, these rules apply only to first time guests. However, they might change depending on what type of cruise line you choose. Here is a list of things you must know:

The minimum age requirement varies between different lines. If you’re under 18 years old, then you won’t qualify for many cruises unless you have parental consent. On RCI ships, children ages 5 through 12 require special permission from their parents. Children younger than 4 cannot join HAL ships. NCL requires that kids be 6 years old or older.

Children Under 2 Years Old Can Be Brought Onboard With Their Parents

On all major cruise lines, babies up to two years old can come along with their parents as long as both adults hold tickets. You’ll need to provide proof of insurance coverage for them. They also need to stay below deck until it’s time to disembark. Babysitting services may be available onboard.

Carry Your Own Documents

You should bring your own documents when boarding a cruise ship because you won’t always be able to access the ones you carry. Make sure you keep photocopies of everything important including passports, visas, marriage licenses, divorce decrees, criminal records, health certificates, immunization forms, etc.

Bring Cash And Credit Cards

Cash and credit cards are not allowed onboard any cruise ship. This includes debit cards too. It’s best to use cash instead since you can exchange money at the port where you arrive. Also, you could lose your wallet while traveling.

Can You Board A Cruise Ship With A Cold?

You can board a cruise ship with a cold but you shouldn’t expect much help from crew members. Most people who work on cruise ships are just doing their job. Some staff members might even refuse to serve you food or drinks. But this doesn’t mean you can’t enjoy your vacation! Just remember to take care of yourself during your trip. Take plenty of rest days and drink lots of water. Don’t forget to eat healthy meals every day.

Avoid alcohol and caffeine which can dehydrate you further. Try to avoid crowds whenever possible. Stay away from places where germs spread easily such as public restrooms, elevators, shopping malls, restaurants, bars, casinos, movie theaters, etc. Keep your hands clean and wash frequently. Use hand sanitizer before touching anything.

What Is Security Like When You Board A Cruise Ship?

Security measures vary by company. For example, Royal Caribbean has an extensive security system in place. Passengers enter through one checkpoint and leave through another. The same goes for Carnival Corporation. Other companies like P&O Cruises don’t seem to have any kind of security whatsoever. So if you want peace of mind, make sure you check out each individual cruise line’s website beforehand.

Do I Need A Boarding Pass For A Cruise Ship?

If you’re worried about safety aboard a cruise ship, there is no reason to worry. There are strict rules regarding what passengers can and can’t wear. Crew members will inspect luggage thoroughly before allowing anyone into the cabin. If they find something suspicious, they will confiscate it immediately. In addition, some cruise lines offer free baggage storage facilities so you don’t have to lug around heavy suitcases.

What Documents Do I Need To Cruise On Carnival?

When planning a cruise on Carnival, it is important to ensure that you have all the necessary documents to make your trip as smooth as possible. These documents will vary depending on your destination, age, and citizenship status.

For U.S. citizens, a valid passport is the most important document needed for a Carnival cruise. It is recommended that your passport is valid for at least six months beyond the end of your cruise.

However, if you are taking a closed-loop cruise (starting and ending in the same U.S. port), you may be able to use a government-issued ID and an original birth certificate instead of a passport.

Non-U.S. citizens will need to bring their passport and any necessary visas or other travel documents.

It is important to check with your embassy or consulate to ensure that you have all the necessary paperwork for your specific situation.

Additionally, minors traveling without both parents will need to bring a notarized letter of consent from the absent parent(s) or legal guardians.

Passports and Visas

Passport Card with stamps

One of the most important things you need to consider before taking a cruise on Carnival is the documentation required for travel. Here’s what you need to know about passports and visas:

Passport Requirements

All passengers, including children, must have a valid passport to travel on a Carnival cruise. The passport must be valid for at least six months after the end of the cruise. Passports must be in good condition and not damaged in any way, or they may not be accepted.

If you do not have a passport, you can still travel on a closed-loop cruise (a cruise that begins and ends in the same U.S. port) with a government-issued photo ID and a certified copy of your actual birth certificate. However, it is highly recommended that you obtain a passport for international travel, as it is the most widely accepted form of identification.

Visa Requirements

Visa requirements vary depending on the countries you will be visiting on your Carnival cruise. Some countries may require a visa for entry, while others may not. It is your responsibility to research the visa requirements for each country you will be visiting and obtain the necessary visas before your cruise.

Carnival may provide assistance with obtaining visas for certain countries, but it is ultimately your responsibility to ensure that you have all the necessary documentation for travel.

Proof of Citizenship

Carnival requires all passengers to provide proof of citizenship before boarding the ship. This is to ensure compliance with international travel regulations and to prevent any issues that may arise during the cruise.

For US citizens, the following documents are acceptable as proof of citizenship:

  • Original or certified copy of a government issued birth certificate
  • Consular Report of Birth Abroad
  • Naturalization Certificate
  • Passport (valid or expired)

It’s important to note that photocopies of these documents are not acceptable. Passengers must bring the original or a certified copy of the document.

