Q: Who is eligible for a PyCon 2022 Travel Grant?

A: The travel grant program is open to all contributors, attendees, students, and speakers; and aims to provide assistance to those who otherwise might not be able to attend the conference.

Q: When/how can I apply for a PyCon Travel Grant?

A. Here are important dates around the travel grant process:

  • December 8, 2021: Travel grant application opens
  • February 11, 2022: Travel grant application closes at 23:59:59 AOE
  • February 21, 2022: Travel grants awarded by February 21st
  • February 28, 2022: Deadline to respond to accept / decline travel grants
  • March 16, 2022: Receipts and secure document portals open
  • April 28 - May 1, 2022: Disbursement sessions at PyCon

Please ensure you can receive emails from [email protected]; the Travel Grant team will send email communications regarding updates and information about awards, receipt uploads, and disbursement sessions.

Q: Are there limits to how much funding I may receive?

A: PyCon strives to provide assistance to as many applicants as possible by optimizing the funds we have available for travel grants. Recipients receive support for some or all of their expenses including travel, hotel, and childcare. While we wish we could give grants to everyone who applies, our funds are limited.

Please review your travel plans and adjust the amount to be under $2,000 USD for international travel and $1,500 for US domestic travel. Possible ways to reduce expenses:

  • Conference Registration Fees should not be included in your requested amount. If you are awarded a travel grant, a reduced rate conference ticket will be provided.
  • Adjust travel dates to obtain lower airfare.

If PyCon is still out of your financial means, don’t worry! Consider attending a local PyCon instead :). Also, all of our talks are recorded online, so you can enjoy the content virtually.

If you have already submitted an initial request, you may adjust it by logging in to the travel grant dashboard. Please make adjustments to your application by February 4, 2022. Feel free to contact us with any questions.

Q: Where can I find out the status of my grant application?

A: Application status and other options can be found on your dashboard.

Q: If I request more funds after my grant has been approved, will that affect my current grant?

A: If you cannot attend with your current award, you may request additional funds through your PyCon dashboard, instead of accepting or declining your grant. We cannot guarantee that we will be able to accommodate you because our budget is tightly stretched. Requesting additional funds puts you into the second funding round where we distribute remaining funds from people who have declined their awards.

Please note that if you are requesting more funds and we are unable to allocate more funds, your previous award will no longer be available; this option is only intended for people who would not be able to attend PyCon on their current grant.

Q: What kind of costs are covered by the PyCon Travel Grant?

A: The costs covered by the travel grant include:

  • Airfare: tickets and baggage fees for travel to/from the conference. Flights may be direct or have stopovers of a maximum of 36 hours. Flights with layovers in other cities for 2+ days will not be fully reimbursed.
  • Lodging: hotels, motels, PyCon room share, hostels, AirBnB, etc. for the days you attend the conference. Reimbursement is limited to the shared cost if the room has more than one occupant.
  • Transit receipts: taxi, Lyft, Uber, bus, train; and mileage to/from airport, bus/train station, lodging, or conference center; and parking at these locations.
  • Per diem: covers food during the days you attend the conference plus a travel day at the beginning and end of your trip at a fixed rate. Please do not upload food receipts. Per diems are automatically granted to you based on the days that you are attending PyCon, plus up to one travel day before and after conference attendance.
  • Childcare: PyCon offers discounted childcare during the main conference days. Only PyCon-provided childcare is eligible for reimbursement.
  • Poster printing fees for PyCon poster presenters.
  • Visa fees for non-US nationals who must have a visa to attend the conference.
  • Check cashing fee charged by Bank of America in Salt Lake City.

The following costs are not covered in the package:

  • Discounted conference registration fees
  • Transportation to/from the visa application center for visa appointments
  • Meals for the days you traveled for visa appointments
  • Airport Lounge Access Fees
  • On-board/Airport/Hotel WiFi Charges
  • Cellular roaming/international charges
  • COVID-19 vaccines/tests or masks

If you use points or rewards to offset the cash paid for a valid travel cost, the PSF will reimburse you for the cost prior to points or rewards application. For example, if your airfare costs $500 and you use $200 in points and $300 in cash to pay for the airfare, the PSF will reimburse $500 (up to your award amount).

