Graduate Research Travel Awards

The Graduate Research Travel Award for Dissertation or M.F.A. Thesis research is awarded to IU Ph.D. or M.F.A. students in the arts and humanities traveling for the purposes of research (visits to archives, fieldwork, etc.). Awards may be up to $2,000. Previous recipients must wait one academic year before reapplying.

Please note: The Spring deadline has been extended to Friday, February 9, 2024.

CAHI will generally not give awards retroactively for travel that has already taken place. For cases in which timing is misaligned, we recommend writing to [email protected] and submitting a conditional application by the deadline. It is easy to withdraw the application should you end up not traveling.

International travel by individual graduate students no longer requires case-by-case COVID mitigation review by the OVPIA exception committee. Instead, individual graduate student travelers are required to submit an international travel form . The form should be e-mailed directly to OVPIA at [email protected] prior to travel, and should also be filed in the student’s home department records. More information can be found here .

All awards are subject to university restrictions and regulations.

Please note CAHI’s graduate award payment guidelines have changed: As of January 1, 2023, and in keeping with how faculty grants are distributed, graduate awards will be handled via reimbursement after travel is completed. Award recipients will need to submit itemized receipts showing method of payment for expenses related to the CAHI grant (up to the award amount), although per diem food receipts are not required. Recipients will also need to meet with CAHI Operations Assistant Shaina Sanders to process reimbursement requests. Expenditures must follow IU Travel Management policies .

Applications should include the following materials:

  • 1-page cover letter outlining the research to be done and the necessity of the travel
  • Curriculum vitae
  • Brief abstract of the dissertation or thesis project (no more than 200 words)
  • Budget outlining expected costs
  • Letter of support from a faculty advisor, outlining the student’s progress toward the degree and the significance of the research trip in relation to the student’s work

Eligibility:

Who may apply: IU Ph.D., M.F.A., or M.Arch students working in the arts and humanities whose primary degree affiliation is within the College of Arts + Sciences, the Eskenazi School of Art, Architecture + Design, the Hamilton Lugar School of Global and International Studies, or the Media School.

Students must be enrolled in the College of Arts + Sciences at Indiana University Bloomington in order to apply for and receive award funding.

Ph.D. applicants need to have completed all coursework, been advanced to candidacy, and be at work on the dissertation. M.F.A. applicants must be within one year of completing their thesis work. M.Arch applicants must have successfully completed their third semester of course work signaling the end of the Core Curriculum. Those students must be beginning work on a faculty approved independent study and/or a final or capstone project in the last three semesters of the program.

If other internal or external funding is received for the same project, CAHI requires notification, and reserves the right to adjust or reassign awards in light of this information. Awards cannot be given retroactively for travel occurring before the date of award notification.

GPSO Travel Awards

General information, eligibility criteria, how to apply, frequently asked questions, review process, serving on the awards committee, previous award winners.

The GPSO Travel Award is offered through a competitive process for graduate and professional students at Indiana University Bloomington. It is given to help support travel expenses to conferences at which the student's work will be presented (i.e. speeches, posters or interactive design), or to help support travel to workshops, special trainings, competitions and auditions that will benefit the student professionally. Funds may be used for registration fees, presentation materials, transportation, and lodging/food associated with the conference, workshop, training, competition or audition.

IMPORTANT NOTE: GPSO Travel Awards are awarded as university fellowships; be aware of their total financial aid need and the amount of financial aid you have already received. If you have already reached your financial aid maximum for the current semester, you may be ineligible for this award. More information about financial aid need can be found at the Office of Student Financial Assistance website , and information about how much aid you have already received can be found in OneStart.

**This award is not intended to fund research.** Please see GPSO Research Awards for info on awards for research funding.

This year's spring Travel Awards were given for conferences, workshops, trainings, competitions or auditions occurring between January 1st and June 30th, 2012. If your travel dates are after June 30th, 2012, you will need to apply for an award in the fall 2012 semester.

Priority will be given to conference travel outside the Midwest region.

  • Full-time enrollment in a graduate or professional degree program at Indiana University at the time of application
  • Enrollment in an active GPSO member department. If you are uncertain whether your department is active you can check here to see if your department has a representative who is active within the GPSO. Note: A representative may be serving any program in your department; it does not have to be your specific program.
  • Travel must occur within the specified time period to receive the Travel Award.
  • Spring awards: January 1-June 30 of a given year
  • Fall awards: July 1-December 31 of a given year
  • Must NOT be a member of the GPSO Executive Committee, employee of the GPSO, or an active member of the GPSO Awards Committee reviewing applications for this award.