For non-US citizens, a passport and visa (if required) are necessary to board the ship. Passengers should check with their country’s embassy or consulate to determine if a visa is needed for the countries they will be visiting during the cruise.

It’s recommended that passengers bring multiple copies of their proof of citizenship documents, as they may be required to present them multiple times throughout the cruise.

Identification

Image of passport, social security card, and drivers license

When cruising on Carnival, it is important to bring the appropriate identification documents. This section will cover the accepted forms of identification, the name on the reservation, and the importance of having proper identification.

Accepted Forms of Identification

Carnival requires that all guests have a valid government-issued photo ID. This can be a passport, driver’s license, state ID, or military ID. For international itineraries, a passport is required. It is important to note that some itineraries may require additional documentation, such as a visa or proof of vaccination.

Guests under the age of 16 may use a birth certificate or other proof of citizenship in place of a photo ID. However, it is recommended that all guests have a photo ID for ease of travel.

Name On Reservation and Identification

It is important that the name on the reservation matches the name on the guest’s identification documents. If the names do not match, the guest may be denied boarding. It is also important to ensure that the identification documents are not expired and are in good condition.

If a guest has recently changed their name due to marriage or other reasons, they should bring legal documentation, such as a marriage certificate or court order, to prove the name change.

Having proper identification not only ensures that the guest will be able to board the ship, but it also helps with re-entry into the United States or other countries. It is recommended that guests keep their identification documents in a safe and secure location while on board.

Carnival Cruise Line welcomes guests of all ages, including minors. However, there are specific requirements and documents that minors need to have to cruise on Carnival.

Traveling with Minors

If a minor is traveling with their parent or legal guardian, the parent or legal guardian must provide the following documents:

  • Proof of citizenship, such as a birth certificate or valid passport
  • Photo identification, such as a driver’s license or valid passport
  • Any necessary visas or travel documents for the destination

If the minor is traveling with only one parent or legal guardian, the parent or legal guardian must provide a notarized letter from the absent parent or legal guardian stating that the minor has permission to travel. The letter should include the name of the absent parent or legal guardian, their relationship to the minor, and the dates of the trip.

Unaccompanied Minors

If a minor is traveling without their parent or legal guardian, they are considered an unaccompanied minor. Carnival requires additional documentation and fees for unaccompanied minors.

The parent or legal guardian must provide the following documents:

  • A notarized letter stating that the minor has permission to travel

In addition to the above documents, the parent or legal guardian must complete the Unaccompanied Minor Authorization Form and pay the applicable fees. The form must include the name and contact information of the person who will be meeting the minor at the destination port.

It is important to note that Carnival does not provide supervision for unaccompanied minors. The minor must be able to navigate the ship and follow all safety procedures on their own.

What Do I Need To Cruise If I Don’t Have A Passport?

Immigration Stamp

If you don’t have a valid passport and you plan to cruise, you can still take a vacation, but you will need to make sure you have the proper identification and travel documents before you embark.

The requirements vary depending on your itinerary and the ports of call, but here are some general guidelines:

  • Birth Certificate and Government-issued Photo ID: If you are a US citizen and you are taking a closed-loop cruise (meaning your itinerary starts and ends at the same US port), you can use your government-issued photo ID (such as a driver’s license) and an original or certified copy of your birth certificate as proof of citizenship.
  • Trusted Traveler Program: If you are a member of a trusted traveler program such as Global Entry, NEXUS, or SENTRI, you can use your membership card as proof of identity and citizenship.
  • Enhanced Driver’s License: If you live in a state that offers enhanced driver’s licenses, you can use this as an alternative to a passport for land and sea travel to certain destinations, such as Canada, Mexico, and the Caribbean.
  • Visa: Depending on your destination, you may need to obtain a visa even if you don’t have a valid passport. Check with the embassy or consulate of the country you plan to visit for more information.

It’s important to note that while these alternatives to a passport may be acceptable for certain itineraries, having a valid passport is still the best option for international travel.

A valid passport is a globally recognized form of identification that makes it easier to enter and exit countries, and it’s required for all air travel outside the US.

Does My Birth Certificate Have To Be Notarized Or Certified To Cruise?

All documents presented must be either the original or a notarized copy. It’s not acceptable to bring photocopies or scanned copies of your identification documents.

This is because the cruise line needs to verify the authenticity of your identification and citizenship before allowing you to board the ship.

If you plan on using your driver’s license and birth certificate as proof of identity and citizenship, it’s crucial that both documents match the name on your reservation.

This means that if your name has changed due to marriage or other reasons, you will need to bring along legal documentation such as a marriage certificate or court order to prove the name change.

Failure to comply with these requirements may result in delay or even possible denial of boarding.

Summary: What Documents Do I Need To Cruise On Carnival?

Traveling on a Carnival cruise ship can be a fun and exciting experience, but it’s important to make sure you have all the necessary documents before you embark on your journey.

The specific documents required may vary depending on your destination and other factors, so it’s always a good idea to check with Carnival or your travel agent before you set sail.