Any receipt that is in non-USD currency will be reimbursed at the foreign currency amount converted to USD as of the date of the receipt.

If there are any ambiguities, final discretion lies with the Financial Aid Chair.

Q: What if I need help with a US visitor visa?

A: We can provide you with an “Invitation Letter” upon request, in support of an application for a United States visitor visa. It confirms that as a registered delegate you are invited to attend by the Python Software Foundation (PSF) and the PyCon 2022 committee. Please contact the PyCon Registration Committee at [email protected] if you require an Invitation Letter.

Q: Can I be reimbursed for food?

A: The Travel Grant Committee automatically adds a per-diem rate for food for each travel grant recipient. Please do not submit meal receipts. For 2022, the US GSA (Governmental Services Administration) set the per-diem rate for Salt Lake City, UT at $64 per day. Per-diems may only cover the days you are attending PyCon and up to one travel day before and after conference attendance. For conference days, because breakfast and lunches are provided, we only provide 1/2 the per diem ($32 per day). For tutorial and sprint days, because lunches are provided, we provide 3/4 the per diem ($48 per day).

Q: How do I provide a hotel receipt when I haven’t checked out yet?

A: A reservation confirmation from the hotel may be submitted as a receipt. The reservation confirmation should include the name and address of the hotel/motel/hostel/AirBnB, check-in and check-out dates, number of occupants, and the amount charged per day. Reimbursement is limited to the proportionate, per-person cost if the room has more than one occupant.

Q: Can I be reimbursed for auto expenses or mileage if I am driving to PyCon?

A: Yes. The IRS mileage rate includes cost coverage for maintenance and wear and tear on the vehicle. The 2022 IRS mileage rate is 58.5 cents per mile. Please provide a PDF or screenshot of the mileage for your trip. Please do not submit gas receipts.

Q: Can the reduced registration fee be counted towards my grant?

A: Registration is already discounted for travel grant recipients compared to the regular rate. As mentioned above, it is not part of the eligible set of receipts that we accept, and it cannot be part of the total amount you requested.

Q: What if my receipt is larger than my grant amount?

A: You can upload a receipt (example - airfare) for an amount larger than your grant, but you will only be reimbursed up to the award amount.

Q: Should I register for the conference before I find out if my grant application has been approved?

A: No. Applicants do not need to register in fear that the conference will sell out! We set aside tickets for travel grant recipients at a reduced rate of $50. (Reminder: the $50 ticket is not reimbursable.)

Q: After my grant is approved, how do I register for the conference and tutorials at the discounted rate?

A: Registration for the conference and tutorials is separate from clicking the link in the Travel Grant email you received. To register, log into your PyCon dashboard and go to the Registration Tab. Enter the Promo Code provided to you in the Travel Grant email on the registration page where requested. You will receive the option for the Travel Grant discounted registration, as well as receive the tutorial discount for the first tutorial you register for.

If you registered prior to receiving a travel grant, please contact the registration team [email protected] with the email address you used to register. Your existing registration will be adjusted to reflect the Travel Grant Award. Once the adjustment is complete, log into your dashboard and go to the registration tab where you will have the option to add tutorials with the discounted rate being applied to the first tutorial.

Note: Tutorials sell out quickly, so if you are planning to attend, please register early.

Q: How do I upload my receipts for reimbursement?

A: After your application has been approved and you have accepted the award, log into your PyCon dashboard and click on the “Upload Receipt” link on your dashboard.

Receipts must include the following:

  • Your full name
  • Name of the service provider (i.e., hotel name, taxi company, airline name, etc.)
  • The date of the transaction
  • The amount of the transaction

Q: Why can’t I upload my receipts?

A: You must accept your grant by the deadline in your award letter or you will not be able to upload receipts for reimbursement.