Applicants are limited to a single travel event per semester; this may include multiple conferences/workshops/auditions/competitions being held in a single location.

If you attended more than one conference, workshop, training, competition or audition please choose only one to be considered for this award. We recommend you choose the conference, workshop, training, competition or audition for which you believe you can build the strongest application (and submit only one application package).

If an IUB graduate or professional student is co-presenting with another IUB graduate student and all presenters wish to be considered for funding, each person needs to submit a separate application package. No group applications will be accepted.

Once you begin the actual application you may not be able to save and come back later. We recommend that you have your materials ready when you begin the application. In addition, we have provided a preview application (PDF) if you would like to see the questions before beginning.

The application for the spring 2012 Travel Awards is no longer available. Please check back in fall 2012 for a new Travel Awards application.

The application deadline is February 19th, 2012 at midnight . Your online application must be received by the GPSO office by this deadline.

A: The approximate date that winners will be announced varies each semester, but is typically around week 12.

  • Q: Where will the winners be announced?

A: We will announce the award winners on the homepage of the GPSO website and winners will be notified personally by email.

  • Q: I am an international student, am I eligible to apply?

A: Yes, as long as you meet the other eligibility requirements.

** If you have a question that you did not find answered here, you may email [email protected] with the Subject line "Travel Award Question.". Please allow one week for a response. **

Winners are determined by an anonymous, competitive peer review. Applicants should note that their applications may not be read by an expert in their fields. Award applications should be written with a general academic audience in mind.

  • Applications are checked for completeness and incomplete applications are removed from consideration.
  • Personal identifying information is removed by GPSO Awards Committee Chair.
  • Applications are anonymously scored by at least 2 and ideally 3 GPSO Awards Committee members.
  • Scores are on a 50-point scale.
  • Applications are scored on several factors including:
  • location of event as events outside the local area (Indiana, Illinois, Kentucky, Michigan, and Ohio) receive preference;
  • impact of the travel on the applicant and both its relevance to the applicant's discipline and broader importance;
  • applicants role in the event or necessity of travel;
  • a well-justified budget;
  • the overall quality of the application;
  • Scores are standardized for each reviewer and used to rank the applications.
  • GPSO forwards the top award candidates to the Graduate School to verify they are full-time IUB graduate students.
  • GPSO notifies award winners.

This committee organizes and awards several different funding awards throughout the year, including Travel and Research Awards. The Awards Committee also sends representatives to research-related university committees.

To be eligible for this committee, you must be a graduate or professional student at Indiana University-Bloomington in the Spring 2012 semester. You also can not be applying for a Spring 2012 GPSO Travel or Research Award. By submitting this application, you certify that you meet these criteria.

This application is not an entry into a competitive selection process; all IUB graduate and professional students are welcome to join the committee and review award applications. This application primarily helps the chair of this committee remain organized.

In the spring semester, the Awards Committee reviews applications for Travel Awards and Research Awards. Spring Travel Award applications are due on February 19, 2012. Research Award applications are due on March 11, 2012. Reviews will be due from reviewers about a week-and-a-half afterward each award deadline. Finally, it typically takes only a few hours for each reviewer to review his or her set of applications for each award.

To apply for the Awards Committee, please complete the application here .

Executive Vice President for Finance and Administration

Patty Cole Director, Travel Management Services [email protected]

  • Any individual, including but not limited to faculty, staff, visiting scholars, students, and non-university personnel, seeking reimbursement of travel expenses from university or Sponsored Research funds, and any university unit seeking to use university funds to pay for travel expenses on behalf of any individual.
  • This policy also applies to anyone who approves or processes travel arrangements and expenses.
  • A unit may set more restrictive requirements. In such case, the unit is responsible for documenting, communicating, and enforcing any such requirements.