Some of the most common documents you’ll need include a valid passport or other acceptable proof of citizenship, a government-issued ID, and any necessary visas or travel permits.

It’s also important to make sure your documents are up to date and won’t expire before your trip is over.

By taking the time to gather all the necessary documents and double-checking everything before you leave, you can help ensure a smooth and stress-free vacation on a Carnival cruise ship.

Travel Requirements

Notice: travel requirements for cruise and stay vacation packages have changed effective june 30, 2024. please read the section, "for u.s. citizens traveling on cruise and stay vacations in the bahamas" very carefully., travel documentation requirements.

The proper travel documentation is required at embarkation (and throughout the cruise) and is the sole responsibility of the guest. Any guest traveling without proper documentation will be denied boarding and will not be offered a refund or a replacement cruise . It is your responsibility to check with your travel agent, government agency, embassy or consulate to ensure that you have all the proper documentation to board the ship. We assume no responsibility for advising guests of Immigration requirements.

Photocopies or pictures of documents will not be accepted.

NO REFUNDS WILL BE GIVEN TO ANYONE WHO FAILS TO BRING PROPER TRAVEL DOCUMENTATION

We strongly recommend that all guests travel with a passport as their form of ID, and for some guests a passport is required. The passport must be valid for 6 months after the day your cruise ends. The name on your passport should match the name on your cruise reservation and if it does not, please see below “What if the name on my identification doesn’t match the name on my reservation” below.

While some other forms of ID may be accepted for your cruise, a passport is the very best option because:

  • If you unexpectedly need to depart the ship from a foreign port prior to the end of sailing, a passport would be required to travel internationally by air.
  • International ports of call can change their travel requirements at their sole discretion and may unexpectedly require all guests to have a valid passport to go ashore.
  • Disembarking the ship is easier and faster for guests carrying passports as their travel identification.

YOU NEVER KNOW WHEN THE UNEXPECTED MIGHT HAPPEN – LIKE LEAVING THE SHIP FOR A MEDICAL EMERGENCY – AND IT'S ALWAYS BEST TO BE PREPARED!

Accepted travel identification for u.s. citizens.

  • A U.S. Passport book that is valid for at least six (6) months after your cruise ends .
  • A valid passport card
  • An official US state or territory issued certified Birth Certificate. (Baptismal paper and hospital certificates of birth are not acceptable). Guests ages 16 and older that present an official US state-issued Birth Certificate will also need to provide a valid Driver’s License or picture ID issued by the government. A U.S. citizen under the age of 16 does not require a government-issued photo ID, but must present either an original, notarized or certified copy of his/her birth certificate.
  • Birth Certificates from the following US territories are acceptable – Guam, US Virgin Islands, and Puerto Rico (Puerto Rico birth certificates issued after July 1, 2010 only).
  • Original certificate of U.S. naturalization
  • Original certificate of U.S. citizenship (Voter registration cards or Social Security are NOT considered proof of citizenship)
  • U.S. Consular report of your birth abroad
  • Enhanced Driver's License

TRAVELING WITH CHILDREN

Children ages 16 and over must carry a government-issued photo ID such as a state ID or provincial driver’s license in addition to an original, notarized or certified copy of birth certificate as outlined above.

Children 15 and under must have an original or copy of their original, notarized or certified U.S. birth certificate (issued by the Vital Records Department of the birth State), an original or official replacement Consular Report of Birth Abroad issued by the Department of State, or original Naturalization Certificate issued by U.S. Citizenship and Immigration Services.

Newborns whose official U.S. birth certificate is not yet received can travel using the hospital-issued birth certification.

When traveling with a minor where one parent or both parents or legal guardians are not cruising, we strongly recommend bringing an original signed letter or Minor Consent Form from the absent parent(s) or legal guardians authorizing the minor to travel with you. The minor consent form can be found here.

If there is no second parent with legal claims to the minor (due to sole custody, deceased, etc.) other relevant paperwork, such as a court decision, death certificate, birth certificate naming only one parent, would be useful to bring in place of a signed letter. This will expedite processing by United States Customs and Border Protection.

Accepted Identification For U.S. Permanent Residents And Non-U.S. Citizens

United States Permanent Residents must have a valid and unexpired United States Permanent Resident Card (Green Card) with a valid government-issued photo ID or a valid passport from their country of citizenship. Additionally, a passport from your home country is strongly recommended.

Non-US Citizens will require a passport book valid for at least six (6) months after your cruise ends and the necessary visa for entry into the United States. If you are from an country participating in the Visa Waiver Program, you may be eligible for a visa waiver where citizens or nationals of participating countries are allowed to travel to the U.S. without obtaining a visa.  Eligible Non-US citizens must have valid Electronic System for Travel Authorization (ESTA) approval prior to travel and meet all requirements.  Please check with www.travel.state.gov for more details.