If you accepted your award within the published timeline and are having difficulty uploading a receipt, please contact [email protected] for assistance.

Q: What if I don’t come to PyCon?

A: If you do not register and attend PyCon, you will not receive your grant. Please notify the Travel Grant Committee that you cannot attend.

Q: How do I receive my travel grant disbursement?

A: Disbursement of funds will be onsite during the conference in Room 257 at the convention center during one of the following sessions. You must attend the conference in order to receive your travel grant disbursement.

  • April 28, 2022 9:00 am to 11:00 am
  • April 29, 2022 2:00 pm to 5:30 pm
  • April 30, 2022 10:00 am to 12:30 pm
  • May 1, 2022 10:00 am to 12:30 pm

Please bring a government-issued ID, such as a driver’s license or passport, to the disbursement session so that the travel grant team can confirm your identity. The identity check ensures that the name on the payment matches your government ID to prevent delays in receiving the funds.

Q: What documents are considered government IDs for checking in at the Travel Grant disbursement session?

A: All IDs should be current and include a picture.

If you are 18 years of age and over:

  • United States citizens: driver’s license, learner’s permit, or picture ID issued by one of the 50 US states, passport, or a military ID
  • Non-US citizens: a valid passport.

If you are under 18 years of age:

  • PyCon requires that you are accompanied by a parent, teacher, or guardian 18 years of age or older.
  • The Travel Grant team will verify the accompanying adult’s valid identity proof (see above rules for an adult).
  • Please bring a valid School Photo ID, driver’s license, learner’s permit, state ID, or a passport for the minor, if available.

Q: What payment options are available?

A: You may choose to receive your travel grant via one of the following payment methods:

The PSF does not issue funds in cash.

No funds will be disbursed prior to the event. Only those that attend the conference, confirm identity in person at the disbursement session, and have submitted receipts will be reimbursed.

You may choose another person to receive the disbursement on your behalf, but the PSF cannot guarantee that the other person will release the funds to you.

If you select PayPal as your payment preference, PayPal may limit the amount of money that can be received in a single transaction or per year. PayPal does not publish these rules on their site, but does disclose restrictions to PayPal account holders. Account verification or other information is often required by PayPal to release the funds for use. Please contact PayPal before coming to PyCon to find out if any limits apply to your account.

Q: How long does it take to receive my payment?

A: Once the PSF has received complete receipts and payment details, payment will be issued within 7 business days. The quickest payment methods are Zelle and PayPal. If you select wire or ACH, your bank may take longer to release funds based on their policy. Please check with your bank to ensure your account can receive an ACH or wire transfer if you select one of those payment options.

Q: Is there a bank near the convention center where I can cash my travel grant check without a fee?

A: The PSF has a banking relationship with Bank of America which will cash PSF checks for travel grants without charging you a check cashing fee. When you go to the bank to cash your check, please bring a government-issued ID if you live in the United States, or a passport if you live outside of the United States.

Travel grants for students studying abroad or on placements (England)

You may get a grant to cover some of your travel expenses if you normally live in England and any of the following apply:

  • you’re studying abroad as part of your course
  • you’re on a study or work placement through the Erasmus, Turing or Taith schemes
  • you’re a medical or dental student studying abroad or attending a clinical placement in the UK

You do not have to pay back a travel grant. There are rules on eligibility and how much you’ll get .

There’s a different process if you’re a student from Scotland , student from Wales or student from Northern Ireland .

Student Travel Stipend

Each year, the Geo-Institute Organizational Member Council provides graduate students, who are Geo-Institute members, the opportunity to win a travel grant to attend the Geo-Institute Organizational Member/Student Career Fair at the annual conference. This opportunity is open only to G-I student members.

Submit your Student Travel Grant Application 2023 by December 16, 2022!