  • The university may pay for or reimburse travel expenses where an individual or university unit incurs those expenses for university business and the fiscal officer or unit leader approves those expenses.
  • any expenses that will be reimbursed from another source;
  • any expenses of a personal or political nature, or
  • any expenses not actually incurred by that individual with their own personal funds.
  • Travel Management Services publishes the university’s reimbursement rates for various types of expense (e.g., per diem, mileage, and shared ride transportation) at travel.iu.edu .
  • provide guidance to individuals and university units regarding what travel expenses may be paid or reimbursed with university funds,
  • promote good stewardship of university resources, and
  • explain the relevant requirements and guidelines for travel expenses to be paid or reimbursed.
  • Travelers are strongly encouraged to procure travel services, when available, from university preferred vendors.  These vendors include Designated Travel Agencies, online booking provider(s), and vehicle rental agencies. See the Travel Management Services Website for a list of preferred vendors.
  • Reimbursement requests must be submitted via an expense report through the IU travel system and will be paid after the completion of a trip. The expense report should be submitted by either the traveler or the travelers’ delegate within the travel system (“Delegate”).
  • A business purpose must be clearly identified on the expense report for each trip to validate the business need for the travel.
  • In compliance with IU’s Accountable Plan , employees, students, and non-employee travelers (or their Delegates) are required to submit reimbursement requests, with required supporting documentation, within a reasonable period of time (as defined in TSOP 9.02 Account Plan Reimbursements) .
  • Travel charged to sponsored awards may be subject to specific restrictions set by the sponsor. Travel restrictions may vary between federal and non-federal sponsors.
  • Travelers on university business funded by a federal award must comply with the requirements of both the Uniform Guidance (2 CFR Part 220) and are required by 49 U.S.C. 40118, commonly referred to as the “ Fly America Act ,” to use United States air carrier service for all travel and cargo transportation services funded by the United States Government.
  • Certain expenses (e.g., for alcohol) are “unallowable” in accordance with federal cost principles and cannot be charged to a federal award.  Some expenses not allowed on a sponsored award may, however, be reimbursed by a non-sponsored fund under specific circumstances if those expenses meet the requirements under this policy for reimbursement.
  • Questions about sponsor restrictions should be addressed to the appropriate representative in the Office of Research Administration.
  • If a sponsored research program has more restrictive receipt requirements, the more restrictive receipt requirement will take precedence.  The traveler should confirm receipt requirements with the Office of Research Administration or the sponsor.
  • Travel Days : For travel within the contiguous United States, an individual traveling solely on university business to one destination should only need one travel day to arrive at that destination and one travel day to return home.  As such, the university will typically reimburse travel expenses for up to two travel days in total for an individual traveling for university business to one destination in the contiguous United States. If an individual has to travel to multiple locations and each location is for university business or if that individual is traveling internationally, the university may reimburse travel expenses for additional travel days where travel cannot reasonably be competed in two days.
  • The following chart details the policies that govern travel expenditures:

Appropriate : An expense that is suitable or fitting for a particular valid business purpose.

Allowable Expense : a necessary, reasonable, and appropriate expense incurred for the primary benefit of university business and therefore permitted to be reimbursed or directly charged based on the permission of the university or by the terms of the federally or privately sponsored agreements.

Business Travel : Travel for the purpose of conducting business for the sole benefit of the university.

Necessary : Minimum purchase or service required to achieve a particular business objective.

Official Workstation : The primary physical location(s) where the majority of work is conducted.

Unit Leader : The director or vice president for an administrative unit, the dean of an academic unit, the vice chancellor or vice provost of administrative services of the campus, or the delegate of one of these individuals.

Out-of-Pocket Expense :  An expense incurred by the traveler and paid with personal funds during the trip.

Per Diem :  An allowance determined by the U.S. government to cover meals and incidentals while traveling for business purposes.  Per Diem amounts are published by the General Services Administration (domestic) and State Department (international) and are specific to major cities.

Reasonable Expense :  An expense that is ordinary and reflects a prudent decision to incur the expense on behalf of university business; not extreme or excessive.

Segment of the Trip : Non-stop, in-flight, continuous travel from one point to another point.

University Preferred Vendors : Vendors with whom Indiana University has an established business relationship and, in most cases, negotiated pricing and other benefits.

Travel Advance : Advance payment to the traveler to pay for travel expenses when other payment options are not available or do not meet the business need.

Indiana University Prepayment Programs : Programs established by Indiana University to allow payments to university preferred vendors via a direct bill process whereby a university account is used to charge the business travel expense. These programs include Designated Travel Agencies, online booking tools, and ground transportation providers.

Travel Meeting Card : An Indiana University corporate credit card that is used to pay approved travel expense for student group travel.  The meeting card is for student group travel only. Eligibility for the credit card will be determined by Travel Management Services and will be based on the purchase needs of the group requesting the card.

  • Failure to comply with this policy could result in a traveler’s expense report being denied by the unit or by Travel Management Services or a lower amount of reimbursement being provided to the traveler than requested.
  • Falsification of travel expenses may subject travelers to disciplinary procedures according to university policies.