Documents That Are NOT Acceptable To Board Your Cruise

For re-entry to the U.S., Customs and Border Protection does not accept hospital Birth Certificates (baby feet Birth Certificates), and photocopies or images of any required travel documents are not accepted for boarding or re-entry into the U.S. Likewise, voter registration cards or Social Security cards are not considered proof of citizenship.

NO REFUNDS WILL BE GIVEN TO INDIVIDUALS WHO FAIL TO BRING PROPER DOCUMENTATION.

What if the name on my identification doesn’t match the name on my reservation?

It is important that your full name (first name, middle name, if applicable, and last name) on your reservation exactly matches your travel documentation (passport, birth certificate, etc.) or your boarding or disembarkation could be delayed or you could be denied boarding.

In the event that your name differs between the reservation and the travel documentation (e.g. due to marriage, divorce, legal name change, etc.), you must provide legal documentation supporting this change at check-in/embarkation. Examples of acceptable documentation include marriage license, divorce degree or legal name change court document. All supporting documents must be the original or a notarized copy (photocopies, photographs or reproductions are not accepted).

TRAVEL DOCUMENT PLANNING

Plan ahead to get your passport(s) and passport card(s) early. United States citizens should visit the U.S. State Department's travel website or call the U.S. National Passport Information Center at (877) 4USA-PPT (487-2778) for more information about how much time it will take to obtain a passport book or passport card and how to obtain these documents.

Can a cruise ship leave without you?

Fran Golden

Let me tell you about the cruise passenger phenomenon of "pier runners." These are folks who are in a port, enjoying the beach, off shopping or otherwise engaged — popular watering holes such as Margaritaville and Senor Frogs are often involved — and lose track of time. If they're lucky and realize they're late, they frantically run back to their ship before it heads to the next port. If they aren't lucky, the gangway is already up, and the cruise ship leaves without them.

These sad sacks make for great drama on social media. Search "pier runners," and you'll get the drift.

You don't want to join their lot. A cruise ship can leave without you — and if that happens, it will cost you a bundle. Here are ways to avoid being left behind and what to do if you are.

For cruise news, reviews and tips, sign up for TPG's cruise newsletter .

How to ensure your ship doesn't leave you

Set your watch to ship time.

Lesson one: Read your daily newsletter (delivered to your cabin or detailed on your cruise line's app), and understand any nuances regarding ship time versus what time it is on shore. When you leave your ship at a port of call, make sure your watch or smartphone is set to ship time.

Know when 'all aboard' is

Your ship will set an "all aboard" time, when everyone is expected to be back on board. This is different from the sail-away time, which is usually about half an hour later. It is, however, when the crew starts to pull in the gangways, preventing stragglers from boarding the ship.

That does not mean you should show up at your ship precisely at the all-aboard time. Smart cruisers aim to be back at least an hour before the set time, just in case they encounter traffic delays or any other issues returning to the pier. (If you wander far, add in extra time.)

Related: 6 ways you can ruin your cruise in an instant

The time that you will be expected to be back on board will be posted in the daily schedule, along with a phone number to call in case of an emergency. It's a good idea to snap a photo of that information. The cruise director also will make announcements — and a sign will be posted as you disembark the ship — noting the "all aboard" time.

Since it's easy to space out on the beach or get caught up in bargaining for a treasured souvenir, you are best off setting an alarm on your phone to alert you that it's time to head back to the ship. Keep in mind that there is no glory in being the last person back on board.

Book a ship-sponsored shore excursion

documents needed to board cruise ship

If you are exploring on a ship-sponsored shore excursion and it's running late, don't worry. If you purchase a tour through the cruise line, you are guaranteed that the ship will wait if the tour bus is not back by the all-aboard time.

It's a matter of numbers. The ship does not want to leave dozens of passengers stranded in port, through no fault of their own, and have to pay to get them to the next port of call.

Related: Avoid these 10 mistakes when booking cruise shore excursions

Plan for independent tours to end early

If you book a tour through an independent tour company, you don't have the same guarantee that the ship will wait. That said, established tour operators know ship times and are generally careful to get you back early. Again, if a bunch of other passengers also booked the same tour, you can worry less about the ship being there when you get back to the pier.

Some operators guarantee that you will arrive at the ship on time or they will pay for you to get to the next port of call. When making reservations with an independent operator, it's a good idea to look for such guarantees and read customer comments online. Consider any comments about rushing back to the ship as red flags.

If you're arranging a customized private tour, make sure you communicate to your guide that you need to be back at the pier well before all-aboard time. That buffer time will serve you well if you run into unexpected delays.

The same consideration applies if you snag a last-minute tour deal at the pier. When you disembark your ship at a port of call, you might be barraged with offers from independent guides, taxi drivers, jitney drivers, rickshaw operators and others offering to show you the town and beyond. Before agreeing to a tour, make sure you understand how far you are going from the pier, and make sure your guide understands "ship time" and what time you want to be back.

What to do if you miss your ship (or think you might)

If you're late, alert the ship.

documents needed to board cruise ship

Every time you board or leave the ship, you'll scan your keycard or RFID device at the gangway. That's so the security crew knows who is on or off the ship. On really small ships, there might be a manual peg board instead, where you move the peg to red to indicate you are off and green to show that you are on board.