SUBMIT APPLICATION

Sixty students will be selected by the GeoInstitute to receive a $300 travel grant to attend the 2023 Geo-Congress and participate in the OM Career Fair, "speed-dating" style, during the 2023 Geo-Congress. To be considered for one of the stipends, students must complete and submit the Student Travel Grant Application by December 16, 2022. Successful travel grant winners will be notified via email by January 16, 2023. Checks will be mailed the week of April 2, 2023, after the confirmed event attendance.

Small Grants Program

The Student Leadership Council (SLC) Small Grants Program (SGP) provides Graduate Student Organizations (GSO) access to small amounts of funding for student related activities.

Grants are applied for by GSOs and awarded by a committee composed of SLC members. Successful proposals must have clearly defined anticipated outcomes with one (or more) of the following objectives:

Full-time Travel Grants for students studying abroad or on a work placement

The student must be studying a full-time higher education course and be getting student finance that depends on their household income.

If they’re studying abroad

They must be attending a university abroad for at least half of each academic term. This can be an essential or optional part of their course.

They can also get a travel grant if they’re on:

  • an Erasmus study or work placement
  • a Turing Scheme study or work placement
  • A Taith study or work placement

Students cannot apply for more than one of these grants to cover the same expenses.

If they’re doing a clinical placement in the UK

The placement must be an essential part of their medical or dental course.

Students won’t get a travel grant if they’re eligible for income-assessed bursaries or awards from the Department of Health

Travel Grants

Travel Grants are available for Fiscal Year 2023-2024.

2024 –  2025 Award Cycles

About award cycles.

Applications for travel grants are accepted in four cycles each year. The application portal remains open for one week each cycle and then grants are awarded on a rolling basis until funds for the cycle have been exhausted. 

The Best Chance for Being Considered

Students who apply early in the award cycle will have a significant advantage. 

Travel Grant Eligibility

You must....

  • Be enrolled in a degree-seeking doctoral or MFA program when you apply and when you travel. 
  • Present a paper/poster/creative work at a conference or meeting of national or international standing. 
  • Be the first or sole author of the work. 
  • Provide a PDF copy of your invitation to present or your acceptance notification. ( If the conference acceptance notification isn’t received before the application deadline, attach a note in that field indicating it will be sent to Robert Sutherland   [email protected]   when received.)

Applications accompanied by a departmental funding match are preferred. 

How often can I receive a travel grant?

Students may receive no more than one travel grant in any fiscal year (July 1 - June 30) and no more than two while here at USC.

Travel Grants Cannot Be Used For: 

  • Field or Library Research 
  • Working Conferences
  • Attendance at a Professional Meeting
  • Travel Already Started or Completed
  • Professional Memberships

Award Amounts

Domestic Travel:  Up to $500 International Travel:  Up to $800

You may apply for additional funding through:

  • Your Department
  • University Awards
  • National Fellowships

Application Process

You must complete your application prior to traveling.

1. Submit the Conference Travel Grant Request Form. 

The link for the cycle one Travel Grant Request form will be active for submissions from June 1 - June  7, 2024.

2. Your advisor reviews your request.

Your academic advisor will receive a copy of the request via email. They will need to provide confirmation of your standing and progress to degree. You are responsible for following up with your advisor about your travel grant request.

3. The graduate director reviews your request.  

Once your advisor signs off on your materials, the graduate director will receive notification to approve your travel request.  You are responsible for following up with the graduate director about your travel grant request.

4. The Graduate School makes a decision about your request. 

Once the graduate director approves your materials, the Graduate School begins its review. Only complete applications can be reviewed. The Graduate School reserves the right to require additional documentation to complete the review.

5. If approved, complete the Travel Authorization form.

Send your award notification email to your department’s program administrator or business manager. They will help you complete the Travel Authorization (TA) form.

Submitting the Travel Authorization Form

Your department should send your TA form with the award notification email attached to the Travel Office. (The Graduate School does not have to sign the TA form if the award notification email is attached.)

Your form should include a separate line for the grant awarded by the Graduate School plus all support provided by the student's department.

6. Submit a Travel Reimbursement Voucher (TRV)

With the help of your department's program administrator or business manager, submit a Travel Reimbursement Voucher to the USC Travel Office.