This policy was established on October 1, 1990.

Revised to add scope November 2016.

This policy was updated on August 2, 2018 and October 7, 2021.

The policy contact information was updated on March 27, 2023.

Apply for the Awards Committee for Awards Review

  • Application opens: September 11, 2023
  • Application closes: October 20, 2023

The Awards Committee is looking for members to serve to review the travel and research awards applications. The deadline for application is October 20. Apply here

For more information, please contact   [email protected]

Members of the Awards Committee are responsible for reading and reviewing applications for the GPSG   Travel Awards   and   Research Awards . The Travel Award is given in both the Fall and Spring semesters, and the Research Award is given in the Spring semester of each year.

The typical time commitment is between   2-6 hours per award.   This depends on the number of applications received and the number of reviewers available.

Benefits of serving on the Award Committee include:

  • The ability to contribute to deciding how funding and awards are distributed among IU’s graduate students.
  • Gain valuable insight to the grant writing and application process.
  • Develop a stronger understanding of what constitutes a strong application for funding, which can lead to improvement in one’s own grant-writing and communication skills.
  • A flexible schedule with a limited time commitment that also allows the individual to have a big impact in their community.

Committee Eligibility:

  • Must be a graduate or professional student at Indiana University – Bloomington during the semester you serve on the committee
  • If you review the Fall Travel Award you would be eligible to apply to the Spring Travel Award as long as you are not reviewing Spring Travel Award applications.
  • In the Spring, you may review applications for one of the awards and apply for the other.

Committee members can indicate which awards and which semesters they would like to review in their application. Please note that this committee is only active during award application cycles, and the Awards Committee does not meet on a regular basis during the academic year.

  • In the Fall semester, committee members will review Travel Award applications, roughly around late October and early November.
  • In the Spring semester, committee members may choose whether they want to review Travel Awards, Research Awards, or both (roughly around late February and March).

The Awards Committee will be electronically sent the applications they are to review/score. The Awards Chair will dictate when they need these applications reviewed/scored by, but the typical time frame is to have applications reviewed/scored within 2 weeks of receiving them.

  • Each application takes ~5-10 minutes to read, depending on one’s reading and decision-making speed, and the typical number of applications to read per award, per semester, is ~20-25.

While the Awards Committee does not regularly meet to discuss policy regarding the awards, input from the Committee members is always appreciated. Issues seen in the applications themselves can all be integrated by the Awards Officer to help streamline and improve the application process, hopefully leading to a more clear understanding of what kinds of applicants the GPSG hopes to fund and how the applicants can best tailor their applications to meet those criteria. Input may include, but is not limited to:

  •  The criteria the awards are graded on
  • Common issues regarding the awards application process

Please note: The application to serve on the awards committee is   not   an entry into a competitive selection process; all IUB graduate and professional students are welcome to join the committee and review award applications.

A graduate wears a mortarboard decorated with the IU trident

The ceremonies will include student speakers who were selected to represent their graduating classes and a guest speaker for IU Bloomington.

This year, the start times for some ceremonies were moved to the evening where possible to make them more convenient for families traveling from out of town, and to allow for more school recognition events beforehand.

A brief guide to all the MICHELIN Key hotels in Chicago.

Travel Hotels Chicago MICHELIN Keys

iu travel awards

On April 24, 2024, the MICHELIN Guide announced its very first Key hotels in the United States — a brand new distinction recognizing the most outstanding hotels in the country. We're thrilled to report that in Chicago, eight hotels earned at least One Key. Of those, half make their home in the kinds of historic buildings that give this city its well-earned reputation as one of the most architecturally distinguished cities in the country. Follow Michigan Avenue north from the heart of the Loop to the Gold Coast and you’ll pass within two blocks of all but one of them. The Chicago Athletic Association sits within a Venetian Gothic landmark. The Gwen makes its home in a storied 1929 Art Deco skyscraper. The Pendry sets up shop in the masterpiece that is the 1929 Art Deco Carbide & Carbon Building. And the lower floors of the Viceroy make use of the meticulously-preserved, 1920s-vintage Cedar Hotel. There are Key hotels too in newer builds, among them the Peninsula (with uniformed bellboys and staffers who seem to know the name of each individual guest) and the Waldorf Astoria , its lobby a marble marvel. Below, explore the map and scroll down for more about each of the MICHELIN Guide’s eight hotels in Chicago.