As the all-aboard time nears, the ship's security staff will monitor who has yet to return to the ship.

If you know you're running late, call the number you recorded from your newsletter or the cruise line's 24/7 number and ask to send a message to the ship. That way, someone will know you're on your way back.

Related: What happens if you miss your cruise?

As the ship's all-aboard time approaches or passes, guest services will try to locate you on board by calling your cabin. An announcement with your name will be made on the ship's public-address system, asking you to notify guest services if you are on the ship. If there is no response, your name will be called again, this time using the ship's emergency announcement system, which the whole ship hears (meaning your situation is now disturbing any of your shipmates who are in their cabins napping).

If your mobile number is in your guest record, a crew member might try to call you directly.

At the same time, security personnel could be dispatched to search for wayward passengers in the area near the port. They know where to look. (Hello, Senor Frogs.)

Find a port agent

A cruise ship will leave passengers behind on shore if they arrive back at the ship too late, but the ship staff has procedures in place to help you.

If you are not on the ship and the departure time is drawing near, a security officer may enter your cabin and open your safe to locate your passport, driver's license, credit cards or any other important stuff you have left there. They'll also collect your medication and any other necessities you will need because the ship is about to strand you on shore, and you will need to make your own way home.

Related: What documents do you need for a cruise? From passports to printouts, here's what to take

If you are a pier runner and there is still a gangway open when you get to the ship, everything will be returned, you'll be chastised, and your saga will end there. Otherwise, your passport and other important items will be handed over to a port official, who will wait for you to finally show up at the pier.

If you arrive back at the pier only to see your ship sailing away, find the port agent. If he or she has your passport, that's a good thing. You will need your passport to fly to the ship's next destination or home (your choice). If your passport has not been handed off to the port agent, you will have to contact your home country's embassy or consulate for assistance.

Make plans to rejoin the ship or to head home

documents needed to board cruise ship

You've missed the ship. You've found the port agent. Now, the "fun" begins. Hopefully, you're not too close to the limit on your credit cards because you're going to need them. While the port agent might help make your arrangements, it's entirely your responsibility to pay any related travel expenses.

Considering last-minute airfares and possibly the need to stay at a hotel before your flight, it's going to cost you a bundle to get back to your ship or head home. If you decide to end your vacation, you will have to pay the cruise line to ship the rest of your belongings home, as well. Don't expect any reimbursement for missed days on the ship, either.

Why do ships leave passengers behind?

The captain makes the decision to leave based on port regulations, schedules and other factors. For instance, the cruise line has paid expensive docking fees and does not want to pay overcharges that kick in when a ship is late leaving the pier. Higher fuel charges can also be involved if your ship has to race to the next port of call due to a late departure. The cruise line is not going to let your mistake cost the company big bucks.

It's important to remember that you are only one of hundreds or thousands of guests, and cruise ships have rules and schedules to follow.

Pier runners tend to look ridiculous — running, shouting, signaling with their arms as the ship's horn blares its departure. You don't want to be the laughingstock of your cruise ship, but it's still better to run and try to board the ship before it leaves. Missing the vessel will ruin your cruise vacation and cost you lots of money. Follow the strategies listed here so you always get back to the port with plenty of time to spare and avoid being stranded by your cruise ship.

20 Essential Things To Bring On A Cruise Ship

Plus, five things you should definitely leave at home.

documents needed to board cruise ship

A cruise is an incredibly convenient and often surprisingly affordable way to wake up in a new city or country every morning—and you’ll only need to unpack one time because you can see the whole world without having to switch hotels. It's no wonder that the Cruise Line Industry Association reported nearly 31.7 million passengers in 2023, a 7 percent increase from 2019.

Whether you choose a massive floating city in the middle of an ocean or a yacht-sized luxury ship set to meander down a famous river, it’s the perfect escape from reality. But that escape from reality can also make packing for a cruise a bit tougher than land-based travels, where you know you’ll always be able to pop into a shop to buy anything important you’ve forgotten. Here are the things to bring on a cruise ship and some items you should leave at home.

Getty Images

Beyond The Basics

To be fair, most ships do offer a sundries shop and a few boutiques, but there isn’t a wide selection, and the hours are quite limited. That’s why it’s crucial for first-time cruisers and enthusiasts alike to consult a cruise packing list while preparing for their trip so you'll have items you may need in a pinch immediately accessible.

We’ll assume you have undergarments, a basic wardrobe (including daywear, swimwear, and evening wear), toiletries, and your luggage squared away, and we will zero-in on some of the items that’ll help make your travels more relaxing, comfortable, and organized. Plus, we’ll provide some guidance on a handful of items that are better left at home, either for safety and policy reasons, or because they simply waste precious space in your suitcase . Make sure to save room for these items before you head out to sea.