Salt Lake City receives $953,000 grant for Safe Streets for All pilot program

Salt Lake City has been awarded $953,600 from the U.S. Department of Transportation through Safe Streets and Roads for All to pilot an interactive safety education program in schools.

The TravelWell Schools program will be delivered to K-12 classrooms in Salt Lake City. The community will learn about safe streets and Vision Zero through technology, with digital mapping to identify real-time travel behaviors, problems, and solutions. It allows them to measure the effects of their individual and families’ transportation choices and empowers students’ decisions on how they move about our community.

“Every street should be the safest street in Salt Lake City, period. That’s especially true for roads near our schools,” Mayor Erin Mendenhall said. “This grant funding will advance our Vision Zero goals and make Salt Lake City’s streets a safer place for kids because no death is acceptable. We won’t stop looking for ways to address street safety for all Salt Lakers.”

The City will partner with the Salt Lake City School District and the nonprofit, Children’s Media Workshop, to target education and outreach to underserved populations. Findings from the pilot will be used to inform a Safe Streets for All action plan, which is currently being developed in partnership with the Wasatch Front Regional Council. Feedback from the program will also be used to inform school safety planning and the Vision Zero program.

“The exciting thing about this grant and partnership is that it provides an opportunity for us to crowdsource feedback directly from students, enabling us to make targeted safety investments where that will provide the highest benefit for them,” said Jon Larsen, the Transportation Division Director for Salt Lake City.

Early testing outcomes in a pilot of the TravelWell Schools program demonstrated a significant increase in behavioral changes toward active transportation–as much as two to three times. In January 2022, Mayor Mendenhall issued a proclamation announcing the City’s intention to become a Vision Zero city with the goal of eliminating serious injuries and fatalities on City streets by 2035.

In total, communities in Utah received $2,323,925 in funding from Safe Streets and Roads for All, established in the Bipartisan Infrastructure Law.

SALT LAKE CITY — Have tickets to a Salt Lake City event this summer? There's a chance the Utah Transit Authority will give you a ride there for free.

UTA is allowing certain approved event tickets to double as fare on any UTA bus, TRAX, FrontRunner, S-Line or UTA On Demand transit.

Riders must show their printed or electronic ticket as proof of fare, and the date on the ticket must match the date the ticket holder is riding UTA, the transit authority says.

Here's a list of events offering ticket-as-fare options:

  • Utah Pride Festival, June 1-2.
  • Luke Combs concert, June 7-8.
  • Utah Asian Festival, June 8.
  • George Strait concert, June 29.
  • The Utah Arts Festival, June 28-30.
  • Western Stampede and carnival, July 4-6.
  • Salt Lake City Twilight concert series; check online for shows and dates.
  • Ogden Twilight concert series; check online for shows and dates.
  • University of Utah sporting events, including those at Rice-Eccles Stadium, Jon M. Huntsman Center and other campus locations.

Lieutenant Governor Toland Announces $500,000 in Tourism Attraction Development Grants

Lieutenant Governor and Secretary of Commerce David Toland has announced $500,000 has been awarded in the latest round of Attraction Development Grant funding.

The Kansas Tourism grant program assists in the development of sustainable tourism experiences that influence travel decisions and create economic impact, including new jobs, capital investment, revenue and increased visitation.

"High-quality tourism attractions play a large role in the economic success our state has seen over the past five years," Toland said. "By establishing and continuing to invest in quality attractions, we are improving the quality of life for current Kansans and creating more reasons for potential future residents to call Kansas home."

The Attraction Development Grant funding will be divided among 14 new or enhancing existing tourism attraction projects. Grant recipients will invest almost $1.4 million in matching investments toward the approved projects.

"It is exciting to unveil new attractions that give travelers reasons to visit our great state, immerse themselves in our story and really get to know Kansas," Kansas Tourism Director Bridgette Jobe said. "With these grant awards, we're not just building destinations, we're crafting dreams and shaping the future of tourism in Kansas."