Backpack or Beach Bag for Excursions

When you disembark the ship for daily excursions, whether you’re headed to a chill beach day or a strenuous hike, you’ll need a place to stash all your bulky goodies—towels, water bottles, sun hats, camera equipment, bug spray, suntan lotion, etc. The backpack you brought on the plane as your carry-on item can serve double duty as the bag you take off the ship each day, or you can bring a separate, foldable beach bag or tote for this purpose.

If you plan to do separate activities from others in your party, make sure everyone has their own bag so they aren’t left juggling too many things in their pockets.

Universal Travel Adapter With USB Ports

Between your phones, tablets, camera equipment, smart watches, headphones, and any other gadgets you and your travel companions might bring, outlets are at a serious premium in cruise cabins. And some cruise lines —such as Holland America Line and Windstar Cruises, for instance—split the available outlets in each cabin between U.S. 110-volt outlets and European 220-volt outlets (which means you won't be able to use all of them if you didn’t plan ahead). To make matters worse, very few cruise lines have upgraded to include in-room USB ports (though you will find them on a handful of Royal Caribbean ships, for example).

Instead, come prepared with a universal travel adapter that’ll work in any of the outlets. (Bonus: You’ll also need this if you plan to spend any pre- or post-cruise travel nights in a hotel in another country.) And be sure to choose a model with a few USB ports as well, so you can charge multiple devices simultaneously.

Your Passport

You’ll be hard-pressed to get very far without your passport, even if your cruise is mostly in the United States, like the California Coast cruises Princess Cruises offers. That’s because most of these cruises stop in Canada or Mexico.

And even if you do have a passport, it’s crucial to double-check the expiration date ahead of time; many countries require you to have more than 6 months left before expiration (there are some exceptions).

Of course, there are some cruises that depart from and return to a U.S. port of entry (known as a closed-loop sailing), in which case you wouldn’t need a passport. But be sure you read the itinerary carefully so you don’t wind up turned away at the cruise terminal on embarkation day.

Magnetic Hooks

It’s hard keeping a small cruise ship cabin organized. While many cruise lines thoughtfully make the most of storage with various nooks, closets, and drawers, it’s amazing how quickly you can run out of room for everything. Fun fact: Most cabin walls are magnetic, which means you can bring a few magnetic hooks along to maximize unused wall space.

What can you use these hooks for? Hanging jackets, umbrellas, hats, robes, bags, swimwear, and more. It’s a genius move you’ll come to rely on, cruise after cruise.

Seasickness Solutions

Most cruise ships are so stable these days that seasickness may seem unlikely, but you never know when rough seas might take you by surprise. There are many over-the-counter solutions available, including medications (such as Dramamine or Bonine), acupressure wristbands, ginger candy, and even high-tech wearable gadgets. If you know that you’re prone to motion sickness, talk to your doctor about prescription options, including a Scopolamine patch worn behind the ear, prior to your cruise.

Waterproof Phone Pouch

Turn any phone into a waterproof camera with an inexpensive waterproof pouch. With one of these, you can confidently take your phone on a snorkeling expedition or to the beach or pool without worrying about splashes or an accidental drop into the deep end.

As a bonus, this type of pouch doubles as a safe and dry place to stash your cash, ID, and credit card so you don’t have to risk leaving them on the beach when you’re ready to take a refreshing dip. One more handy use: This will also allow you to take photos up on deck or from your balcony during inclement weather.

Embarkation Day Bag

Embarkation day, the day you first board the cruise ship and your vacation officially begins, is super exciting, but it can also be a bit hectic. Your suitcase will be delivered to your room just as soon as the crew can get to it, but that could take several hours (and in rare cases, even longer) given the sheer volume of luggage being managed. That’s why it’s always a good idea to carry on a special embarkation day bag (this can be your aforementioned tote, beach bag, or backpack) filled with anything you might need access to on day one: medications, a change of clothes (perhaps a swimsuit so you can go enjoy the pool or evening attire if you plan to have an early dinner in the dining room), electronics and their corresponding chargers, sunglasses, and more. It’s also a handy spot to store your passport, cruise documents, boarding pass, and cash before placing them in your in-room safe.

Sun and Insect Protection

It doesn’t matter if you’re cruising around the Caribbean, down the Rhine, or through Alaska’s Inside Passage, there will be insects and sunshine to contend with, and you’ll want to be prepared. This means ensuring your cruise packing list has things like hats , sunglasses, sunscreen , insect repellent , and after-sun calming lotion on it. Yes, you can find many of these items in the ship’s retail shop if needed, but you'll often pay a premium and won't have your choice of brands.

Cash for Tipping and Shopping

While most cruise lines are essentially cash-free these days and will even place crew gratuities on your credit card, there are some instances when you’ll need cash.

First, it’s recommended to tip $5 (half-day) to $10 (full-day) per person to your tour guides and drivers during excursions.

Second, some shopping areas (such as markets and street vendors) don’t accept credit cards—and you may even be able to negotiate a better price with cash, as shopkeepers are keen on avoiding credit card transaction fees that eat into their profits.

Finally, if you feel your cabin steward, server, or maître d’ did a truly exceptional job going above and beyond, you may want to tip them a little extra cash at the end of the cruise to show your gratitude.

Prescription and Over-the-Counter Medication

Even though there’s a doctor onboard, they aren't a pharmacy. You’ll need to pack your prescription medications because they certainly don’t carry every type or dosage, nor do they have enough supply. In fact, go ahead and pack a little extra if you have it because you never know when travel delays could keep you on the road a bit longer than expected.

It’s also a good idea to pack some OTC meds you may need as well, such as allergy pills for the foreign flora you’ll come into contact with, antacid tablets if you think you might hit those buffets a bit too hard, and ibuprofen for the aches and pains associated with getting more exercise than you’re used to or attempting too many flights of stairs.

Portable Charger

Even if you remember to bring the appropriate charger for each of your electronic devices, that won’t help you top off your battery while on an 8-hour excursion. Since there’s nothing worse than running out of juice at the precise moment you want to snap the photo memory of a lifetime, go ahead and add a portable charger to your cruise packing list. It’ll be a huge relief to have a backup battery available (especially if you decided to skip a formal excursion and you’re using your phone’s map to navigate your way around a city), and many of the models available fit easily into a purse or pocket.

Refillable Bottle

Buying bottles of water on board the ship can cost upwards of $6 each, which can turn into a small fortune for a couple or family over the course of a week, You’ll always want a bottle or two handy when you leave the ship. Instead, bring a refillable bottle with you and refill it in the buffet or at filling stations. You’ll save a ton of money and help reduce the toll single-use plastic takes on our planet (especially in our oceans).

First-Aid Kit

While there is medical assistance onboard a cruise ship, it’s not always open and it could be expensive for something you normally handle at home. For a minor injury, you can save yourself time by bringing a small first-aid kit with you. It will also help when you are off the ship for excursions and activities. Buy a premade kit or make your own with things you already have at home. Pack a small bag with bandages, gauze pads, medical tape, antibiotic ointment, and hand sanitizer.

Important Documents and Contacts

Make sure to bring trip itineraries, flight and hotel information, and copies of documentation with you. Keep copies separate from the originals in case important information gets lost. You'll also want to bring phone numbers of important contacts from home, such as your credit card company, family and friends, and emergency contacts in case your phone is lost or damaged.

After a day of activities, you may think sleep will come easily, but if your neighbors are still up having fun, a pair of earplugs will come in handy. They’ll also help muffle the noise of all the early activity going on on the ship if you want to sleep in.

Plastic Bags

Bring ziptop bags, grocery bags , or waterproof drybags along. You’ll find so many uses for them. Use them to keep wet items separate from everything else in your bag when you head out on excursions. If your backpack or beach bag isn’t waterproof, protect your wallet, phone, book, and other important items from rain, accidental spills, or wet activities like kayaking. Pack dirty shoes, dirty laundry, and liquids in them for the return trip home.

Hand Sanitizer or Wipes

Many cruise ships have hand sanitizer stations throughout, but bring your own bottle along so you won’t have to hunt one down when you need it. Some passengers aren’t as mindful about handwashing, so using hand sanitizer is a good idea around high-touch areas like the buffet line and hand railings. Pack some disinfecting wipes too in case you need to wipe down surfaces in your room, on deck, or on an excursion.

Since space is limited in cruise ship cabins, an over-the-door shoe organizer can help keep small things right where you need them. It can be inexpensive and fold up so it won’t take up much room in your suitcase either. Use one to hold toiletries, sunscreen, cords and chargers, hand sanitizer, earplugs, sunglasses, and more. To ensure it won’t damage the door, hang it from the rod or hangers in the closet.

Passengers use cruise key cards for more than getting into their rooms. The cards get you on and off the ship and pay for any expenses. A lanyard keeps it handy so you don’t have to dig through your bag for it and keeps you from accidentally leaving it in the pockets of your other pants when you go to dinner. If you don’t have one at home, buy one on the ship.

You may change time zones while out at sea. Bring a wristwatch or other way to tell time to keep up with the ship’s itinerary and make sure you return to the ship from an excursion on time before it leaves port. With so many activities aboard the ship and off, you’ll want to make sure you’re on time. An alarm will also help you get up on time to see the sunrise or get up early enough to make the most of the day’s excursions.

Things To Leave Behind

It may be tempting to bring fine jewelry for a formal dinner or those dazzling red heels that go with only one of your dresses, but some things should be left at home to help maximize your space and to avoid losing a beloved item. Some things simply aren't allowed on a cruise. Here are some things you probably won't miss on your cruise and should leave at home.

High-End Jewelry

Cruise ship attire just isn’t as fancy as it used to be, and while some cruise lines still host formal nights, there’s just no need to be draped in your grandmother’s special occasion pearls or don the family heirloom cufflinks . Yes, there’s a safe in your cabin closet (which should definitely be used for jewelry, cash, passports, and other valuables), but why take an unnecessary risk on irreplaceable jewels? Use this opportunity to play around with fun accessories and costume jewelry that won’t leave you brokenhearted if they get lost or damaged.

Too Many Shoes

Footwear can be the hardest part of paring down your cruise packing list, but do your best to think practically. You can probably make do with four pairs on most cruises: one pair of sneakers/hiking boots (depending on the itinerary and your excursions), one pair of beach shoes (flip flops or closed-toe water shoes), one pair of dressy shoes that match all your evening outfits (for women, perhaps it’s a nude heel or wedge; for men a pair of neutral loafers), and one pair of daytime sandals. You’ll eliminate so much weight and bulk from your luggage in the process.

Cruise ships are known for feeding their passengers well (and often). There’s little chance that you’ll go hungry when you have access to multiple dining venues and room service 24/7. Sure, you may want to bring a couple of protein bars to pop in your bag in case you need a little nosh during a long day at the beach, but that’s about it. You can always grab fruit (bananas, apples, etc.) from the buffet to take on your excursions as well. Make sure any food you do bring is dry, prepackaged, and sealed. Homemade food won't be allowed onboard.

Clothes Iron and Steamer

Many cruise lines have policies forbidding the use of clothes irons and steamers and won’t allow these fire hazards onboard. Try spraying wrinkly garments with wrinkle spray, then hang them in the bathroom during a hot shower . The bathrooms are so small that it may create a little steam bath that releases those wrinkles.

Another option is to make use of the self-service laundry rooms on some ships. If you find one, it’ll likely have an ironing station you can use free of charge. If all else fails, most cruise lines offer wash and press services for a nominal fee.

Most every cruise line has specific rules in place when it comes to their alcohol policy. For instance, some cruise lines don't allow guests to bring liquor onboard, but some allow you to bring one bottle of wine or Champagne per adult. You’ll then be charged a $20 corkage fee to drink it in one of the dining venues (so you may want to use that for pre-dinner purposes or a nightcap in your cabin). Similarly, some cruise lines will store any alcohol purchased in port until the end of your cruise. However some higher-end cruise lines have no limitations or corkage fees, so it’s always best to check the restrictions for your specific cruise line ahead of time.

Few things can put a damper on pre-cruise excitement like having your bag flagged by security.

Much like airplanes, there are a number of items you cannot bring on a cruise ship. Some may seem obvious – such as illegal drugs or firearms – but others may surprise first-time passengers .

Cruise lines’ lists of prohibited items often include “everyday things that people wouldn’t think twice about,” Scott Campbell, Manager, Cruise Relations at AAA, told USA TODAY. Packing without knowing the rules could cause travel headaches, including having your items confiscated.

Here’s what not to bring with you, though exact rules may vary by cruise line:

The “biggest things” to keep in mind are electrical appliances, Campbell said. Of course, that doesn’t mean everything with a plug or battery pack is barred from a ship, but items with heating elements like coffee makers or clothes irons are generally no-gos.

Leave your candles at home too.

While cabins may have a limited number of outlets , Campbell noted passengers cannot bring power strips with surge protectors. “You have to get ones that are cruise ship compliant.”

Weapons like firearms are banned, and even items that look like them, such as gun-shaped novelty lighters, are often prohibited. Guests should also avoid packing sharp objects like knives and scissors, with some exceptions. Personal grooming items such as safety razors are permitted.

Other items that typically won’t be allowed on board include CBD products, fireworks and hoverboards.

Can I bring food on a cruise?

Passengers can generally bring nonperishable prepackaged food with them when they board. On a shore excursion, Campbell might bring a snack such as a bag of M&M’s “so I’m not getting crazy (hungry) on a long tour.”

However, other foods, like homemade snacks, will have to stay behind.

Can I bring alcohol on a cruise?

Beer and hard liquor are not allowed on board, but Campbell said guests can bring wine or champagne to drink during their sailing.

Royal Caribbean International, for instance, allows each passenger of legal drinking age to embark with one sealed 750-milliliter bottle per cruise.

“Boxed wine and other containers are prohibited,” the line’s website reads. “Guests who purchase alcohol bottles on board, in a port-of-call, or bring more than the one permitted bottle on boarding day, will have their items safely stored by the ship. These bottles will be returned on the last day on board for enjoyment once home.”

Cruise sea days: How to make the most of them

Campbell warned that cruise guests may be charged a corkage fee if they want to drink their own wine or champagne at a restaurant on board rather than in their cabin. Carnival Cruise Line, for example, charges $15 per 750-milliliter bottle "should guests wish to consume their wine or champagne in the main dining room, specialty restaurant or bar," according to its website .

Passengers may also be able to board with nonalcoholic beverages such as soda, but policies vary by line.

What happens if I have a prohibited item in my bag?

If you don’t realize an item is forbidden or forget it’s in your bag, there’s no need to stress. In most cases, the items will be confiscated and returned to passengers after their cruise, Campbell said.

He recommended doing some research ahead of time to avoid any hiccups. Cruise lines generally post lists of prohibited items on their websites, or you can ask your travel adviser.
